PairSoft helps us manage our procurement and financial situation, by automating most of the business processes 
The struggles of fragmented documents has been fully automated by PairSoft

**What do you like best about PairSoft?**

What I like most about PairSoft is their seamless integration with Raiser's Edge. A few years ago, I upgraded our office to their cloud based software and it works like a charm. I have everything I need at my fingertips when it comes to our audits and speaking with donors about their gifts. I love being able to see all my attachments on demand in just a matter of seconds.

**What do you dislike about PairSoft?**

I can't think of anything that I dislike about the software itself. But, if I do get frustrated if I can't talk to a live person, which is very rare. I think it does what it is supposed to do for the most part.

**What problems is PairSoft solving and how is that benefiting you?**

PairSoft helps me get rid of extra paper that I don't need to keep on-site.  It frees up space and I can access it on-demand when I need it most.  When the pandemic hit and everyone was working remotely, we already had this system in place.  It helps us keep the continuity of business going and the lines of communication with colleagues open so that everyone was on the same page.

**What do you like best about PairSoft?**

The customizable workflows for our NetSuite Integration is extraordinary.

**What do you dislike about PairSoft?**

The only thing that I wish that we had was a snadbox environment so that we could do proper testing if new or changed functionality. We wouldn't need the repository necessarily, just something with the new functionality so that we can do proer UAT and Regression testing.

**What problems is PairSoft solving and how is that benefiting you?**

We have a pretty compex approval process and DocuPeak does a great job of supporting that with the flexibility of the workflows.

**What do you like best about PairSoft?**

PairSoft's document management solution really very helpful in saving time spent on filing, searching and retreaving documents. PairSoft's automated invoice processing and workflows which directly integrate with Financial Edge is fabulous.

**What do you dislike about PairSoft?**

One thing I dislike in PaperSave is the inability to delete an unwanted page from the document. When I try to delete a page, the whole document disappear.

AP workflow process is fantastic.

**What do you like best about PairSoft?**

There are no positives. The best thing would be to avoid this system all together. We have tried to get assistance in fixing the issues for 4 months now, and each day is a repeat of the one before where nothing works. They may eventually solve the invoice in question, but the same problem will occur on the following invoices processed.

**What do you dislike about PairSoft?**

Lack of timely response to tickets for problems. Their team is also nonresponsive to emails/tickets, and it takes a week to get help, even on urgent issues.
This "OCR" software does not read Vendor Name, Invoice Number, Dollar Amount, Invoice Date from incoming invoice documents. 
It attempts to GL code the invoice based on history but misses the dollar amounts and does not allow users to edit the line to add it. You have to delete that line and rekey it all. There is NO efficiency gain with this software because your team will have to touch EVERY invoice at many touchpoints. 
Additionally, it does not integrate/communicate well with your ERP system. Ours continually show approved in Pairsoft, but in our ERP it shows pending. Our IT team has verified the issue is occurring in Pairsoft and not our system. We also started using the approval routing feature this year, which is a NIGHTMARE. It finds the assigned workflow when it wants to, fails frequently, and Pairsoft Techs cannot find the root cause.
Our invoices are simple, we process about 1200 invoices a month and that is too much for Pairsoft to handle.
We have been using their system for approximately 3-4 years, but we are looking for another provider as we have outgrown them.

It was supposed to solve an efficiency problem so we would not need to add headcount to manage the increase of invoices.
There has been NO benefit, it is creating more work.

DocuPeak works reasonably well and for the most part does what we need it to do.

**What do you dislike about PairSoft?**

The worst part about Pairsoft is its technical support and account management teams. They are unresponsive and routinely do not follow through. I've had urgent tickets sit in their queue for weeks without any response other than receiving the ticket.

**What problems is PairSoft solving and how is that benefiting you?**

DocuPeak/Pairsoft automates a portion of our AP process. Invoices are easily imported into the system via email while a lot of our other business softwares do not.

**What do you like best about PairSoft?**

When using PairSoft, the primary benefit for my desk has been the integration of multiple software applications that I work with. In getting these applications to properly speak to each other, PairSoft has bridged the gaps. When our team has searched for additional solutions to newfound problems, the Client Services team has been there to help us out either with training or with corrective application assistance.

