What do you like best about monday Work Management?

What I like best about monday Work Management is how it brought structure and visibility to a team workflow that previously lived across disconnected tools, spreadsheets, and informal communication threads. I work as a Customer Support Representative at Alarm Masters, a security alarm monitoring company based in Colombia serving North American clients, and our team of approximately 19 agents relies on monday Work Management daily to track cases, manage follow-up tasks, coordinate escalations, and monitor workload distribution across the team.

The feature I return to most consistently is the customizable boards. Before monday Work Management, tracking open follow-up tasks — payment arrangements on past-due monitoring accounts, scheduled callbacks, pending account modifications — meant relying on personal notes, calendar reminders, or Salesforce task fields that weren't always visible to the broader team. Monday's boards gave us a shared, real-time view of every open item across the team, organized by status, priority, and owner. Nothing falls through the cracks the way it did before because every task is visible to everyone who needs to see it.

The automation layer has also been a significant time saver. We use automations to trigger status notifications when a follow-up task is approaching its due date, to reassign items when an agent is unavailable, and to move tasks automatically through workflow stages as their status changes. These automations removed a layer of manual coordination that previously required a supervisor to manage manually throughout the day.

The dashboard feature has given our team leadership a real-time view of workload distribution across all 19 agents — who has the most open items, which task types are accumulating, and where bottlenecks are forming — without requiring anyone to compile that information manually. What do you dislike about monday Work Management?

The most consistent frustration our team has encountered with monday Work Management over our time using it at Alarm Masters is the learning curve tied to board structure and scalability. When we first implemented the platform, individual agents started creating their own boards organically for different task types — follow-up tracking, collections cases, account modification requests, escalation logs — and within a few weeks we had multiple boards doing almost the same thing with different status labels, different column structures, and no single place to see overall team progress. The platform gives you tremendous freedom to build, but that freedom works against you if you don't establish standardization upfront. Consolidating those boards into a coherent, scalable structure took approximately three to four weeks of cleanup and required buy-in from the entire team to adopt consistent naming conventions, status values, and column types across all boards.

Automation reliability has also been an occasional frustration. Our team relies heavily on automations to trigger due date notifications, reassign tasks when agents are unavailable, and move follow-up items through workflow stages automatically. On most days these automations run without issue, but we have experienced intermittent delays — particularly during periods of higher platform load — where automations fire later than expected or require a manual trigger to execute. For a customer support team managing time-sensitive follow-ups on active alarm monitoring accounts, even a 30 to 60 minute automation delay can affect the timeliness of a customer callback or a collections follow-up.

The mobile app experience is the third area where monday Work Management falls short of the desktop version for our use case. Updating task statuses, adding comments, and viewing dashboards on mobile works adequately, but the mobile app lacks the full functionality of the desktop — the automations editor, certain column types like formula columns, and board template access are all unavailable on mobile. For agents who occasionally need to check or update their boards outside of regular hours, the mobile experience is functional but noticeably limited compared to what the desktop offers.

The core problem monday Work Management solves for our team at Alarm Masters is the lack of shared visibility that used to define how we tracked open tasks, follow-ups, and escalations across our team of approximately 19 customer support agents. Before monday Work Management, every agent managed their own follow-up workload independently — through personal notes, calendar reminders, and informal Slack messages — which meant that open items tied to active customer accounts were invisible to anyone except the individual agent handling them. When an agent was unavailable, tasks fell through the cracks, follow-up calls didn't happen on time, and customers with active billing disputes or unresolved alarm monitoring issues had to call back in to chase resolutions that should have been proactive.

Monday Work Management solved that visibility problem entirely. Every open follow-up task — payment arrangements on past-due monitoring accounts, scheduled callbacks, pending account modifications, escalation tracking — now lives on a shared board that the entire team and our supervisors can see in real time. The benefit to me personally is confidence that nothing I'm responsible for will slip past a due date unnoticed, because the platform surfaces upcoming and overdue items automatically and triggers automated notifications before a deadline is missed.

The automation layer has directly addressed the coordination overhead that used to sit on our supervisors. Before monday Work Management, redistributing tasks when an agent was unavailable required a supervisor to manually identify what was open, who could take it, and then communicate that reassignment through Slack or a direct message. Now those reassignments happen automatically based on rules we configured upfront, which has freed our supervisors to focus on higher-value coaching and escalation management rather than daily task logistics.

The dashboard reporting has also benefited our team leadership significantly. I heavily use the code blocks to store versions of code. It easily and swiftly handles thousands of lines of code. This I haven't found in any app.

On a lower-capacity computer, Mural also tends to take a long time to load. I still don’t see much AI in Mural, and I think this is another area where it could improve. What do you like best about Airtable?

What I liked most about Airtable was how it helped organize engineering coordination, tracking activities, and documentation workflows in a much more structured way compared to managing everything through spreadsheets alone.

While handling BOM updates, drawing-review tracking, project follow-ups, and concession activities, the linked-record structure made it easier to connect related information instead of maintaining multiple disconnected Excel files. Different teams could quickly check status, ownership, pending actions, and review history without repeatedly asking for updates.

