**What do you like best about Instantly?**

The migration support is what truly sold me. I moved over with a stack of domains and mailboxes from another setup, and the team walked me through reconnecting everything cleanly without me having to babysit the process. That alone saved me a weekend of work.

On a day-to-day basis, the warmup network is what I lean on most. I run cold outbound at volume, so I’m constantly cycling in new domains, and the warmup paired with the unified inbox makes it genuinely manageable to operate dozens of mailboxes from one place. Campaign setup is quick, the sequence builder feels clean and straightforward, and the analytics show me what I need without burying the important stuff. Being able to manage mailboxes, sequences, and replies in one tool—rather than stitching three different tools together—is the real unlock for me.

**What do you dislike about Instantly?**

A few API endpoints behave differently than the docs imply, so the first time I wrote a script around them I got tripped up. Once you learn the quirks it’s manageable, but a more complete, detailed API reference would really help. I’d also love the option to activate newly created campaigns via the API, instead of having to switch them on manually in the dashboard.

One other small thing: warmup status and account health information could be surfaced more clearly in the UI. Right now I end up cross-checking a few different views just to get the full picture for a mailbox.

**What problems is Instantly solving and how is that benefiting you?**

Before Instantly, I was stitching together a few different tools for mailboxes, sequences, and replies. That meant constant context switching, plus a lot of small details slipping through the cracks. Having everything in one place lets me spend my time actually running campaigns and talking to prospects, instead of doing platform admin. For an operation my size, that’s the difference between scaling and staying stuck.

**What do you like best about Instantly?**

In my work, I sometimes coordinate with suppliers and external stakeholders for follow-ups related to project updates and document clarifications. What I like most about Instantly is that it made managing repeated follow-ups much more organized compared to manually tracking multiple email conversations.

For example, during one supplier coordination activity, I used scheduling and sequencing features to manage pending follow-ups and track replies more efficiently instead of repeatedly checking separate mail threads manually.
From a practical perspective, it reduced the manual effort involved in tracking repeated follow-ups through separate email chains and spreadsheets. By organizing outreach and communication workflows in one place, it helped save time during supplier coordination and external communication activities, which improved overall workflow efficiency.

The platform handled multiple outreach and follow-up activities smoothly during regular coordination work. Features like sequencing, reply tracking, and scheduling worked reliably for managing supplier and external communication workflows, although deeper deliverability visibility could still improve during larger outreach activities.

The interface also felt simple to use, and setting up outreach workflows did not require much learning effort. Features like reply tracking and AI-assisted messaging suggestions helped improve communication consistency during external coordination activities.

**What do you dislike about Instantly?**

One challenge I noticed is that when emails face deliverability issues, it is not always easy to identify the exact reason or understand domain health clearly.
I also felt that reporting and filtering could provide deeper visibility for analyzing larger communication activities more effectively.

Another limitation is that some integrations and automation workflows may require additional setup effort to work smoothly with external tools.

**What problems is Instantly solving and how is that benefiting you?**

Before using Instantly, supplier follow-ups and external communication activities were handled manually through Outlook conversations, reminders, and spreadsheets. During busy project phases, this often caused missed follow-ups, delayed responses, and difficulty tracking ongoing discussions across multiple vendors.

Instantly solved this by centralizing outreach tracking, scheduling, automated follow-ups, and reply monitoring within one platform. For example, during one supplier clarification activity related to pending engineering documents, I could manage multiple external discussions together and track responses more systematically instead of manually checking individual mail chains repeatedly.

From a practical perspective, it reduced the manual effort involved in tracking repeated follow-ups through separate email chains and spreadsheets. By organizing outreach and communication workflows in one place, it helped save time during supplier coordination and external communication activities, which improved overall workflow efficiency.

This reduced manual coordination effort, improved follow-up consistency, and helped avoid delays in project communication activities. From a workflow perspective, it saved time during vendor coordination and improved visibility into ongoing external discussions.

