Workflow Management Software

Typically, Workflow Management is a capability of a variety of other G2 Software categories. See more below to select the

best Workflow Management Software.

Workflow management software creates a sequence of tasks for tracking the progress of projects and automate overall workflow. Project management and task management software offer workflow management features, where team members can track and record progress of their tasks. These solutions also provide transparency into the overall progression of a project from start to finish. Business process management (BPM) software also offers a workflow process, by breaking down company goals into steps and tasks. Professional service automation products manage workflows for professional service projects, by tracking the resources and tasks needed to complete a job for a client. Help desk and service desk software also offer workflow management, but for specific aspects of business. Help desk solutions are used for answering customer service requests and automatically create tickets, which can track the workflow of the customer service representative. Service desks are very similar, but track the workflow of IT support staff from internal requests. Workflow management solutions are most frequently used by project manager to help optimize team performance. Developers and product teams often utilize these workflow management tools.

“Best-in-Class Project Management Performance with an Easy-to-Use Interface”
What do you like best about monday AI Work Platform?

Easy to use interface, making sharing tasks among a team, and keep tracking track of progress, superior to anything I have used previously. As a project management tool, the performance is second to none, Review collected by and hosted on G2.com.

What do you dislike about monday AI Work Platform?

I'm not sure the integrations are available under my companies current package, and I'm sue the pricing of using these is worthwhile for us, even though I would be keen to use them. Review collected by and hosted on G2.com.

What problems is monday AI Work Platform solving and how is that benefiting you?

Project management - used for a small team of 5 people for a couple of different projects, it's really useful in keeping track on progress/updates in one place, with everything logged and the capacity to attach documents and store them works well when engaging with external companies.

Resource management and planning - using for own work, having the automation for sending email reminders to complete task helps me keep up to date with what I need to working on, and what is a priority. Review collected by and hosted on G2.com.

“Jira as the Ultimate Source of Truth for Complex Projects”
What do you like best about Jira?

Jira acts as the ultimate source of truth for complex projects. By centralizing tasks, automating updates, and providing clear visual tracking, it prevents communication gaps and reduces micromanagement. Ultimately, it brings structure to team collaboration and delivers a genuinely satisfying sense of progress when crossing the finish line. Review collected by and hosted on G2.com.

What do you dislike about Jira?

When it’s misused, Jira can shift from a collaboration tool into a surveillance tool. It’s far too easy for stakeholders to fixate on velocity charts, burndown metrics, and time-tracking data, then use those numbers to micromanage developers instead of focusing on the real value being delivered. Review collected by and hosted on G2.com.

What problems is Jira solving and how is that benefiting you?

Streamlined Alignment: By centralizing our backlog and using Kanban/Scrum boards, everyone on the cross-functional team can quickly see the current status of any feature or bug.

Reduced Overhead: It cuts down on the need for constant status-update meetings. Because blockers are visible at a glance, we can spot issues early and address bottlenecks before they end up derailing a sprint.

Process Automation: The tool automates repetitive workflows—such as automatically moving a ticket to “QA” when code is committed—which helps free up the team to focus on actual development instead of manual status updates. Review collected by and hosted on G2.com.

“My Brain in Digital Form: Why I Love ClickUp”
What do you like best about ClickUp?

I like the dashboard feature because it lets me see how my week went, what’s still pending, and even use AI to generate an image of my week. Review collected by and hosted on G2.com.

What do you dislike about ClickUp?

I don’t like that I can’t include a document in my knowledge base space as a view. It would be much more efficient to have the same document available as a view in the related workspace as well as in the space, and to be able to show it on the document card in the space dashboard. I also don’t like the white interface when you share a document as a website, because I don’t want to create a duplicated doc just to get the look I want. Review collected by and hosted on G2.com.

What problems is ClickUp solving and how is that benefiting you?

It helps me create structure and keep my tasks organised. I can clearly see what’s pending, what’s at risk, and what’s been completed. It also helps me stay more organised when setting goals, and understand how many tasks I still need to complete to reach my target. Review collected by and hosted on G2.com.

“Asana Keeps Me Organized—Fast, Fair-Priced, and Great Support”
What do you like best about Asana?

