Room systems enable businesses to add video conferencing functionality to a meeting space. While individuals use video conferencing software for video communication on a one-to-one basis, room systems outfit a meeting room with technology that allows everyone in the room to participate without using their own personal device.

Room systems are often provided as either an add-on or adjacent product to video conferencing software. However, other vendors do not differentiate between their video conferencing solution and room system, selling them as one combined product. Some vendors will provide their own proprietary hardware or can be used with hardware already owned by the business to start and manage meetings. Many will provide built-in screen sharing software or limited meeting room booking system capabilities. Some options will offer more extensive collaboration tools like collaborative whiteboard software within their product as well.

To qualify for inclusion in the Room System category, a product must:

Be a video conferencing software solution that must be used with a hardware room system
Optimize for different types and sizes of rooms
Provide collaboration and scheduling features specific to use in a physical space
Allow users to either purchase proprietary video hardware or bring their own
