Using historical records we can now provide more detailed analysis of current work loads and monitor the financial impacts of business decisions.

By creating tables for hazards, risks and method statements and linking these to individual jobs we are reducing the risks to staff and customer in what is potentially a high risk business.

So far I haven't found much I have disliked about the software. I will say that I wish we could customize some of the categories. It will take some time but "Activity" from our previous software means something completely different than "Activity" in BigTime. The biggest problem I think that has been solved for my workday is probably the amount of time I save on being able to sync things between BigTime and Quickbooks. I feel like I used to waste so much time because I was having to manually enter in data to Quickbooks AND to our old program. There is not anything to really dislike. If I had to name something, I would like to have greator control of the home page view and ability to show any field and filter on any field. Implementation is currently in-process, but we see great potential to solve current work order process confusion and bring greater control to the process including visibility and analytics. Our current work order process is largely manual, so automating it and bringing visibility to all stakeholders will be a big improvement. Also, I was able to duplicate our current travel request process (currently in a different system) and build it successfully within less than 1 day even though the current system was built through coding by programmer and many hours of billable hours. Pipefy has changed the game for our marketing agency. We now handle all requests for service through Pipefy. The intake form we built has allowed our agency to be more productive than ever. We can see and be notified of incoming requests in real-time. We or our clients can set deadlines for each project. The visual "Kanban" view is a game changer for me as a team leader. I can easily see where projects stand and with filters can see what each team member's workload is. The reporting tools allow us to analyze how many projects we complete each month and sort by client and other filters. This has allowed us to provide our upper management with better reporting. Since Covid-19 broke out, our team has reduced due to retirements and departures. Without Pipefy, we could not have been able to complete MORE projects with fewer staff. Pipefy has also prevents projects from falling through the cracks. I compared Pipefy to all the other major project management offerings, and it was by far the best fit. Using Quixy, we have automated multiple departments but as part of Sales and Marketing team, we automated processes related to RFP/RFQ Evaluation, Bid Management, EMD Requisitions, Prebid query management, prebid attendance, travel management, Pre Qualification and Technical Evaluation Criteria. There are a few features that are missing, that would be helpful. 1) searching for a partial name, like typing "JA" and having all of the names that meet that being available to select from. 2) being able to sort the 'apps' based on my personal frequency of use rather than when they were created. I personally think nintex forms would have extended capabilities of talking to web services. The error notifications of workflows are too generic, sometimes they just say error out and failed on start. While developing forms, the labels connected to items which requires validation shows red asterick with break tag in inproper format, if we develop the form in google chrome. Best tool for automation's, building forms for the people using default, microsoft infopath for doing that. It is way better than infopath in User experience stand point as well as features stand point. The new features from nintex with electronic signature is awesome. I have built lot of forms in nintex and automated lot of approval, id creation, reporting works in nintex workflow. The most liked feature in nintex forms is repeating section, using that i built a shopping cart functionality. In my opinion I do not have a negative point regarding the functionality of the service since it has allowed us to improve our stability in the search for new clients, the tools and each of the characteristics are fundamental and work together, however the system continues to be updated and improved at future adding new features in order to improve the system better and better. Their website--FinancialForce Community--is a bit difficult to use as far as navigation goes. The content itself is great but only if you can find what you need. It can also be difficult to initially set up and maintain the system. Because there is so much customization, each instance is truly unique for the business that is using it. It's clunky and not user friendly. Sometimes it seems to act spontaneously. It's hard to keep track of what's going on. There is just soooo much clicking that it becomes confusing where in the process you are. You have to click into the item, click a few times to check it out, and click again to submit. We use it in our company to carry out a better administration and management of projects, resources and invoice our professional consulting services. We are using the product to automate service delivery and business processes. We currently deploy hundreds of virtual machines (VM) per month through customer requests while also managing internal processes with the software. VMs that used to take upwards of 3 weeks to deploy are now active and accessible in under 30 minutes. Overall, Calrizen One is a great software and now after I use it daily, I don’t know how we managed to work with the old ways of working (eg. Excel). However, there is maybe one downside. As a PM, I work with Engineering, Finance and Supply Chin departments and sometimes I need them to contribute to the information in Clarizen One, however, since this is not the main tool for their departments, sometimes it is hard to make them log in and use the software to its full potential.

Also, when implementing Clarizen One in an organisation, a comprehensive work on shifting the culture towards digital should be completed. Clarizen One is an out of the box solution, but it is good to check with the stakeholders in your company if you need to use the services of Clarizen consultants and tailor the software further to your organisational needs, such as integration with other back office systems or compliance with specific PM standards you are using.

In the process of implementing Clarizen One in the organisation make sure that some activities for adapting the culture to digital, such as roadshows showcasing the benefits of the software, are conducted to prevent resistance of the usage of the new software. Lead a regular and hones communication with the stakeholders regarding the progress of Clarizen One implementation and the next steps.

Clarizen One definitely reduced the admin work I had. I am now able to generate an automatic project report and not spend hours creating one in Excel or Power Point. I now have one place and system where I can keep track of the project schedule along with risks, action items, non-conformance cost etc. All my internal stakeholders know that they can find the most up to date project status in Clarizen One 24/7 without even having to request it from me. All this definitely allows me to bring more time and value to my communication with the end customer. A real benefit is that once I update my project information in Clarizen One, through the interfaces with the other systems, the relevant information is updated there as well and I don't have to log in to multiple systems to enter the same data.