Asana has helped me get organized, hold myself accountable, and meet deadlines that I was missing before because I was losing notes amongst the 15 notepads and legal pads I was writing every single task and thought and reminder in! I LOVE that it can integrate with ChatGPT! That has honestly been the biggest upgrade since I've started using Asana close to a year ago. The price point is very fair, the performance is great - there's never any glitches and it never runs slow, and the support is phenomenal! Review collected by and hosted on G2.com.

What do you dislike about Asana?

Honestly I haven't found any dislikes so far about Asana. I don't think that I use it to its fullest capability because I'm the only one on the team that uses it. It makes for an excellent invoice payment tracker and to do list for me. I color coded the different categories of my day to day tasks (Administrative, HR, Finance, Brain Dump, etc.) and I can look at the calendar view and see very easily what I've got on the docket for that day. It works very well with my ADHD brain! Review collected by and hosted on G2.com.

What problems is Asana solving and how is that benefiting you?

I'm not missing deadlines! And that is benefitting me because my boss is happy and I stay out of trouble lol. Before Asana, I was a hot mess express! Seriously, I can fill a legal pad up from front to back in about three days. With Asana, I can get all of my thoughts out of my head in my Brain Dump project, and then I can go back and sort each task into the appropriate project depending on whether it's HR related, Finance related, or just regular ole Admin related. And no more legal pads stacked up on my desk or shuffling to find notes about x, y, or z. Review collected by and hosted on G2.com.

“Notion: Clean, Intuitive Workspace That Streamlines Our Team’s Workflow”
What do you like best about Notion?

Notion has become an essential part of our daily workflow. The UI/UX is clean and intuitive, making it easy to organize notes, docs, and projects in one flexible workspace. The drag-and-drop blocks and nested pages let us build custom dashboards that fit our team's needs perfectly. Integrations with tools like Slack and Google Drive save us a ton of time switching between apps. Performance has been reliable even as our workspace has grown large with many databases and linked pages. The pricing is very reasonable for the value provided, especially compared to piecing together several separate tools. Onboarding new team members has been smooth thanks to templates and shared guides. The recently added AI features have also been a pleasant surprise, helping us summarize notes and draft content faster. Review collected by and hosted on G2.com.

What do you dislike about Notion?

Honestly there is very little to complain about. If I had to nitpick, the mobile app can feel a touch slower than the desktop version when opening very large databases, and the sheer number of customization options can take a little time for brand new users to fully explore. Neither of these has been a real problem for our team, just minor observations. Review collected by and hosted on G2.com.

What problems is Notion solving and how is that benefiting you?

Before Notion, our team struggled with scattered information across docs, spreadsheets, and chat threads, which made it hard to find decisions or track project status. Now we have a single connected workspace where notes, tasks, and databases link together, so anyone can quickly find the context they need. This has resulted in fewer status meetings, faster onboarding for new hires, and noticeably better cross-team visibility into ongoing projects. The pricing has also let us consolidate a couple of other paid tools, saving us money overall while improving collaboration. Review collected by and hosted on G2.com.

“Turns Scattered Workflows Into a Clear, Trackable System”
What do you like best about Smartsheet?

What I like most about Smartsheet is how it can take messy, scattered work and turn it into a clear, trackable system, without forcing everyone to completely change how they already work. It still feels familiar, like a spreadsheet, but it functions more like a full project-management platform. Review collected by and hosted on G2.com.

What do you dislike about Smartsheet?

Smartsheet can be frustrating at times because its spreadsheet-style layout gets cluttered quickly, and managing larger or more complex projects can start to feel clunky. Some of the more advanced features aren’t built in, so I often end up relying on additional configurations or add-ons to get it working the way I need. Review collected by and hosted on G2.com.

What problems is Smartsheet solving and how is that benefiting you?

As an intern working with a contracting engineering team in Sydney, what I find most useful about Smartsheet is how it takes the chaos out of project coordination and keeps everyone aligned. It helps solve several day-to-day problems that engineering interns often run into, especially when you’re juggling site updates, contractor communication, and documentation all at once. ““Daily Use Review of Salesforce Service Cloud in Collections””
What do you like best about Agentforce Service (formerly Salesforce Service Cloud)?

