Project management - used for a small team of 5 people for a couple of different projects, it's really useful in keeping track on progress/updates in one place, with everything logged and the capacity to attach documents and store them works well when engaging with external companies.

i dislike about Jira is that simple marketing tasks can sometimes require multiple updates before they are marked as completed especially when approval workflows involve several teams, for fast moving campaign this can feel more time consuming than necessary. i also find that highly customized boards with numerous issues types and custom fields can make it harder for new team members to navigate and locate the information they need, while jira is extremely flexible, keeping workflows simple is important for maintaining productivity. What do you like best about ClickUp?

What I like most about ClickUp is that it brings almost everything my team needs into one platform. The UI feels clean, and once you get used to it, it’s easy to navigate. I also like being able to switch between List, Board, Calendar, and Dashboard views depending on the project and what we’re trying to track. On top of that, it integrates smoothly with tools we already use, which helps reduce context switching.

In terms of performance, it’s been reliable for day-to-day work, even when we’re managing projects with a large number of tasks. From a value perspective, it includes a lot of features compared to other project management tools, so it’s been a solid investment for our team. The onboarding resources and documentation made getting started easier as well, even though there’s still a bit of a learning curve.

What do you dislike about ClickUp?

ClickUp’s biggest drawback, in my experience, is the learning curve. With so many features and customization options, it can feel overwhelming for new users at first. I’ve also noticed that pages with a large number of tasks, or more complex dashboards, sometimes take longer to load than I’d prefer. And while the platform is very powerful, certain settings and workflows aren’t always easy to locate without spending time digging through the documentation and exploring on your own.

I’d also like to see the AI features continue to improve, especially with more context-aware suggestions and deeper integration into everyday project management tasks. Overall, these issues are relatively minor compared to the value ClickUp provides, but there’s still room to make the experience smoother, faster, and more intuitive. Honestly I haven't found any dislikes so far about Asana. I don't think that I use it to its fullest capability because I'm the only one on the team that uses it. It makes for an excellent invoice payment tracker and to do list for me. I color coded the different categories of my day to day tasks (Administrative, HR, Finance, Brain Dump, etc.) and I can look at the calendar view and see very easily what I've got on the docket for that day. What problems is Asana solving and how is that benefiting you?

I'm not missing deadlines! And that is benefitting me because my boss is happy and I stay out of trouble lol. Before Asana, I was a hot mess express! Seriously, I can fill a legal pad up from front to back in about three days. With Asana, I can get all of my thoughts out of my head in my Brain Dump project, and then I can go back and sort each task into the appropriate project depending on whether it's HR related, Finance related, or just regular ole Admin related. Mural still has several gaps, but it does seem dedicated to improving. The positioning and alignment reference lines have improved a lot, but it’s still lacking when it comes to placing items within areas, or when you have areas inside other areas. On a lower-capacity computer, Mural also tends to take a long time to load. I still don’t see much AI in Mural, and I think this is another area where it could improve. I love this platform for its capability to collaborate and build strategy for developmental goals of the organization. I also love this platform for its capability to customize workflow and workspaces. Other than this I also love this platform for its whiteboarding and brainstorming capabilities which improves co-ordination and collaboration among teams. The transition from ideas to road map is made easy with this platform. The notifications and meeting feature of this platform is also worth mentioning. “Airtable has transformed the way I do my job for the better.”
What do you like best about Airtable?

I have used Airtable for higher education, non-profit, and small business retail applications, each of them requiring very different outputs, and all of them have benefited from the ability to integrate multiple teams and functions into one centralized, interconnected place. Within my higher ed team we have managed to make integrated and interconnected Airtable apps for annual planning, budget and procurement, project management, event coordination, and hiring/onboarding--all for the same office and portfolio of work, but also connecting across each of our portfolios. The longer I've used it the more I'm convinced that there's little to nothing that can't be solved with Airtable and a little creative thinking. Review collected by and hosted on G2.com.

What do you dislike about Airtable?

My favorite thing about Airtable is actually this: the suggested improvements I mentioned when I first wrote this review in 2024 have all been resolved, and not because of anything I've done--the development team is constantly working on ways to make Airtable more accessible and easier to use, adding new features based on user feedback, and dreaming up innovative ways to rethink problems that other platforms on the market haven't even begun to tackle.

The only thing I wish I could actually improve about Airtable is the somewhat clunky pay-per-seat model of user accounts, which always seems to be more convoluted than it should be, but I wouldn't be surprised if that element is also changed for the better by the time someone is reading this. What problems is Airtable solving and how is that benefiting you?

I have several major projects in my role at a large research university, and all of them benefit from Airtable:

1. I coordinate a 10-year old fellowship program, and I have a decade of records and information about the program, its applicants and members, their work within the program, and their impacts on our community after they complete it. With Airtable I'm able to track all of that in one place, which means I always know where to go to find what I need, and it also means that I can create reports/interfaces for the fellows that give them snapshots of their particpation in the program over time. Since some of the folks have been involved for literally a decade they have had lots of engagement with many roles in the program, and before we moved all of this data to airtable I would have to recall things from memory or look each type of role up by person and year in our cloud storage. This has made the process easier, more accurate, and more helpful for the fellows themselves.

