
The user interface is very neat. It provides a good overview of all items: open claims, submitted claims, approved claims, paid claims, and rejected claims. It is easy to upload and attach receipts to support the claims. I only use the web app and it usually takes me less than 5 minutes to create a claim. I haven't used the phone app but I guess it will make it even easier to upload a physical receipt.
Though I am not an adminstrator, it seems it is flexible to configure and suit the organisation's workflow. Review collected by and hosted on G2.com.
This tool is only as good as the adminstrator in your respective organisation makes it. Some configure is needed, for example, to label various cost centre, office location, categories, approver, etc. Also within the organisation there needs to be a clear agreement on how to label claims for transparency and approval efficiency - maybe to name/title it in a certain format, what goes in the title or the note, etc. The adminstrator also needs to provide a good user training/manual. Otherwise it can create confusion but it's not really Webexpenses' fault.

When on the move, the app provides a great way to collate your expenses on the go. It saves doing it all in one go at the end of a month or week and digitises your reciepts. Not having to carry reciepts is a big benefit and the capture system is fairly quick. Additionally the app calculates distance between two points (in miles) which saves working out distance travelled for mileage. This can save quite a lot of time, espcially if you are used to using Google Maps or similar to work out distances. Review collected by and hosted on G2.com.
As a non admin user the default in the app is not to be able to view previous personal submissions (i.e. previous month or week). Note, you cna do this thorugh desktop login. This would be a useful addition so users can review reciepts previously submitted (perhaps to check if a reciept was in a previous month or not) . Additionally the data capture UX for reciepts could be improved on Android. There isn't a submit button on image gallery selection, so it takes a while to figure out you swipe back. Upload the receipt function and with your manager in the drop down menu approval function. The platform is easy to use and simple to navigate around. It also has the credit card upload function for convenience. The history of all claims can be viewed, track and trace easily to avoid duplicated invoices so to prevent confusion or over payment. Would be great if webexpenses have phone app function so the user can take a snapshot on the receipt before the receipt is lost. If it has functions to customise by the user it will be even better. I like how you can easily modify the reports and then export the reports into multiple different formats. This helps a lot when reviewing the trends of expenditure across different departments or employees over a period of time.
I also like how you can use your phone to complete the webexpenses. This makes it super easy while on the go...you just take a picture and upload and complete...it takes seconds.

WebExpenses is an easy to use software that completely took the difficulties out of our expense process.
It is very user friendly, and totally understandable for all members of staff. the phone App is great for uploading items to a claim on the go to ensure you don't lose a receipt. With the sales team regularly being out of the office, it means the team don't have to be in the office with their manager to get their expenses approved, meaning the process is quicker and they get their payments earlier than hey would if they were still operation on a paper system.

The only issue we have with Webexpenses is we cannot overwrite the date that the claim shows when integrating across into the accounts software. this means is a member of staff starts a claim on the 15th of a month, but it doesn't get processed for payment until the next month (after month end) then it will pull through into the accounts in the month we have reconciled and will have to manually change the date there. I travel extensively and generate sometimes an enormous amount of invoices sometimes. With the Webexpenses App all I need is my phone. I record, label and submit on the go with virtually no extra time spent on submitting my expenses. The automatic amount recognition needs improvement. Could use geo data for example to look for the right currency.

I can do my expenses on the 'live', on the go, where ever I am. Artificial intelligence in the software means I can take a picture of my expense and it will auto-upload to the Webexpenses cloud with the correct date, cost and other information.
I have found that I am less likely to lose a receipt and so have fewer missed expenses. The software automatically flags any expense submissions I make that violate company policy for reasons such as them being out of date or too expensive, this means that I have become more conscious of the company expenses rules. Like any new tool Webexpenses took a little bit of getting used to. I have once experienced an issue where I submitted an expense with two receipts attached but the moderator could only see one of the receipts. I spend a lot of time on the road for the company i work for and as such i have a lot of travel expenses that need to be submitted.
using Webexpenses, I have a complete overview of all my expenses and control over how they are published to my reviewer.
The mapping facility when submitting travel expenses is great as it allows me to change routes bases on road closures or diversions.
being able to review all my details before submitting the expense is great as it allows me to make any last minute changes.

Ease of admin set up within the newer interface. When I have raised cases before the response time has always been a prompt response and very detailed help. The interface is really smooth and there isn't anything that comes up such as errors when I am using it as a user. I am also an admin in the system but I rarely have issues when using the system. We often have users within Bottomline giving us positive feedback on the system too which does not happen too frequently with other systems we use.
Just a really quick and easy way to log your requests. We really only use it for expense management but you can easily set up approvers up to a certain value and then more approvers for over a certain threshold. Sometimes the system is a little slow to get claims attached to the forms. However this doesn't cause major issues as I have never not been able to log cases successfully.

One of the best features for me are the reports. Also, I find the system very easy and user friendly to use. For the peopled struggle there is the option to view training videos.

Easy upload to our accounts package saves much time manually entering each line of claim. Can refer back to past claims and check for duplication of claims. Users can tell whether their line manager has approved them before they start chasing me for payment! Very easy to set up new users or categories. To be able to submit a claim you need to save it first, feels like an additional click for no reason. Whilst the prepopulation of figures from receipts can be useful, sometimes, it can pick up the wrong thing such as using a date for a value, this has in the past overwritten what I had already filled out meaning i need to complete the field again. Webexpenses automatically downloads yesterday's credit card transactions from one of our card providers daily so that cardholders can process them. This is greatly streamlined over the previous process where I had to manually download the statements and send them round for coding. Review collected by and hosted on G2.com.
Our other credit card is not compatible with the Mastercard data feed, so I have to upload these manually myself.
Card expenses are posted into Xero on the date of the claim (i.e. when the cardholder processed them), not on the actual expense date - this means I need to check each month if any expenses need moving back to the prior month.
There is no option to switch between accounts on the app - many of our staff have 2 or more accounts as they incur expenses in multiple currencies - so they have to choose 1 account for the app. Review collected by and hosted on G2.com.

I find the most useful thing is being able to take a photograph of the receipt and Web Expenses is able to read the receipt and create the expense line from the information on there.

Webexpenses has excelled with this system's simplicity of use. Its a very intuitive system and the multiple ways to get receipt images into your "My Receipts" section is very helpful.
The implementation was complete in 4 weeks from a cold start and the support given and modifications and tweaks were dealt with very promptly. Very low admin burden as well and the post mobiisation support has been very good too.

The support you get is fabulous, they get back to you very quickly, are knowledgeable and get a resolution fast. The system itself is extremely easy to use on all ends. The app is a bit dated and a little clunky to navigate. You sometimes have to hit the phone back button to get out of a screen (no main menu button or other menu items buttom). Would also like to see improvements with the mileage reimbursement function, in particular map integration or having the system save commonly traveled to location for mileage reimbursement. Its so easy to attach the receipts, send an email to the approver & then track the progress of your claim. I really like the way you are able to clearly keep track on the ongoing claims.
You are able to put subtitles for each claim & therefore you are able to keep them organised for both you & you manager.

I find the ease of using the Web Expenses mobile app to be one of the best features. While away from the office, it only takes moments to quickly snap a receipt and add it to project expenses, which removes the need to keep bundles of paper receipts in my wallet.