From a collections specialist perspective at iQor, a few things are especially strong. One of the biggest advantages is the unified customer view. Instead of jumping between billing systems, CRM notes, payment history, and contact logs, Service Cloud brings everything into a single case timeline. For collections work, that matters because your effectiveness often depends on how quickly you can understand the customer’s financial situation and past interactions. Review collected by and hosted on G2.com.

What do you dislike about Agentforce Service (formerly Salesforce Service Cloud)?

From a collections specialist point of view at iQor, the frustrations with Salesforce Service Cloud / Agentforce Service usually aren’t about whether it works they’re about how it feels to use under pressure.

One common dislike is how many clicks and layers it can take to do simple things. In collections, speed matters. When you’re trying to log a promise-to-pay, update a disposition, or move to the next account quickly, extra screens and validation steps can feel like they slow the conversation down instead of supporting it. Review collected by and hosted on G2.com.

What problems is Agentforce Service (formerly Salesforce Service Cloud) solving and how is that benefiting you?

From a collections specialist perspective at iQor, Salesforce Service Cloud / Agentforce Service is mainly solving the problem of fragmented, messy customer information and slow case handling which is a big deal in collections work. One of the biggest problems it fixes is having customer data scattered across different systems. Before tools like this, you might have billing info in one platform, notes in another, and interaction history somewhere else. Service Cloud pulls that into one place, so when a customer calls about a balance or dispute, you’re not wasting the first few minutes just trying to figure out what’s going on. “Zapier has changed a lot recently!”
What do you like best about Zapier?

I didn’t have to spend weeks designing complicated workflows. My first Zap took less than fifteen minutes to set up, and from that moment it started eliminating manual tasks we were doing every day. We had several processes that weren’t particularly difficult, just repetitive. With Zapier, we connected everything and the whole workflow became automatic. Processes that required multiple human actions now happen in seconds, and more importantly, the interface is user-friendly. The Trigger → Action logic is so straightforward that even people without a technical background can pick it up quickly. What surprised me even more is how much the platform has evolved over the years. What started as a simple automation tool now includes Tables, Interfaces, Canvas, Chatbots, AI Agents, and Copilot. Review collected by and hosted on G2.com.

What do you dislike about Zapier?

Zapier feels like a bargain because you're only automating a few things here and there. Then a couple of months go by, you check your usage, and suddenly you realize your automations have been working a lot harder than you thought. I still remember looking at my task count one month and thinking, "Wait... did all of these really run?" The good news is that it usually means the automations are doing their job. The bad news is that your bill tends to notice it too. Review collected by and hosted on G2.com.

What problems is Zapier solving and how is that benefiting you?

Every time we closed a sale, someone had to update the CRM, create a project folder, notify the responsible team, generate an initial task, and log everything in a tracking spreadsheet. None of those actions took much time on their own, but together they added up to several hours every week. Even worse, mistakes happened all the time because there was always some step that somebody forgot. We decided to automate that entire workflow with Zapier, and the change was immediate. Now, when an opportunity moves to "won," everything happens automatically within seconds. Records are created, tasks are assigned, the right people are notified, and information stays synchronized across platforms. There was even a week when several team members were on vacation, and normally that would have caused chaos because certain processes depended heavily on specific people. But most of our workflows were already automated. The interesting part was that we barely noticed they were gone. Leads still reached the right people, reports kept being generated, and notifications continued going out. That was the first time I realized automation isn’t just about saving time, it also removes invisible dependencies you don’t even know exist until someone is suddenly unavailable. “Reliable and Flexible Platform That Continues to Evolve”
What do you like best about Zendesk for Customer Service?

I like that Zendesk gives us one place to manage everything when it comes to customer interactions, processes, and support work. It has a lot of integrations and works well for our team, which makes it easy to fit into how we already operate. We created multiple tools that connect through Zendesk, like Sharepoint, Azure DevOps and more.

It's also trust worthy and rarely goes down.

I also like their Early Access Programs. It’s nice being able to see what’s coming, try things out early, and decide if we want to use new features before they’re fully rolled out. Review collected by and hosted on G2.com.

