PandaDoc solves the challenge of managing document approvals and signatures efficiently. I use it to send proposals, monitor when client view them and get them signed digitally. The only downsides about Xero is that the the user interface is a little clunky, not as sleek. There also could be more tutorials or "help" features to make onboarding and getting used to the program easier. Xero takes so much of the stress of bookkeeping and accounting for sole proprietors away! Before Xero, I was up to my neck in spreadsheets and computer folders keeping track of my income, who I was paid by, what expenses I had made, etc. Now it's all automatically accumulated in my Xero dashboard, where I know that - with the press of a few "reconcile" buttons, I can easily keep my records clean. I cannot wait for tax time next year, when I'll just be able to run a few reports and input data, rather than spending hours calculating expenses and write-offs! One thing I don’t like about NetSuite is that it can feel pretty complex, especially for new users. The interface isn’t always very intuitive, so it takes a while to get comfortable and really understand how everything works.

Another drawback is the cost. For smaller businesses, it can be quite expensive—not only the subscription, but also the implementation and customization. It’s simply not always the most budget-friendly option.

I’ve also found that some customizations and reports can be tricky to set up without technical help. At times you need external support or a specialist, which can slow progress and make changes take longer than expected.

One of the biggest problems NetSuite solves for me is reporting and overall data visibility. Before, pulling reports was time-consuming, and the information I needed was often scattered across different systems or buried in spreadsheets. Because of that, it was difficult to get a clear, real-time view of how the business was performing.

With NetSuite, reporting feels much more streamlined. I can generate real-time reports whenever I need them, without having to wait on someone else or manually compile data from multiple places. Stampli addresses the problem of excessive paper use and provides a centralized location for storing all physical invoice copies. I would love to see improvements in merging vendors. It's a hassle when the vendor details don't work because of payment details or address errors, you have to create a new vendor for that transaction instead of changing it within the existing vendor. I use BILL AP/AR for managing vendor payments and tracking receivables. It consolidates vendor payments into one platform, saving me from entering transactions separately. Anchor is solving the problem of messy, time-consuming billing and payment collection by making the entire process simple and streamlined — for both me and my clients. It keeps everything organized in one place, makes it easy for clients to view and pay, and reduces back-and-forth or confusion. For me, that means I’m spending less time chasing payments or managing invoicing details and more time focusing on my actual client work. Not necessarily a dislike, but it would be a nice-to-have to be able to implement more of our brand guidelines in Qwilr. For example, we shouldn’t use rounded-corner boxes and would prefer straight-cut corners. Like I said, this isn’t the end of the world, but it would look better for us. Only a few minor issues: the tokens stop working every now and then, but it’s usually solved by deleting the integration in HubSpot and then re-integrating it. Another issue is that one of our team members is unable to use Qwilr at all. We do have the work instructions to follow to fix this, but the sales manager has been too busy to find the time to sort it out.

While the core accounting features are robust, I would like to see more advanced automation features for expense categorisation using AI. Additionally, for a tech-heavy firm like ours, deeper native integrations with project management tools like Jira or Trello would provide a more unified view of project profitability versus resource allocation. Before Refrens, we struggled with fragmented billing processes and delayed payments due to manual follow-ups. Refrens solved this by providing a unified dashboard for lead management, professional invoicing, and automated payment reminders. The benefit has been twofold: we’ve seen a significant reduction in our Days Sales Outstanding (DSO), and our administrative overhead has decreased, allowing our developers to focus on delivery rather than paperwork. Subskribe has a strong engine but is still early on some UI quality of life automations and nice to haves. Things like being able to multi-select and alter records or being able to upload external singed paper in place of docusign just aren't there yet. Before Inventive, a big part of our work was maintaining and searching through a knowledge base, which was time-consuming and still inconsistent. Now, we don’t really worry about that anymore. The AI figures out the best answer and generates it instantly.

The calendar is buggy and it doesn't offer me the option of seeing all the calendars of the whole office at the same time. I coordinate the schedule and I need to see everyone's availability. They were fine for a number of years but things dramatically changed this year. With one day notice they changed their processing timelines from 1 day to 3 days. They then had a series of errors that extended the 3 day fund hold to 6 days. They have done a terrible job of communicating, have been combative, and have turned into an awful partner. They are also, with no notice, instituting burdensome rules that I have not seen from other processors and offering no justification for those rules. My guess is that they had a major fraud incident. There can be a bit of a learning curve upfront (especially for personnel who don't use the tool on a daily basis) when setting up and organizing content to get the most value out of the platform. That said, their support team is world class and is very "responsive" and helpful - they do a great job of quickly addressing questions and helping you optimize how you use the tool. Before Response, every part of the proposal process was manual. Now, Responsive helps automate and streamline the response process, making it much easier to manage large volumes with lots of disparate requirements. By centralizing reusable content and enabling quick search and retrieval, it allows our team to respond more efficiently without sacrificing quality.
