I like that it’s already integrated with my Monday boards and workflows. It doesn’t seem to have a central place where I can configure everything. I have one agent in one workspace and another agent in a different workspace, and as an admin I have to dig through the settings just to see which agents exist. What I dislike about Jira is that it can sometimes feel overly complex for simple tasks. There are many fields, statuses, filters, and configurations, and it can take extra time to find the exact information I need. Another issue is that when there are a lot of tickets and notifications, Jira can feel a bit overwhelming. Jira is helping solve the problem of keeping work organized, visible, and easy to track across different teams. For me as a UI/UX Designer, it gives me one place to manage design tasks, bug tickets, requirements, feedback, and progress.

What do you like best about ClickUp?

I appreciate that ClickUp allows me to manage all my information in a single location, integrating with SharePoint and OneDrive, and helps us keep track of both project and personal tasks. The full transparency across the company is crucial, allowing us to know exactly where each project stands. I like the external integrations with tools like Chat GPT, Gemini, and Claude. The Gantt features and API connectivity to additional external software are also very useful. I find the flexibility ClickUp offers with its multi-level hierarchy and ability to visualize tasks in multiple locations very accommodating. The new AI features enhance usability and functionality significantly. Setting up ClickUp was quite simple, and it's scalable, even as we plan to expand our user base. What do you dislike about ClickUp?

I think the biggest bottleneck is that the AI feature is not ready yet. The internal brain AI has a lot of hallucinations, giving answers with a low level of certainty and is often wrong. Although it helps solve problems, you need a strong and ongoing interaction to reach the problem's root. Also, the limitation that agents cannot activate other agents is very restrictive. Some AI features cannot access others, like automations that can't reach automations in other locations or other agents, which limits the possibilities with AI a lot. What do you like best about Asana?

We run a small catering business and prep sheets used to get printed fresh every time a menu changed, someone in the kitchen working off a version that might already be outdated by the time they picked it up. Set up recurring tasks per dish with the ingredient list and prep steps attached, and now updating one task updates it everywhere instead of reprinting. Also use subtasks to break down big order prep into who's doing what, so two people aren't accidentally both starting the same dish while something else gets forgotten entirely. Reprinting prep sheets constantly whenever a menu shifted was a small but real waste of time and paper. Having tasks that update instead of needing a reprint fixed that specifically, and subtask breakdowns have cut down duplicate work on big orders where two people used to unknowingly start the same thing. Some staff still need paper regardless, so it's not a complete kitchen transformation, but for coordinating who's doing what on a busy prep day it's helped a lot. The project budgeting features in Ravetree are the best I've ever seen. We were in spreadsheets prior to using Ravetree and looked at other tools before moving to Ravetree. They were the only one that had the budgeting features we needed. Specifically, we needed to set budgets for each project phase and then have those roll up to the project. Agency Handy is one of the very few tools I’ve used that genuinely lives up to the “all-in-one” promise. Instead of stitching together 5–10 different tools (CRM, invoicing, proposals, project management, client comms, etc.), everything is finally in one clean, intuitive platform.

The biggest win for me is how connected everything feels:

• Client onboarding flows straight into projects

• Services → proposals → invoices → payments all link together seamlessly

• Tasks and deliverables are automatically created from what clients purchase

• The client portal gives a genuinely professional, branded experience

The service catalog + proposal system alone is a game-changer. It makes selling services feel structured and scalable instead of manual and messy.

On top of that:

• The UI is incredibly clean and easy to navigate

• Setup is fast (we were up and running properly within hours, not weeks)

• The client portal reduces email back-and-forth massively

• Recurring billing + payments just work (huge time saver)

• Team collaboration and task tracking are built-in and actually usable

If I had to pick something, it would be that there are still areas where deeper customization (especially around branding, layouts, or UI tweaks) could go further.

That said — and this is important — this is actually one of the reasons I’m bullish on the product.

Unlike most tools where limitations feel “baked in,” Agency Handy is clearly being actively developed, and many of the things you might initially want are either already being improved or on the roadmap.

What do you like best about Airtable?

I love Airtable for its flexibility as a no-code, low-code platform. It's great for creating custom, client-specific processes with the right combination of guardrails and flexibility. This platform allows me to simplify and restructure processes easily, and it was a cost-effective alternative to Salesforce. I appreciate being able to integrate it with other platforms like e-signature solutions, making it versatile. The ability to customize ensures that clients don't feel locked into our service, as they can make simple changes themselves. I also enjoy how, as we get comfortable with Airtable, it becomes more powerful and addictive to integrate more business operations, consolidating tech sprawl into one platform. What do you dislike about Airtable?

Probably the biggest complication, though it's getting better, is in record count limits and how well Airtable serves "line item" processes. It's possible, it's just maybe not the best space for it often, as it can require extra fields and less intuitive arrangements. It would be nice if Airtable built a native "archive" function for archiving records in a table so that they weren't deleted but transcribed to a different space for reporting purposes later. The setup of Airtable took a bit of time, and since it's a custom solution, we needed to rethink how the process worked to integrate it better into other processes. What do you like best about Quickbase?

Quickbase has been helpful for managing our existing logs and organizing information across different service areas. Our DSS department uses it to track client data, which we previously managed in an Excel spreadsheet. It addressed the problem of multiple staff members trying to edit the same file at once, which used to cause issues. Overall, it’s been smooth to use, and we haven’t had any complaints with what we currently have in place. I also appreciate the flexibility to create test applications so I can explore potential uses for other departments. Pricing is fair and worth the functionality. What do you dislike about Quickbase?

Before Quickbase, we relied heavily on Excel for tracking client information, and it wasn’t working well. Staff ran into issues with multiple people editing the same file, which led to errors and inefficiencies. Quickbase eliminated those problems by providing a centralized platform where everyone can access and update information without conflicts. It’s also helped us explore ways to streamline processes, like maintenance tracking and capturing signatures, though those are still in the early stages. Overall, Quickbase has made managing data easier and more reliable for the department that uses it. We would like to see more features related to signature capturing that is integrated into QuickBase and not a third party attachment.
