As an accountant, I take care of many research projects in our department; previously, we used Excel and Tally only, but it used to create many difficulties for me. In terms of its user interface, Xero impresses me in terms of simplicity. Everything that one requires is easily accessible, without any hassle at all. The dashboard provides a brief overview of finances, which comes in handy when the HOD suddenly calls for a brief overview of finances.
What saves a lot of time in this software is reconciliation, which is automated in our case, because we've integrated our bank feed. Usually, everything matches up automatically; however, one has to go through the list and confirm by clicking 'Ok.' We've also integrated the software with Stripe for conference registration fees paid by foreign participants, which makes everything automatic. Finally, I find it helpful when I need to ask the AI bot JAX some questions such as: "How much have we spent on the DRDO project this month?"
Onboarding was easy as well. I am not a CA; I am just a normal admin. It took me half a day to get everything done by following the onscreen prompts. You can customize pretty much everything, which helps the software work the way our business needs it to. We rely on a lot of smart rules to link data together, and that flexibility makes a big difference in day-to-day workflows. There are also a ton of integrations available. For example, we integrate Ramp for AP and Ripping for payroll. Lastly, the intercompany accounting is great: we can pay bills from any entity, and the intercompany engine handles the work of allocating expenses to the correct entity, regardless of where the bills are paid. What I liked most about QuickBooks Online was how effectively it centralized invoicing, expense tracking, reconciliation, reporting, and operational accounting workflows into one cloud-based platform. In daily work, handling financial tracking manually across spreadsheets and disconnected systems created delays and unnecessary reconciliation effort. QuickBooks Online simplified that significantly by keeping transactions, invoices, bank feeds, and financial visibility organized in real time.
The bank-feed synchronization, invoice management, bulk uploads, and reporting dashboards were especially valuable because they reduced repetitive manual accounting work and improved accuracy during operational tracking. I really like the ability to take in person orders from the palm of my hand via an iPad or iPhone with the Shopify POS app. If you use a newer iPhone you can even take tap to pay payments with your phone without the need for any extra hardware. I can customize the POS screen fully with discounts, custom tiles, shipping options, and more. Compared to traditional POS systems with clunky hardware this is incredible. Starting from implementation the experience was amazing! I've been part of ERP implementation projects that have taken 12+ months, whereas we were live in ~9 weeks. The implementation team was really knowledgeable and took the time to understand our processes and help us design / build the system that would scale with us.
We've been able to reduce our timeline to reconcile cash from 5 days to 1 day leveraging cash rules and AI-enabled cash matching automation.