What do you dislike about Zendesk for Customer Service?

Zendesk Talk is the area where I see the most opportunity for improvement. While it provides the basic functionality needed for an integrated phone system, it is not as advanced or feature-rich as some other tools available in the market. Review collected by and hosted on G2.com.

What problems is Zendesk for Customer Service solving and how is that benefiting you?

Previously, configuring or improving Zendesk often required searching through a large number of Help Center articles and determining how to set up each component individually.

With Admin Copilot, I can explain what I am trying to accomplish in plain language and receive guidance on how to move forward. This has made creating macros, triggers, workflows, and other administrative processes much faster, less painful, and more seamless. It saves time, reduces the amount of manual research required, and helps us make better use of the platform. Review collected by and hosted on G2.com.

What do you like best about Zoho Desk?

Flexibility to create various fields in the tickets, which allows me to perform detailed analyses that contribute not only to my support but also to my product. Review collected by and hosted on G2.com.

What do you dislike about Zoho Desk?

Support is extremely slow and inefficient. First, I asked about WhatsApp connection during the trial period, and it took them 3 days to respond that it is not possible. There was not a hint of willingness to enable the feature, even after I explained that 100% of my support is offered there, so I was only testing records but couldn't test the main channel. Then, I asked about extending the trial period because of this evaluation here, 7 days have passed and I have not been answered. Review collected by and hosted on G2.com.

What problems is Zoho Desk solving and how is that benefiting you?

Currently, my service is only through a communication tool, not a ticket management tool. So it will help me with SLA control, deadline alerts, and responsibility management. All of this in a practical way, with an irrelevant increase in work since the ticket registration is quite agile. Review collected by and hosted on G2.com.

“Effortless MSP Management with Room for Improvement”
What do you like best about Syncro?

I use Syncro for billing, ticket management, and remote management at my MSP. It's my hub for every function of my job! The ease of use is my favorite thing about Syncro. The UI is very simple, allowing me to knock out tasks and communications easily, while also providing enough technical data points to troubleshoot problems effectively. I love that it shows all my open tickets in an easy-to-comprehend format at a glance and makes remote connections incredibly simple. The customization options are amazing at improving my workflow. The initial setup was simple on the technician side, even if the admin side took a bit longer. I recommend Syncro to every IT tech I meet. Review collected by and hosted on G2.com.

What do you dislike about Syncro?

The only thing that Syncro doesn't have is a built-in password management tool. If it had that, I would be able to accomplish 90% of my tasks without having to open a separate browser tab. As an example, if I need to remote into a server and add a user to the active directory, I have to go into the server, minimize my screen, open my password manager, find the password, copy and paste it into the login page on the server. If we had something like a suggested pop-up box that showed up when we arrived at a sign-on screen, that would take a minimum of 10-15 seconds out of my workflow and would make server work much faster overall. I don't always have a secondary or tertiary monitor available when I'm on site; this would mitigate the need for that. Review collected by and hosted on G2.com.

What problems is Syncro solving and how is that benefiting you?

Syncro is my hub for everything at work. It makes billing easy and remote connections just a click. The easy-to-use UI lets me handle tasks and troubleshooting effectively. The customization options improve my workflow, and managing tickets is a breeze. Review collected by and hosted on G2.com.

“Flexible Automation and Reporting That Streamlines Workflows”
What do you like best about Autotask?

What I love most about Autotask is its flexibility. It allows me to streamline processes, automate repetitive tasks, and create reports that provide meaningful insights for different departments. I enjoy finding ways to make workflows more efficient and helping others get the most out of the platform. Review collected by and hosted on G2.com.

What do you dislike about Autotask?

I've been using Autotask for 12 years, and while the platform has made improvements in many areas, I believe there are still opportunities to enhance the billing and financial workflows. Features such as the billing platform and the Approve/Post process have seen very few meaningful updates over the years. Modernizing these areas with a more streamlined, intuitive workflow and additional automation would significantly improve efficiency for finance teams and reduce the amount of manual work required. Review collected by and hosted on G2.com.

What problems is Autotask solving and how is that benefiting you?

