The interface is easy, intuitive, and provides the one place to go for all things related to our board. I think the levels of permissions are great and help make sure that only those who need admin level access have what they need to make meetings run smoothly. **What do you dislike about Govenda?** I like the old name better. Still refer to it as boardbookit **Recommendations to others considering Govenda:** If you are looking for a solution that makes your work more productive, is housed in one place, and can be used on a computer, tablet, or phone, then look no further. Govenda is all of those things and more. **What problems is Govenda solving and how is that benefiting you?** The biggest problem being solved is making sure all members have what they need before the board meeting. Our old way of doing things had us emailing confidential materials to all members. Many couldn't open because of firewalls on their work side. Now literally everything we need to conduct critical board business is at the touch of our fingers by login into Govenda. The new voting feature has been great and allows us to be limber and respond to critical motions in minutes. ### 3. During initial implementation they helped us create templates that could be reused. They have 24/7 support and are super responsive to any questions or inquiries we have. The application works across all platforms and is easy to manage as far as uploading documents, users & committees. **What do you dislike about Govenda?** The only thing I've found that we dislike about Govenda is that it does not have its' own built in virtual meeting platform. You can host virtual meetings through Govenda but to do so you need to have your own meeting platform for screen sharing and conference calls. Since Covid started we use Govenda along with another app so everything is not exclusively in Govenda for meetings. **Recommendations to others considering Govenda:** Talk with the people who will be using the application at your organization. Identify their needs and work with your customer success manager to get your Govenda board portal setup and functioning to meet your needs. **What problems is Govenda solving and how is that benefiting you?** We have saved so much time, printer ink and paper by moving to this electronic platform. Board members and other committee members receive information faster since not relying on couriers. Administrative assistants have time added back to their day by doing things electronic and not having to make paper packets or replace pages when updates are made. Our meetings are more streamlined and meaningful with improved accessibility. It is exciting that we no longer have paper board books that were hundreds of pages long. Participants can make notes to themselves for questions later, and they can make notes that are public to the meeting attendees to prompt discussion. Annotations assist with making sure the board members can follow along with the conversation easily. The opportunity for the board members to view documents as they are uploaded instead of waiting for a board book has provided the ability for the board to have more time to review the information, so they are well prepared for any decisions or votes. The new dashboard for administrative users is a fantastic feature. It puts all the info I need into one place to track and review. **What do you dislike about Govenda?** There isn't anything I dislike about Govenda! If I was asked for a suggestion, I would say that I would like the formatting of the Meeting Minutes text to work a little better, but I have managed to accomplish what I need. It works a lot like MS Word, but there seem to be a couple of glitches when you import the agenda as a starting point for developing the Meeting Minutes document. **What problems is Govenda solving and how is that benefiting you?** With Govenda, we have solved the problems associated with having board members located in multiple states. Having a built-in virtual meeting feature has made Govenda essentially a one-stop shop for our organization. Another benefit is not having to gather paper or electronic files and put them together in a packet. Govenda saves us the time and money that used to go into assembling the board packets. The calendar feature and reminders are a great feature to automate the flow of information to our board members. The permission setting on documents is also exellent and easy. People see what they need and don't what they shouldn't. **What do you dislike about Govenda?** When drafting an agenda in Word, Govenda allows the direct import but lines like headers or titles are improperly formatted. You can't just take a document as you would print it and import it in as an agenda without re-formatting. **Recommendations to others considering Govenda:** Govenda is a straight forward paperless way to manage a board of directors. Document management and agenda development are very easy. You will want to pay attention to the permissions and document managment. It is an execllent and easy set up for voting and polling if you need that. **What problems is Govenda solving and how is that benefiting you?** Adoption by the board is a bit slower than I hoped. On a laptop or my mobile phone. The fact that I can also read offline is breathtaking. **What do you dislike about Govenda?** At the moment, I would say that perhaps it would be good for the periodic updates to happen in the background in silent mode. I have noted that sometimes it becomes difficult to continue using the system when they are pending updates. Having all the board members in one place and being able to designate them to specific communities is great. The vote function for scheduling being built in is also ideal. **What do you dislike about Govenda?** I don't like that I can't decide what to publish. Our board prefers calendar invites and reminders to come directly from me and might miss the govenda calendar invite, so I end up having to send both invites which can be confusing. **What problems is Govenda solving and how is that benefiting you?