Project budgeting and resourcing provide a good view of resource availability across the business. and includes timesheets/writing

**What do you dislike about Projectworks?**

how the system handles a variation on an existing project. We create a variation on the project and send out a new quote; however, the system automatically assumes this is approved and adds it to the budget. You can lose the view of approved budget vs variation requests and approved variations. It would be great if a variation could be completed but not added to a budget until it's approved. Timecode visibility: when reviewing proposals, it's difficult to see if the team has got the pricing right. It would be great to have a summary on the project-level effort by person and by team on a project. Proposal management - it's good to see the new feature. Previously, it was next to impossible to track proposal status; once it was a live job, great stuff. Sometimes, you have to click a few times to get where you need to go. example, if you have a custom field across all projects, you have to click the project, settings, Additional, then the custom field. Generally, this is getting better across project works

**What do you like best about Projectworks?**

Managing resourcing, project forecasting, and profitability is straightforward. All project leaders can manage their own project resourcing and finances, which brings clear visibility across the overall practice. It also makes it easy to spot and address any over- or under-resourcing, as well as handle any budget overruns.

**What do you dislike about Projectworks?**

We have a couple of issues with the software. First, there’s a lack of integration with our accounting software, MYOB. Second, the reporting currently includes subconsultant fees; we’d like the ability to filter reports so they do not include subconsultants, and to view comparisons based on our own invoicing.

**What problems is Projectworks solving and how is that benefiting you?**

Projectworks has improved our resource management and made it clearer, easier, and faster to manage overall. It’s saving us time across the practice. It has also strengthened our project financial management, allowing us to adjust a project’s financial direction when needed, seek variations, or change resourcing. Overall, we can manage in real time.

**What do you like best about Projectworks?**

It’s structured specifically for PS businesses, and the most important metrics are highly visible and easy to take in at a glance. The API and SQL interfaces are especially handy for more advanced or complex reporting needs. Performance could use a bit of a boost in a few places—some screens are slow to update or refresh—but overall it’s solid. Pricing is reasonable, the product is relatively basic but works well. Support is awesome - never wait more than 24 hours for a response and mostly within the hour. Onboarding was a breeze - it took a few trials to confirm it was a tool we wanted to use - but once we had the bones in place it added value fast. We abstract our AI from the tool itself - we use the interface tooling to extract and manipulate the data externally,

**What do you dislike about Projectworks?**

I dislike the lack of trend data. Is people's BU increasing/decreasing or flat-lining? There is a richness in seeing trends over time that I think is a huge miss. We dump data and run the trend reporting outside the system itself. We also find resource wrangling is painful - allocating, re-allocating, moving and shuffling resources takes a lot of our week. Our work is highly dynamic and the UX is average. For example - the unlinked project start date, if that was a live date that when you changed it realigned your resourcing to the new start date that would save huge amounts of time and effort. Misses a few NTH's as well. Copy a ratecard would be good. Cloning a project should allow you to take resources etc - coupled with a live start date. We have projects that extend year on year or quarter on quarter with little to no changes so having a richer clone function would help.

It allows us to resource a dynamic and volatile business with a vast plethora of resources.

**What do you like best about Projectworks?**

Timesheet entries feel very intuitive. Leave calendar & balance are easy to find & review. Resourcing & forecasting tabs work well, in that same vein I like that you can save a set filter on the company wide tabs like invoicing, resourcing, etc. Seeing time added to invoices is easy to manage.

**What do you dislike about Projectworks?**

In individual invoices when looking at time entries, if the associated comment is long, then it trails off the side of the screen and there is no way to view the entry without leaving the invoice, going to the job and finding it. Though long comments I find haven't worked well in general when it comes to viewing them after the fact. The dashboard is mostly useless to me, more customization would be appreciated. Just an idea but a hybrid time entry system would be good, the option to have it so that decimals (i.e. 2.5) would be 1hr 30min, but adding just 15 or 30 would be in minutes. Though not really a problem, I know you have the option to switch between the 2 in settings. It would be good to have the option on a job to automatically add the project manager to all timecodes - at the moment if I try to enter time into a job I'm managing on the timesheet, and I'm not assigned to a timecode, then I have to get out, go to the project, add myself then go back to the timesheet, when as the manager it should be automatically allowing me to make time entries. When adding resourcing I usually want to get in and adjust this week, maybe next too, so when I hit add resourcing and it asks for a project, I want to just add that to my page as an empty resource to be filled and adjusted. Would be good to have a quick add options instead of going the long way and having to change the default 10 weeks of spread to 1 week then adding time, etc. Forecasting is mainly good, but since it doesn't show up in a compact format, it would be good to have the option to not show hourly rates timecodes, as they aren't forecast to invoices, and I don't want the clutter of having to scroll past them. Could we have the option in expenses to paste screenshots directly to the expense? Otherwise if I'm claiming Kms or Uber like I normally use it for, I have to save a screenshot to a download folder, then upload that, then delete the screenshot. Whereas if I could hit screengrab, drag across the needed area and paste to the expense, then it would make it a lot easier. In the leave requests, I'd like to have an option to see "all time" in the requests, at the moment this year and next year the widest options and they don't show everything, especially coming to the end of year. In invoices - can we have the option to reject an invoice so that the finance manager can see it's been rejected? At the moment I can leave it as a draft or delete it entirely, both of which aren't particularly informative. Maybe have a reject button, that the finance manager can confirm then it would delete itself or adjust time in the job to next month. In that vein maybe not reject, but 'postpone'. In the projects section can we have a filter for all projects that you have added time to, not just project manager? More often than not I am the one managing but hasn't been transferred over to me in PW, so a simple way to go through and check all those would be nice.

