"Simple and easy to use"

What do you like best?

The user interface is very neat. It provides a good overview of all items: open claims, submitted claims, approved claims, paid claims, and rejected claims. It is easy to upload and attach receipts to support the claims. I only use the web app and it usually takes me less than 5 minutes to create a claim. I haven't used the phone app but I guess it will make it even easier to upload a physical receipt.

Though I am not an adminstrator, it seems it is flexible to configure and suit the organisation's workflow. Review collected by and hosted on G2.com.

What do you dislike?

This tool is only as good as the adminstrator in your respective organisation makes it. Some configure is needed, for example, to label various cost centre, office location, categories, approver, etc. Also within the organisation there needs to be a clear agreement on how to label claims for transparency and approval efficiency - maybe to name/title it in a certain format, what goes in the title or the note, etc. The adminstrator also needs to provide a good user training/manual. Otherwise it can create confusion but it's not really Webexpenses' fault.

"Great tool for managing expenses"

What do you like best?

When on the move, the app provides a great way to collate your expenses on the go. It saves doing it all in one go at the end of a month or week and digitises your reciepts. Not having to carry reciepts is a big benefit and the capture system is fairly quick. Additionally the app calculates distance between two points (in miles) which saves working out distance travelled for mileage. This can save quite a lot of time, espcially if you are used to using Google Maps or similar to work out distances. Review collected by and hosted on G2.com.

What do you dislike?

As a non admin user the default in the app is not to be able to view previous personal submissions (i.e. previous month or week). Note, you cna do this thorugh desktop login. This would be a useful addition so users can review reciepts previously submitted (perhaps to check if a reciept was in a previous month or not) . Additionally the data capture UX for reciepts could be improved on Android. There isn't a submit button on image gallery selection, so it takes a while to figure out you swipe back. Recommendations to others considering the product:

Ensure you setup the permission levels and cap levels and provide links to support guides to new users. Users seem to pick it up quick. Review collected by and hosted on G2.com.

It solves a time/admin issue by making the recording of expenses quick and simple. It also provides some consitency for submissions across the business as well as a level of accuracy. "Easy and Convenient to Use. Awesome functions!!!"

What do you like best?

Upload the receipt function and with your manager in the drop down menu approval function. The platform is easy to use and simple to navigate around. It also has the credit card upload function for convenience. The history of all claims can be viewed, track and trace easily to avoid duplicated invoices so to prevent confusion or over payment. What do you dislike?

Would be great if webexpenses have phone app function so the user can take a snapshot on the receipt before the receipt is lost. If it has functions to customise by the user it will be even better. No problem at all. The benefit is to be able to code all invoice o their respective department quickly and easily. The line manager can approve it with every details shown in no time. "Webexpenses made easy"

What do you like best?

I like how you can easily modify the reports and then export the reports into multiple different formats. This helps a lot when reviewing the trends of expenditure across different departments or employees over a period of time.

I also like how you can use your phone to complete the webexpenses. This makes it super easy while on the go...you just take a picture and upload and complete...it takes seconds.

The customer service desk, I have found super friendly and quick to help me resolve any issues I may have had. Our account manager has also be responsive to us when we wanted to make changes to the usability of the site. Review collected by and hosted on G2.com.

What do you dislike?

I have used this platform for 11 months now, and honestly, I cannot find any dislikes as of yet. Review collected by and hosted on G2.com.

"Changes the way you claim expenses"

What do you like best?

WebExpenses is an easy to use software that completely took the difficulties out of our expense process.

It is very user friendly, and totally understandable for all members of staff. the phone App is great for uploading items to a claim on the go to ensure you don't lose a receipt. With the sales team regularly being out of the office, it means the team don't have to be in the office with their manager to get their expenses approved, meaning the process is quicker and they get their payments earlier than hey would if they were still operation on a paper system.

From an admin point of view the backend part is easy to understand and any adjustments and changes are easy to make and control. Review collected by and hosted on G2.com.

What do you dislike?

The only issue we have with Webexpenses is we cannot overwrite the date that the claim shows when integrating across into the accounts software. this means is a member of staff starts a claim on the 15th of a month, but it doesn't get processed for payment until the next month (after month end) then it will pull through into the accounts in the month we have reconciled and will have to manually change the date there. This only takes 10 seconds to do and isn't a major problem, however this ability would make the system perfect. Review collected by and hosted on G2.com.

The main issue that has been solved with the use of Webexpenses is that the time between a member of staff completing their claim and getting it paid is significantly reduced.

"great intuitive no fuss cloud software, that helps you manage your expenses"

What do you like best?