**What do you dislike about PairSoft?**

The least helpful aspect of PairSoft has been a ready solution for times when we needed instant fixes that are in high demand. At times, waiting for the ticket system to complete or not having a person close by has slowed down our resolution process. The cost to supplement such a service would prohibit this for our office, but we are glad that things eventually do get resolved regardless.

**What problems is PairSoft solving and how is that benefiting you?**

PairSoft has helped us solve our integration and data migration issues between Workplace and Great Plains. This has benefitted us in that we have been able to maintain a buffer before making any decisions to utilize other software applications as our operations continue to grow.

**What do you like best about PairSoft?**

We were a customer of Paramount WorkPlace, which was acquired by PairSoft. The integration with Microsoft Dynamics is completely seamless. We were able to completely customize our routing rules and approval roles with this product.

**What do you dislike about PairSoft?**

There's not much I dislike. With every upgrade, there are usually one or two minor bugs but the technical team is always able to amend their code and get a fix very quickly. I've not experienced any bugs that suspend work, they're usually minor and can typically be expected with any major software system upgrade.

**Recommendations to others considering PairSoft:**

I would just recommend that it can integrate with your ERP system. And make sure you have someone with great attention to detail to configure the system and administer it. Once it's properly configured, maintenance is minimal, but there are times when routing rules need to be adjusted to accommodate new business logic and you need someone who understands the system to implement those changes.

**What problems is PairSoft solving and how is that benefiting you?**

They are solving our AP system. Previously we were all on paper, running around our large campus gathering signatures. Now everything is digital, approving purchase orders either through the website or simply replying to an email. The system was able to accommodate our very specific routing rules and integrates with our ERP system Microsoft Dynamics flawlessly.

The processing is robust, once set up correctly, users at all levers can grasp it.

**What do you dislike about PairSoft?**

Setting up routing rules can be challenging additionally there are so many permissions options, we often don't know how to learn or use them.

**Recommendations to others considering PairSoft:**

Heavily look and test for AP automation to ensure it works in your environment. This can save many hours in wihch you can move to value added projects within your organization. Each employee only works 40 hours per week - where do you want to spend the time - Not data entry!

**What problems is PairSoft solving and how is that benefiting you?**

We are able to solve for quick processing (vs using our ERP) and delays within our AP process.

The support process and turnaround time has never been impressive.  It has improved in the last year, however.

It solves the complicated approval process in our organization and the need to write transactions to the ERP at various stages in the procurement process.

The best part of this project is OCR. When we perform AutoEntry from PairSoft to our ERP application we don't need to fill the fields. It will be automatically populated based on Invoice OCR.

**What do you dislike about PairSoft?**

Nothing. Everything looks perfect and excellent.

**What problems is PairSoft solving and how is that benefiting you?**

Previously when we added Invoices and bills to our ERP application we must enter every field manually and it was time-consuming. After Pairsoft every process is automated and it saves our time and money. Now they introduce the Payments integration. Looking forward to more enhancements.

**What do you like best about PairSoft?**

I love using PaperSave. It's effortless to use and saves all of your documents all in one place. I mostly use the product for saving invoices. It is beneficial to go back into the program and find old invoices quickly.

**What do you dislike about PairSoft?**

The item I dislike about Papersave is printing from the program. You need to have a particular connection or extra program to be able to print your uploads directly. I have to take the extra step and save the document before publishing it. Not a huge issue, but the extra effort is annoying.

**Recommendations to others considering PairSoft:**

I would highly encourage all future customers to consider their needs before purchasing the product. If you are looking to eliminate papers everywhere, this product is lovely. If you don't mind having invoices and other documents around, I won't purchase this product. It's terrific for large businesses and corproations. If you are a minor business, keep doing what you are already doing. The cost of the product would not be worth it for you.

**What problems is PairSoft solving and how is that benefiting you?**

The major problem I am solving is getting rid of a large pile of papers. You can scan an item to upload or place saved documents into Papersave. No more huge piles of papers everywhere. Once the items are uploaded, it's there forever and doesn't disappear. I love being able to find everything easily. That is the primary benefit I can realize while using the product.

