Before using the platform, preparing board packs, distributing documents, managing revisions, tracking approvals, and maintaining records required a lot of manual effort and ongoing coordination. From an administrator’s perspective, BoardPAC offers a centralized and secure way to manage users, committees, meeting schedules, board papers, resolutions, and action items in one place. It noticeably reduces the time spent on document distribution and version control, while ensuring directors consistently have access to the most up-to-date information. The platform also strengthens governance by maintaining a clear audit trail of document access, approvals, and meeting activity. This supports compliance requirements and helps reduce the risk of errors that can come with manual processes. In addition, BoardPAC supports both physical and virtual meetings efficiently, makes communication with board members more straightforward, and reduces reliance on printed documents. BoardPAC has significantly improved how our board and directors collaborate and access sensitive materials. Since moving from an internally managed setup to the BoardPAC SaaS platform, the overall experience has become much more stable, reliable, and user-friendly. The application is well-designed for directors, many of whom are not highly technical, yet it delivers strong security controls and access management. Features such as secure document distribution, role-based access, audit trails, and offline access have been especially valuable. From an IT and security perspective, having the platform fully managed by BoardPAC has reduced operational overhead while improving availability and performance. As an IT System admin, BoardPAC is fairly straightforward to manage. Tasks like user creation, role assignment, and access management are well structured, making it easier for IT teams to onboard new users and maintain proper access control for both board members and administrators. Because we run the system in an on-premise environment, it’s reassuring that the platform is designed with strong security considerations in mind. This is especially important when handling sensitive board-level documents and information. The available administrative tools also make it possible to manage users, assist administrators when needed, and maintain the overall stability of the system. One of the things we particularly appreciate is the overall user experience of the platform, especially from the perspective of the end users. The ability to access the application across multiple devices and platforms has really helped with adoption among board members. The application is available on iOS, Android, Windows, and through the web, which gives directors the flexibility to access their board materials from whichever device they prefer. Features such as biometric authentication, including fingerprint and facial recognition, also help make the login experience more convenient while still maintaining strong security for sensitive information. It would be very helpful for IT teams to have more detailed reporting options to better understand how the system is being used for example, clearer insights into user activity, login patterns, and overall platform usage. In addition, more comprehensive audit and reporting tools would make internal reviews or compliance related checks much easier. A more streamlined way to generate audit reports and review activity logs would significantly improve the experience for IT administrators responsible for managing the application. One longer term area we’ve been interested in is bringing AI capabilities into the platform to better support directors as they review and work through board materials, particularly when those materials are very lengthy. BoardPAC has recently introduced AI-related features and capabilities, and we’re currently exploring them. We’re assessinug how these tools might help directors by generating document insights and making it easier to consume and navigate board materials overall. Since this feature set is still relatively new, we’re continuing to evaluate what’s possible and to determine the best way to incorporate it into our future adoption and usage plans across the organization. What I like best about BoardPAC is the accessibility and convenience it provides. Board papers can be accessed anytime and anywhere, which makes meeting preparation much easier. It also supports a more paperless and efficient way of working, as documents can be reviewed and annotated digitally without the need to print large volumes of materials. During a recent meeting with Mr. Tharindu, Mr. Shiham and En. Fadhli, they also shared several upcoming features, including AI capabilities to summarise meeting papers, interact with the Board when queries are raised on meeting materials, and assist with minutes preparation. Overall, the platform is helpful, but there may be opportunities to further enhance usability. My colleague and I previously shared a minor limitation with Mr. Tharindu, which he has taken note of and will look into i.e. that the full title of meeting papers cannot be viewed once all documents have been uploaded, unless the cursor is placed over the title. BoardPAC is very easy to use, and the application is very user-friendly. BoardPAC offers the iPad app version as well as android, Mac iPhone, and Windows versions. The BoardPac application is hosted on premise for our case, and we have been using it for almost more than two years now, and the experience has been very good compared to what we had earlier. The best thing about BoardPac is the Face ID or touch ID login on the iPad devices without the need to enter the password manually. The BoardPac team also provide regular support for any and all queries or issues that are faced by the users. There are not a lot of things to dislike about BoardPac, but the document pack presentation after downloading can be improved and modified for better user experience. Additionally, the user is download option is required from the front end. Also, the default document type after uploading should be NA rather than paper for approval. Overall, the BoardPac application is very user-friendly, and that is a major benefit to all the users.
