Who is Responsive, formerly RFPIO pricing best suited for?

Responsive, formerly RFPIO's pricing is best suited for mid-market and enterprise organizations managing high volumes of RFPs, RFIs, security questionnaires, and due diligence documents. G2 reviewers from industries including information technology, computer software, financial services, staffing, and transportation report the strongest fit, particularly teams with dedicated proposal managers and cross-functional contributor networks. G2 reviews of Responsive, formerly RFPIO suggest smaller teams or low-volume users may struggle to justify the cost, with one reviewer explicitly noting the per-seat fees feel disproportionate at lower usage levels. Organizations with structured content governance processes and multiple concurrent projects extract the most value from Responsive, formerly RFPIO's pricing model.

What are the key differences between the free and paid versions of Responsive, formerly RFPIO?

According to G2's pricing data for Responsive, formerly RFPIO, no free tier exists. Responsive, formerly RFPIO's pricing is based entirely on custom enterprise quotes, with no publicly listed tiers. G2 reviewers indicate the base subscription covers core content library and project management functionality, while advanced capabilities such as AI-assisted responses, translation, Salesforce integration, SAML/SSO, sandbox environments, and custom role settings are available as paid add-ons. Multiple G2 reviewers flag this structure as a significant frustration, noting that Responsive, formerly RFPIO's pricing model results in costs escalating substantially as organizations adopt more features beyond the foundational package.

Is Responsive, formerly RFPIO considered good value for its pricing?

G2 reviewers of Responsive, formerly RFPIO broadly describe it as a premium investment that delivers measurable returns for teams handling significant RFP volumes. High ratings coexist with repeated cost complaints, particularly around add-on fees for AI features, sandbox environments, translation, and role customization. Several G2 reviewers note that nearly every new capability carries an extra charge, with one reviewer flagging that the AI add-on alone nearly doubled their base subscription cost. That said, reviewers across mid-market and enterprise segments consistently report 20–50% reductions in response time, with some nearly doubling RFP throughput, making Responsive, formerly RFPIO's pricing justifiable for high-volume teams despite its premium positioning.

What do you like best about Responsive, formerly RFPIO?

I am a long-term and early adopter of Responsive's strategic response management software. What I like best is how much easier it is for us to manage our reliable content, answer complex RFPs, and regularly reuse that content so it doesn't get lost. I use it almost every day, and we couldn't manage our extensive projects without it. When I need assistance, their customer support is fantastic, treating our problems like their problems. Review collected by and hosted on G2.com.

What do you dislike about Responsive, formerly RFPIO?

Grabbing content on the go that is formatted and ready to add to something outside of Responsive could be easier. Review collected by and hosted on G2.com.

Recommendations to others considering Responsive, formerly RFPIO:

Call RFPIO, get a demo, and try it out. You'll love their unique cost structure, easy to use interface, and ability to manage content and projects with a clear view of the workload. Review collected by and hosted on G2.com.

What problems is Responsive, formerly RFPIO solving and how is that benefiting you?

We get a lot of RFPs through web portals that need to be answered in Excel, making collaboration and content editing a major challenge. We use Responsive to collaborate as a team across internal and external team members - saving so much time! We bring the Excel template in and know how many questions we have to answer, can quickly assess who needs to do what, and spend more time responding to the strategic pieces.

The platform allows us to manage our extensive content library and collaborate as an extended business development team across sales, marketing, and SMEs. While we have not yet taken advantage of their extensive AI capabilities, we've already thoroughly explored them and look forward to taking advantage of them in the future. "Limited Entitlements Eliminate Value of Legacy Software"

0/5

What do you like best about Responsive, formerly RFPIO?

Previously, Responsive was able to consolidate the market with an unlimited users and projects model. They now moved away from this and are rapidly shifting to a model of nickeling and diming customers for blocks of 10 (both users and projects), resulting in exorbitant fees in comparison to the value the tool actually offers my company. We have a revolving door of Account Reps as well who are entirely indifferent to our needs and issues. Responsive failed in converting many of their customers to capped entitlements, and has inconsistent pricing and licensing in the market as a result. Other customers are paying comparable fees to my company for 2k+ users vs. the 90 that my company was allotted. The tool is not intuitive or easy to use. Even with 90 users that have been enabled, less than 1/3 regularly use it. And when they do use it, they need help from me to be effective. Review collected by and hosted on G2.com.

What do you dislike about Responsive, formerly RFPIO?

Responsive is now considered a legacy content management solution whose AI capabilities pale in comparison to basic ad-hoc GenAI tools that are homegrown. It's also significantly more expensive and less broadly adopted in comparison to the AI tools that can replace it. We've eliminated a lot of wasted time by shifting our resource investments for RFPs away from RFPIO content management, toward GenAI tools that produce better responses with more efficient content models. Do not sign with them longer than one year!! The technology is quickly becoming obsolete in the face of rapid AI evolution. We're on the hook wasting money over the next three years so wanted to share my knowledge with others having similar conversations with Responsive. Review collected by and hosted on G2.com.

What problems is Responsive, formerly RFPIO solving and how is that benefiting you?

Now that they have moved to a capped entitlements model and AI technology has evolved, there are firmly 0 benefits the software provides. I write better quality RFPs faster using GenAI tools that cost less and are more widely adopted across the enterprise than Responsive. This approach also saves weeks worth of time not having to upkeep a traditional content library with structured governance models. Review collected by and hosted on G2.com.
