One thing I did not like much about Calendly is that some useful features are limited during the trial or free plan, which can make it difficult for new users to properly explore the platform before deciding to upgrade. Calendly helps solve the problem of manually coordinating meeting times through repeated messages and followups. Before using it, scheduling meetings often took extra time because of availability confusion and back and forth communication. After starting to use Calendly a few months ago, it became much easier to share available slots and let others book meetings directly. Clearly some small things are not as polished and there are some settings that are a bit buried and hard to find at times, however the main flows work perfectly. Feature overload / UI clutter — A lot of users feel the interface has become crowded as Zoom added chat, docs, whiteboards, AI tools, phone features, and scheduling. What used to feel lightweight can now feel more complex.

Frequent updates at inconvenient times — A common annoyance is launching a meeting and suddenly needing to update the app first.

When some visitors come back, they are considered "Returning" visitors. I don't always have them pre-registered so they sign in via kiosk using "returning visitor" selection. It does not always work. It is not a big deal, they just sign in as new visitor.

This isn’t really a dislike, but I’d like to see more file-sharing programs integrated. Right now, Dropbox is the only option available for clients to upload documents prior to a meeting. We’ve had a great experience using GReminders as part of our workflow every day. The AI Note Taker and pre-meeting brief summary generator have been especially valuable. Both features save us a lot of time, help us stay organized, and make meeting preparation much more efficient.

The appointment reminders and scheduling tools have also been extremely helpful. Being able to automate these ahead of time has improved consistency and reduced manual follow-up.

One thing I’m especially looking forward to is even deeper integration with Redtail CRM, which will make the workflow even more seamless for our team.

One thing I dislike about Microsoft 365 is that some admin settings and security configurations can feel complicated, especially for new users. On top of that, certain updates or feature changes can take time to get used to. The app seems to log out quite a bit. Sometimes I walk by the iPad, either in the morning or the middle of the day, and notice that we've been logged out. It might be an iPad update or something unrelated to the reception app, but I do find myself having to relog in from time to time, which would not be ideal if a guest came and they couldn't access it. It would be terrific to include a barcode/QR code scanning feature in Waitwhile. We deal with six-digit strings of numbers that are cumbersome to type in to our devices from Waitwhile. Aside from favorable interactions, our customer satisfaction depends on the speed and efficiency by which we are able to serve them. Waitwhile helps us communicate with our customer via text and alerts us to their presence in a timely fashion. Now that a serve/complete button has been implemented, I love that we no longer have to toggle between "Now Arrived" and "Now Serving" cues to click customers through. Since the last update of the mobile app, it no longer works in Europe and only tries to access cal.com instead of cal.eu, where I have my account. The thank you page after booking could offer more tweaks at first glance, but the customize email layout option changes everything. We are using this as part of our customer on-boarding and the improvements have been impressive. Customers can now complete and sign their documents online, no printing out PDFs(!!) and scanning them, or using clunky PDF editors. Cal ID simplifies the back-and-forth of scheduling meetings. Instead of coordinating availability through emails or messages, I can just share a booking link. This allows people to schedule based on my available time slots. Our IT department requires a visitor log for PCI compliance. I did not want to have to keep track of a paper log. This also allows the IT department to have access to the visitors log at any time whether in the office or remote. Review collected by and hosted on G2.com.

A couple of things I don't like are the App on the iPad will often revert to the pin code requirement if a user accidentally taps the wrong thing, then it becomes useless until I come in and reset the screen. For our company, it solves the process of visitors coming in to a secure building and needing to let someone know they have arrived. When no one is in the lobby there really isn't another way to notify employees they have arrived other than using their cell phone which doesn't always have service in the lobby of our building. I’m running into a few limitations: I can’t set global limits across booking types, and I can’t create a single booking type with variable session lengths (for example, letting someone book anywhere from 30 minutes to 2 hours instead of a fixed duration).
