It saved our employees and accounting staff numerous hours. Gone was the days of doing journals, reviewing accounts, etc. Once expense reports were approved by the appropriate manager they were routed into our ledger and queued for payment. Super-easy and clean app interface. No real learning curve or overly complex app navigation. **What do you dislike about Emburse Nexonia?** The only complaint was the delay in receiving our credit card transaction feed into the users' expense accounts. Our expectation was this would happen in under 24 hours, but quite often, it could take 48 -72 hours for the transaction to show in their nexonia account. Never could resolve if this was an issue with our credit card company or nexonia. **Recommendations to others considering Emburse Nexonia:** I'd recommend understanding what API capabilities your current accounting system has and how well it aligns with Nexonia. Having a seamless integration with Nexonia is what gave us the tremendous benefits we were needing. Additionally, check with your credit card issuer and ensure they can support a timely and daily feed into Nexonia. This is a significant benefit for the users, and it simplifies the process of identifying and recording transactions. **What problems is Emburse Nexonia solving and how is that benefiting you?** The biggest problems were the time necessary for employees to create expense reports, reconciliation with credit card statements, time to reimburse, and the general administrative burden placed on the company. Nexonia addressed these issues and expense reports become a semi-automated and easy task to complete. Accounting processed payments faster, and the accounting staff was able to complete their jobs much quicker. ### 3. The App has been a game changer. We have been able to get transactions into the budgets within 2 weeks instead of waiting for the end of the month. **What do you dislike about Emburse Nexonia?** The payables module. This is currently being developed and I am excited for the future of payables for my daily workflow. I also wish I was able to customize the layout to better match our GL coding. **Recommendations to others considering Emburse Nexonia:** Nexonia has completely changed the way we manage our 200+ credit card holders at our organization. We are very happy with the decision we had made to switch. We have been using the software for some time now and still love the capabilities. We continue to discover new uses with the reporting capabilities. We even use the reporting to power a Credit Card Dashboard to help our end users submit timely and for our upper management to be able to see where dollars are sitting and with whom. We were able to rollout a new credit card policy one year after going live with Nexonia. It's working! After the fiasco of our prior expense reporting system where promised features were not delivered and staff interaction with both the online version and the mobile app were quite painful and clunky to use. Nexonia Emburse is also very affordable for organizations that have limited resources to spend on technology. **What do you dislike about Emburse Nexonia?** While the app is very robust, the quick expense capture feature is not as intuitive when it flows over to the desktop application. In testing it, I couldn't figure out how to delete my test transactions in the desktop application. They seem to be stuck in limbo. There are also date challenges encountered when closing out the fiscal year and recording accruals of staff expenses that below in the prior year. We end up having to edit the dates in the accounting software to assign the expense to the correct financial year. It would be great if this accrual feature could be an option for either staff entering the expense, or for accounting staff who review and audit the expense. **What problems is Emburse Nexonia solving and how is that benefiting you?** Automation and integration. It integrates with Sage Intacct with ease and requires minimal edits are needed in the accounting software. The app and desktop versions provide automations that save staff time when entering their expenses and they love it, especially after using a prior expense management product that didn't live up to promises made by the company during development. ### 12. The application is helpful for tracking staff who comply with corporate policies and staff who do not. I especially appreciate the ease with which I'm able to determine who is lagging on uploading and reconciling their expenses. This helps ensure that our financial statements are able to be produced in a timely and accurate manner. We prefer processing expense reports through the application than on paper as it requires that staff upload support for their expenses in the form of receipts. They can't skip this step which is super helpful. In addition, you can limit the expense categories that staff are enable to use...also helpful as without limits, staff can easily get the expense categories wrong. **What do you dislike about Emburse Nexonia?** When something goes wrong and you need assistance, there's no one to CALL for immediate assistance. You need to send an email and..unfortunately, not kidding here...don't expect to hear from anyone for a week. The support staff, once you do hear from them, are pleasant and their general knowledge is adequate (outside of being understaffed) but if your issue relates to initial setup or integration with accounting software such as Sage Intacct, good luck. Support staff do not have this level of 'big picture' expertise. If you're curious and a bit of a risk-taker, you can try and resolve the issue on your own BUT the backend on this application is complicated and a bit clunky. **Recommendations to others considering Emburse Nexonia:** Set up is crucial...make sure that you're able to process expense reports properly but don't stop there! Also confirm that when you pay your credit card bill, your Credit Card Clearing Account AND your AP Vendor aging report both clear. I wasn't in the role during set up and while the credit card clearing account works well, the bill payment side is not set up correctly. I'm not able to do that via Nexonia which requires me to book an entry...I can clear the credit card clearing account and record the impact to cash BUT I'm not able to clear the vendor payable...which oddly does not feed over to my Balance Sheet. When we reached out to Nexonia, they were able to suggest a solution but were not able to get that solution to work. We are currently working with Intacct on a different solution...it's clunkier and more time consuming that what Nexonia suggested but it will work and what am I supposed to do with a solution from Nexonia that I can't implement?? It's a significant pain point at the moment. My strongest recommendation is to follow the entire process through from start to finish when you implement before you let the implementation team off the hook! **What problems is Emburse Nexonia solving and how is that benefiting you?