Task management is the strongest part related to dependencies, time logging, and Gantt scheduling all work reliably without things breaking when the project gets complicated. Team collaboration happens naturally inside the tool through task comments, file attachments, and tagging, so you're not jumping between five different apps to stay in sync. Templates were a big time saver once I figured them out, we cut project setup time significantly for recurring work. Multiple views like Gantt, board, and calendar mean different teammates can work in whatever format suits them. Reporting is flexible enough that my manager now gets automated weekly summaries without anyone manually pulling data together.

**What do you dislike about Celoxis?**

Navigation is the biggest frustration features are buried, the menu structure isn't intuitive, and new users will spend weeks just finding their footing. I had to write an internal guide for my team, which shouldn't have been necessary. Templates are useful but discovering and customizing them is harder than it should be with no real guided setup to help first-timers. The overall design feels dated compared to modern tools, and colleagues coming from Notion or Monday.com were visibly put off by it, which hurt early adoption. What stood out to me first was the amount of visibility it gives without making the workspace feel crowded. I found Celoxis’s built-in time-tracking system the most useful feature. What I like most about Celoxis is how organized project management became after moving our workflows into the platform. One thing I genuinely like about Celoxis is how customizable it is. You can tailor dashboards, workflows, and reports to fit your project needs, which is a big plus when you’re dealing with different types of projects Agile, hybrid, and so on.

The reporting and analytics are also genuinely powerful. They provide clear insights into resource allocation, deadlines, and bottlenecks, which helps a lot when you’re managing multiple tasks or teams.

The integration capabilities are decent as well. Connecting with tools like Jira or other tracking systems helps keep everything in sync without requiring too much manual effort.

**What do you dislike about Celoxis?**

The biggest drawback, honestly, is the UI/UX. It feels a bit outdated and not as smooth or intuitive as many modern tools, so new users may need some time to get comfortable with it.

Another challenge is the learning curve. Because it’s feature rich, it can feel overwhelming at first especially for someone who just wants a simple task tracker and doesn’t need all the extra options right away.

Performance wise, I’ve also noticed that it can be a bit slow at times, particularly when handling large datasets or generating more complex reports.

From a problem solving perspective, Celoxis works well when you're dealing with resource conflicts and deadline management.

For example, in one of our projects, we had overlapping tasks assigned to the same developers. Celoxis helped identify resource overloading early through its reports, and we were able to rebalance the workload before it became a blocker.

Another use case was deadline tracking the automated alerts and progress tracking helped avoid last minute surprises, especially during release cycles.

**What do you like best about Celoxis?**

Before Celoxis I was genuinely flying blind across our project portfolio. I knew things were busy but I had no real way to see where the pressure was building until someone escalated something to me. The live portfolio view changed that completely and within the first two weeks I was having conversations about resource conflicts before they became delivery problems rather than after. That shift from reactive to proactive is something I did not fully appreciate was possible until I experienced it.

**What do you dislike about Celoxis?**

The notification system out of the box is too noisy and needs manual tuning before it becomes useful rather than distracting.

**What problems is Celoxis solving and how is that benefiting you?**

We had eight project managers running their own tracking systems with no shared view of how their projects were competing for the same people. Someone would commit a resource on Tuesday without knowing that person had already been committed somewhere else on Monday and the conflict would surface as a missed deadline two weeks later. Celoxis eliminated that completely by giving everyone visibility into the same resource picture at the same time. The number of last minute escalations we deal with has dropped significantly and our project managers have told us they feel less like they are constantly firefighting which is something I did not realise was affecting morale until it stopped.

What I dislike about Celoxis is that the interface can feel a bit complex at first, especially for new users, and some features take time to learn. However, once you get used to it, it becomes much more efficient and powerful for managing projects.

Celoxis helps solve problems like poor project tracking, resource overload, and lack of proper planning. Earlier it was difficult to know who is working on what and if projects are on time or not.
With Celoxis, everything is in one place—task tracking, team workload, and reports. This helps me plan better, avoid delays, and use resources properly. It saves time and improves overall project control.

The cross project timeline view that shows how delays in one project create pressure on shared resources across other active projects is the feature our programme managers reference most when they explain what changed after we moved to Celoxis. Decisions that used to get made in isolation with no visibility into their broader impact on the portfolio now get made with the full picture visible and the improvement in how those decisions land has been felt across our delivery organisation in ways that go beyond what any individual metric captures cleanly.

The onboarding experience for non project management users who need limited access to specific project information is more complex than their level of involvement warrants.

