The biggest thing is just keeping everyone on the same page. Before having a proper tool like Jira, it's that classic mess of stuff falling through the cracks — someone thinks a ticket is done, someone else thinks it hasn't been started, and nobody really knows what the priority is. While Lucid is an excellent tool, there are a few key areas that need improvement. First, the lack of a fully functional offline mode is a significant bottleneck. Because it is heavily web-dependent, working through sudden Wi-Fi drops—which happens often during crowded campus hackathons or late-night team sprints—completely stalls our progress.

Second, the mobile app experience feels very restricted compared to the desktop version. In time-sensitive situations, being able to quickly review a database schema or make minor tweaks to an architecture diagram directly from a phone would be incredibly convenient, but the current mobile features don't quite support that level of editing.

Finally, the free tier limits are quite restrictive for student developers and small teams. When you are trying to map out extensive system designs or complex machine learning pipelines, you hit the object or document limits very quickly. I use Lucid Visual Collaboration Suite to map out application architecture quickly, enabling real-time team coordination, rapid decision-making, and error detection. Sometimes I had difficulties with the way information is presented when a page is connected to a table, or when you open a section and there’s a table with different items inside it. I know I’m missing something and that there’s a reason behind it, but I’ve been using it for several years and still haven’t figured it out.

I also had some complications when trying to find the right page. When you have a lot of pages and a very complex structure, it’s really hard to locate certain things.

Besides that, I exported a lot of files in .md format, and since we had different departments, I had to do it in several bundles. It definitely solves the problem of building a knowledge base around departments and internal processes in any company. Personally, I’d prefer to use a tool like this locally, but when you need to collaborate with other people—editing different pages, sharing information, and working with documents—I think it’s one of the best tools for the job. I’m not a big fan of the “bring everyone to me” feature. I really wish there were a “follow me” option instead. The AI also hasn’t been as helpful as I’d hoped, although that could be user error on my end. Aside from that, everything else has been great. Review collected by and hosted on G2.com.

At first, Smartsheet can be pretty confusing to use because the platform isn’t always very intuitive for new users. Someone from my team actually had to walk me through how to use it in the beginning, but once you learn the basics it becomes much easier to manage projects and keep everything organized. Smartsheet is helping my company improve time management for billable projects by allowing us to track how much time is being spent on different tasks and activities. Reporting and analytics are quite basic relative to the focused business intelligence tools, and you can hardly derive in-depth insights directly on your data. Airtable has addressed the issue of working with interconnected data which had been distributed across spreadsheets, emails and documents. This has enhanced accuracy in data and visibility of teams and we have been able to make decisions faster and more informed without having to waste time searching information in various sources. actiTIME gives us a reliable way to track effort across the product development lifecycle. It helps identify where bottlenecks occur, whether estimates are realistic, and how workload is distributed across the team. During the sales process gather the top processes and the problems they solve. Then during implementation make your on-boarding plans lead to those goals - not the process.

Removing the need to be in the same physical place; teleworking for sales staff is now a possibility.

Before using Morningmate, our marketing projects often suffered from scattered communication and missed deadlines across different tools. At the moment the only way to see a signature on the PDF record is to embed the flow record which also includes more information than we need. If I had to pick something, it would be that there are still areas where deeper customization (especially around branding, layouts, or UI tweaks) could go further.

Unlike most tools where limitations feel “baked in,” Agency Handy is clearly being actively developed, and many of the things you might initially want are either already being improved or on the roadmap.

Our nonprofit's communications committee uses this to manage social campaigns, newsletter production, design tasks, and email marketing. We tried Trello but switched to Freedcamp — it felt like a better fit. Before this we relied on email threads and Google Docs, which made it hard to stay organized. It feels a bit limited once work gets bigger. For small diagrams it’s perfect, but for larger planning or brainstorming sessions, the canvas feels restrictive.

It’s more of a diagram tool than a full collaboration space. When discussions go beyond flows into planning, tracking, or workshops, we had to use other tools.

Template options are also fewer compared to some other platforms, so sometimes we had to build layouts from scratch.

It helps turn discussions into visuals quickly. When we talk about processes or system flows, people often understand differently. Drawing it out in Whimsical clears things up fast.

What I dislike about Celoxis is that its extensive feature set can feel overwhelming during the initial setup. Since the platform includes deep customization and advanced project controls, new users may need extra time to get comfortable with the workflows, reporting options, and configuration settings before everything feels clear and fully usable.