Everything looks damn good. I didn't find anything which I didn't like about the product.

**What do you like best about PairSoft?**

Travel requests and requisitions get approved and processed quickly and efficiently.  Converting travel requests to expense reports saves time.  We also like the duplication features.

**What do you dislike about PairSoft?**

The only thing I could say is that the email notifications should include reminders after a few days.  This may be a new feature in a more current version than we are using.

**What problems is PairSoft solving and how is that benefiting you?**

We have become almost completely paperless in our PO, AP and Expense reports.  Documents can be attached and referenced at any time.  This helps with the reduction of emailing contracts, invoices, etc.

Integration with Sage, user templates help limit users to certain departments and companies.  The program isn't  exactly intuitive but only requires a little training before staff become fluent with it.

Support is simply unresponsive since Workplace merged with Pairsoft.  No response to status updates and now we can't get through to a human being.   We have an integration issue that is still unresolved more than a month later.  We have a Vendor Sync problem that has been going on for a year.

**What do you like best about PairSoft?**

PaperSave overall works well for scanning documents to Raiser's Edge records and indexing them in the desired format. You can create custom fields, require specific fields, show audit trails, and use most scanners with the software as long as they have a TWAIN driver. It is easy to retrieve scanned documents as well for easy viewing, and I can add annotations and changes to documents as well.

**What do you dislike about PairSoft?**

PaperSave often has software errors and issues that sometimes impede scanning operations. Support is reasonably responsive, but it can take multiple sessions with them to resolve issues. Constant updates are being made on the software as well. In addition, we initially acquired the OCR services for Gifts Processing, and the OCR match was only around 40% if that so it is not particularly useful for our office. Several improvements are necessary for that portion of the software before being recommended to anyone.

The scanning of documents into a cloud-based program has been fantastic for our organization since it is retrievable from anywhere and easy to use.

We have been using PaperSave on a very limited bases to just scan documents for the last several years. I have recently expanded our use of PaperSave to utilize the built-in capabilities of Workflow and have expanded Workflow with the added module of Auto-Entry. It has significantly reduced the amount of photo coping and manual routing of documents throughout our organization. I have implemented the use of Auto-Entry for Accounts Payable which has reduced the duplication of data entry and has assisted with the tracking of invoices. 

**What do you dislike about PairSoft?**

Now that we have expanded the use of PaperSave into other areas of our organizations processes with the  utilizing of Workflows, the application tends to be a bit of a glitch at times with no explainable reason. The workflows do not seem to move items through the system as smooth as I would expect all the time. 

**Recommendations to others considering PairSoft:**

1) Ensure to have current paper flow processes documented 2) Vision as to how you want paper processes to flow 3) Utilize resources of existing PaperSave clients to recommendation of best practices 

**What problems is PairSoft solving and how is that benefiting you?**

Documentation retrieval is quicker, reduction in storing paper documents, electronically routing documents for approval and auto entry into financial accounting system. Reduction in duplication of data entry and saved the need to hire additional staff. Electronic tracking of documents, no longer a scavenger hunt to find who has what.

I like the system overall, it's very user-friendly and easy to figure out for a new user. I like how it incorporates with our other system that we use.

Almost every day I am having some sort of error popping up and we have to submit a ticket to get it sorted out. Some times after doing some googling, we are able to find other people who have had the same errors and are able to fix it. Its very frustrating when you get behind because then i fall far behind on my scanning and it takes days to catch up. And it takes the company awhile to to get back to us with the tickets.

Because of the other system we are using, we didn't have many alternatives when looking for a compatible system; I feel like we were promised a lot more than what we are receiving.

The system is so user-friendly when I need to find backup that I have already scanned in. I have never had a problem searching for material already stored in the system or even making notes on an item already stored.

I like the ease of attaching documents to vendor and invoice records within Blackbaud Financial Edge. This paperless system makes viewing records very easy and makes the viewing of older records even easier. I am able to pull documentation for specific invoices or vendors back as far as we have it saved. It's also easy to share this documentation with other coworkers who may need to view these items that are associated with specific files. Papersave has saved me a ton of time in not having to dig through paper files for the information I need.

