I love that it eliminates the need for printing and distributing copies which saves time and resources. The searchable archive is the most helpful feature of BoardDocs. It is easy and quick to find past agendas, meeting notes, and other supporting documents. The layout is also very easy to navigate even for the public. **What do you dislike about BoardDocs?** While BoardDocs is a great tool, there are a few areas that could be improved. At first when using BoardDocs, it is somewhat difficult to learn especially uploading and organizing the content. It is also isn't as customizable as I would like for our district's needs. That said, once I got familiar with the system, it works smoothly and delivers great value. **What problems is BoardDocs solving and how is that benefiting you?** BoardDocs helps several business problems that we have. First, it saves me valuable time and resources by having the board agendas and supporting documents available. It also improves transparency to the public allowing them to have immediate access to the board materials which helps our district meet the legal and community expectations. Furthermore, by having all of our board content in one secure location, it reduces the risk of lost information. ### 2. It was very easy for staff to add information before meetings, and very easy to approve or reject information. **What do you dislike about BoardDocs?** One of the biggest cons we experienced with BoardDocs was the user experience for searching information. There was no logical search order and no way to modify how the search appeared. It could have a document from 2015 next to a document from 2008, and you would have to enter each document to figure out which document was actually relevant. **What problems is BoardDocs solving and how is that benefiting you?** Information for Board meetings is crucial to follow a logical order that allows for video add in for public perspective. It is very easy to add in the video concepts of each board meeting and time them to each item. I do wish the video was searchable instead of embedded into each meeting direclty. ### 3. I can't imagine going back to paper board packets. I love using the meeting control panel during meetings to take care of most of my minutes prior to next board meeting. I also love the support we get from Diligent. I have set up trainings for our secretaries and advisory school board members on how to use the program. I use BoardDocs almost on a daily basis and for every board meeting we have. BoardDocs was easily intergrated when the school district decided to go to paperless board meetings. **What do you dislike about BoardDocs?** I think the downside is when having to add new board members or advisory school board members. By maintaining three levels of access - Public, Administration and Board - information can be posted at the level it needs to be, and then you can search for it at any time moving forward - the search feature is incredibly powerful. **What do you dislike about BoardDocs?** The editor could be bigger - way bigger. You get less then a third of the screen to edit your documents in. And the formatting could use a little work. But I'm just nit picking - it still works great. **Recommendations to others considering BoardDocs:** If you have a Board, and you have Board Meetings or Policies; and if you need an effective way to communicate with the public and the Board, then you should be using BoardDocs. **What problems is BoardDocs solving and how is that benefiting you?** We've been able to stream line our communication with the Board, as well as maintain a library for all of our supporting documentation. Over the ten years our school district has used BoardDocs, I have had to contact their support team for assistance on a few occassions. They have always been very helpful in answering or resolving my issue in a prompt manner. **What do you dislike about BoardDocs?** Uploading photos is still sometimes a little tricky for me since I don't do this very often. **Recommendations to others considering BoardDocs:** Yes, I would recommend BoardDocs to others considering a program to use for meetings. It is user-friendly and has excellent tech support, if needed. **What problems is BoardDocs solving and how is that benefiting you?** BoardDocs is an easy to use program for our Board of Education members to use for their meetings. Since board members can change every two or four years, we needed a meeting platform that was easy for new members to use with a brief training session. Everyone gets the information as soon as I make it active. Before BoardDocs, we printed out the agenda and all supporting documents for each meeting , put it in a notebook and delivered it to them. Now they have the meeting agenda and information available to them instantly and we save time and paper. ### 29. They having amazing customer service and there is always someone to help, if you need it. Meeting agendas are very easy to create and duplicate, such a time saver. **What do you dislike about BoardDocs?** I would prefer to be able to have institutional training sessions recorded, even if they were only available for a limited time. Sometimes the formatting, especially from Word, is a little messy. It's not a big thing and is easy to fix though. **What problems is BoardDocs solving and how is that benefiting you?