As employee who onboard, the account creation completes after their acceptance, which slow down our internal activity to invite member to created workspace by respective team.

So we spend double efforts. Invite a user to "Welcome" workspace and wait until user accept and account is created with licence activated.

Here, in general, the services should be started in time before user joined with necessary enabled, and it should be a formal login to service via an SSO or from an integration application.

File ownership gets stuck with individuals, not the company — In many small-to-mid businesses, important documents end up buried in someone’s personal Google Drive or lost in email attachments. If that person leaves or simply forgets where something is, the company can effectively lose access. During the sales process gather the top processes and the problems they solve. Then during implementation make your on-boarding plans lead to those goals - not the process.

Signify is a useful app and has a clean, easy-to-understand interface. It works well for basic document signing, and I didn’t run into any major issues. Initially, the file upload process was slow and often took more than one attempt to upload files. Although this issue has since been resolved and is no longer the norm, it can still act up occasionally and take a long time, even with a fast and secure internet connection. This is a digital world, and most are not wanting more papers and brochures to look at, most just get tossed. I love that the digital sales room shows you when they opened, how long, and how far into the email they got. The biggest challenge for us has been understanding how XFiles manages folder structures and relationships across different Salesforce objects.

During our migration, we found that configuring and maintaining a consistent folder hierarchy across Accounts, Opportunities and custom objects required a significant amount of manual work and investigation. More documentation and best-practice guidance for these scenarios would be extremely valuable.

We would also appreciate more administration features within Salesforce, such as easier management of Lightning Page configuration, better visibility of where the XFiles component is used, and the ability to manage folders (including deleting them) directly from Salesforce when appropriate. XFilesPro allows us to centralize all our clients documentation in Google Drive while giving our users seamless access directly from Salesforce. This eliminates the need to switch between different systems and ensures that documents are always available within the context of the relevant Salesforce record.

It has significantly improved the way our teams collaborate, making it easier to find, upload and manage documents throughout the patient's journey. It also provides a structured and scalable document management solution that supports our daily operations.

Recently, we also worked with the XFilesPro team to implement a folder hierarchy that better matches our business processes. The biggest challenge for me was realizing that the system is only as good as how people use it. When documents are tagged inconsistently or someone chooses the wrong metadata, search results become less useful pretty quickly. We ran into a few situations where similar documents ended up in different classifications, and then people started wondering why they couldn’t find things easily.

For me, it mainly addressed the time wasted searching for information. Our documents were scattered across different locations, and there were plenty of situations where multiple versions of the same file existed. At times, tracking down the most up-to-date document took longer than the work I was actually trying to get done.

Once we moved more of that documentation into M-Files, it became much easier to find project files, look back at earlier revisions, and follow approval workflows without constantly switching between different systems. While Clinked is strong as a client portal, some advanced customization options and integrations are more limited compared to larger enterprise platforms. Certain workflows require manual setup, and reporting could be expanded for more detailed operational insights. Clinked helps us centralize collaboration with record labels, managers, and partners who outsource their artists and projects to our agency. We use it to securely store client details, share documents, manage events, and track tasks such as pricing analysis, campaign planning, and operational follow-ups. when many folders, shared documents, and connected storage sources are open together, sometimes it takes a little extra time to properly organize and locate everything during busy work hours. I also noticed that preview refresh and file syncing can occasionally feel slightly slower while handling larger educational documents and PDFs together. It is not a major problem for my regular work, but I notice it sometimes during heavy document management tasks. CloudFiles is helping me solve the problem of keeping work documents, educational files, and cloud storage more organized from one place. During regular work I handle many wellness documents, PDFs, diet plans, educational presentations, awareness materials, and research related files, so managing everything across different folders and storage platforms was becoming difficult sometimes.

Pretty steep learning curve, complex setup and difficult to adapt, and quite high price tag compared to other providers. System can sometimes run slowly with heavy document generation. One drawback of Digify is that it can feel somewhat limited when it comes to collaboration, it seems geared more toward control than true teamwork. It performs poorly when previewing large CAD files, with noticeable lag during loading. The auto-sorting feature often misclassifies our specialized engineering files. There’s very little to dislike, but the initial setup and structuring of the Slide Library within SharePoint can take some planning to get right. TeamSlide solves the problem of scattered, outdated, and hard-to-find presentation content across SharePoint. By centralizing everything into a well-structured Slide Library, it ensures our team always has quick access to the most up-to-date and approved slides. This has significantly reduced time spent searching for content, eliminated version confusion, and improved overall consistency in our presentations. One area where Nitro PDF could improve is its performance with very large or complex PDF files, as it can occasionally feel slow. Some advanced features also have a slight learning curve for new users. Additionally, the software could benefit from more frequent updates and enhanced cloud collaboration capabilities. DigitalDrawer is helping us eliminate paper clutter and digitize our office records efficiently. We used to waste a lot of time searching for physical files and dealing with missing paperwork. Now, everything is neatly organized and easy to retrieve. This is nit-picky, but there are some workflows in the real-world that you can't control because you're working with external parties. That means, for example, that filenames get changed or we have to use a different signature workflow. When that happens, it's a bit burdensome to get documents out of "Requests" and into the "Repository". I would love to see some automatic file-naming functionality and an improved workflow for moving contracts to the repository that haven't been signed within the platform. Summize addresses two key needs for my team - having a clearer picture of all contracts (e.g., quantities, counterparties, key terms, etc.) and enforcing consistent review and filing processes. I think iManage Work could be better if there was a lite Ask iManage version that's free or comes with the standard package. Maybe something that offers a limited pro experience to help demonstrate the product to staff.
