One aspect I dislike about Jira is that it can feel overly complex, especially for new users or smaller teams. What do you like best about ClickUp?

I like its interface, which integrates many ways to visualize projects. Additionally, it has the ability to link with various apps or programs that are used daily at work, such as email. It also has the ability to be used on mobile. I liked the forms, as they allow important information to be collected in one place. The initial setup was simple and there are several tutorials on YouTube. I also like that it has integrated different AI functions that allow saving a lot of time.

What do you like best about Asana?

Task and subtask setup is what hooked me. I can break down a project into smaller pieces, assign them out, set due dates, and then actually forget about following up because the platform handles that nudging for me. The automations are genuinely useful, not just a feature that sounds good in a demo. I use them to move tasks along based on status changes and it has cut down on a lot of back and forth. The timeline view also helps a lot when I need to see how everything stacks up across a given week or month without digging through a list. What do you dislike about Asana?

Search function is not great. If I need to find a task from a few weeks back and I do not remember exactly what it was called or which project it lived in, it can take a while to track it down. For a platform that is supposed to reduce chaos, having a weak search kind of works against that. I know the AI feature is supposed to help with this and it does a little, but it still feels like something that should work better out of the box at this point. Constant back and forth of figuring out where things stood on a project. Before Asana, that meant checking Slack, digging through email threads, or just asking someone directly and hoping they remembered. What do you like best about Notion?

I love the flexibility of Notion and that is provides seemingly endless ways to help me stay organized. It's free to get started, and the paid versions are reasonable. I started using Notion as a way to organize my tasks and projects, and to create a "second brain" for all the random bit of information that come across my desk.

The interface takes a minute to figure out, but with so many pre-built templates and tons of ways to customize views, you can easily build the system that works for you. Better yet, I've not found the desktop version to be laggy or slow.

Since using it more, I've also come to appreciate the AI integration. The notetaking ability for meetings or Zoom calls is beautiful, and I can transfer those directly into my second brain database. Plus, with the AI capability, I can search all the pages in the database and build custom answers built off of my data.

I've also found the integration with Gmail to be a lifesaver. Prior to Notion, I struggled to find a good system to stay on top of my emails, but between Notion Mail views and setting up an AI Email Agent, I have quickly expedited how quickly I go through emails and feel more productive. What do you dislike about Notion?

Notion can be a bit overwhelming in the beginning as there are endless ways to use the tool. There was good initial support that came into my email inbox with invitations to talk to someone, and I'm sure that would've been helpful, but I never got around to it. I think the key is to know what you want to accomplish specifically and to find a good pre-built template or to use customer support to build the system you need. What problems is Notion solving and how is that benefiting you?

I got Notion initially to solve 2 problems. First, I've always struggled to stay on task with priority tasks. As an Executive Director, I get pulled in so many ways and it can become easy to chase rabbits. Using Notion has allows me to better visualize my daily and ongoing to-do lists and to connect them to projects.

Second, I came across Notion as I was searching for a way to cut back on the clutter on my desk and on my desktop. When I come across an eat idea or article, or take notes from a workshop or meeting, I often did not know where to put those notes or ideas. As a result, I've often ended up with random stacks of papers on my desk and too many open tabs in my browser. This clutter then adds to my stress. However, by building a "second brain" through a Notion database, I now have a place to place and catalogue all those random bits of information without fear of them getting lost. Smartsheet has a familiar UI for anyone who has used office products and is very easy to use for someone with basic computer skills. It is approachable, yet it has a lot of functionality and integrations that make it a powerful tool for project management, database management, and other functions that take a lot of work to get Sheets or Excel to match. The online training is excellent, and the ability to collaborate, attach, and communicate works very well. Our team has found that the browser-based version works very quickly and smoothly. What do you like best about Airtable?

I love Airtable's flexibility. It's amazing because it's like having a user-friendly, no-code, visual database which is the cornerstone of any software. I appreciate that even without technical expertise, I can build nearly any internal business application I need, without having to purchase new software. The additional features directly integrated with the database, like automation interfaces, make it so robust. Compared to web coding, Airtable is preferred for ease of use—there's no back and forth, no security issues, and I don't need to build from scratch. I can just learn how to use it well and easily build and reuse various building blocks for future projects. What do you dislike about Airtable?

I've found that the learning curve for Airtable can be too steep for a lot of people, especially for students who aren't tech-savvy. It's hard for some team members who aren't technical to embrace Airtable and start using it effectively. Another issue is that Airtable's versioning capabilities aren't quite as advanced as I'd like. When someone makes a lot of changes, it's tricky to revert back or see who made specific changes, unlike Google Sheets where you can easily view a cell's version history. Additionally, it's a bit challenging to automatically link records in a relational database. I often end up creating automations to link records, which I feel should be simpler. The project budgeting features in Ravetree are the best I've ever seen. We were in spreadsheets prior to using Ravetree and looked at other tools before moving to Ravetree. They were the only one that had the budgeting features we needed. Specifically, we needed to set budgets for each project phase and then have those roll up to the project. In our live online trainings and hybrid workshops, Conceptboard is an integral part, so we use Conceptboard almost daily. The board is our central workspace: content, links, work areas, and interactions – all on one surface, accessible to everyone in the browser. We also appreciate the ability to work both synchronously and asynchronously, for example, in the joint development of workshop concepts with clients. Conceptboard is intuitive and quick to learn, making it ideal for participants without prior experience with virtual whiteboards. Agency Handy is one of the very few tools I’ve used that genuinely lives up to the “all-in-one” promise. Instead of stitching together 5–10 different tools (CRM, invoicing, proposals, project management, client comms, etc.), everything is finally in one clean, intuitive platform.