** BoardDocs is a great place to house all of our committee meetings and most of our documentation related to accreditation. With multiple groups responsible for varying elements of accreditation documentation, it can be challenging to collect everything. This makes that easier, since it's all in one place. Policy management is SO much easier! It takes a little work to get it set up, but once that's done, it's just so much better. (They do provide services to help with the initial setup as well.) Tagging goals is a huge benefit. You can have multi-leveled goals which can be tagged in any meeting agenda on your platform. This is truly time saving when checking progress. Setting the goals up does require a good naming protocol though - so that they're individually identifiable. We can quickly check to see what, if any, action has been taken toward institutional goals, Board goals, committee goals, etc. We are also developing the library to provide easy access to relevant information/documentation for employees. This will help remove some of the busywork from our overworked IT Department as we move these items off the website and on to BoardDocs. Using the MCP allows the voting action to show up on the agenda in real time. This is beneficial to stakeholders that might have an interest in how a particular item turns out, even when they're unable to attend the meeting. ### 32. As a "seasoned" admin secretary, I confess, I was skeptical about how much more my aging brain could absorb. But, BoardDocs has been a PLEASANT and WELCOMED surprise! And, the two times that I've needed customer support, I've received a call back within just a few minutes and had my issues promptly resolved. **What do you dislike about BoardDocs?** so far, (we've been using almost a year now) I've not found ANY downsides to using BoardDocs. **What problems is BoardDocs solving and how is that benefiting you?** It's so easy to manage building the agenda as different administrators submit their own agenda items and documents. We have many annual events so I created "months" in the events section - but they're in alpha order vs. "month" order and I cant move them around or place a number in front of the month to adjust. Same with the list of Board members - I'm not able to move the names around - and they change annually regarding who is Chair and Vice Chair. **Recommendations to others considering BoardDocs:** It's a time saver, utilize the management tools for policies, goals, events, and library. **What problems is BoardDocs solving and how is that benefiting you?** Time Savings is the number one problem that has been resolved. Anyone (with access) is able to input their agenda items anytime from ANYWHERE! I'm no longer chained to my desk two weeks out of the month - hunting down items, back up documents etc.... The approval tree allows others to review and make revisions before it comes to the final office for approval. No more PAPER packets to be mailed or handed out - it's all attached for the public to view. We save 40hrs a month using BoardDocs amongst (approx) 15 people that regularly are involved in the building and distribution of the Board Agenda packets. We have been able to redirect printing costs to other things. ### 37. It is a quick venue for sending updates and information out to our Board and have it be readily accessible, in real time, to the public as well. One thing that makes my job so much easier is the ability to easily look back at our past, to use the search to quickly find something either in our records or in the data (meta search) of the many other districts and organizations that also use BoardDocs. We recently linked our policies as well, and having the WSSDA model policies at my fingertips is a great resource. **What do you dislike about BoardDocs?** One thing. The My Agenda Items, which people use to begin a new agenda item, is hidden in the "Meetings" tab. I think it should have its own tab. **What problems is BoardDocs solving and how is that benefiting you?** When we started BoardDocs ten years ago, we no longer had to have someone deliver meeting packets to our Directors and they certainly appreciated not having to tote those notebooks around. Other technology might have changed that by now anyway, but it has certainly reduced the numbers of emails we would normally generate with changes out to the Board or other announcements. These changes are reflected online, on BoardDocs, immediately and the Board receives a notification when updates are made. We've saved a lot of paper, a lot of money, and a lot of time over the years with this program. ### 38. It is easy to change settings. **What do you dislike about BoardDocs?** The search option is not very helpful, it is difficult to find what you are searching for and the way it is presented is a bit overwhelming. I wish a list would appear- avoid the large white boxes. A sorting option would be fabulous! Having a theme , customizable option for the user would be fun. We see gray A LOT... I used to be handed a pile of background papers, and then have to figure out who was going to write the cover memo and who was going to present the item at the board meeting. This was a logistical nightmare and a waste of paper. Publishing the agenda is extremely easy. **What do you dislike about BoardDocs?** The fact that you can't copy and paste from a Google Doc without the font copying over into bold and not being able to remove the bold once you paste the information into BoardDocs is annoying. Information has to put into Word before it can be copied into BoardDocs. **What problems is BoardDocs solving and how is that benefiting you?** I spend much less time making copies of the Board agendas. I still have to make a few copies, but nothing like before. Agendas are easy to duplicate and templates make it easy to build consistent agendas. The ability to reject or route items for revisions helps keep errors to a minimum and keeps the document in the workflow for re-approvals. ### 46.
