What do you like best about Responsive, formerly RFPIO?

I use Responsive primarily as our content library repository. Adding new content feels straightforward and low effort, which encourages frequent updates. The interface supports fast retrieval of information using keywords, tags, and projects, which improves day to day efficiency.

The Smart Search feature stands out. Search results return relevant and contextual answers quickly, which suggests strong AI driven understanding of intent and content relationships. This reduces time spent manually browsing the library.

Responsive also includes the Ask feature, which supports AI assisted drafting. Ask generates responses grounded in our existing knowledge base, which accelerates first drafts and improves consistency across answers.

For complex RFPs, Responsive supports full project organization and management. You assign questions and tasks easily, track progress, and reuse prior answers through automatic question matching and prepopulation. Responsive licenses work on a named user basis. Anyone who logs in to review answers, comment, edit, or approve content requires a paid seat. There is no free reviewer only access. What do you like best about Responsive, formerly RFPIO?

The new UI (compared to when I started) is definitely cleaner and looks modern. There are a few AI features like the Smart Search, which really works well if your data (your responses to questions) are good. I also like the feature to rephrase my manual answer. It's tricky since I'm used to the UI now so much. I think the biggest improvement could be achieved in the import of RFP questionnaires. I know, they are all different and therefore it's not easy, but maybe some kind of a 'Have you missed this?', 'How about using that?' kind of control would be helpful. What do you like best about Responsive, formerly RFPIO?

I am a long-term and early adopter of Responsive's strategic response management software. What I like best is how much easier it is for us to manage our reliable content, answer complex RFPs, and regularly reuse that content so it doesn't get lost. I use it almost every day, and we couldn't manage our extensive projects without it. When I need assistance, their customer support is fantastic, treating our problems like their problems. What do you like best about Responsive, formerly RFPIO?

One of the newer aspects I appreciate about Responsive is the increasing use of AI to assist with response generation and knowledge discovery. The ability to surface the most relevant past responses quickly has noticeably reduced the time our sales engineering and proposal teams spend searching through large answer libraries.

I also like the improvements in collaboration workflows, particularly how multiple stakeholders across product, security, legal, and sales can contribute to responses in a structured way. For organizations like Treasure Data that frequently handle detailed RFPs and security questionnaires, these enhancements make the process more scalable and help maintain consistency in responses across teams. One area where Responsive could improve is in knowledge base governance and response lifecycle management. As answer libraries grow over time, keeping responses current and avoiding duplication becomes challenging. Stronger automated mechanisms to detect outdated responses, recommend consolidation, or flag inconsistencies would make large knowledge bases easier to maintain.

Another opportunity is deeper integrations with CRM and data platforms so proposal teams can more easily pull contextual information—such as customer-specific configurations, product capabilities, or compliance details—directly into responses. What do you like best about Responsive, formerly RFPIO?

I like that I can import questionnaires from different systems and export them back in the same format, making it easy to share with the client. I also appreciate being able to tag other users and comment and discuss topics alongside the questions so everyone can see the discussion that's going on. Because we've been using it for a long time, a lot of our library is not up to date. So when Responsive is trying to predict or provide answers for us based on the questions, there are so many choices, and none of them are quite right. We need a way that we can work through and clean up our library, but it seems to be quite an onerous task to do so. It's probably a fault on our end, and I'm not really quite sure how we could have done that better. So it's a mix of user error and a system issue for improvement of keeping the library up to date. I use Responsive as a content library and RFP response management tool, which allows me to centralize RFx answers in one searchable repository, saving significant time when responding to multiple proposals. The AI-assisted suggestions simplify my RFP response process by helping me identify the responses, ultimately saving me a lot of time and increasing my productivity. I like how I can assign sections to different team members, enabling us to collaborate directly within the tool and track progress effectively. Overall, Responsive meets my expectations perfectly. Additionally, I found the initial setup of the tool extremely easy, as I would rate it a 1 for most ease, and I am likely to recommend it to others with a score of 10. What do you like best about Responsive, formerly RFPIO?

I find the AI feature to be the best part of Responsive, formerly RFPIO. It can create answers just using the Q&A pairs in the database, so I don't even have to have an answer to a question; it can create it for me. The initial setup was very simple. We had help from a representative, and all we did was upload our Q&A from a Microsoft Word document, tag it, add owners, and we were done. Review collected by and hosted on G2.com.

I love that everything's in one place with Responsive. It's easy for our SMEs to get in there and answer questions and reassign to somebody else in their team. Probably the content library and the recommendations are features that I value the most. We also tested the AI feature, and it looks like it will help us in the future. We would like to be able to separate our products a little bit better, especially when it comes to the AI feature. It did pull from all of our products, which are not the same and do not run the same. So that part was hard. Being able to filter out the AI as well would be amazing. I appreciate how Responsive has been a huge productivity booster, especially when dealing with complex RFPs. The auto-detection of questions, sections, and answer rows is excellent, significantly reducing manual effort and making navigation of lengthy documents much easier. I like that it helps ensure nothing is missed, which is critical for maintaining accuracy with high RFP volumes. The solution brings structure and transparency to RFP management, turning what could be a fragmented process into a more coordinated one. I also really like its speed in generating answers and allowing me to have full control over reviewing and editing responses. The MS Word-like editing experience is a bonus, making it easy to maintain my workflow while delivering high-quality responses. I find the built-in reminders and the ability to track multiple RFPs simultaneously very helpful, which aids in meeting deadlines and improving coordination across teams. Additionally, the powerful editing tools and seamless collaboration feature when creating new projects are great, making it well-suited for teams working at scale. Setup was also flawless and fast. One area that could be improved is answer relevance—at times, the generated responses aren’t fully aligned with the question and need additional refinement. The help section could also benefit from better prompts or guidance to generate more accurate answers. Additionally, when the system doesn’t have sufficient information, it tends to state that directly rather than offering a partial draft or suggested structure, which would be more helpful. The best thing about Responsive is that it has made answering RFPs, RFQs so easy and efficient. Additionally, the AI feature which has been recently introduced is a game changer for sure.