**What problems is Celoxis solving and how is that benefiting you?**

Decisions made in isolation across a portfolio of concurrent projects were creating cascading resource conflicts that nobody had visibility into until they had already affected delivery timelines. A project manager would commit a shared resource to an additional task without knowing that the same resource had already been committed elsewhere and the conflict would surface as a missed deadline rather than a scheduling conversation. Celoxis made those conflicts visible before they became delivery failures and the cultural shift that has followed from making good information available at the right time has been more significant than the platform features themselves

What I like most is how much visibility it gives across projects resources and budgets in one place. Instead of switching between spreadsheets and separate apps I can manage planning tracking and reporting from a single platform.

There is definitely a learning curve in the beginning because the platform has many features and configuration options.
The UI feels more functional than modern and new users may need time before becoming fully comfortable with the workflow.

The real time resource utilisation view across our entire active project portfolio is the feature our operations team has built its weekly rhythm around. Seeing exactly how each team member's capacity is being consumed across concurrent projects and commitments means allocation decisions get made with complete information rather than the partial picture that led to chronic overcommitment before. The impact of that visibility has been felt most directly by the team members themselves who have commented that they feel more fairly managed now that workload distribution is based on data rather than whoever happens to be most visible when a new task needs assigning.

**What do you dislike about Celoxis?**

The gantt chart interface becomes difficult to navigate on complex projects with a large number of interdependent tasks and smaller screens.

**What problems is Celoxis solving and how is that benefiting you?**

Chronic overcommitment was the problem that brought us to Celoxis and it has been the problem most visibly solved since we went live. Our team was consistently being assigned to more work than the hours in their week could absorb and the consequences were showing up in missed deadlines declining quality and a turnover rate that our HR team was starting to flag as a retention risk. Celoxis made the overcommitment visible in a way that could not be dismissed or explained away and the allocation discipline that has followed has had a measurable effect on both delivery performance and team satisfaction scores in our last two internal surveys.

The way Celoxis surfaces real project status without depending on project managers to self report accurately is what changed the dynamic of our weekly reviews. Before we were essentially asking people to assess their own projects and present that assessment to leadership which created a predictable pattern of optimism that rarely matched what was actually happening on the ground. Celoxis pulls the data from task completion resource consumption and timeline adherence and presents a picture that nobody has curated which has made our project conversations more uncomfortable in the short term and significantly more productive in the long term.

**What do you dislike about Celoxis?**

The portfolio level dashboard takes longer to load than it should when you have a large number of active projects running simultaneously.

**What problems is Celoxis solving and how is that benefiting you?**

We had a trust deficit in our project reporting that nobody was willing to name directly but everyone experienced in every review meeting. Project managers were presenting status that leadership suspected was optimistic and leadership was making decisions based on information they did not fully trust which created a cycle of poor decisions and missed commitments that had been running long enough to affect client relationships.Celoxis broke that cycle by making project health an objective data question rather than a subjective reporting exercise and the improvement in decision quality at the leadership level has been visible enough that our CEO referenced it specifically during our last quarterly business review as one of the operational changes that had the most tangible impact on how the business performed.

The way Celoxis surfaces project health without requiring project managers to manually compile status updates has fundamentally changed how our weekly reviews run. Everyone walks into the Monday meeting already aligned on where things stand because the platform has been updating in real time throughout the week. The time that used to go into preparing status packs now goes into actually discussing what needs to change which has made our project governance meaningfully more effective than it was before.

The user permission configuration across large teams is more granular than most administrators are prepared for and takes longer to get right than the setup documentation suggests.

Inconsistent project reporting across our portfolio was making it impossible for leadership to compare performance across different project teams in any meaningful way. Each project manager had their own approach to tracking and communicating progress and the result was a portfolio view that reflected individual habits more than actual project health. The Celoxis feature I’ve found most valuable is its **project risk tracking** capability. In many projects, small issues can slip by in the moment and only become obvious later—often after they’ve already grown into major delays. With Celoxis’s progress indicators and alert system, potential risks are flagged early, well before they start affecting timelines. This gives the project manager the chance to step in quickly with corrective action, which makes a meaningful difference in keeping the project stable and on track.

**What do you dislike about Celoxis?**

One aspect that can feel a bit challenging is configuring the risk indicators and tracking metrics correctly. If the initial setup isn’t done properly, the alerts you receive may not be very meaningful or actionable. New users may also need some time to figure out which metrics matter most for effective project monitoring and to fine-tune the configuration accordingly.

For me, the most significant impact Celoxis has made is ensuring that **issues no longer surface at the very last minute**. The real time project dashboard has replaced the entire weekly status email cycle that used to consume hours of collective time across our delivery team. Stakeholders who previously needed a human to interpret project health for them now check Celoxis directly and arrive at meetings already oriented on what needs discussion rather than waiting for someone to present a slide that summarises information the platform already shows clearly. The portfolio level financial tracking has also matured into something our finance team actively uses rather than tolerates which was not something we anticipated when we first evaluated the platform.

Third party calendar integration behaves inconsistently enough that our project managers have stopped relying on it and manage scheduling through separate tools instead.