One area where Autotask has made great improvements is ticket management and visibility. The platform has provided better ways to track tickets and allows teams to create customized widgets and dashboards that give users visibility into their daily workload. These improvements help teams quickly see their priorities, manage their day-to-day tasks, and avoid spending time searching for information. Review collected by and hosted on G2.com.

“Airtable has transformed the way I do my job for the better.”
What do you like best about Airtable?

I have used Airtable for higher education, non-profit, and small business retail applications, each of them requiring very different outputs, and all of them have benefited from the ability to integrate multiple teams and functions into one centralized, interconnected place. Within my higher ed team we have managed to make integrated and interconnected Airtable apps for annual planning, budget and procurement, project management, event coordination, and hiring/onboarding--all for the same office and portfolio of work, but also connecting across each of our portfolios. The longer I've used it the more I'm convinced that there's little to nothing that can't be solved with Airtable and a little creative thinking. Review collected by and hosted on G2.com.

What do you dislike about Airtable?

My favorite thing about Airtable is actually this: the suggested improvements I mentioned when I first wrote this review in 2024 have all been resolved, and not because of anything I've done--the development team is constantly working on ways to make Airtable more accessible and easier to use, adding new features based on user feedback, and dreaming up innovative ways to rethink problems that other platforms on the market haven't even begun to tackle.

The only thing I wish I could actually improve about Airtable is the somewhat clunky pay-per-seat model of user accounts, which always seems to be more convoluted than it should be, but I wouldn't be surprised if that element is also changed for the better by the time someone is reading this. Review collected by and hosted on G2.com.

What problems is Airtable solving and how is that benefiting you?

I have several major projects in my role at a large research university, and all of them benefit from Airtable:

1. I coordinate a 10-year old fellowship program, and I have a decade of records and information about the program, its applicants and members, their work within the program, and their impacts on our community after they complete it. With Airtable I'm able to track all of that in one place, which means I always know where to go to find what I need, and it also means that I can create reports/interfaces for the fellows that give them snapshots of their particpation in the program over time. Since some of the folks have been involved for literally a decade they have had lots of engagement with many roles in the program, and before we moved all of this data to airtable I would have to recall things from memory or look each type of role up by person and year in our cloud storage. This has made the process easier, more accurate, and more helpful for the fellows themselves.

2. I organize several large-scale, complex events and programs for faculty, and using Airtable has made that process so much easier. I can have everything from project/task management to sign-ups and attendance lists to logistics planning all in one place, and because of the ease of synching and tables and linking fields, I can do virtually no copying and pasting throughout that process. I used to have so many spreadsheets for each event, and have to transfer so much information from one to another each time...and now that isn't a problem anymore. I can also use the same base each year and just update the years on the new records, so that I can more easily track data over time and have far more useful assessments of my programs. This has transformed my assessment processes and I'm really excited to see how that continues to grow.

3. We are implementing Airtable in our center's annual planning processes for the first time this year, and we've already benefitted so much. We are able to collect information more easily from each of our staff members about their plans and needs, and then the appropriate teams are able to easily gather their own annual lists of work from that collection more accurately than before. We're just starting to play around with automations to make this process even more streamlined and seamless, and I know by next summer's annual planning we'll have something even better put into place. “actiTIME Delivers Clear, Practical Project Time Tracking and Reporting”
What do you like best about actiTIME?

actiTIME gives us a clear view of how time is spent across projects, initiatives, and teams. As a product marketing team, we’re often juggling launches, campaigns, research, enablement, and cross-functional work at the same time, so having structured project-based time tracking is extremely valuable. The reporting is practical and helps us understand workload distribution, project costs, and where execution tends to slow down. Also, the integrations are so easy to do with our inernal software. Review collected by and hosted on G2.com.

What do you dislike about actiTIME?

Some parts of the interface could be more user-friendly, especially for new users. That said, overall the product is reliable, and it becomes easy to adopt once the team starts using it consistently. Review collected by and hosted on G2.com.

What problems is actiTIME solving and how is that benefiting you?

actiTIME helps us accurately track the time we spend on projects and campaigns, which improves planning and gives us a clearer view of the real effort behind our product marketing activities. It also provides leadership with better visibility into resource allocation, and it helps teams stay accountable without adding unnecessary complexity. Review collected by and hosted on G2.com.

