Great tool to easily store and retrieve business documents.  Workflow and Unity Forms make it very easy to standup powerful applications in a short amount of time.

**What do you dislike about Hyland OnBase?**

Configuration interface is a thick client that needs to be updated.  Some configuration features are limited and should be expanded to reduce manual entry (e.g. security keywords).

**What problems is Hyland OnBase solving and how is that benefiting you?**

OnBase is an excellent document repository that allows secure access to documents from anywhere - anytime.  This changed the way our bank does business and helped especially during COVID.  Also, Workflow and Unity Forms help to streamline our business processes while providing a window into the status of an item at any time

OnBase has solved our document repository (taking us from a paper campus to a digital campus) issues. It has also cut our processing time in half for transcript processing as well as other student document processes.

**What do you like best about Hyland OnBase?**

OnBase has many useful out-of-the-box tools or features that provide a framework for solutions targeting many industries. I believe the module or tool that stands out the most is OnBase Workflow. It has many configuration options that can be leveraged to solve a business problem of any scale, whether an approval process for approving time off or a much more integrated workflow with another line of business application such as an ERP or an EHR.

**What do you dislike about Hyland OnBase?**

The downside of using OnBase is the maintenance aspect of it. It is not the easiest of applications to upgrade and requires many hours of planning, troubleshooting, and patience while working with Support. Hyland is focusing on making upgrades easier by adopting the cloud model, but the other aspect is the product's quality. Be prepared to do multiple iterations of builds/versions before landing on a solid build.

**What problems is Hyland OnBase solving and how is that benefiting you?**

OnBase is mainly used in our space as a document repository for our EMR. There are many tools to make sure the patient has a complete medical record chart, and it offers tight integration with these systems. We also use it with HR and Payroll to ensure employee documentation is updated when events happen within our HR system.

It is very helpful especially on searching and uploading of invoices. We can check easily the status of the invoices through onbase.

**What do you dislike about Hyland OnBase?**

You will put to the start again whenever your internet messes up. The app will close and you need to restart again espcially when I am uploading or importing pdf files.

It benefits me in a way that I can easily see the status of the invoices also if there is an issue with the invoice we can make a note and route to the person assigned.

The versatility. OnBase is a highly-configurable content & process management solution that can fit into nearly any enterprise ecosystem. The content management core is robust, and the array of additional tools and modules offered build on top of it in such a way that it can fit almost any business process need imaginable.

**What do you dislike about Hyland OnBase?**

With the number of modules and configurability on offer, it's possible to get lost in the technical weeds when fine-tuning the solution. Making the most of OnBase's integration capabilities requires knowledgeable software developers. This need is lessened if your organization has an investment in other solutions for its industry which OnBase has first-party integrations with.

**What problems is Hyland OnBase solving and how is that benefiting you?**

We leverage OnBase for records management and retention across multiple business units. Its document storage, classification, and retrieval capabilities supplement multiple line-of-business systems to assist with information sharing across the enterprise. We also leverage OnBase's Electronic Plan Review module to supplement our permitting and licensing solution, enabling quicker turnaround of development project reviews. OnBase's Agenda Management module allows us to live-stream, archive, and cross-reference content for our public boards and commissions.

**What do you like best about Hyland OnBase?**

OnBase is a toolbox that is built to the customer's needs.  We have added many tools through the years and have developed many business solutions that helped automate processes.  The ability for business users find documents with self-service is a MUST.  Community support is available to reach out to other customers and Hyland associates when a solution or issue is needed.

**What do you dislike about Hyland OnBase?**

Waiting for a response from support when there is a critical issue.  The support team is good but some of my solutions are unique and need specific skill sets to resolve.  There is an escalation process available that I have used before.

**What problems is Hyland OnBase solving and how is that benefiting you?**

OnBase has many applications.   SAP integration was key to the original selection of OnBase.
- AP Invoice automation and SAP integration - user access to invoices and associated documents in one repository.  Ability to access documents directly from SAP
- AR process automation by creating Unity Forms to drive requests and speed entry with accurate data.  Prior to this solutions, emails were used for requests which often contain inaccurate data
- Regulatory Documents self-service access.   Migrating documents from secured shared folders to OnBase allowed secured access and team members to view and retrieve documents without having to send a request to the Regulatory team.
- Capital Expense Requests - automated the approval workflow process and ability to view status and access to documentation
- Export Orders - management of specific export order types and required document tracking
- Vendor Master data management - new requests and updates with an approval process.  A future step will be to automate the entry into SAP at the completion of the approved request.

