I use Responsive, formerly RFPIO, for managing RFPs and find it incredibly useful for handling multiple and complex RFPs seamlessly. I like that it's clean, clear, and simple to use, which makes the process more efficient. I also appreciate how very easy the initial setup was, and I like that it links to Salesforce, making integration seamless.

**What do you dislike about Responsive, formerly RFPIO?**

I never explored the AI piece, specifically the autofilling answers from the library into the responses.

**Recommendations to others considering Responsive, formerly RFPIO:**

Go ahead and get RFPIO, it'll be the best purchase you'll make all year.

I use Responsive to manage multiple and complex RFPs seamlessly, and it autofills answers from the library into responses.

**What do you like best about Responsive, formerly RFPIO?**

Responsive, through its AI agent, has significantly reduced the time it takes us to complete responses to proposal requests. It has also improved visibility into our progress, strengthened team collaboration, and enabled performance analysis, helping us do our work better.

**What do you dislike about Responsive, formerly RFPIO?**

The AI features are excellent, but they’re built on a question-and-answer pairing library rather than operating on a general semantic model. This means there’s an administrative component to maintaining and managing that library that you don’t have with other AI agents based on LLMs, such as Co-Pilot or Claude. That said, we’ve found the extra administrative effort pays off with a strong return when building proposal responses.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

Responsive is helping us become much more efficient at building complex, large bid proposals from structured request documents. It’s allowing us to scale without growing our sales/bid team, helping ensure we meet prospect deadlines without needing to request extensions, and enabling us to collaborate far more effectively as a team.

**What do you like best about Responsive, formerly RFPIO?**

I absolutely love Responsive!  It's like having the company's "golden record" of knowledge right at everyone's fingertips, super easy for the whole team to access! The built-in AI is a total game-changer: just ask a question and boom, you get the perfect answer every time.  We use it daily for our content library and all our projects. What do I love most? I don't need to bug any tech wizards to manage the structure of the library. I can customize everything myself with my own tags and smart access controls.  Running the AI directly on our content makes Responsive an absolute must-have for this one-person powerhouse operation! It's seriously essential to how I get things done.  And the customer Support? They actually listen and turn our feedback into real features, talk about feeling valued!  Setup was a piece of cake, and it plays perfectly alongside Teams and SharePoint. Responsive isn't just a tool, it's my secret weapon!

Responsive is a total lifesaver for RFPs and security questionnaires!  It gives me instant access to our golden record answers whenever I need them, no more hunting around or second-guessing.  The content library is incredible: I manage all the Q&A pairs, customize everything exactly how AI needs it, and set smart access restrictions with ease.  And the AI? It's pure magic! It saves me hours of time and supercharges my efficiency as a one-person team. I literally couldn't do my job without Responsive!  Responsive isn't just helpful, it's a game-changer that makes us unstoppable!

**What do you like best about Responsive, formerly RFPIO?**

I really appreciate how time saving it is while managing different projects at the same time. I also value how it generates answers using our curated Content Library, its AI Assistant has gotten increasingly better with time. 
I work with RFPs in English and Spanish, and the automatic translation and reuse of past answers in multiple languages is a game changer for me.
Lastly, having the Ask Responsive Chrome app available in my desktop is a cool feature I use whenever I want to draft or rephrase an answer.

**What do you dislike about Responsive, formerly RFPIO?**

Sometimes projects include repetitive questions. To maintain consistency throughout our response, I wish it could have an Ctrl + F like feature inside the platform to find content easier. 

I also don't like the layout formats it offers me, I always have to manually refine them outside the platform. I understand it's a tool for answering RFPs and not formatting them, but it could be a nice implementation.

We save a lot of time: Lately we've been receiving a large amount of RFPs and our team's performance and collaboration with other teams excel thanks to how prompt we answer thanks to the platform's AI and its access to our Content Library.

This is a great tool that enables me to quickly complete my projects and to easily identify the right answers for my RFP questions
It is versatile, has a really nice touch and feel, always a pleasure to work wit it. I start my working day with Responsive.

I am looking forward to see how the Library Information is curated and well kept.
Being a replacement for Qvidian, the previously tool used, I would like to have more autonomous and AI embedded features that would make my work faster and flawless. When are you going to incorporate some really nice fine-tuned AI features?

It fits perfectly at the intersection of what I do best every day: managing complex RFX workflows, coordinating cross-functional contributors, and keeping bid momentum moving forward without creating chaos..