“A project management tool that drives measurable marketing results”
What do you like best about morningmate?

Morningmate has been a project management game-changer for handling brand campaigns. By centralizing all project management tasks, our team reduced campaign planning time by nearly 35%. Tracking KPIs in real-time allowed us to spot underperforming channels quickly and reallocate budget more effectively. Thanks to this, our most recent campaign achieved a 20% higher engagement rate compared to the previous quarter.

Having one workspace where designers, marketers, and external partners collaborate seamlessly made execution smoother and faster. The automation of repetitive updates also freed up more time for creative work, which directly contributed to stronger campaign results. Review collected by and hosted on G2.com.

What do you dislike about morningmate?

I just wish more marketers knew about this tool, since it’s still not as widely recognized as it deserves to be. Review collected by and hosted on G2.com.

What problems is morningmate solving and how is that benefiting you?

Before using Morningmate, our marketing projects often suffered from scattered communication and missed deadlines across different tools. Morningmate centralized all project management tasks, which cut down planning time and reduced confusion between teams. Real-time KPI tracking helped us identify underperforming campaigns quickly and optimize budgets more effectively. Collaboration with external partners also became smoother, since everyone could work in the same workspace without constant email back-and-forth. Overall, it solved the problem of inefficiency and gave us clearer visibility into campaign performance. Review collected by and hosted on G2.com.

I also appreciate its automation feature, knowledge base integration, and multi-channel support, which improve productivity and enhance the overall customer experience. I also like Freshdesk because it is easy to use, helps me manage customer tickets, and offers automation features that make customer support faster and more organised. What do you dislike about Freshdesk?

While Freshdesk is a powerful and user-friendly interface that makes support work efficient, there are also some disadvantages. Original Information
“Efficient and easy-to-implement automation”
What do you like best about Microsoft Power Automate?

One of the newest things I like is the growing integration with AI capabilities and Microsoft Copilot, which makes creating and optimizing workflows much easier. The expanding library of connectors allows seamless integration with Microsoft services and many third-party applications. I also appreciate the improvements in cloud flows, approval processes, and automation monitoring, which help reduce manual work and improve operational efficiency across business processes. Review collected by and hosted on G2.com.

What do you dislike about Microsoft Power Automate?

Power Automate could improve the debugging experience by providing clearer error messages and more detailed execution logs for complex workflows. Managing large flows with many conditions and actions can also become difficult, so better design tools and visualization would be helpful. Additionally, simplifying licensing, improving connector performance, and offering more advanced monitoring and governance features would make the platform even more valuable for enterprise environments. Review collected by and hosted on G2.com.

What problems is Microsoft Power Automate solving and how is that benefiting you?

Microsoft Power Automate addresses the issue of time-consuming manual operations and data integration issues across several platforms.

It automates mundane operations such as data gathering, notifications, approvals, and report preparation, reducing errors and freeing up time for more important work. It simplifies complicated business processes, increases operational efficiency, and supports multi-tenant setups by allowing seamless connectivity of Microsoft 365 apps, Azure services, and external systems. This ultimately leads to faster decision-making and more consistent implementation of corporate policies. Review collected by and hosted on G2.com.

“Great for Project Budgets”
What do you like best about Ravetree?

The project budgeting features in Ravetree are the best I've ever seen. We were in spreadsheets prior to using Ravetree and looked at other tools before moving to Ravetree. They were the only one that had the budgeting features we needed. Specifically, we needed to set budgets for each project phase and then have those roll up to the project. We also needed the ability to invoice for each of these phases—sometimes as a percentage. Ravetree allows for all of this. Very useful. Review collected by and hosted on G2.com.

What do you dislike about Ravetree?

There's nothing I dislike, but it would be nice if they had a full general ledger accounting system to handle accounts payable, etc. Review collected by and hosted on G2.com.

What problems is Ravetree solving and how is that benefiting you?

Ravetree helps us map out projects, set project budgets, allocate people to those projects, log time and expenses, and create invoices. Pretty much all of the day to day stuff at our firm. Review collected by and hosted on G2.com.