Organisation for invoicing mainly, I'm only using it at a project manager level - So at the moment PW is useful mainly for tracking time spent on jobs, in that sense it's doing great as a timeline for past work.

**What do you like best about Projectworks?**

It contains all the tools we need to take a project from start to finish. It isn’t biased toward one feature; instead, the program clearly provides end-to-end solutions. Furthermore, it offers flexibility and customization options, allowing us to tailor the product to suit our business needs.

**What do you dislike about Projectworks?**

It’s not really about a dislike, but it would be very handy to have some mass-updating features. For example, when we’re entering a new financial year and need to update everyone’s cost/post rate, it would be great to be able to export a template from Projectworks into a CSV, then import it again after updating the CSV file.

Another small feature request: when we choose an hourly-rate job, it would be helpful if the budget could align with the final invoiced amount.

**What problems is Projectworks solving and how is that benefiting you?**

We often have to guesstimate the numbers, or it takes more time and resources to extract financial data. With Projectworks, it’s really easy to produce any type of report, which makes the job much easier.

**What do you like best about Projectworks?**

Projectworks helps manage budgets, invoicing, forecasting and resourcing and makes it a breeze. We have a highly active agency environment where we constantly have new projects starting and budgets changing as well as flexible resourcing. Projectworks makes this easy by allowing us to spin up new projects assign and adjust resourcing and see overviews of forecasting. 

In particular it's great that there are collated views of all projects for all the above as well as the resourcing by availability view which makes noticing scheduling gaps a breeze

**What do you dislike about Projectworks?**

I find Projectworks UX can be a bit counter intuitive at times. If i want to quickly make a budget top up for example it can be a bit of a hassle dong math manually. If PW had an ai assist feature I think it would really help for jobs like this

**What do you like best about Projectworks?**

It's easy to use, and we can host billing and resourcing with projects in the one place. I am very keen for the new addition currently in beta phase of the project onboarding / CRM element as that will bring together another key benefit for our business in the one place

**What do you dislike about Projectworks?**

We don't use the resourcing as much as we should, for our team we need this to be more detailed, but we have struggled to find this on any platform. Ideally, we would like a more detailed resourcing tool that allowed us to work in a gantt chart and allocate tasks to team members. If PW could collab with something like Quilla for prettier project proposals that would also be amazing.

**What problems is Projectworks solving and how is that benefiting you?**

Our team use project works every day for billing, timesheets, and forecasting in the one place which holds a huge amount of information for us and streamlines our workflow. The integration with other software is great, we use xero and are also looking at connecting project works to hubspot.

**What do you like best about Projectworks?**

I like having a single system in Projectworks that records resource allocated for each project and compares it against the fee allowed for the project. It's valuable because it aligns resource management with project fees, and I appreciate how fees are forecasted and invoiced directly from the system. The initial setup was very easy, which was a bonus.

**What do you dislike about Projectworks?**

Projectworks does not clearly state the percentage margin of each project after considering all expenses and labor against the project. The margin reporting is unclear and doesn't make sense to me. To get accurate reporting on how projects are tracking, we need to use Excel to separately calculate and total revenue, burn, and expenses manually. Additionally, there are limited reports across companies, such as comparing how companies perform in terms of revenue and margins over a 12-month period. Also, some better support with regards to reporting is warranted.

I use Projectworks for resourcing allocation, fee structure, invoicing, and reporting. It aligns resource allocation with project fees, allowing direct forecasting and invoicing from the system.

The resource view is probably the most useful part for me. I can see how work is distributed across the team and identify conflicts without digging through every individual development task.