The content arranging, creating and managing feature is incredible of this software. The and the UI is supportive and beneficial for all kind of businesses and organisations.
Makes the users free of doing manual process for the workflow and completing projects and tasks. Everything can be done with the help of its automation feature available in this software.
The Onbase system can be easily configured and integrated with all the several other softwares like CRM platforms and marketing tools for increasing your company productivity.

When migrating or transferring big data or information from your system to another system or server. The UI of Onbase software gets clunky sometimes. And even stops responding to all the commands for few seconds. The processing speed of the software gets affected due to this, and delay is seen in completion of assignments and tasks issued to your employees.

The software has really helped us intuitively and efficiently arranging and maintaining every workflow solution in the most helpful way. After started using this software, the document and file sharing or transferring process releifed us. Everything is done automatically with the help of this software.

OnBase platform is very flexible for implementing complex Insurance solutions. It helped to implement the scanning and document ingestion needs. It also helped to implement secure document management needs. OnBase facilitated the document distribution needs.

There are no significant dislikes from a usability and functionality perspective. There are areas of improvement for administration and change management as well as change migration.

OnBase solved document ingestion problems through scanning, MFP, email, and ad-hoc upload. OnBase helped with the implementation of secure storage of document repositories. OnBase facilitated display and distribution of documents.

OnBase allows users to retrieve and review documents/reports in one convenient, easy-to-use place.  The process was very manual before OnBase implementation.

**What do you dislike about Hyland OnBase?**

We don't have any general dislikes about the OnBase product.  The support at Hyland has been lacking for the last couple of years.

**What problems is Hyland OnBase solving and how is that benefiting you?**

OnBase took a very manual process and automated it.  Documents were sent to a centralized imaging department by branches.  Sometimes these would get lost in transit.  Now documents are uploaded directly to OnBase with no turn around time for imaging.  Users are able to retrieve information more accurately and very quick now.

**What do you like best about Hyland OnBase?**

The interface is useful and expansive. The multiple panes allow the user to see everything that needs to be seen. The exporting options are effective and the PDF viewing option is really great as it allows for quick and easy printing download, etc. (At least while using Chrome as the browser - I haven't used it on any other browser.) The categorization for types of documents is also very helpful. It is easy to toggle between different documents within the same profile and this makes it easy for profiles that have a great number of documents.

**What do you dislike about Hyland OnBase?**

The interface is a little overwhelming at first, especially if previous file management systems looked different (or you're upgrading from a much older system). It relies a little too much on clicking specific items instead of labels or buttons. It also seems to have extraneoius features and outcomes, but that could be due to our purposes - this is an enterprise product but we use it only for document management of fiels that are 3 or more years old. The seperate panes in the interface are good but the navigation and visual clutter is a little too high within each pane. It also doesn't work well with dark mode or dark readers for users that have those options.

**Recommendations to others considering Hyland OnBase:**

The biggest thing is to make sure your current documents can be easily moved over, with the same labels and categorization.

**What problems is Hyland OnBase solving and how is that benefiting you?**

It allows us to easily access a great number of documents for specific student files. It is a catch-all for anyone who needs to access to these files and documents. It was especially easy to move over documents from our previous document management and storage system (Nolij). Our ITS was able to pull everything over with the same categories and labels with no issues whatsoever.

**What do you like best about Hyland OnBase?**

I work for high education. It's great to be able to be able to upload/print files within to save for better access later. Additionally, we get requests within to assist with students needs with the workflow folder. It's also easy to view and complete tasks.

**What do you dislike about Hyland OnBase?**

Sometimes, Onbase can be difficult to navigate through. For some documents, we need to add highlights or notes to. It took me awhile to find where these are located. I also don't like that some tasks within the workflow folder can only be viewed by one person. So if someone is working in it, another can't view it. Also, if u log off before you get out of a task, it locks it. So you will be unable to view it until you u lock it from the settings menu.

**What problems is Hyland OnBase solving and how is that benefiting you?**

With higher education, we are able to save a lot of documents within. This way, we can type in a students ID and see everything that we have uploaded historically to a students file. This is a huge benefit, as we don't have to have multiple applications open and just this one.

I like everything about Onbase that I have learned so far.

I am solving eligibility problems for clients by allowing them to submit proper documentation through a portal to Onbase so that their eligibility can be determined easily and quickly. There are many benefits to this.