**What do you dislike about PairSoft?**

It seems like the interface is not very sleek at the moment. I know there are steps being taken to create a more streamlined process but as of now, it's a little messy. Some times it is complicated trying to find exactly what buttons you need to push to make certain things work the way you want. The Papersave Auto-Entry feature needs to be fleshed out more and thoroughly explained how it works.

**Recommendations to others considering PairSoft:**

I would highly recommend Papersave to others. There are small user experience issues that I'm confident Papersave will iron out to make it easier to use.

The best part about this system is not having to worry about paper records stacking up. At my company, we scan and attach all invoice & vendor documentation into Papersave and never have to worry about not being about to find it again. We can eliminate the amount of paper filing we have to do. This product also works extremely well when we have files to just drag over via email. Papersave also gives you plenty of fields to add additional information to documents you have added.

Not needing to go to a file cabinet every time I need to review an invoice. This helps with negotiating contract renewals, as well as to remember what was involved with a purchase.

Additionally, I like the internal control strengths of the approval workflow when working with digital/remote/multi-location offices.

**What do you dislike about PairSoft?**

Uptime is really important for us. Your support is great when we need it, but I we do find ourselves needing it more often than some of our other software.

I had to complain a lot when we were implementing to get service/get it done. I was highly available but the consultant did a horrible job. He is no longer with the company. Once Ana Mendoza got on board, it was a much better experience.

**Recommendations to others considering PairSoft:**

Papersave was the best option for us because it integrated well with Blackbaud products. If you need something and use Blackbaud, Papersave is probably your best option.

**What problems is PairSoft solving and how is that benefiting you?**

Before Papersave we got all approvals via email. Sometime we sent a request for approval and if we forgot to follow up, it may never have actually gotten approved, especially for urgent items that needed payment before we could get approvals from all levels of management. Now Papersave automates that follow up with reminder emails each day that someone forgets to approve an invoice, and multiple accounting associates can see what is going on at the same time, without needing to be looped into emails. This solved a control deficiency for us. 

Additionally, we have saved office space from file cabinet storage and the cost of shredding documents. 

We save time from needing to go find documents when we need to review a previous purchase.

If you are looking for ways to make invoicing simple, Have a good security and approval around processing invoices, very few issues, fast response if there are ever issues then Papersave is the right system for you.

The integration with NXT is efficient and user-friendly - it's a much easier way to attach and check for documentation than going through database-view of RE.

I really like being able to look at transactions and have the back up right there without having to go find it.

It's my own fault but I hate that when I am looking at a document and try and attach the same document to the transaction and it fails. I wished Papersave would give you a "try again" option so that you would have time to close the worksheet and still be able to attach.

**What problems is PairSoft solving and how is that benefiting you?**

One thing that papersave has solved for us is that now during Covid we are all working remotely. With documents being attached to the transactions you do not have to be in the office with paper files. Reviewing our transactions and preparing financials is much easier because  all members of our accounting team has the information is at your finger tips and can access it from almost anywhere.
Our last financial audit was done virtually, so all documents had to be sent over electronically. Having papersave made the process easy because as documents were requested all I had to do was go the the transaction and then download the documents and upload them to into box for the auditors. This had to be one of the easiest audit I have ever done.

We are able to keep track of every invoice in the process and know exactly what step in the process they are at (before being submitted to GP). If anyone is out of office, we require minimal handover and discussion of the workload. 
The lack of paper. We can't wait to get rid of our filing cabinets 
PaperSave has a great knowledgeable, friendly and responsive Support team.

Once transactions are submitted to GP, there is still a lot of editing/manipulation that is needed. The main culprit being the inability for fx intercompany transactions (hopefully temporary)
The web version of PaperSave does not show the invoices as clear as the app (or desktop) version

The organization of the program. As the accounting manager, I can easily see where all of our invoices are. I like the clean look of the program that is easy to read and very user-friendly.

I wish the program was a little faster. When you click sometimes it takes a while for the invoice to load and start looking at.

If you need a centralized place for payables, papersave is the answer.