**What do you like best about Instantly?**

Instantly has a overall clean UI compared to it's competitors which is quite easy to understand and get across fast even for folks starting their cold email journey, The other added benefit of using it is it's google workspace and hubspot integration which fits well with my overall workflow of sourcing leads from apollo then using clay in enrichment while syncing with hubspot. It acts as a management layer. Performance wise instantly is considerably good and if used properly it helps manage warmups, sending limits and campaign performance well. The other benefit is it's ability to connect multiple inboxes which is more cost effective than other tools i've used which usually cost per seat. Instantly's docs are good enough for onboarding and the support is quite responsive. The AI intelligence features given through its copilot are good in automation and getting an overall picture of the campaigns.

**What do you dislike about Instantly?**

Instantly has an issue with deliverability uncertainty, even with warmups, inbox rotation & sending limit there are still a lot of trial and error loops I have to jump through, so some times campaigns look good inside instantly but the replies suddenly drop due to emails landing in spam. 

I also have an issue with advanced support, where even tho the product itself is fine and easy to understand but for more nuanced queries with DNS setup etc. I had to jump a lot of hoops to get everything set right, The AI setup they've been pushing is also based on lighter AI models which lack the nuance of advanced thinking with the more sophisticated models which reflects on the kind of responses it some times generate for things like cold emails etc.

**What problems is Instantly solving and how is that benefiting you?**

Instantly solves the problem of collating all the different sources our team uses for outreaches where instead of having to deal with separate inboxes , sheets and manual follow ups, It brings everything into a single platform which makes the overall monitoring and operations aspect of it easy. 

Also reply management which happens via unibox helps in faster reviews and helps save on loosing potential opportunities due to distributed setup for our team.

Instantly is genuinely easy to pick up and get started with — the learning curve is minimal, which means you can hit the ground running without spending hours figuring things out. One feature that really stands out is the ability to buy domains directly within the platform. It makes setting up new inboxes much more streamlined and keeps everything in one place.

**What do you dislike about Instantly?**

The one friction point I ran into was with the memory/business info section. I filled out my business details there, but when using the AI to create a campaign, it didn't seem to pull from that information automatically — I had to re-enter things manually. It's possible I was missing something, but a more seamless connection between the memory section and the AI campaign builder would be a nice improvement.

Running cold email campaigns manually is time-consuming and difficult to scale. Instantly solves this by automating the process, freeing up time to focus on other areas of the business.

**What do you like best about Instantly?**

I love Instantly AI for their fantastic dashboard design and awesome outreach service. I absolutely love their customer support; it's the best I've ever experienced. Their software is very easy to use and totally worth the money. The initial setup was very easy, and we can now launch so many emails in just a matter of minutes. Instantly ai automated warm-up pool keeps my sender reputation healthy without any manual effort. The campaign analytics dashboard helped me pinpoint winning subject lines fast. Unexpectedly, the bounce detection feature alone saved my domain from being blacklisted — something I hadn't even considered when signing up

**What do you dislike about Instantly?**

nothing, the software is perfect. The software is very perfect.

**What problems is Instantly solving and how is that benefiting you?**

I use Instantly for mail outreach, generating leads quickly, and ensuring emails go directly to inboxes. It frees up a lot of time, as sending mails manually was time-consuming.

**What do you like best about Instantly?**

Warmup actually works. Connected two domains, let them run, and deliverability held once campaigns went live. The UI is clean. Sequences, scheduling, account limits are all where you'd expect them without digging around. For a small operation doing targeted outbound, the core product does its job.

**What do you dislike about Instantly?**

Its not much to dislike though, but, Campaign Slow Ramp is on by default and throttled my sends to about a third of what I configured. Took real troubleshooting to find it. The campaign limits and account limits also reset on different clocks, which is not explained anywhere obvious. Logic is fine once you get it, but the onboarding assumes you will just figure it out.

**What problems is Instantly solving and how is that benefiting you?**

I run outbound for a boutique audiobook production company, and this tool instantly handles multi-account sending and warmup without requiring any technical setup. It keeps deliverability steady and sequences well organized, which lets me focus on the actual copy and targeting instead of worrying about the infrastructure.

