The plan limits on signed documents are easy to underestimate. Bronze includes 100 signed docs a month, which we burned through within hours on day one, and the warning emails threatening to disable our documents landed mid-event, so the jump from the $39 tier to the $129 Gold tier felt forced rather than chosen. We had to get assumption-of-risk waivers and release agreements signed by every attendee at a large company event, plus a stricter agreement for drivers where we verified age, driver's license, and insurance details. Paper would have been a check-in nightmare, and dedicated e-sign tools get expensive fast at that volume. With Jotform one person spun up both agreements in a day, attendees signed from their phones before arriving, and staff used the submissions in Tables to verify licenses and insurance during check-in. Before using MaintainX, we tracked our reactive maintenance on a whiteboard. That left us with very little detail on what actually needed doing, no image evidence to support the request, and no reliable way to assign the job—especially if the right person didn’t see the board.

Now that we have MaintainX, we can create work orders and assign them on the go, and we use the comment feature to discuss the specifics as we go.

The CoPilot AI integration has also helped team members interact and find solutions to problems without having to sift through an entire manual themselves.

I think with every large platform it's hard to pivot to make every new feature work in every area. As power users, we try to adjust the platform as best we can as we learn its limitations. I think the biggest bottleneck is that the AI feature is not ready yet. The internal brain AI has a lot of hallucinations, giving answers with a low level of certainty and is often wrong. Although it helps solve problems, you need a strong and ongoing interaction to reach the problem's root. Also, the limitation that agents cannot activate other agents is very restrictive. Some AI features cannot access others, like automations that can't reach automations in other locations or other agents, which limits the possibilities with AI a lot. ClickUp lets me manage all information in one place, integrating with SharePoint and OneDrive. It tracks project and personal tasks, providing full transparency and understanding of project status, which helps analyze progress, identify delays, and improve planning. So many problems! We've been able to bring our registration management in house instead of using a custom website as we did before. We've had seamless integrations with our badge printing company and app company so the API will work instead of custom integrations. We have been using Eventee to help organise a Summer School. This app has improve our ability to communicate easily to our attendees, gives us a platform to share photographs of the event and allows live interaction with participants through the Q&A function. The biggest issue we had was with the old app; it didn’t function as well as the new one. We ran into problems in the field when trying to load it, which meant staff often had to fill out completion notes later. The new app is much better, and staff can add all notes in real time. This saves them from having to think back and remember every detail afterward, and it leads to more accurate documentation. We also had an issue with the global search being too broad, without the ability to filter out things we weren’t looking for, but that has been fixed as well. PM documentation is the biggest benefit. We didn’t track PMs the way we do now, and it’s likely saving us a lot of money. We used to preprint and sort all of our attendee badges. We'd have to manually print/reprint badges as needed for on-site registrations or to make edits. Expo Pass made all of these issues go completely go away. Attendees were able to quickly and easily get their own badges and make any edits on-demand. I have not found many negatives to the platform from a pre-show buyers end. Coming from a school that has very specific tracking requirements, everything I need to provide is easily accessible. One thing that could be useful is something more student centered. Having a way for students to sell individually and receive credit for the purchases made. Eventify is simply too much platform for our smaller, weekly events like Bible studies or potlucks. The pricing model is per-event, and even our smallest event costs several hundred dollars. For a church budget, that adds up fast. We also found the learning curve steep for our volunteer event coordinators most are not professional event planners. Before Eventify, our conferences were chaotic paper registrations, manual check-ins, and confusing schedules. Eventify solved all of that, and our youth conference ran more smoothly than ever. But for 90% of our other events, we still use free tools like GroupMe, SignUpGenius, and a shared Google Calendar. Eventify is a specialized tool for us, not an everyday solution. Some artificial points are obtainable- e.g. posting articles, no matter the content. Feels like point limits are arbitrary. Clearning notifications can also be challenging, there is no distinction between a new comment or a like on a post that you then have to seek out to clear the notification. Whova solves the challenge of keeping all event information organized and easily accessible in one place. Having the agenda and attendee list available at my fingertips at all times is remarkable. I can review sessions, take notes directly in the app, connect and network with other attendees, and even plan social interactions in advance. Rather than juggling printed materials, emails, and separate contact lists, Whova provides an all-inclusive, one-stop shop that makes attending conferences more productive, engaging, and enjoyable. here wasn’t anything major that I disliked. The only thing I’d say is that some parts of the dashboard could be a little more intuitive, especially when you’re using the platform for the first time. A few additional customisation options around the registration flow would also be useful for more complex events. But these were minor issues for us and didn’t really affect the overall experience. KonfHub solves the biggest operational headache of organising an event: having to manage registrations, tickets, coupons, attendees, and communication across multiple tools.

For KCD Delhi, it gave us one place to manage the entire registration workflow. Instead of maintaining spreadsheets and using separate tools for ticketing, coupons, and participant communication, we could handle everything from the KonfHub dashboard.

The biggest benefit for me was saving time and reducing manual work. Managing different ticket types and coupons was straightforward, and as registrations increased, it was much easier to keep track of attendees and their information.

It also made the event experience smoother for participants because we could share a simple event URL and manage their registration from one platform. And whenever we faced an issue, the KonfHub team was quick and helpful in resolving it.

It takes a wee bit of time to set up the conference webpage and make sure all the information is aligned, especially when it comes to dates and times. Using Fourwaves reduced the administrative burden of communicating with attendees and abstract submitters. It also made it easier to collect registration fees and to build a participant list and name tags. In addition, it greatly streamlined the scientific review process by allowing reviewers to apply a rubric when grading abstracts, which helped with conference program decisions. Lastly, we saved trees by offering an online program, and we’re looking forward to having an app next time to improve accessibility to conference information for attendees. Gther offers a one-stop solution in-territory for all of our event needs. The system is flexible, so it can suit many different types of events. We have used the system for a traditional trade show, and we’ll be using it later this year for a convention. This really demonstrates just how flexible the system is. CPE certificate customization is more limited than I need. Different states require different information on the certificate. Some require the license number, while others need the field of study coded a specific way. The template flexibility doesn't quite match that variability. I ended up creating multiple templates by state and having to select the right one manually, which defeats some of the automation. The initial setup took about eight weeks because we were building two entirely different event types, and the team didn't have the specific context needed for our internal CPA program. I use Bizzabo to automate CPE credit tracking, which used to take three days and now takes an hour. It provides session tracking with timestamps for CPE compliance, helps during audits, and has improved client conference lead capture, enhancing business development and CRM integration. eWorkOrders is solving our biggest headache: staying on top of preventive maintenance triggered by actual equipment runtime and downtime events.

We pull live runtime hours and alarm data from our facility automation system into eWorkOrders, so the system always knows exactly when a piece of equipment is due for service or when a fault occurs. Even though we still enter some corrective work orders manually, the runtime-based PMs and alarm-triggered notifications are automatic and 100% accurate.