Items are easier to keep track of. Increased organization is the key benefit that we have realized.

**What do you like best about PairSoft?**

I love the wonderful customer support.  No question is to small or unimportant.  This group makes every effort to resolve your question/issue as quickly as possible and that is very much appreciated.  Anyone you speak with makes you feel like you have a legitimate question and they strive to resolve for you.  At no time do they make you feel like what you're inquiring about is insignificant or a bother.

**What do you dislike about PairSoft?**

It's not a dislike but more of a commentary.  My organization has been using  PaperSave products for many, many years.  In all this time the company has certainly grown and yet the level of customer support has not changed at all.  I hope this continues!!

**What problems is PairSoft solving and how is that benefiting you?**

We are getting ready to move the cloud version of PaperSave so no problems just rather many questions about the process and how we will function moving forward.

**What do you like best about PairSoft?**

PaperSave has saved the day, during the Stay-at-Home order.  Having a robotic AP system surely became useful where vendors emailed invoices, and PaperSave brought them into their WorkFlow, read the information on the invoice, clerk assigned who was to approve, and done!    Truly like how you can sort documents with many filter options allowing for quick auditing of transactions.   But the best is their online Support, with submitting a Support Case and how quick they respond back to you to resolve the issue.    Looking to create additional WorkFlows for other purposes as we've seen the light!

**What do you dislike about PairSoft?**

Probably the main dislike is the speed of images appearing on screen when selected.  It's not a major dislike, but I'm use to clicking and seeing, where this has more of a 2 second lag, but again its acceptable as all images are no longer on our server.

**Recommendations to others considering PairSoft:**

It really has some great features!  It has provided better record keeping and reduced human errors.

**What problems is PairSoft solving and how is that benefiting you?**

By using PaperSave, we have removed the human research time in tracking down AP documents in the approval process as the WorkFlow shows us exactly where it is at, with just a click.   The biggest benefit is all the human input errors that no longer occurs, as PaperSave reads the invoice, the clerk reviews it quickly and after approval sends to our AP system for voucher processing without any keystrokes.

If internet goes down you lose access, but that is the norm for all cloud based applications.

If you're looking to reduce paper this is a great product.  With Workflows and approvals and OCR and Forms it's really got everything you need to be able to help you out.

Not having to file everything in drawers.  Documents are just a  search and click away. Saving paper and closet space.

As the  ERP support, what I like the most is not needing to support it, Papersave is an easy to use application

During year end audits, it's when Papersave shines. Running a simple report in Smartlist to find documents, it is a timesaver. No more copying documents, documents are extracted and emailed to the auditors

**What do you like best about PairSoft?**

PaperSave Invoice Automation and Approval workflow has saved us hundreds of hours on manual data entry. The approval process allows our treasurer, manager, and managers approve invoices electronically keeping the timestamp and record of the transaction for auditing purposes.

Once setup, the process is simple and effective. The integration with Financial Edge NXT was a huge piece that our staff were looking for. They can retrieve, save, or print invoices, contracts, or other records immediately without needing to interrupt or bother our Finance Manager.

**What do you dislike about PairSoft?**

The setup of the Invoice Automation can be a bit complicated and time consuming at first. The good part is that once the setup is complete, you should no longer need to touch the configuration again.

**Recommendations to others considering PairSoft:**

Make sure you have both an IT and finance person involved in the entire process. Both viewpoints and  knowledge levels WILL be required in order to successfully complete the implementation.

**What problems is PairSoft solving and how is that benefiting you?**

PaperSave has saved hundreds of hours in manual data entry. Invoice entry that used to take 3 days has now been reduced to a couple hours.

PaperSave has also allowed us to make sure all invoices are approved by our board treasurer before they are released for payment. Previously, we could issue payments before the approval process had taken place or was completed. This has tightened up our internal controls drastically. A full record of the approval process is kept for auditing purposes.

PaperSave has also allowed our staff to access records that were previously not easy to get a hold of. Past invoices, contracts, or other vendor documentation was not easily accessible as it was in a locked filing cabinet. Staff are now able to retrieve these documents at their desire without having to go to our Finance Manager directly.
