The main functions of Extensis Portfolio include Asset library, Customizable branding, Metadata Management, Reporting/ Analytics, File conversion, Search/ Filter, Workflow Management, Asset Sharing, Asset categorization and many more. By using Extensis Portfolio the user also gets a free trial which helps them evaluate if it works according to their needs or not.It is available for both Windows and Mac. It gives images in the form of PDF which is a professional way. Images can be found very easily with just few clicks. The software is works identically like windows and Mac. PDF download option makes the work easier. The support system is incredible as they are professional and respond to the questions right away and also provide a solution. The cost is very low as compared to its competitors. Review collected by and hosted on G2.com.
It is can be only installed and it is not web based so user gets hindered because they can only use it from their computer. Sometimes it is difficult to run on Mac as compared to on Windows. There needs to be advanced level of customization so it can fit according to our needs. If you are a beginner or a new worker it can be difficult to get used to the advanced features they have. Review collected by and hosted on G2.com.
Easy to use and intuitive DAM. The drag and drop feature is a great time saver with designers. Adding files the the network and auto keywording is a great feature of this DAM. Review collected by and hosted on G2.com.
I wish the mobile app was more well defined and robust. It does not allow for as easy an upload and integration into the main gallery as I would like. Review collected by and hosted on G2.com.
The ability to create and manage multiple Catalogues and associated user-access has been very useful in partitioning specific content within the University, allowing a broad user-base without worrying about incorrect or unauthorized use. Review collected by and hosted on G2.com.
NETPublish is very underwhelming. Although it does simplify the task of creating web-galleries for stakeholder use it lacks the abilities I really need such as:
• significant branding options or
• an ability to self-build a theme such as say WordPress which would enable say a Brand platform;
• allowing the download of vectors. Currently vectors download the Jpg preview Portfolio creates to show in the page
• Allowing a choice in what sizes/options can be downloaded - a simple option to choose a size or variation allowed for download would be great. This might b a simple Catalogue batch resize to create variations and then choose that target path as the download, when a smaller verion might be used as the web-page thumbnails.
In the Portfolio app itself:
• differentiating file types, so when disallowing originals to be downloaded, items like PDFs can't be downloaded, currently if originals are not allowed the PDFs download the jpg preview.
• A real issue has been that certain libraries within Portfolio need updating and present a security concern, so we can't give access to the app to outside stakeholders, so we can only give them access to web galleries which doesn't work very well.
• Being flash-based is a concern. Review collected by and hosted on G2.com.
The ability to find images reasonably speedily with the necessary attached information. Review collected by and hosted on G2.com.
In comparison to the old desktop version, to load and tag images it is slower, not as efficient, and not so easily adaptable to the variations of individual end-users. It is also more limited in terms of asset management. The software (maybe our internal setup within our organisation I accept) doesn't always function as it should when embedding metadata during the importing and exporting of images. For people who are not regular users, it not as intuitive as it should be. Colleagues seem to avoid using it which negates one of the major principles of using Portfolio in terms of distribution. Ease of file uploads (including large video files), bulk metadata management and searchability have made Extensis Portfolio a must have in our workplace. The ability to easily create catalogues with specific user access to each unit in our department provides more than enough control of assets. Simple server-side upgrades, backups and data restore options make administration effortless.
The added advantage of dropping in new ‘watch folders’, from your legacy network share options and old archives, makes for a much time reduced migration into Portfolio. Because of this I moved years’ worth of assets into Portfolio in a few weeks. Review collected by and hosted on G2.com.
Upgrading clients on different machines requires a download from Extensis Portfolio. An automated built-in client updater would save time and help keep everyone on the latest version.
To save time it would be nice to easily share a path to a folder. i.e. If a user sends me a path for a group of assets there is no quick way to enter the path to get to the same folder. Review collected by and hosted on G2.com.
The user interface isn't too daunting and is really intuitive, almost 'friendly', which gives our staff the confidence to focus on what they need to do rather than being put off by trying to work out 'how' to do what they need.
It doesn't tie all staff into having to use it. As a system it can sit parallel to other activity that takes place on our files, so our staff have the nice interface, and our IT teams can still undertake maintenance of the files/servers.
We haven't done much with the API, but are looking forward to seeing what we can do with that to help integrate with other workflows/systems. Review collected by and hosted on G2.com.
Out IT team would prefer a Linux version to make it easier for them to maintain.
It can sometimes run a bit slow, but that is due to the way we have it setup rather than the software itself, so it's worth spending the time to get the set up right from the start as this can be a burden in hindsight. Review collected by and hosted on G2.com.
I like it because I can import documents easily and it helps me even more in incorporating image, audio and video files of all formats. The management feature allows me to organize the site content into catalogs, folders, and galleries. I used it the first time when I went to my Aloo Telecom customer and I really liked the product Review collected by and hosted on G2.com.
On some low-resource computers, I noticed some crashes Review collected by and hosted on G2.com.

Very useful for staff across our varied business to search and discover relevant imagery for their needs. Review collected by and hosted on G2.com.
How the search engine behaves. It's a strange beast sometimes, just when you think you understand it... it returns un-related imagery. Review collected by and hosted on G2.com.

So far the product is perfectly doing its amazing work, and i can't underline any problem with the product. Review collected by and hosted on G2.com.
I'm no longer spending hours to find the relevant digital assets i need. It has also become so much faster to share and deliver files. The usability is high enough that i trust my colleagues and the many volunteers at our festival to use the system with only very limited training. Review collected by and hosted on G2.com.