2. I organize several large-scale, complex events and programs for faculty, and using Airtable has made that process so much easier. I can have everything from project/task management to sign-ups and attendance lists to logistics planning all in one place, and because of the ease of synching and tables and linking fields, I can do virtually no copying and pasting throughout that process. I used to have so many spreadsheets for each event, and have to transfer so much information from one to another each time...and now that isn't a problem anymore. I can also use the same base each year and just update the years on the new records, so that I can more easily track data over time and have far more useful assessments of my programs. This has transformed my assessment processes and I'm really excited to see how that continues to grow.

3. We are implementing Airtable in our center's annual planning processes for the first time this year, and we've already benefitted so much. We are able to collect information more easily from each of our staff members about their plans and needs, and then the appropriate teams are able to easily gather their own annual lists of work from that collection more accurately than before. We're just starting to play around with automations to make this process even more streamlined and seamless, and I know by next summer's annual planning we'll have something even better put into place. The project budgeting features in Ravetree are the best I've ever seen. We were in spreadsheets prior to using Ravetree and looked at other tools before moving to Ravetree. They were the only one that had the budgeting features we needed. Specifically, we needed to set budgets for each project phase and then have those roll up to the project. Conceptboard is intuitive and quick to learn, making it ideal for participants without prior experience with virtual whiteboards. My wish: To be able to share boards in dedicated instances. Unfortunately, in May 2026, Conceptboard changed the "sections" in such a way that I lost many hours of work; and objects were automatically defined as "sections" where it makes no sense. What do you like best about Agency Handy?

Agency Handy is one of the very few tools I’ve used that genuinely lives up to the “all-in-one” promise. Instead of stitching together 5–10 different tools (CRM, invoicing, proposals, project management, client comms, etc.), everything is finally in one clean, intuitive platform.

The biggest win for me is how connected everything feels:

• Client onboarding flows straight into projects

• Services → proposals → invoices → payments all link together seamlessly

• Tasks and deliverables are automatically created from what clients purchase

• The client portal gives a genuinely professional, branded experience

The service catalog + proposal system alone is a game-changer. It makes selling services feel structured and scalable instead of manual and messy.

On top of that:

• The UI is incredibly clean and easy to navigate

• Setup is fast (we were up and running properly within hours, not weeks)

• The client portal reduces email back-and-forth massively

• Recurring billing + payments just work (huge time saver)

• Team collaboration and task tracking are built-in and actually usable

If I had to pick something, it would be that there are still areas where deeper customization (especially around branding, layouts, or UI tweaks) could go further.

That said — and this is important — this is actually one of the reasons I’m bullish on the product.

Unlike most tools where limitations feel “baked in,” Agency Handy is clearly being actively developed, and many of the things you might initially want are either already being improved or on the roadmap.

What do you like best about Trello?

Trello is one of the easiest project management tools I’ve used. Its drag-and-drop Kanban boards make it simple to organize tasks, set priorities, and track progress at a glance. I also appreciate how flexible it is—I can use it for personal task management as well as team projects without needing to learn a complicated system.

Getting started with Trello was very straightforward. The interface feels intuitive, so new users can quickly understand how boards, lists, and cards work without extensive training. Thanks to the clean design and guided setup, most team members can become productive in a short amount of time.

Integrations with tools like Slack, Google Drive, and other productivity apps help keep everything connected, and the automation features (Butler) save time by taking care of repetitive tasks. As a result, Trello has made it much easier to collaborate with teammates, stay organized, and make sure nothing falls through the cracks.

Trello has also been reliable even when working with larger boards and multiple collaborators. Pages load quickly, updates sync almost instantly, and I’ve rarely run into slowdowns or downtime. While Trello is great for task management, it can become difficult to navigate as projects grow larger. What I find most helpful about Celoxis is how it perfectly blends resource management with real-time project financials all in one place. The resource workload view is a lifesaver for seeing exactly who is overbooked across multiple projects, making it easy to rebalance tasks before team members burn out. I also love the dynamic Gantt charts because if a client changes a deadline, the downstream task dependencies adjust automatically. I like how fast and simple it is. You can open it and start making a flowchart or wireframe in seconds. No setup, no confusion. The interface is clean and doesn’t feel heavy.

It’s really good for process flows. I use it when I need to explain how something works step by step. The diagrams look neat without putting in too much effort. Alignment and connectors are easy, so things don’t look messy.

Also, sharing with others is simple. Just send a link and people can view or edit. For quick collaboration, it works well.

What do you dislike about Whimsical?

It feels a bit limited once work gets bigger. For small diagrams it’s perfect, but for larger planning or brainstorming sessions, the canvas feels restrictive.

It’s more of a diagram tool than a full collaboration space. When discussions go beyond flows into planning, tracking, or workshops, we had to use other tools.

Template options are also fewer compared to some other platforms, so sometimes we had to build layouts from scratch.

It helps turn discussions into visuals quickly. When we talk about processes or system flows, people often understand differently. Drawing it out in Whimsical clears things up fast.