The calendar, grid, and Kanban-style views were especially useful during project coordination because each team preferred a different way of monitoring activities. I also used automation rules and reminders for repetitive follow-up tasks, which reduced manual coordination effort during busy project cycles.Another practical benefit was the flexibility. Without depending heavily on IT support, workflows could be adjusted quickly whenever project requirements changed.

From a UI/UX perspective, the platform felt cleaner and easier to navigate than traditional database tools, and onboarding new users was relatively simple because the spreadsheet-style layout felt familiar initially.

One limitation I noticed is that performance can slow down slightly when bases become very large and heavily connected with automations and linked records.

The project budgeting features in Ravetree are the best I've ever seen. We were in spreadsheets prior to using Ravetree and looked at other tools before moving to Ravetree. They were the only one that had the budgeting features we needed. Specifically, we needed to set budgets for each project phase and then have those roll up to the project. What do you like best about Trello?

Trello makes it very easy to organize my design and creative work visually. I like the drag-and-drop board system because I can quickly move tasks between stages like pending, in progress, and completed without making things confusing. The interface feels clean and simple, so even when handling multiple interior or graphic design projects, everything stays easy to track. I also like that I can create separate boards for different clients or projects and add notes, deadlines, references, and design updates in one place. What do you dislike about Trello?

One thing I noticed while using Trello is that it works very smoothly for simple and medium-sized projects, but as boards grow with many cards, checklists, and lists, the workspace can start to feel crowded and slightly difficult to organize efficiently. During larger creative and design-related projects, finding older updates, attachments, or specific task details sometimes required extra searching, especially when multiple team members were actively updating boards. I also feel that some advanced features such as automation, timeline views, detailed reporting, and certain integrations are restricted in the free plan, which may limit productivity for teams handling more complex workflows. For beginners, understanding Power-Ups, automations, labels, and workflow customization can also take a little time initially because there are many ways to organize projects inside the platform. Apart from these points, Trello remains easy to use and visually organized for daily collaboration. Improving board management for larger projects and making a few advanced tools more accessible in lower plans would make the platform even more efficient and user friendly for long-term use. Agency Handy is one of the very few tools I’ve used that genuinely lives up to the “all-in-one” promise. Instead of stitching together 5–10 different tools (CRM, invoicing, proposals, project management, client comms, etc.), everything is finally in one clean, intuitive platform.

The biggest win for me is how connected everything feels:

• Client onboarding flows straight into projects

• Services → proposals → invoices → payments all link together seamlessly

• Tasks and deliverables are automatically created from what clients purchase

• The client portal gives a genuinely professional, branded experience

The service catalog + proposal system alone is a game-changer. It makes selling services feel structured and scalable instead of manual and messy.

On top of that:

• The UI is incredibly clean and easy to navigate

• Setup is fast (we were up and running properly within hours, not weeks)

• The client portal reduces email back-and-forth massively

• Recurring billing + payments just work (huge time saver)

• Team collaboration and task tracking are built-in and actually usable

If I had to pick something, it would be that there are still areas where deeper customization (especially around branding, layouts, or UI tweaks) could go further.

That said — and this is important — this is actually one of the reasons I’m bullish on the product.

Unlike most tools where limitations feel “baked in,” Agency Handy is clearly being actively developed, and many of the things you might initially want are either already being improved or on the roadmap.

I like how fast and simple it is. You can open it and start making a flowchart or wireframe in seconds. No setup, no confusion. The interface is clean and doesn’t feel heavy.

It’s really good for process flows. I use it when I need to explain how something works step by step. The diagrams look neat without putting in too much effort. Alignment and connectors are easy, so things don’t look messy.

Also, sharing with others is simple. Just send a link and people can view or edit. For quick collaboration, it works well.

What do you dislike about Whimsical?

It feels a bit limited once work gets bigger. For small diagrams it’s perfect, but for larger planning or brainstorming sessions, the canvas feels restrictive.

It’s more of a diagram tool than a full collaboration space. When discussions go beyond flows into planning, tracking, or workshops, we had to use other tools.

Template options are also fewer compared to some other platforms, so sometimes we had to build layouts from scratch.

What do you like best about Celoxis?

Task management is the strongest part related to dependencies, time logging, and Gantt scheduling all work reliably without things breaking when the project gets complicated. Team collaboration happens naturally inside the tool through task comments, file attachments, and tagging, so you're not jumping between five different apps to stay in sync. Templates were a big time saver once I figured them out, we cut project setup time significantly for recurring work. Multiple views like Gantt, board, and calendar mean different teammates can work in whatever format suits them. What do you dislike about Celoxis?

Navigation is the biggest frustration features are buried, the menu structure isn't intuitive, and new users will spend weeks just finding their footing. I had to write an internal guide for my team, which shouldn't have been necessary. Templates are useful but discovering and customizing them is harder than it should be with no real guided setup to help first-timers. The overall design feels dated compared to modern tools, and colleagues coming from Notion or Monday.com were visibly put off by it, which hurt early adoption. Customer support quality is fine but the response time isn't waiting a full day during a time-sensitive issue is stressful when your work depends on the platform. Celoxis rewards patience over instinct. The task management, collaboration, security, and reporting are genuinely strong once you're past the learning curve.
