I feel that you could polish your UI, as sometimes I find it difficult to interact with certain menus. It seems very oriented towards point & click use. Also, understanding the use of AI was a bit challenging for me. Perhaps accessing AI functions or when automating shouldn't be hidden. I expect it to make itself available instantly when I schedule a teams call, either for an internal or external meeting. It does not always. 75% of the time it gives me the option to take notes, but 24% of the time it does not, leaving me the responsibility of taking my own notes. If I can spent less time on taking notes, it gives me more time to focus on getting the most out of the conversation. I don't need to delay the conversation because I need to write something down. I dan just proceed with the next topic. The AI understands the conversation well, assigns to do items well. While I genuinely enjoy using the platform, there is definitely a bit of a learning curve when you start diving into its more robust capabilities. From time to time, setting up complex intelligent workflows or configuring the advanced resource management tools can feel slightly overwhelming for my less technical team members. I've noticed that getting the custom reporting formulas exactly right requires some trial and error, which might slow things down during the initial onboarding phase. The user interface is generally clean and professional, but occasionally it can feel just a little bit cluttered when you have massive amounts of data and dependencies loaded into a single view. Additionally, navigating their expansive template gallery to find the exact starting point you need can sometimes take a few more clicks than I'd prefer. There is nothing I truly dislike about Novi. I would say a challenge of ours that has to do with our own capacity, is staying abreast of the features from releases. I've never opened Novi and felt 'lost,' but there have been times when we've realized that a feature that has already been released could improve our own workflow. Novi publishes easy-to-read release notes, hosts webinars on big releases, has a plethora of helpful support articles, and is incredibly easy to get ahold of for questions. Novi has streamlined so many processes for us. The integration with QBO reduces administrative burden, the committee management helps us keep track of volunteers and their meeting attendance (automatically!), collects NPS scores, helps us identify which of our members may be at risk for non-renewal, offers pre-built and custom reports to create any report you could possibly need, and serves as an integral part of our business operations. Pixl8 has solved so many pain points for us. Here are a few of the most noteworthy problems they’ve helped us address.

Our student membership application process used to be completely manual. Roughly 600 applicants would complete a form, and a staff member had to enter each one into our AMS by hand every year, since we couldn’t previously run them through a renewal process. Now it’s all handled seamlessly through ReadyMembership.

We also used to have a take-home exam that relied on a downloadable PDF. Applicants had to print about 20 pages, handwrite their answers, scan everything, and then submit it for approval. Thanks to the Pixl8 team, our exam has now been digitized — they were able to figure out a way to make it happen!

Finally, our certification application process used to be extremely time-consuming. It involved downloading and manually completing PDF affidavits, waiting for sponsors to download the PDFs and write comments, and tracking where applicants were in the process through spreadsheets. Now the entire workflow has been converted into a 100% digital application and approval process, which has cut down a significant amount of staff time and our applicants can now obtain their certifications in a timelier manner. It feels a bit limited once work gets bigger. For small diagrams it’s perfect, but for larger planning or brainstorming sessions, the canvas feels restrictive.

It’s more of a diagram tool than a full collaboration space. When discussions go beyond flows into planning, tracking, or workshops, we had to use other tools.

Template options are also fewer compared to some other platforms, so sometimes we had to build layouts from scratch.

It helps turn discussions into visuals quickly. When we talk about processes or system flows, people often understand differently. Drawing it out in Whimsical clears things up fast.

Wrike is not very user-friendly, and its project structure doesn’t effectively support practical project management. The calendar views are difficult to navigate, customization tools can stop working unexpectedly, tagging projects is cumbersome, and there are no pre-built sections or tags for tracking budgets.

After struggling with Wrike for the past year, our team decided to switch to Asana, which is significantly easier to use and more effective for project management overall. When we informed Wrike of our decision, we were told that we were outside the 30-day cancellation window and had been automatically renewed for another year. Rather than showing any flexibility, they enforced a full 12-month commitment.

This approach feels like poor business practice. If a customer wants to leave because the product no longer meets their needs, they should be allowed to do so—rather than being locked into a contract against their will. It’s actually not solving our problems. We purchased Wrike to improve our project management, but it has significantly slowed our processes down. Many tasks that are easily handled in other project management tools are either difficult or not possible in Wrike, forcing our team to rely on additional tools and spreadsheets just to manage our work effectively.

The inability to easily cross-tag projects has also created unnecessary inefficiencies, leading to extra meetings that could have been avoided with more capable software. Before deciding to move away from Wrike, we conducted an efficiency audit and found that we were losing a significant amount of money due to the excessive time spent on administrative tasks that are unnecessarily cumbersome. One challenge with Celoxis is that setting up complex project templates initially can be time-consuming. With many available options, it’s easy to overconfigure without proper guidance, leading to confusion.