Most importantly the customer support. Right from the day of onboarding, I always have experienced excellent support, the tech support, the management team support for escalations and the day to day ongoing support really stands apart. Especially my CSM- Rajasekaran Pandian, customer friendly, fair and resolves any crisis efficiently. I appreciate the cadence of connect up calls which helps us sort concerns (if any) in a timely fashion, which I find truly amazing.

**What do you dislike about Responsive, formerly RFPIO?**

none, actually. It has completely made by work life easier and effecient.

For someone in bid management like me, the platform solves several very real problems:

Repeatedly answering the same questions
Instead of recreating responses from scratch, Responsive uses a centralized answer library with approved content and AI-assisted suggestions.
Scattered knowledge across SMEs and teams
Technical, legal, security, and product answers often live in people’s heads, old files, or Slack threads. Responsive consolidates that into one searchable system.
Slow collaboration and follow-ups
It assigns questions, tracks ownership, manages deadlines, and integrates with tools like Slack, Teams, Salesforce, and Google Workspace.
Formatting and document headaches

The onboarding process was very smooth and well-structured. The regular check-ins we’ve received have helped us speed up the experience and start using the different functionalities earlier. I’ve found Responsive to be thoughtfully developed, with clear attention to the user.
The platform performance is remarkable and the AI/Intelligence functionalities being developed and deployed are keeping the pace with the days we live in. Well done!

I believe the reporting functionality could be improved to make it more transparent and straightforward, especially when working with documents in different languages and needing translation services.
I also think that the integration with SharePoint could have ways to allow the user to troubleshoot any connection error - probably a warning message.

**What do you like best about Responsive, formerly RFPIO?**

I use Responsive every day to do my job, and some of my favorite things about the platform are how easy it is to use and how intuitive the UI feels. I also love the AI engine that helps me draft responses to RFP questions. I can enter a prompt, filter for specific Content Library collections, and with the click of a button, Responsive’s AI drafts verified, content-based, prompt-specific responses to the questions in the RFP. It works question by question, and I can review, edit, and approve/apply answers as it continues generating the rest. It keeps working in the background while I focus on other parts of my job.

I also really like the Responsive Salesforce integration. It lets me connect my projects directly to proposals and qualified opportunities in Salesforce.

Finally, Responsive’s support is incredibly responsive. They’re very open to feedback, and they address issues quickly.

**What do you dislike about Responsive, formerly RFPIO?**

It’s hard to pinpoint exactly what I dislike about Responsive. That said, if I focus on smaller annoyances, the main one is the Recommendations area—the sidebar where I pull Content Library entries into my project—which often defaults to collections that don’t relate to my project at all. I understand that Responsive has project-level settings that can prevent this from happening, but finding those settings isn’t very intuitive, so I haven’t worked it into my project setup workflow.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

Responsive understands that replying to RFx requests, questionnaires, and portal submissions takes a lot of time and careful attention. Everything they do seems geared toward streamlining these workflows and making the overall process easier.

That focus on reducing the burden helps me work much more efficiently. I’m able to get more done in the same amount of time without feeling as bogged down by the process.

I like how Responsive, formerly RFPIO, provides quick and good responses that save me time. It's helpful that they have technical information that I don't have, which solves my problem of answering a lot of technical questions. I appreciate the Slack channel where their team can work on my RFP, not just one person. Their use of Slack for communication was really good, allowing for smooth interactions. The initial setup was easy since they quickly opened a Slack channel, communicated what the next steps were, and everything went well.

The Q&A pair structure is extremely intuitive and makes it easy to organize and reuse content across proposals. The search functionality is especially strong - it’s fast, accurate, and significantly more efficient than traditional tools like SharePoint when trying to locate specific answers or past write-ups. Overall, it streamlines content discovery and helps teams respond more quickly and consistently. When we implemented the tool, we nearly doubled the number of RFI responses our team could handle.

**What do you dislike about Responsive, formerly RFPIO?**

There can be a bit of a learning curve upfront (especially for personnel who don't use the tool on a daily basis) when setting up and organizing content to get the most value out of the platform. That said, their support team is world class and is very "responsive" and helpful - they do a great job of quickly addressing questions and helping you optimize how you use the tool.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

Before Response, every part of the proposal process was manual. Now, Responsive helps automate and streamline the response process, making it much easier to manage large volumes with lots of disparate requirements. By centralizing reusable content and enabling quick search and retrieval, it allows our team to respond more efficiently without sacrificing quality. As a result, a relatively small team is able to support a higher volume of bids while also delivering more consistent and polished responses.