- Easy and intuitive to use

- Flexible for all types of expenses

- Select from lists (which you map to your respective ledger accounts)

- Allows you to create rules on mileage - private car, company car, etc

- Accounts for VAT where applicable

"All you need is your phone"

What do you like best?

I travel extensively and generate sometimes an enormous amount of invoices sometimes. With the Webexpenses App all I need is my phone. I record, label and submit on the go with virtually no extra time spent on submitting my expenses. I don't need to collect paper slips, the app is very user friendly, easy to fill in the required information. Review collected by and hosted on G2.com.

What do you dislike?

The automatic amount recognition needs improvement. Could use geo data for example to look for the right currency.

I noticed it is getting better and better, so maybe it is an AI algorithm which will improve by learning. Review collected by and hosted on G2.com.

"Webexpenses has made my life easier"

What do you like best?

I can do my expenses on the 'live', on the go, where ever I am. Artificial intelligence in the software means I can take a picture of my expense and it will auto-upload to the Webexpenses cloud with the correct date, cost and other information.

I have found that I am less likely to lose a receipt and so have fewer missed expenses. The software automatically flags any expense submissions I make that violate company policy for reasons such as them being out of date or too expensive, this means that I have become more conscious of the company expenses rules. What do you dislike?

Like any new tool Webexpenses took a little bit of getting used to. I have once experienced an issue where I submitted an expense with two receipts attached but the moderator could only see one of the receipts. I think that this was just a bug in the software and it was resolved when I resubmitted the expense. Review collected by and hosted on G2.com.

"Great and easy service to use"

What do you like best?

I spend a lot of time on the road for the company i work for and as such i have a lot of travel expenses that need to be submitted.

using Webexpenses, I have a complete overview of all my expenses and control over how they are published to my reviewer.

The mapping facility when submitting travel expenses is great as it allows me to change routes bases on road closures or diversions.

being able to review all my details before submitting the expense is great as it allows me to make any last minute changes.

What do you dislike?

occasionally the miles i expense are automatically adjusted as i receive a notification that i've made a change to miles when in fact i have not.

"Moving with the times"

What do you like best?

As most receipts are done electronically now, it is far easier to upload a digital copy onto your claim rather than faffing around with handing in written receipts which wastes a lot along time. The whole process is quick and simple. Review collected by and hosted on G2.com.

"Very good experience - never had issues!"

What do you like best?

Ease of admin set up within the newer interface. When I have raised cases before the response time has always been a prompt response and very detailed help. The interface is really smooth and there isn't anything that comes up such as errors when I am using it as a user. I am also an admin in the system but I rarely have issues when using the system. We often have users within Bottomline giving us positive feedback on the system too which does not happen too frequently with other systems we use.

Just a really quick and easy way to log your requests. We really only use it for expense management but you can easily set up approvers up to a certain value and then more approvers for over a certain threshold. This is particularly helpful when users leave as we can easily replace the approvers with whoever needs to take over that role. Review collected by and hosted on G2.com.

What do you dislike?

Sometimes the system is a little slow to get claims attached to the forms. However this doesn't cause major issues as I have never not been able to log cases successfully.

A downside to the system is that you cannot clone "groups" within webexpenses. Review collected by and hosted on G2.com.

"Made my life so much easier"

What do you like best?

One of the best features for me are the reports. Also, I find the system very easy and user friendly to use. For the peopled struggle there is the option to view training videos.

I don't really have any dislikes for the system, but there are a couple of things i would recommend. Once a claim has been created, we have a lot of users that don't realise the claim has to be submitted, maybe i prompt for this? Review collected by and hosted on G2.com.

Full audit tracking of each claim, it isn't possible to misplace a claim. A few clicks and you are able to see the status, this enable to you respond to any queries.

"Life Simplified"

What do you like best?

Easy upload to our accounts package saves much time manually entering each line of claim. Can refer back to past claims and check for duplication of claims. Users can tell whether their line manager has approved them before they start chasing me for payment! Very easy to set up new users or categories. What do you dislike?

Not sure there is anything yet I have found to dislike. Anything that I have not understood has been easily resolved when contacting the Service department, who are very easy to reach and clear to understand when speaking with them. Review collected by and hosted on G2.com.

"great software"

What do you like best?

"Useful tool for managing expenses"

What do you like best?

The mobile app which is useful for scanning receipts on the go whilst travelling. These will then be available for you in the webapp to use at a later date. Generally the webapp is easy to use and can find what you need. Review collected by and hosted on G2.com.

What do you dislike?