** The biggest problem is having a platform that is easy to use to communicate with our most important community members. It is very user friendly from the member side of the screen. I have never used a competitor's so I do not know how it compares. **What do you dislike about Govenda?** Taking attendance while also trying to take minutes is difficult because you have to have two screens of it open at the same time. Building the agenda can be frustrating because you can import your agenda, but it does not allow you to import the previous attachments with it. This makes it difficult if you roll agenda items up through a cascade of committees because you have to make sure to go back in and add all of the attachments again even though you just did it for the previous meeting. I also do not like the new format so much. It can be helpful and does serve it's purpose, but every time I add a new line on the agenda it automatically drops me to the bottome of my agendas. If you have large meeting agendas in can be quite annoying to scroll back up to make changes in the section you are working in. Also, when I am in the meeting on my laptop and save the minutes, sometimes I come back to my work computer and the formatting is all off from the laptop to my computer. **What problems is Govenda solving and how is that benefiting you?** We reduced our paper and binder usage for meetings allowing us to streamline agendas and documents from one meeting to another. It allows are board members to access all needed documentation prior to the meeting in one spot. What I needed was a clearinghouse to store board meeting documents for historical reference purposes and with Govenda, I got that. **What problems is Govenda solving and how is that benefiting you?** The problem I've been able to solve is having to resend previous documents to board members via 1:1 emails. If they have a need to review a previous document, they can access it on-demand through the Govenda portal. ### 12. We just figured out how to assign committee admin rights so people are limited in seeing only the information for the committees that they are involved in. **Recommendations to others considering Govenda:** It is a great tool to help organize meetings. **What problems is Govenda solving and how is that benefiting you?** Easy access to data, reduced time in emailing information for meetings. Many of our board members are very happy with the app they can use on their phones. The ease of uploading documents adjusting meetings makes creating the agenda easier. The digital platform also has been ideal since our meetings have turned virtual. **What do you dislike about Govenda?** There seems to be a glitch in the software. When a boardmember/user who signed minutes is removed, their signature is removed from all past minutes that were signed and approved. This has resulted in missing signatures fro the one user removed. We have not received a fix for this issue as of yet. **Recommendations to others considering Govenda:** This system is complete. I have had to delete entire agenda items to try to make the agenda more cohesive, and it can sometimes be a time suck. **Recommendations to others considering Govenda:** Upload your documents to your agenda items vs. to the meeting itself - it makes it easier to navigate! **What problems is Govenda solving and how is that benefiting you?** We use Govenda to import board meeting materials and efficiently organize our meetings. This includes providing the most current and up-to-date changes and/or revisions to documents & agenda items. It also resolves the problem of having e-mails going back and forth...leaving many board members without the most current information for meetings. The ability to build an interactive agenda, attach necessary files, meeting notice, and user engagement features has made board meetings, voting and internal communications so much more meaningful and efficient. **What do you dislike about Govenda?** Would be great if there was a messaging feature in the app or portal so that members could communicate directly. Would also be helpful if there was a note taking/to do list widget within the app so that notes didn't have to be annotated. **Recommendations to others considering Govenda:** I highly recommend BoardBookit to those considering. They are constantly updating features which only helps to improve productivity of meetings and ease of use. I have not found anything better. **What problems is Govenda solving and how is that benefiting you?** Board members are more engaged with the process during board meetings. We have found that that they have become more likely to review materials ahead of time, reference other documents available to them and even engage in more meaningful ways. I like the ability to import a previous agenda into a new meeting as a template and to import previous minutes into the agenda. **What do you dislike about Govenda?** The word processor for creating Minutes leaves much to be desired. The document is pre-formatted and difficult to override the settings, and there is no way to view the coding to determine why formatting goes wonky. I often draft the minutes in a Word document then copy and paste the text back into the Minutes template, but the formatting is not retained. Would like the ability to create a meeting amongst individuals without first having to create a group for that meeting. Would also like to be able to include attachements in emails sent via the portal. Would also like the ability to upload fillable PDF forms to the Documents folder. Currently, anything uploaded there becomes a non-editable PDF file, but would be great to be able to distribute forms via the platform. This may be solved with the soon-to-be-released survey feature. **What problems is Govenda solving and how is that benefiting you?** My board has 40 trustees residing in disparate geographic locations.