The biggest win for me is how connected everything feels:

• Client onboarding flows straight into projects

• Services → proposals → invoices → payments all link together seamlessly

• Tasks and deliverables are automatically created from what clients purchase

• The client portal gives a genuinely professional, branded experience

The service catalog + proposal system alone is a game-changer. It makes selling services feel structured and scalable instead of manual and messy.

On top of that:

• The UI is incredibly clean and easy to navigate

• Setup is fast (we were up and running properly within hours, not weeks)

• The client portal reduces email back-and-forth massively

• Recurring billing + payments just work (huge time saver)

• Team collaboration and task tracking are built-in and actually usable

If I had to pick something, it would be that there are still areas where deeper customization (especially around branding, layouts, or UI tweaks) could go further.

That said — and this is important — this is actually one of the reasons I’m bullish on the product.

Unlike most tools where limitations feel “baked in,” Agency Handy is clearly being actively developed, and many of the things you might initially want are either already being improved or on the roadmap.

So rather than being a frustration, it feels more like:

I find the kanban style interface of Trello is very clean and visual which in turn makes it easy to use and allowing me to see the state of a project immediately without a large learning process. As an engineer, the better automation is a game changer for me as it helps manage tasks efficiently. Trello's integration with Stack is excellent, keeping our team on the same page without in-depth manual updates, making it great for dynamic collaborative projects. The Kanban system and superior notification system are outstanding, along with its simple and affordable pricing. The adaptive design helps me a lot in my job. Honestly, Trello crumbles as soon as the project expands, as it becomes incredibly disorganised. In fact, there is no native integration with key Agile features, such as sprint planning and engineering ketrices, which means that tracking your own team or viewing burndown charts is out of that, being engineer, I find that the editor is very irritating. I had to write an internal guide for my team, which shouldn't have been necessary. Templates are useful but discovering and customizing them is harder than it should be with no real guided setup to help first-timers. The overall design feels dated compared to modern tools, and colleagues coming from Notion or Monday.com were visibly put off by it, which hurt early adoption. Customer support quality is fine but the response time isn't waiting a full day during a time-sensitive issue is stressful when your work depends on the platform. I like how fast and simple it is. You can open it and start making a flowchart or wireframe in seconds. No setup, no confusion. The interface is clean and doesn’t feel heavy.

It’s really good for process flows. I use it when I need to explain how something works step by step. The diagrams look neat without putting in too much effort. Alignment and connectors are easy, so things don’t look messy.

Also, sharing with others is simple. Just send a link and people can view or edit. For quick collaboration, it works well.

It feels a bit limited once work gets bigger. For small diagrams it’s perfect, but for larger planning or brainstorming sessions, the canvas feels restrictive.

It’s more of a diagram tool than a full collaboration space. When discussions go beyond flows into planning, tracking, or workshops, we had to use other tools.

Template options are also fewer compared to some other platforms, so sometimes we had to build layouts from scratch.

What do you like best about OneSuite?

A few things landed recently that changed my day for the better, not just cosmetic stuff.

The Calendar view is the one I didn't know I needed. It sits right next to Kanban and List inside a project, and there's a personal one in My Tasks that pulls everything assigned to me across every project onto a single calendar. Before this I was clicking through separate boards just to work out what a given week actually looked like. Now it's one screen.

Dashboard V2 is the bigger change. You can resize widgets, drop the ones you don't use, and drag the rest into an order that makes sense, and the layout stays put next time you log in. The revenue overview with a forward projection from the pipeline is the widget I check first thing. Pending invoices and active clients sitting across the top means I'm not opening five tabs to get a read on the business.

Invoice V2 cleaned up the billing flow. Sending an invoice feels like nothing now instead of a Friday-afternoon chore, and the client and project details pre-fill, so I'm mostly just reviewing and sending.

Two more I use:

- Outlook support finally shipped, so I connected my Outlook account next to Gmail and handle client email inside the app instead of tab-switching.

- The new client portal home gives clients a real landing page when they log in: what needs paying, what needs signing, project progress, upcoming deadlines.

The branded client portal has improved our professional image and client satisfaction rates. We're seeing faster project delivery times thanks to the streamlined task management and improved team collaboration features.

Without any monitoring tool, it was always a guess and check game with a hybrid team. Time Champ did that by providing us with an accurate representation of the workday in our team. The time saved on manual timesheets and the accuracy of billable hour tracking has directly affected our business from a time management standpoint and how we invoice our clients. Astravue is simple yet very powerful project management tool and also a client management tool. It has most of the features that any PM tool would have. The newwly released Project Chat and 1-on-1 chat feature is the game changer.

The best part about this tool is that the founders listen to the feedback and is actively being supported and new features being added each month.