To be able to submit a claim you need to save it first, feels like an additional click for no reason. Whilst the prepopulation of figures from receipts can be useful, sometimes, it can pick up the wrong thing such as using a date for a value, this has in the past overwritten what I had already filled out meaning i need to complete the field again. "Reasonably easy to use, relatively painless to start using (Finance Manager)"

What do you like best?

Webexpenses automatically downloads yesterday's credit card transactions from one of our card providers daily so that cardholders can process them. This is greatly streamlined over the previous process where I had to manually download the statements and send them round for coding. Review collected by and hosted on G2.com.

What do you dislike?

Our other credit card is not compatible with the Mastercard data feed, so I have to upload these manually myself.

Card expenses are posted into Xero on the date of the claim (i.e. when the cardholder processed them), not on the actual expense date - this means I need to check each month if any expenses need moving back to the prior month.

There is no option to switch between accounts on the app - many of our staff have 2 or more accounts as they incur expenses in multiple currencies - so they have to choose 1 account for the app. Review collected by and hosted on G2.com.

Confirm in detail whether your credit cards will work with the data feed (just knowing that the provider has some cards which work isn't enough - for one of our cards, I was told that our particular card wouldn't work, only cards for higher spending could have the data feed into Webexpenses). It has streamlined the card expenses process as previously I had to download card statements from the providers' website & distribute them to be coded and sent back to me.

"Simple and straightforward expense management"

What do you like best?

The link up and connection with the mobile app is really fantastic. Having the ability to photograph receipts on the go makes the submission process so much easier, and quicker. Review collected by and hosted on G2.com.

"Great Expenses Tool"

What do you like best?

I find the most useful thing is being able to take a photograph of the receipt and Web Expenses is able to read the receipt and create the expense line from the information on there.

We've also been able to adapt the approvals depending on department and costs that are to be approved. Review collected by and hosted on G2.com.

What do you dislike?

Sometimes it difficult with reporting when expenses are paid monthly but you can claim at anytime. Can he hard to make sure your report includes the correct information Review collected by and hosted on G2.com.

"A competent and reliable system, but the user experience could be improved and modernised"

What do you like best?

"Simple and effective service for business expenses"

What do you like best?

"Exceptional implementation"

What do you like best?

Webexpenses has excelled with this system's simplicity of use. Its a very intuitive system and the multiple ways to get receipt images into your "My Receipts" section is very helpful.

The implementation was complete in 4 weeks from a cold start and the support given and modifications and tweaks were dealt with very promptly. Very low admin burden as well and the post mobiisation support has been very good too.

Very good and simple reporting and data extract for finance reviews.

Standardised comms out to the business for launch were excellent and had really good notes, video content and guidance for our new users. Review collected by and hosted on G2.com.

What do you dislike?

Too easy to approve without reviewing.

Receipt image reading (auto-fill) could develop. Review collected by and hosted on G2.com.

Recommendations to others considering the product:

"User friendly and simple"

What do you like best?

The support you get is fabulous, they get back to you very quickly, are knowledgeable and get a resolution fast. The system itself is extremely easy to use on all ends. The onboarding process was fabulous their help i2n setting it up how we needed it to work was spectacular. The system is very flexible and easy to administer and maintain. The ability for webexpenses to download credit card transactions automatically from the credit card company is a time saver. Review collected by and hosted on G2.com.

What do you dislike?

The app is a bit dated and a little clunky to navigate. You sometimes have to hit the phone back button to get out of a screen (no main menu button or other menu items buttom). Would also like to see improvements with the mileage reimbursement function, in particular map integration or having the system save commonly traveled to location for mileage reimbursement. "A great tool for employee expenses"

What do you like best?

Webexpenses is very user friendly and requires minimal training for new staff. It is quite easy to navigate between claims and different admin accounts. "Finally a way to track the progression of your claim!"

What do you like best?

Its so easy to attach the receipts, send an email to the approver & then track the progress of your claim. I really like the way you are able to clearly keep track on the ongoing claims.

You are able to put subtitles for each claim & therefore you are able to keep them organised for both you & you manager.

Lastly, there is no more printing & paper work needed, which is great for the environment & saving money on office resources Review collected by and hosted on G2.com.

What do you dislike?

There is few bits that I would improve however I would suggest making it clearer on how to log your request once the detail is completed. However, with that' said, its so easy to & once you know how its doesn't really become a problem Review collected by and hosted on G2.com.

"WebExpenses - Making Things Easy"

What do you like best?

I find the ease of using the Web Expenses mobile app to be one of the best features. While away from the office, it only takes moments to quickly snap a receipt and add it to project expenses, which removes the need to keep bundles of paper receipts in my wallet.