**What do you dislike about Projectworks?**

Some updates have landed later in the day than I would have preferred. When I'm trying to get a current picture before making a decision, that can mean an extra follow-up.

**What problems is Projectworks solving and how is that benefiting you?**

We needed a clearer connection between our software projects, timelines, and the people actually doing the work. Projectworks gives me a management-level view of workload and project progress without replacing the detailed development tracking we already have in Jira.

I use Projectworks for both project and resource management, and it has really helped me with project delivery and keeping my team organized with workloads. I like that it gives me clear visibility around the project, managing the track of my project and team capacity with resources. The reporting management and informed decision-making features are good, as they help me understand the project progress, team workload, timelines, and overall task progress. The initial setup was easy and straightforward, making the start with Projectworks good.

I think the depth of customization and the reporting dashboard could be improved. It would be helpful to have the ability to create a fully customized widget and have more reporting templates or something that's category-based.

**What do you like best about Projectworks?**

Projectworks has been helpful because it combines all the features we were looking for in a project management software. It took a second to get the hang of some of the features because there are a lot (this is a good thing) but we felt that we always had someone to reach out to with questions. Projectworks does integrations with Xero well and will help us with proper management and calculating individual project profitability. I appreciated the Projectworks team helping with the migration and follow-up support. We are paying the same amount as what our previous software costed but Projectworks has more features and a lot more support and walk-through.

**What do you dislike about Projectworks?**

There were a few things we thought would make the software a bit more user-friendly such as adding more characters to certain text boxes or preview boxes before emails get sent out. We brought these recommendations to Tony and he gladly took the feedback and said he would pass it on to the Projectworks team. We had some questions about how to add certain information and Tony showed us how to do it. So the items we disliked were addressed because Tony coached us through them.

With Projectworks, we are able to see individual project profitability in a single snapshot. This is something we were missing with other software.

**What do you like best about Projectworks?**

Live project financial data is really important to us and this works really well. The interface is pretty intuitive and the recent improvements to the budget loading fields have improved our efficiency, especially the top down $$ feature for timecodes. This has saved heaps of time when building bottom up budgets.

**What do you dislike about Projectworks?**

I find the new reporting tool a bit more difficult to use. It seems more like a SQL database query tool which is challenging to use if you are not software focused or have a background. This generally results in us having to contact PW support to help build the report.
Being able to copy budgets within projects would be really helpful and save us more time. Some of our projects have repetitive budget requirements and being able to copy these would save hours.

**What problems is Projectworks solving and how is that benefiting you?**

Accurate utilisation reporting. This has been beneficial for our management reporting saving time each month.
We had many issues with our resourcing previously, but since implementing PW resourcing we have found significant improvements in not overloading certain people, having visibility of forward work and improving engagement between the PM's and technical teams.

inputting expense lines - we have multiple sub-consultants that send us 1 bill for multiple budget lines and i have to enter it manually several times. and there is NO smarts for extracting that information. For example for any operational expenditure for the business I use DEXT which I have an email address I send to, it extracts the data from the invoice, I check and adjust (which it then remembers) and I can have multi lines that are associated to different accounts/ budgets too. .... it just makes the manual side very MANUAL

I think the depth of information that we can add along with Project Risks, Industry type or any other custom field that we can add. Projectworks has been a helpful tool to understand gross margin, project status, and key trends that we need in operations.  In terms of UI/UX I think it's simple and very straightforward. Some icons just needs further improvement. Love that it has integration options for xero , and an sql database connector for Azue to looker studio. In terms of performance, no downtime that I can recall. Very reliable in getting accurate data required. In terms of pricing i think we're getting the value out of Projectworks as we use it to drive key business decisions. In terms of support, we get immediate answers if ever we need help. One thing that would be very useful to is to have AI Claude connector, AI . AI Would really help automate things around encoding.

The least thing I dislike about projectworks is pinning timecodes manually, whenever I create a timecode that should already be pinned automatically on the user's timesheet.

Not being able to attach a document to a Project. Attaching a link is ok but being able to attach a pdf would be great! Also, when exporting an invoice that is a new client to Xero, you have to complete all the details again in Xero as PW only exports the client name.

the visualisation of budgets and burn helps identify critical areas. There are some reports that we used that have a nice visualisation piece as well for some of the reporting, for example the utilisation reporting. Good to have that to show team members.

