For small teams or solo users, the interface can feel more complex than necessary. What do you like best about ClickUp?

What’s most helpful about ClickUp is that it truly runs our entire agency. We use ClickUp all day long, for task management, Super Agents, internal team communication, content calendars, documentation, campaign tracking, and so much more. It’s not just a project management tool for us, it’s our operating system.

The Super Agents are a huge upside. Because our entire workflow lives inside ClickUp, the agents can support almost anything we need. They help us move faster, think clearer, and execute more efficiently without bouncing between tools.

Ease of implementation is another major win. It’s incredibly easy to set up and onboard both team members and clients. We build out content calendars inside ClickUp and invite even our least tech savvy clients in as guests to review and leave notes. They consistently tell us how intuitive and easy it is to use, which makes collaboration seamless.

One of the biggest upsides is consolidation. ClickUp replaced multiple tools in our stack, which reduced costs and eliminated the chaos of information living in different platforms. No more digging through emails, Slack threads, or scattered documents. Everything is centralized and visible.

What do you dislike about ClickUp?

One downside is that I wish the AI functionality (excluding the Super Agents - those are amazing) had stronger memory and training capabilities. Right now, it’s incredibly helpful in the moment, but it doesn’t retain long term context about our brand voice, processes, or recurring workflows the way a fully trainable AI model can.

If ClickUp’s AI could be trained on our internal documentation and retain memory across projects and time, it would become even more powerful. That would allow us to centralize not just project management, but also strategic thinking and content support, eliminating the need for additional AI tools.

What problems is ClickUp solving and how is that benefiting you?

ClickUp solves the chaos that naturally happens when you’re managing multiple clients, projects, deadlines, and assets at once. Before consolidating everything into one platform, tasks would live in emails, Slack threads, notes, or someone’s memory. That’s where things get dropped. ClickUp eliminates that risk.

We don’t lose tasks. We don’t lose assets. We don’t lose visibility.

Everything has a home, an owner, a due date, and a clear status. That alone has been a massive time saver. Instead of asking, “Where is that file?” or “Who’s handling this?” we can see it instantly.

It also streamlines our entire workflow. From onboarding to content production to approvals to publishing, the process is structured and repeatable. That consistency reduces decision fatigue and speeds up execution.

The benefit for us is efficiency and peace of mind. We spend less time organizing and more time strategizing. Less scrambling, more scaling.

What do you like best about Notion?

I like how Notion provides a fairly visual roadmap of what's going on, which really helps in tracking project progress without having to deal with all the information at once. It's also great that I can switch from an overview page directly to a specific page and immediately start working. This feature is especially helpful when I'm juggling multiple projects and need to view more than 5-6 projects in a single view, which is quite beneficial during Zoom calls when sharing my screen. What do you dislike about Notion?

It's been a learning curve to add new drop downs on a page. It's also annoying that things filter by alphabetical order by default. There are some times when I am planning "April 2025, May... June... July... August" and the page automatically filters to "April, August, May..." It would be nice to have a button that lets you decide HOW you want something sorted. When the side panel opens to create a new page, I wish I had the option to add a new property rather than just adding it to the old one. The setup was pretty difficult. What do you like best about Smartsheet?

I work as a Dietician & Nutritionist, manage a homeopathy clinic, and also create health education content, so I have many small tasks to track every day. I use Smartsheet to manage patient follow ups, printing diet charts, appointment confirmations, and content planning. I don’t come from a technical background, but I could start using it without any help. The layout feels familiar, like a simple table, so adding tasks and dates is easy for me.

It was easy to set up my sheet for weekly clinic work and content planning. I just created columns for task, status, priority, and due date and started adding my daily work. I didn’t need any special setup or training to begin.

I open Smartsheet almost every day to check what is pending and what is already done. It helps me plan my clinic day and also manage content work for the week, so I don’t forget follow ups and small tasks.

The features I use most are status, priority, due dates, comments, and attachments. Attaching files like diet charts and notes to tasks is helpful because everything stays with the task and I don’t have to search for files later.

