I use Outlook every day for business and when I have to switch to Gmail for personal use I am always dissapointed because it does not have the same features I am used to with Outlook. Microsoft continues to stand out for its tight integration with other MS products and the broader MS 365 ecosystem. For end users, the experience feels familiar and consistent across devices, and it becomes highly productive once everything is configured. Email, calendar, Teams meetings, contacts, shared mailboxes, and file collaboration all come together in a single interface, which helps reduce context switching and makes day-to-day workflows more efficient.

From an administrator’s perspective, Outlook paired with Exchange Online provides solid centralized management. The Microsoft 365 admin tools let admins handle mail flow, retention policies, permissions, compliance, and security controls through web-based consoles, keeping key settings and oversight in one place.

Onboarding new users is also fairly straightforward. Auto-discovery, cloud synchronization, profile portability, and cross-device support help minimize setup friction for people moving between desktop, mobile, and web. The biggest challenge with Outlook today is the inconsistency between the classic Outlook client and the newer Outlook experience. Some of our users report performance issues, a sluggish UI, and incomplete feature parity in the new client.

For our admin team, management workflows also feel fragmented across multiple admin portals. Security settings, Exchange settings, compliance controls, and identity configurations are spread across different interfaces, which slows down day-to-day work—especially with some of the newer admin center designs.

On top of that, most of the team (myself included) feels Microsoft is pushing Copilot integration too aggressively before the overall experience is fully mature. Overall, I like how easy it is to use—Microsoft Outlook remains a constant for me, even with updates. I use it daily for both work and personal needs. I also enjoy the features it offers, such as delaying sends, callback messages, and being able to like or use emojis to react to messages instead of having to write a full response.