** I'd love for it to be easier for new users to be able to onboard themselves. This is the most frequent question we get asked and it's also the most time consuming for my staff to take care resolve. It may just be that you have resources that we are unaware of but it would be ideal to be able to send new staff a link/tutorial on how to get started and demonstrate how to complete an expense report. Also, I'd like to see Nexonia be a little more dynamic in terms of helping staff when they are struggling with a transaction. Oftentimes when they are trying to enter an expense and get stuck, they don't know how to ask us for help. We can do a Zoom call to help them figure it out, but it would be helpful if there were pop up messages that would steer them in the right direction. eg. you seem to be trying to enter an account that you don't have access to. If a message like that popped up for them, that would diagnose the issue for us and make it easier to solve. Last but not least, would like to see more helpful emails when our uploads aren't working properly. This has been a pain point for us. Or perhaps the emails could include a link to a tutorial that might be helpful to us in terms of a resolution?? ### 14. If the window went up instead of down, i could click directly in the Description window after entering my time. It seems to me that would take 50% fewer clicks to do the same thing. I didn't figure out the mobile app for attaching pics of receipts until at least 10 iterations. I'm ok with it now, but I make sure to train new employees how to use it efficiently so they don't spend too much time figuring it out. **What problems is Emburse Nexonia solving and how is that benefiting you?** I haven't solved any problems but I'm sure the accounting department has. The system is very customizable and we've been able to set it up to meet the specific needs of our organization. **What do you dislike about Emburse Nexonia?** In the time tracking system I'm not a fan of their time reminders, when sent out it's formatted oddly and isn't clear to users, so we aren't using that feature. **What problems is Emburse Nexonia solving and how is that benefiting you?** Nexonia allows us to have a time tracking system that we can customize by user, by department, by project, while still being able to run detailed reports for each month's payroll. The customization of the system and reports are both things that were lacking in our previous time system. ### 26. Easy to give access to many employees and for them also easy to upload their expense claims or invoices. Easy to review and approve the expense claim and invoices and great feature that you can approve it on behalf of another employee. The NetSuite integration is great. And also the synchronization is also very helpful. Easy to download data and separate tabs for employees expenses and invoices is also great. Also for my month end reporting we have the custom built reports that we use every month and its very easy to generate and makes our life much easier for the purpose of accruals. I also liked how easy it was to add vendors on NetSuite and then integrate on Nexonia and a new new vendor is added. **What do you dislike about Emburse Nexonia?** I think one weakness I have noticed is that sometimes some data doesn't integrate properly with Net Suite. I am not sure about the reason but then I have to manually check and make the correction or add the missing / unsynchronized invoices or employee expense claims in Net Suite. I am not sure if this is an integration issue or the way the invoice was submitted but this happen almost 50% if the time of integration with Net Suite . Apart from this I don't think Nexonia needs any improvement but yeah may be a bit of reduction in cost. **Recommendations to others considering Emburse Nexonia:** Great software to use and really easy and can save lot of money as you will be saving a lot of time thus saving money for your organization. You can use your manpower in other roles as it will reduce the time effort by half and also makes everything paperless and all records is online and cloud based so you can access it anywhere. **What problems is Emburse Nexonia solving and how is that benefiting you?** Reduce human effort and easier to provide access to employees to upload their expense claims or invoices. Easy to review and make changes if needed and then easy to approve. Also multicurrency is a great feature. And synchronization makes everything easier. ### 27. One of our many favorite features in Nexonia is the incredibly easy to use access to credit card transactions by way of linking your cards to your account. When your cards are link, Nexonia will save transactions for you to revisit later and upload receipts to be stores and organized for the books. Another amazing and easy to use feature we love is the self explanatory uploading process for receipts and inputting information linked to transactions, reimbursements, etc. **What do you dislike about Emburse Nexonia?** One of the few downsides to using and workin with Nexonia is its lack of instruction and assistance built into the site it self. Much of the Nexonia program and it's website is very self explanatory and is very easy to use. But, with that being said, there are many times where steps which may seem "incredible simple" are still new and foreign to new users and therefore require explanation. I would love to see simple steps explained for readily within the site. Also, it is clear what have to do once logged in, and therefore does not require too much getting used to. Back then, it was a little troublesome to have to ask a manager to approve every expense report, which would also interfere their day-to-day activity, or whatever it is they are working on. Not to mention the time it took to even get the signed paper report back, especially when the manager is not around. Additionally, the head office may take sometime to reimburse, and even sometimes that several reports were overlooked, prompting me to double check, only for the head office to look back at the emails falling through the cracks. **What do you dislike about Emburse Nexonia?** Nothing in particular, but the screen view when uploading documents could be made simpler, so that it will appear more user-friendly and less intimidating.