**What do you like best about Instantly?**

What I like most about Instantly is its smart campaign orchestration and planning. It helps structure outreach in a way that feels organized and efficient, so I do not have to constantly think through every detail manually. It saves mental energy, keeps the workflow clear, and makes campaign execution much easier.

**What do you dislike about Instantly?**

What I dislike most is that domains purchased through Instantly do not feel fully under my control, while connecting domains I buy elsewhere seems more complicated than simply buying them inside the platform. I also find mailbox performance too unpredictable. Sometimes accounts seem properly warmed up and set up according to the instructions, but later something still goes wrong without a clear explanation. When managing a large number of mailboxes, I need the system to be reliable and predictable, because I do not have time to constantly investigate technical details. There have also been cases where mailboxes had to be replaced, which makes planning harder and creates uncertainty.

**What problems is Instantly solving and how is that benefiting you?**

Instantly is helping us make outbound email marketing a solid part of our sales process. It allows us to run outreach more systematically across different projects instead of handling everything in a fragmented way. The platform is not perfect, but compared to other solutions, it has been the most convenient and useful for our team.

The ease with which to set up campaigns, upload candidates and get domains claimed and starting to warm up.

**What do you dislike about Instantly?**

They're not clear at all about how long it takes to warm up the domains - nor which package you need to be able to actually respond from the inbox (if you get a domain from them) when leads respond to you.  That was a whole different story that I had to learn the hardway.  They made it right in the end, but it shouldn't be that difficult.

**What problems is Instantly solving and how is that benefiting you?**

They helped me figure out that I had signed up for the CRM (because their software funneled me there and didn't give me another option) only for the receipt to come and realize I had paid for another year of a service I didn't need nor want.

relatively easy to use.  that's about it.

**What do you dislike about Instantly?**

I am almost two months in and have experienced no results from the product.  I have reached out to see if I could get some support on boosting results.  There is no one in this company that is willing to help customers.  You have access to an AI bot and a weekly webinar.  That's it.  

Also, I was not impressed by the pre-sales process.  My rep did a quick demo and sent a few emails back and forth.  Right before I was ready to make a decision I asked the rep to setup a call to address some questions I had before making the purchase.  He told me he could not make time for the call and that his focus was prioritizing new leads.  Prioritizing new leads over end of the funnel sales opportunities?!  Make it make sense.  What a slap in the face. I am spending close to $400 a month with this company for no results and zero customer service.  Not $10.

**What do you like best about Instantly?**

The pre-warmed mailbox pool is the biggest unlock. We run cold campaigns for multiple clients and the ability to spin up warmed mailbox inventory in minutes, versus setting up domains, DKIM, and 2-week warmups ourselves, saves weeks per client launch. The warmup engine itself works well and the API is solid enough that we automate most of our campaign builds, lead uploads, and reply handling programmatically through it instead of clicking in the UI.

**What do you dislike about Instantly?**

The mailbox reconnection flow when OAuth tokens lapse could be smoother. If a Zapmail-managed mailbox subscription has a billing hiccup, the mailboxes go into errored status with no clear in-app guidance on the right recovery path. First reaction is to try CSV bulk re-import, which fails on the IMAP test because Google requires App Passwords, not login passwords. Took a couple support tickets to learn the actual fix is over on the Zapmail side via re-export. A simple inline message like 'reconnect via Zapmail' on errored Gen-2 mailboxes would save first-time users a lot of digging. Beyond that, a few API quirks (DELETE rejecting Content-Type header, /activate requiring an empty body) took some trial and error.

**What problems is Instantly solving and how is that benefiting you?**

We run cold outreach campaigns for multiple agency clients. Before Instantly, every new client launch required buying domains, setting up DKIM and SPF, provisioning mailboxes, and waiting 2 weeks of manual warmup before we could even start sending. That meant 3 to 4 weeks of dead time per new client. With Instantly, we spin up pre-warmed mailbox inventory in minutes, build the campaign sequence, and start sending the same week. We run 5+ active client campaigns concurrently now, which would have been operationally impossible before. The unified Unibox for replies plus the API for programmatic lead and campaign management means our team can manage roughly 4x the campaign volume per operator compared to our pre-Instantly setup.