**What do you like best about Hyland OnBase?**

This has a great way to organize issues we have and submit for adjustments to our deals. Offices are able to escalate problems through onbase but as a use on the other end I find it pretty simple to use once you're properly trained on what to do. The automatic emails when something gets completed or needs more attention is probably my favorite feature.

**What do you dislike about Hyland OnBase?**

It's a little clunky looking. I find it to be a bit outdated in appearance but it does the job it needs to and that's keeping track of our submissions.

**Recommendations to others considering Hyland OnBase:**

Make sure everyone is properly trained on how to use it so that you and everyone else is getting the most out of it

Organizing our issues and making sure they get completed. Paying agents faster and accurately.

**What do you like best about Hyland OnBase?**

When all of the algorithms are correctly implemented and upstream correctly set up, it can be very useful for generation of one person's documents or work contract. It saves a lot of time compared to manual creation.

**What do you dislike about Hyland OnBase?**

It usually takes a long time to update the aforementioned algorithms. Updating these algorithms can also be a hit or miss task, as updating one section can sometimes backfire and mess up the formatting of the document. OnBase does the most basic search and index functions well. It doesn't lag or have latency very often. The user can have multiple windows open and move them between screens for the most convenient arrangement. Entries can be indexed in a variety of ways - by control number, alphabetical order, index number, and so on. There's also the ability to add notes to the documents, which is an important function for customer service.

**What do you dislike about Hyland OnBase?**

Outside of its most basic search and index functions, Onbase is an unyielding program. If a document isn't indexed 100% by the book, it can be easily lost and not appear on searches. There is also an error that generates when a particular 'flag' is missing on the document. When this happens, it is impossible to attach a copy to an active transaction in the cash drawer, and only a supervisor can override it. Onbase is prone to freezing and crashing when there is a high volume of documents in the system.

I wouldn't recommend this as a primary system to handle documentation. It is not entirely reliable, it crashes under heavy loads, and it isn't very flexible when it comes to overall functionality.

It definitely will fit any organization as this is the ultimate solution you can alter to suit any requirements.

We use onbase for our Agenda Management and the unity client for document management.  Both are very easy to use.  Searching for items is fast with multiple ways to locate documents.   For the agenda's we have mulitiple users, training is easy, uploading items to the web is simple as clicking a button.

Every once in a while things don't upload properly, but there is a work around to get it accomplished

With OnBase, Hyland offers a wide variety of modules and capabilities allowing customers to build a made-to-order solution without having to pay for features they're never going to use. Many of OnBase's tools are highly configurable without any need for custom programming, but the ability to do so is there if you wish to devote the resources to it. The workflow & workview modules allow for the building of in-system applications and rules-based process automation to easily reduce your dependence on paper-based processes.

**What do you dislike about Hyland OnBase?**

Unlike the punctuality of their tech support and sales staff, if you are considering becoming a cloud-hosted customer, be prepared for extended wait times for service from the cloud team. Also, while Hyland's modules cover capabilities and integrations with many different platforms, native support for Google apps is very minimal. This can be circumvented if you have a knowledgeable development staff to develop custom integrations, but first-class out-of-the-box support for Google Docs instead of a dependence on Microsoft Office would be better.

**Recommendations to others considering Hyland OnBase:**

Invest in training team personnel. I'd recommend having a certified admin and one extra for every 200 or so employees. Also have 2 or 3 certified workflow or worview developers if you choose to purchase those modules.

**What problems is Hyland OnBase solving and how is that benefiting you?**

Our most recent initiative was to implement an E-Plan Review system in OnBase to replace our paper-based review system for engineering, commercial building, and zoning permit reviews.  The switch helped to shave weeks off of turnaround times and has drastically reduced paper waste & storage. Clients now receive instant notification when a review has completed on their submitted project. If changes need to be made and re-submitted, clients can make those changes and resubmit digitally without the need to pick-up old sets of paper plans and have new ones printed and dropped-off.

The server infrastructure and upgrade process. We have over 20+ servers to make our system run efficiently. Since we are an Enterprise customer, we have all modules that they offer so every module has to be upgraded individually at upgrade time and it makes it really difficult to test and move to the next version. The infrastructure setup alone requires a fully staffed team that is extremly knowledgeable around server infrastructures. Otherwise, I suggest being in the Cloud which is A LOT more expensive.

Start small and understand your goal for the solution you are trying to build. OnBase can handle anything you can dream about. Try not to overcomplicate it from the start.
