“Zapier has changed a lot recently!”
What do you like best about Zapier?

I didn’t have to spend weeks designing complicated workflows. My first Zap took less than fifteen minutes to set up, and from that moment it started eliminating manual tasks we were doing every day. We had several processes that weren’t particularly difficult, just repetitive. With Zapier, we connected everything and the whole workflow became automatic. Processes that required multiple human actions now happen in seconds, and more importantly, the interface is user-friendly. The Trigger → Action logic is so straightforward that even people without a technical background can pick it up quickly. What surprised me even more is how much the platform has evolved over the years. What started as a simple automation tool now includes Tables, Interfaces, Canvas, Chatbots, AI Agents, and Copilot. What do you dislike about Zapier?

Zapier feels like a bargain because you're only automating a few things here and there. Then a couple of months go by, you check your usage, and suddenly you realize your automations have been working a lot harder than you thought. I still remember looking at my task count one month and thinking, "Wait... did all of these really run?" The good news is that it usually means the automations are doing their job. What problems is Zapier solving and how is that benefiting you?

Every time we closed a sale, someone had to update the CRM, create a project folder, notify the responsible team, generate an initial task, and log everything in a tracking spreadsheet. None of those actions took much time on their own, but together they added up to several hours every week. Even worse, mistakes happened all the time because there was always some step that somebody forgot. We decided to automate that entire workflow with Zapier, and the change was immediate. Now, when an opportunity moves to "won," everything happens automatically within seconds. Records are created, tasks are assigned, the right people are notified, and information stays synchronized across platforms. There was even a week when several team members were on vacation, and normally that would have caused chaos because certain processes depended heavily on specific people. But most of our workflows were already automated. The interesting part was that we barely noticed they were gone. Leads still reached the right people, reports kept being generated, and notifications continued going out. That was the first time I realized automation isn’t just about saving time, it also removes invisible dependencies you don’t even know exist until someone is suddenly unavailable. Because it's such a robust and feature-rich platform, getting everything set up exactly how you want it and training your team can take a bit more time and effort upfront compared to simpler, less comprehensive solutions. It's not necessarily difficult, but it does require a commitment to the process. If a business is looking for something incredibly basic right out of the box with minimal setup, the depth of Intacct might feel a little overwhelming initially. What problems is Sage Intacct solving and how is that benefiting you?

Basically, it kicks a lot of the annoying parts of my job to the curb. Think mountains of invoices to type in? Intacct often grabs that info automatically – huge time-saver and way fewer typos. Chasing down who needs to approve what? It routes invoices electronically and pings people, so stuff doesn't get stuck on someone's desk for ages.

I can actually see what's going on with our bills in real-time, not just some dusty report at the end of the month. Need to know if we paid a certain vendor? Boom, it's right there. Got different parts of the company? Intacct keeps all those bills straight in one place, which is a lifesaver. Plus, it's got my back on catching mistakes like paying the same bill twice – that's always a good thing!

What do you like best about QuickBooks Online?

QB online is superior to desktop, because it is easy to work from anywhere. As long you know your login info, you don't have to be stuck on a desktop in an office somewhere. What do you dislike about QuickBooks Online?

A couple of the downsides are that they no longer work with Melio because they have their own payment processing. I have three vendors that each month cannot be paid via QB online and I have to login to Melio separetley and process the payments. Review collected by and hosted on G2.com.

The one thing that QB online does is they have a really good payroll processing platform. All of the taxes are handled and I recently discovered that we can also use the same program for employee time tracking. The construction and project accounting side continues to be a strong point for us. Being able to tie budgets, commitments, change orders, and billing back to individual jobs in one place has saved a lot of the manual reconciliation we used to do across separate tools. The modularity still stands out so it's easy to turn on what a given part of the business actually needs without paying for or wading through features we don't. Reporting and the ability to build our own dashboards have also made it easier to get the numbers in front of the right people without pulling everything into spreadsheets. The main thing is consistency across screens. Background processing and how certain operations behave still varies from one module to the next, and the service module in particular doesn't always work the way you'd expect coming from the other areas. Tightening that up so the experience feels the same everywhere would make training new users easier and cut down on the "why does it work differently here" questions. What do you like best about Jotform Workflows?

I use Jotform Workflows to manage and screen candidate applications for my partner company. The interface is incredibly simple and intuitive to learn. All the options and settings you need are always right in front of you without a steep learning curve.

When it comes to performance, the platform is highly reliable and handles heavy application volumes smoothly. Automated actions and conditional routing trigger instantly upon form submission without any lagging or processing delays.

The AI assistant feature is a massive help for making quick modifications or asking for information, keeping the experience consistent with other Jotform products. One specific feature I appreciate is the ability to fully customize outgoing emails using HTML. The AI assistant can even design the HTML email layout for me, which saves a lot of manual coding time.

The workflow flexibility is excellent, especially the conditional branches and the approval capabilities. It lets me review an application directly from an email on my phone. If a specific email needs to go out to an applicant, I can simply click "Approve" or "Deny" right from my mobile inbox. I do not have to open my laptop or log into a heavy platform because I can manage the queue seamlessly on the go. The vertical block layout also makes it easy to visualize exactly how the applicant travels from the submission starting point down to the final notification. What do you dislike about Jotform Workflows?

Heads-up: This feedback is based on my hands-on navigation so far. I am still figuring out existing workarounds if they are available.

My primary challenge is with scheduling and data integration. I wanted a scheduled starting point that reads specific columns from an existing Jotform form to trigger conditional emails. However, the system does not let me select a form that is already tied to a form-started workflow. There should be a direct way to trigger scheduled actions based on existing submission data or connected Google Sheets columns.

Additionally, the Podo AI assistant struggled with these scheduling scenarios. It ran into multiple errors, had trouble generating the requested logic, and gave unclear troubleshooting instructions. The AI assistant needs deeper training on all integrations and conditional logic to prevent these hurdles. Because of this, I deleted my scheduled workflow for now.

Lastly, there is a disconnect between Jotform AI Agents and structural Jotform Workflows. I want an automated flow that triggers at the start of an AI chat. The agent could prompt structured, sequential screening questions before switching to a freestyle AI mode. Jotform Workflows solves the bottleneck of manual candidate tracking. Instead of manually reviewing every single profile and copying data over, the platform uses a submitted form as a direct starting point to route applicants through conditional gates.

The biggest benefit to my recruiting setup is the mobility it provides. Being able to trigger custom email alerts like my Interview Invite Email via simple mobile inbox approvals allows me to keep the hiring pipeline moving rapidly from anywhere.
