What I find a bit confusing is the way spaces, boards, and different sections are organized. Since I don't manage that part of the platform very often, sometimes it's difficult to know exactly where things are or where to find specific information. What I like most about ClickUp is that it feels more like a complete workspace than a tool built around a single function. We can use it as a central platform for project management, task tracking, documentation, communication, and organizing our day-to-day workflow, without relying on a separate app for each part of the process.

The flexibility of the workspace is especially useful for a small studio like ours. Features such as customizable Lists, Boards, Docs, task relationships, statuses, custom fields, and dashboards allow us to structure different projects and workflows in ways that fit our needs rather than forcing everything into one rigid system. Having our project information and documentation connected to the work itself also makes it easier to keep context in one place.

The integrations are another benefit, since ClickUp can connect with some of the other tools we already use rather than requiring us to completely change our existing workflow. Its AI features are also useful for smaller tasks such as summarizing information, helping organize or refine content, and reducing some of the repetitive work involved in managing projects and documentation.

One unexpected benefit is how much easier it is to keep our overall workflow visible. Instead of having project details, tasks, notes, and documentation scattered across multiple platforms, we can build a shared workspace where the team has a clearer picture of what is happening and where information belongs.

For a small studio, having this much functionality in one platform also makes the overall cost and budgeting easier to manage. The biggest issue for us is performance. ClickUp can get quite laggy when we’re working with larger files or more complex workspaces, and Whiteboards in particular often take longer to load and feel less responsive. That slowdown can interrupt our workflow, especially when we’re trying to plan together or collaborate in real time.

The UI is generally flexible, but the sheer number of features can sometimes make the experience feel more complicated than it needs to be, and the AI features are a good example of that. AI is helpful in certain situations, but it can also add extra steps and complexity to workflows that would otherwise be straightforward.

Pricing is another factor for us. ClickUp offers a lot of functionality, but the cost can feel relatively high for a small studio, especially as you add more users or enable additional features.

What I like best about ClickUp is how intuitive it is. Our team picked it up quickly, and managing bids, updating statuses, and handing off projects takes just a few clicks. My only real complaint is that ClickUp has so many features it can feel overwhelming at first. The basics are easy, but setting up advanced views, automations, and custom fields takes some trial and error. Notifications can also pile up quickly if you don't adjust your settings. The mobile app isn't quite as smooth as the desktop version when I'm checking bids in the field. Ability to completely customize the system to fit the needs of our business. We are able to easily adjust task types, spaces, custom fields, reports and dashboards. There is currently not a way for us to properly plan a workday when we have tasks that can be worked on any day during a specific period. When using the planner option, ClickUp is looking at the start and due dates and applying short periods of time during a day rather than the one task being completed on a specific date. One downside of ClickUp is that it can feel overwhelming at first because there are many features and settings to learn. Flexible tool. Easy to adapt to organizations, processes, specific projects. Involving internal and external users. Quite powerful dashboards. Basic exchange tools to integrate main external tools. UI can be better, block system might be useful. Performance quite almost top. Pricing: should be more modulated: superusers, standard users, guest. The number of standard and guest seats is too limited. Support: I can report a fast and solving support on the only request submitted. So far all well. AI: uhm, is not so integrated as it could be and fees are always behind the corner. Some tools take 2–3 steps to complete, like the inbox. Also, some routines are available only in the desktop app and not in the mobile app. The mobile app UI should be customizable, because right now it feels limiting. There is also no report showing the time and access for each user and group, which makes it difficult to boost these teams and manage activity. O que eu mais gosto no ClickUp é a versatilidade da plataforma e sua facilidade de integração com ferramentas que minha equipe já utiliza, como Google Drive e Slack. A estrutura de organização com espaços, pastas e listas torna muito mais fácil gerenciar projetos, especialmente porque minha equipe trabalha 100% remotamente. As ferramentas de IA, como o Brain, também são úteis para organizar meu fluxo de trabalho como gerente de projetos e agilizar tarefas do dia a dia.

Em relação ao custo-benefício, o principal retorno que percebo é a economia de tempo e a redução de retrabalho. Como projetos, tarefas, responsáveis, prazos e informações ficam centralizados, precisamos depender menos de processos manuais e de várias ferramentas diferentes para acompanhar as entregas. Para minha equipe, esse ganho de produtividade ajuda a justificar o investimento na plataforma.

Também tive uma experiência muito positiva com o suporte do ClickUp. Às vezes, algumas páginas e dashboards demoram para carregar, especialmente quando estou trabalhando com projetos que possuem muitas informações e elementos. We use ClickUp every single day - all day long! The many different ways I can organize our team, automations, and collaboration options. I love the flexibility I have for making spaces and lists my own (not being limited to certain methodologies). I love the personal list and the ability to filter tasks based on my own criteria. One of the downsides is that you really need to have your structure and workflow down before setting things up in ClickUp. If you don't, things can get really muddy. There are a lot of ways to organize your workspace, so you need to really think that through first. We struggled in the beginning because we didn't fully understand how to use ClickUp - for that reason, we set our spaces and lists up in a way that didn't really make sense. I also struggle with the Documents - sometimes I like to write my SOPs in ClickUp, but then need to transfer them to Word for the company - format does NOT translate nicely! I like the ability to customise my workflows based on my project's needs. I found the drag n drop feature on the Gantt diagram especially helpful in mapping out and visualising the entirety of a project. Review collected by and hosted on G2.com.

I tried integrating the native calendar with my Google Calendars but it kept going into a feedback loop that ended up making multiple identical entries in my calendars so I ended up abandoning it. Having the ability to plan out the week by dropping tasks with task lengths into the calendar feature and having this reflected on my Google Calendar that I use daily would have been very helpful. ClickUp is helpful because it actually bends to how you work instead of the other way around.

The hierarchy is the thing that gets me, Workspace, Space, Folder, List, Task, Subtask. That's enough levels to keep your client work, your finances, your marketing, and your backend operations completely separate without needing four different tools to do it.

And because everything lives in the same place, you can have multiple views on the exact same data. Looking at your week on a calendar, your project on a board, your finances in a table. Same tasks, different lens.

The custom fields are where it gets interesting for service providers specifically. You're not stuck with whatever the tool thinks you should track. You build it around what actually matters in your business.

Docs sitting inside the workspace is underrated too. Your SOPs, your client briefs, your onboarding stuff, right next to the tasks they belong to. Not in a random Google Drive folder nobody remembers exists.

Automations handle the stuff you'd otherwise have to remember to do manually. Status changes, assignments, notifications. The mental load stuff.

For anyone running a service business, the real value is that it can hold your whole operation in one place and actually feel like it was built for you, because you built it.

It has a steep learning curve that takes time to get used to, when I just started out in Clickup it took me a great amount of time to figure out the features and how to utlize them in a way that made sense.
