I’ve been using Microsoft Outlook as my primary email and calendar tool, and it has become central to how I manage both daily tasks and long-term planning.

One of the most valuable features for me is the integration between email, calendar, and tasks. Being able to convert an email into a calendar event or a task in just a few clicks significantly reduces context switching. For example, when I receive a meeting request or an action item via email, I can immediately schedule it or flag it for follow-up without leaving the platform.

The calendar functionality is particularly strong. Features like scheduling assistant and shared calendars make coordinating meetings much more efficient. I’ve found that the visibility into others’ availability saves a considerable amount of back-and-forth communication.

Another aspect that adds value is the rule and filtering system. I’ve set up automated rules to categorize and prioritize incoming emails, which helps keep my inbox organized and focused on what actually requires my attention. Combined with the “Focused Inbox,” this reduces noise and allows me to process emails faster.

The search tool is a recurring source of inefficiency. In practice, it often fails to return complete or relevant results unless queries are extremely specific. For instance, searching by a contact name or a keyword from an email body does not always surface expected messages, even when they clearly exist. The distinction between searching in the current folder versus the entire mailbox is not always obvious, which leads to missed results unless manually adjusted. This creates friction, especially for users managing large volumes of emails who rely on quick retrieval of past communications.

In addition, filters and advanced search options are not intuitive. Refining a search often requires multiple attempts, and the interface does not clearly guide the user toward more effective queries. I dislike the UI and its competition with Google. Growing up, most all my emails were on google. But now, I’ve had to acquire outlook for my professional career and get frustrated that I must oscillate between different interfaces and inboxes. Review collected by and hosted on G2.com.

It's a ubiquitous tool across businesses everywhere, so the vast majority of people are familiar with its functions. I find the interface too rigid and almost too corporate. While I have used Outlook in every role throughout my professional life, I still need to reference Google or the help tools to figure out how to set up a feature that would streamline my workflow. The calendar function is repeatedly having issues. It will auto save a Teams meeting when the event being placed on the calendar does not involve a teams meeting. I don’t really have strong likes or dislikes about Outlook. It’s simply one of the most standard, straightforward products out there when it comes to email.

That said, I do find rule-based sorting and forwarding much easier to set up and manage than in Gmail, for example. Review collected by and hosted on G2.com.

The search function is just a joke. It's really hard to find something via the search bar unless you already know exactly sender, subject line, etc. Review collected by and hosted on G2.com.

The biggest advantage of Outlook is the deep integration into the Microsoft ecosystem. I use this multiple times per day and have not switched to a third party client for this very reason, particularly the integration with MS Teams. The biggest issue with the new outlook is that, unlike the legacy version it replaces, it is a glorified web wrapper. This eliminates a lot of what made the old version great in being able drag and drop emails as files, use email templates, etc. Recent updates have improved this functionality but adds friction in that it prompts browser warnings every time. The preview functionality is awful and loads properly only about 50% of the time.

The general theme with the new outlook is that it isn't a native app and really doesn't feel like a native app. Every time you download a file from an email, you see the MS Edge download window in the top right corner which really ruins the experience. Much better offline support and making the app more native will go a long way although I doubt that aligns with Microsoft's business plans which is essentially to have a single codebase across platforms. I hate how they changed it and removed many of the customizable features. In doing this, many of the features I formerly used are difficult to find. Users who had used another email service, like gmail, had a hard time transitioning. They mentioned things like emails with invites disappearing and searching to find agendas.