With API Access, I was able to create integrations with our internal products to improve efficiency across the business. We also used ProjectWorks as our consistent, cross-region leave management and timesheeting tool

The user interface means that adding staff members to projects and time codes is very time-consuming. The integrations into our tools are poorly designed and inefficient. A product like Clockify provides a much better experience when using its add-on. The product is also very expensive for what we use in the product. **What do you like best about Projectworks?**

I like the simplicity of use of Projectworks, being able to see all of my consultants within one window. It's great for seeing who's entered their timesheet, who hasn't, who's got their resources in, and who hasn't. I also appreciate having a holistic view of what projects are resourced and where our budgets are, along with everything associated with projects in our organization and the consultants working on them. The initial setup of Projectworks was very simple, especially compared to our previous in-house built system, which wasn't nearly as sophisticated. Projectworks allows us to view all of our projects in one location and resource our consultants for extended periods, log time entries, approve time requests, and integrate with our accounting system.

More notifications within Microsoft Teams would be an ideal feature for us.

**What do you like best about Projectworks?**

The real-time project status is very helpful, since we can quickly see how much budget is left, especially for clients with strict budgets. The customizable reports are also nice, as long as you have the knowledge to build a report.

Time tracking and the leave features in Projectworks are also useful. The process is straightforward, and the interface is easy to navigate.

**What do you dislike about Projectworks?**

I find the onboarding part a bit limited in terms of what you can enter. I hope it can be integrated with other HR platforms aside from Bamboo. We currently use Hibob, and it would be quicker and easier if the two were connected to reduce manual input.

The customized reporting feature could also be improved to make it more user-friendly. Right now, the process can be difficult to navigate, especially for users who don’t typically use BI tools.

Also, the invoicing part feels very limited since it’s basically just sending an email. I hope there’s an option to set up automated follow-up emails, especially for overdue invoices.

**What problems is Projectworks solving and how is that benefiting you?**

Projectworks helps us maintain an overall view of project health, especially in tracking projects that may be going over budget. It also provides good visibility of resource allocation, including identifying employees who are currently on the bench, which is helpful for forecasting and planning.

Additionally, it saves a significant amount of time when preparing forecast reports and monitoring project performance.

**What do you like best about Projectworks?**

The transition from using the forecasting tool to being able to prepare an invoice.
I also like the access level settings and being able to create these to align with staffing groups. Setting up custom fields is another feature I like.

**What do you dislike about Projectworks?**

The data migration wasn't exceptionally smooth, so we have had to make a lot of adjustments and still come across invoices not assigned to the correct budgets etc. 
Another thing I struggle with is some of the limiting filters, especially in the time entries tab - it would be beneficial for us to be able to filter by Budget.
A stronger search function. All of our projects start with 80XXX - would be good to be able to search for XXX and the project to pop up.

It’s very easy to add time logs for the tasks I complete during the day. The interface is very user-friendly, which makes the tool much easier to use overall. I can also quickly check my past and pending leaves, and review my previous time logs whenever I want without any hassle.

I like how Projectworks helps with tracking burn rates and provides valuable forecasting information, which is really useful for our projects. The resource planning is also very good, although recent changes was a step backwards in terms of usability.

The resource planning page used to be very nice, but the recent changes have been a step backwards in my opinion. It requires too many clicks now to actually put in the information. What I like most is the personal care and support provided, you actually get to talk to real people! The platform is super intuitive and user friendly, and has a pleasant look/feel. The amount of information it provides in one place is incomparable.

**What do you dislike about Projectworks?**

One of my pet pieves is the integration with Employment Hero when it comes to leave, it needs some refining ie. it only recognises full days, not part days of leave.  Another one is that you are not able to add suppliers manually, they sync from xero to PWs but only ones these have bills associated with them, so items reconciled as a spend doesn't pull through as a supplier per se.

Visibility on project health, and staff utilisation are really the biggest items that PWs offers

The user interface is well laid out and easy to navigate.  When correctly configured it provides us with a sufficient level of detail.

**What do you dislike about Projectworks?**

Some settings don't appear in the most intuitive locations; however the support function is useful and with more time using the system it does become second nature.  It would be helpful to be able to run a simple workload forecast based on the number employees , remaining hours / budget remaining.  The dashboard feature could be improved.

We've found Project Works' in-house consultant (Craig Dalley) fantastic to work with.  Craig is assisting us with optimising the environment specifically for our company, and has provided valuable insight on how to improve efficiency across timesheets, budget and timecode setup, user permissions, invoicing and data capture.  We are in the process of standardising our processes using Craigs help.  We expect to have a better view on how PW functions once this is complete, in 2-3 months.

**What do you like best about Projectworks?**

I like having everything in one place with Projectworks, as it simplifies managing tasks. The time sheets work well and are easy to use, which makes logging time more efficient. Additionally, Projectworks helps me track burn to date, allowing me to see where I and my team are at, which is incredibly useful.