My experience with the support has not been very good. This is however under elucidation by Extensis, and I trust that it will be sorted out. Review collected by and hosted on G2.com.
Love the ease of finding images at a glance. The fact that the platform looks the same on Windows as is does on a Mac. I like the keywords and PDF download option which makes things really easy. Review collected by and hosted on G2.com.
I think it's very difficult to figure out at first. If you are unfamiiar with font administration and management, it can be a little overwhelming to use. You must have some understanding of font management in order to fully take advantage of their features. Review collected by and hosted on G2.com.
I like that our entire team can upload and share documents easily and efficiently. Portfolio creates an easy way to view assets along with their characteristics, set up virtual stores and cater them to customers. Review collected by and hosted on G2.com.
I don't like that anyone can delete items or move folders accidentally. Review collected by and hosted on G2.com.
Extensis portfolio has helped me in arranging all my jumbled bits of file in most of the popular formats in an organised way. It also has perfect syn and find features making things even more effortless Review collected by and hosted on G2.com.
At times while handling proierity formats ,customs formats or the lesser known ones the software would abruptly fail to function. It also doesn't process the hidden files making it more of an hit or go. Review collected by and hosted on G2.com.
I work in a small office but needed a better overall graphics asset management system than Apple photos could provide because I also need to manage documents and other things. Portfolio for that bill perfectly. Review collected by and hosted on G2.com.
There is a bit of a learning curve, but not dissimilar to any other DAM out there. I think portfolio of one of the easiest to learn. Review collected by and hosted on G2.com.
While the catalog of our repository is updated with library automation software, Portfolio provides a visual representation of our collection that is easily searchable and that can be shared with other departments in our building. I particularly appreciate having the capacity to make batch edits and develop PDF's with selected images. Being able to upload photos in a variety of formats (ex. tif, jpg) to the same space without having to convert the images to the same format increases our work efficiency. Review collected by and hosted on G2.com.
I wish that uploading an image involved filling out a form with description and keywords during the asset add rather than doing these things after tracking the image down. Review collected by and hosted on G2.com.
There are many things I like about Portfolio. When evaluating different DAM solutions we found that Portfolio had the features important to us while fitting our budget. DAM systems can be extremely expensive and prohibitive for small businesses.
Having the ability to maintain our basic folder structure with the 'watched folder' setup was important to us since we had our own system of organization. But other features were even more important—like the ability to map metadata to custom fields and include enclosing folder/file names as keywords, for example.
As a user, I find the QuickFind field with predictive search as well as the more detailed search capabilities quite powerful. For our assets and file naming convention, using QuickFind usually is enough to bring up the selection I need for most searches. But, digging deeper and refining a search is easy and intuitive.
Another feature I find very useful when collecting images for a project is to flag of the images I want to select for download. This collects them in the "Flagged Assets" gallery so you can download them in one zipped file instead of downloading each file individually.
Smart galleries are also very handy since you can add photos from your catalog to a smart gallery by simply adding a keyword or phrase, for example, depending on the field used in the saved query.
And, thinking long-term asset management strategy, scalability is important to consider. Portfolio can grow with your business through add-on module licensing. We recently added the Smart Keyword module which has improved our search efficiency and, for the nerd in me, is actually fun to use. Review collected by and hosted on G2.com.
There's one minor user interface issue I've noticed in both the Portfolio 2017 browser and desktop app interface. The default size of the Filtered Fields (right-hand) column is quite narrow. It is about the width of the image thumbnails. I would prefer to have the ability to set my own default column width. Currently, you can drag to expand that column which is good but is not retained at relaunch. That ability may be there and I'm just not aware of it. I have not contacted tech support since it's just a minor annoyance. But, I've always found the Extensis support team to be very helpful and responsive to feature requests Review collected by and hosted on G2.com.
Portfolio's search tools are great. The automated tagging tool we added on has made the search tools even more useful by applying useful tags based on photo content without anyone on our team having to spend time manually tagging the images. Review collected by and hosted on G2.com.
I wish it were easier/more affordable to access the Portfolio application and server via the cloud, and work remotely using the application and photos catalogued in it. Even when our VPN is working well for other purposes, it's very slow to use Portfolio over the VPN. Also, I wish we could dynamically resize image previews within the application interface. Lastly, occasionally when a search returns a large number of results, after I scroll through the first few dozen results, the result of the result set's preview images fail to load. Fast image search and collection. Image download and change. Image gallery sharing via NetPublish. Allows more than 1 catalog. Extensis It is very helpful in answering questions. Review collected by and hosted on G2.com.
There is certainly generally not much to be able to dislike - this ABOUTIE does everything you want at a very very good price. Not the most affordable but don't ever typically the most expensive and regarding all of us the biggest benefit for your money. Review collected by and hosted on G2.com.
As a graphic designer, Extensis is a good portfolio for me. I can publish my portfolio online. I also like basic and customoziable interface. Review collected by and hosted on G2.com.
Not so much things I don't dislike. Maybe it can be more tools. And it can slow at old devices. In generel Extensis is all right. Review collected by and hosted on G2.com.
You have as many fonts as you want and it won’t drag your computer down because you have to turn them on and off to use them. Review collected by and hosted on G2.com.
It can be hard to find fonts. There are a lot of categories one font could be in. Review collected by and hosted on G2.com.