I also find it easy to connect this with how I already work. I track expenses in another app and then note related review tasks in Smartsheet. It fits well into my routine and doesn’t feel complicated to use. Review collected by and hosted on G2.com.

What do you dislike about Smartsheet?

One thing I notice is that Smartsheet works best on a bigger screen. On smaller screens, I prefer to note things down and update later from my laptop. What problems is Smartsheet solving and how is that benefiting you?

Earlier, I used to handle clinic tasks and content work in a very loose way. Some days I focused only on patients and forgot content deadlines, and some days it was the opposite. There was no clear picture of what was pending and what I had already finished.

With Smartsheet, I now keep a simple running list of my work. When I complete something, I mark it and move on to the next task. This helps me stay consistent instead of working in bursts and then catching up later. Over time, this has made my work feel more controlled and less rushed, especially on busy clinic days. I really appreciate the ability to run PowerShell scripts on the assets with Syncro. This feature allows us to install our software and manage it effectively, keeping everything up to date. It also enables us to restart services on demand and collect valuable information and metrics about our software's performance on the machines. Syncro's PowerShell capability has opened up a lot of management automation avenues for us. Additionally, we chose Syncro over other products because of its simplicity, features, and cost. What do you dislike about Syncro?

The only real challenge we have is backing up data off-site. We recently wanted to ensure that we had backups of all the scripts and all the files associated with those scripts. And all the configuration of those scripts. We ended up creating a web scraper to do that. But if we had an API call, that would have been much more efficient. It's also very easy to use and understand. Being a 100% cloud-based system is a great benefit, especially since we have people working across the globe and it allows us to see data in real-time without waiting for transactions to process. Sometimes, if there's a feature that doesn't work with NetSuite, it can take ages for them to address it with an enhancement because not a lot of customers may want it. As a daily user for the past 4.5 years, what I like most about Unanet is how user-friendly it is, both in day-to-day use and in its overall UI. The system is easy to navigate, and it includes enough features to feel like a meaningful upgrade for small and mid-size contractors. It’s a solid option for teams that want to move up to better software without taking on the significant cost that can come with some alternatives. Some of the standard reports in the system feel lackluster, and I find it difficult to get meaningful data out of the Planning tool without having to massage the data first. - A lot of the material in the Learning Hub and help documentation is outdated. Trying to follow the steps is often guesswork as they no longer relate to the current system

- it seems that sharing ideas to the Idea Portal is of no use. There are many great ideas that seem to be simple fixes but have been sitting there for literal years.

- known defects within the system take a long time to be resolved

What problems is Autotask solving and how is that benefiting you?

As an IT engineer in a busy MSP, Autotask has pretty much become one of the tools I rely on every day. It pulls together ticketing, time tracking, asset management and projects into one place, which definitely helps keep things organised when workloads get messy.

What Autotask Does Well

Ticketing that actually works

Easy enough to manage loads of tickets. Categories, quick notes, and automation make it simpler to prioritise and stay on top of things.

Great integrations

Works smoothly with Datto RMM, backup tools and other monitoring systems, so everything lands in one central spot. Cuts out a lot of duplication.

Decent reporting

The dashboards and reports are detailed and customisable, which helps when tracking SLAs or spotting recurring issues.

Solid project and asset tracking

Projects are easier to follow with milestones and dependencies, and asset info is stored neatly, which saves time when troubleshooting.

Where It Falls Short

UI feels outdated

It works, but it looks a bit old and can be overwhelming for new engineers.

Mobile app is lacking

Fine for quick ticket updates, but not great for anything more involved.

Automation is powerful but tricky

What do you like best about Ravetree?

The project budgeting features in Ravetree are the best I've ever seen. We were in spreadsheets prior to using Ravetree and looked at other tools before moving to Ravetree. They were the only one that had the budgeting features we needed. Specifically, we needed to set budgets for each project phase and then have those roll up to the project. We also needed the ability to invoice for each of these phases—sometimes as a percentage. Ravetree allows for all of this. Very useful. Review collected by and hosted on G2.com.

What do you dislike about Ravetree?

There's nothing I dislike, but it would be nice if they had a full general ledger accounting system to handle accounts payable, etc. Review collected by and hosted on G2.com.