**What do you dislike about Projectworks?**

It would be good to see an hourly burn stacked against a fixed fee project to determine the gain or loss. If this could be compared to the remaining overall fee it would be helpful.  If it divided the remaining fixed fee across the remaining months and gave a monthly average remaining fee with corresponding hours for personnel assigned to the project it would be helpful.  Also a comparison between fixed fees and resourced time is needed.

I use Projectworks for logging time, leave requests, resourcing, and billing. It tracks burn to date so I can see where I and the rest of the team are at.

Tracking project costs is difficult since burn is done based on Revenue and not on Costs. It is more administration to add markup to all PO's and Expenses, and the budgets must be done based on sell price, not on cost.

ProjectWorks was easy to implement and customer support has been friendly, prompt and very helpful.

It has been easy to use and has made a big difference in our ability to manage workflow and budgets more effectively across multiple projects and team members.

**What do you dislike about Projectworks?**

We sync ProjectWorks with Xero. Leave, invoices, and payments can only be exported once. If any of these need to be edited in either platform after export, the same change then has to be manually updated in the other platform as well. It would be great to have a regular or on-demand sync between the two, so the data stays consistent automatically.

**What problems is Projectworks solving and how is that benefiting you?**

The real-time transparency around project budgets is providing project managers critical information and more control over the overall health of their project budgets. It has made invoicing much simpler and faster.

**What do you like best about Projectworks?**

I love Projectworks for its time tracking and invoicing capabilities. I can easily adjust time codes and assign blocks of time to invoices, as well as adjust billable hours and track budgets. I love that it is web-based and can be accessed anywhere on any device. The timesheet entry interface stands out as the most important feature because it simplifies the process for our staff, ensuring accurate invoicing.

**What do you dislike about Projectworks?**

Resourcing is input intensive and not easy to keep up to date as day-to-day workloads change. As a New Zealand-based company, there's no concept of paid overtime or time off in lieu of overtime (TOIL) integrated into Projectworks, making it difficult to track and report this to Xero. We have to manually calculate TOIL and input this data into Xero. Additionally, the timesheet and time columns are in HH:MM format, but Xero and most other programs use decimal hours. It would be really helpful to have the ability to choose between HH:MM and decimal hours. Also, the ability to send overtime hours or TOIL hours to Xero is needed.  I also don't like that the price is going up 17% and we just have to accept that and move on. I can see why it has gone up, I still think it is worth it, I'm still happy. But how many price hikes will I sustain and still be happy? I'm not sure. You should communicate and consult with your userbase for price-hikes well in excess of inflation.

**What problems is Projectworks solving and how is that benefiting you?**

Projectworks helps me with timesheets, cost codes, invoicing, and project financials. I love being able to adjust time codes, assign time to invoices, and track budgets easily across devices. The user-friendly timesheet feature is key for effective invoicing.

terrible reporting options.  too hard to build. in this day an age with ai you should be able to tell ai what you want and it will spit out the report. Also you cant speak to anyone on the phone. The one time I had a video call ther person never got back to me.

**What do you like best about Projectworks?**

I value the predictive power of Projectworks the most, especially for revenue forecasting. It's a game changer because it lets our team see where the cash flow will land months in advance. The resourcing heat map is also great—it's my go-to feature because it lets me instantly spot if someone is burning out or if talent is sitting idle, enabling us to make immediate course corrections. Projectworks also turns resource management from a guessing game into a data-driven process.

**What do you dislike about Projectworks?**

The custom reporting in Projectworks, while powerful, requires a learning curve. You almost need a data analysis mindset to use it for complex tasks. Also, the mobile app is really basic. It handles time entry fine but lacks project management controls and visibility needed for finances. I can't really use the mobile app when I'm away from my desk.

I use Projectworks as a central system, replacing guesswork with precision. It handles revenue forecasting, resource allocation, and consolidates data into a single source. It provides financial visibility, prevents scope creep, and stops us from guessing project profitability, showing budget burns early.

**What do you like best about Projectworks?**

I like being able to see our every month financial forecasts quickly and see how our team is being worked and how much time it takes to complete each task. Projectworks gives us an everyday summary of how the project is progressing and resource is being used, we use it to keep our team on track of critical issues.

**What do you dislike about Projectworks?**

The tool is created for advanced users or people who work entirely on fin dept, so you need to use it like for an entire month to get the hang of it, learning curve is there so if you are not using it daily then definitely takes some time.

**What problems is Projectworks solving and how is that benefiting you?**

We relied on updates from different teams and tools. Projectworks now become the default and helps us reduce the number of meetings and take decisions without asking around much and all of the data is available on real time.