Responsive makes the proposal response process so much easier. It automates follow-up, and the AI Draft feature reduces time spent on first drafts. Onboarding was a breeze, and the Responsive Academy is fantastic for learning the software. The user interface is easy to use and is very user-friendly. The integrations into Salesforce definitely reduce duplication of data, and the automatic updates have been fantastic. The overall performance of the software and reduction in labor hours is definitely worth the investment.

Have not found any negative items at this time.

It has solved the issue of having our data spread across multiple sites and softwares by allowing the use of it's central repository. It has opened up bandwidth to answer more RFPs by automating follow-up and reducing draft times.

Responsive delivers the most value when the content library is actively maintained, so it does require ongoing effort to keep answers current and well organized. There can also be a learning curve for occasional users, especially when navigating the platform or figuring out how to best apply existing content within projects. While these challenges are manageable, they still call for an upfront investment in user enablement, along with regular content upkeep, to achieve consistent results over time.

I really like that they listen to the feedback from their customers and work to give customers the best user experience. The AI features are helpful in responding to our questionnaires and proposals in a concise and cohesive manner, ensuring that everything we send out to our customers is consistent. Also, being able to save information gathered from other teams in the organization into the database for future reference is very beneficial. This all saves time for our team, and for the SMEs that we rely on.

Oftentimes, the interface is not intuitive to the user. At least not in our particular situation or industry.

Our small team carries a very large workload and Responsive facilitates keeping that workload manageable with easily accessible frequently used data, coordination tools, and now the AI feature.

Responsive helps our team organize solicitation responses and create and tweak best of content. We use it for all of our responses, RFQs, RFPs, SOWs and more. It is a great tool for collaboration, for saving our write-ups, and for consistent messaging.

Sometimes, it is unclear if others are in Responsive/if and how your work has saved. If multiple people are working in the same section at once, we have had a few hiccups before.

Responsive helps us curate and create the best responses possible for our business as we submit on RFPs and RFQs to execute our core business. It makes our lives easier, having all our information in one place and plugging/playing/replacing/editing what we want in one source of truth that is not just a word document.

I rely heavily on the content library it’s really helpful to have a centralized source of approved answers that I can quickly pull from and reuse, which keeps our responses consistent and saves a lot of time.

I also like how easy it is to collaborate. I can assign questions to different SMEs across legal, security, product, etc.

Can get a bit hard to manage as it grows. At LRN, we have a lot of content across different solutions, and sometimes it takes extra time to find the most relevant or up-to-date answer, especially when multiple versions exist.

It’s mainly solving the chaos of managing RFPs and questionnaires across different teams.
It saves me a lot of time, helps me stay organized, and makes it way easier to collaborate and get responses out faster and more consistently

User friendly interfaces make using Responsive simple and intuitive.
Regular updates introduce new and improved features.
The AI assistant saves time in configuring projects and pre-populates suggested responses.
Real-time Collaboration with the bid team from within the project.

It is so easy to add new content the library can quickly fill with similar or duplicate content. Features to identify potential duplicates would help at the point of adding new content to prevent this.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

Multiple email trails with the bid team are not required as communication is captured within the project.
Storing content in multiple repositories is no longer required as the content library stores all content in one place.
Tags and intelligent search engines reduce time spent searching for content. 
Time spent collating and reporting on bid activity is eliminated as the reporting function allows for instant visibility of live and completed bids.

I use Responsive primarily as our content library repository. Adding new content feels straightforward and low effort, which encourages frequent updates. The interface supports fast retrieval of information using keywords, tags, and projects, which improves day to day efficiency.

The onboarding analyst made everything very clear, and the training was great. Even setting up the integrations was easy, and our Salesforce admin noted how easy it was. All the information available from the Responsive help center was also very helpful.

The platform allows us to manage our extensive content library and collaborate as an extended business development team across sales, marketing, and SMEs. I like that they have listened to our concerns since first coming on board with them. They have worked hard to make improvements. The experience seems to get better and better every quarter. It is becoming a very useful tool and as we think of new ways to leverage it they seem very focused on making those ideas a reality. I also love their "chats" where we get to discuss new features with them and other customers such as ourselves. The culture at Responsive appears to be very much like ours and you can tell by how happy their staff appear on our calls. I really like them as a company and think they are doing all the right things. Makes me glad that we picked them a few years ago. They have been very easy to work with and very responsive to our needs.

**What do you dislike about Responsive, formerly RFPIO?**

One thing I would like is more enhanced notification capabilities like the ability to target a user on a quesiton without necessarily notifying other users on that question. Our process works in stages so when one user is done another may be asked to jump in. The first user no longer needs to get all of the notifications of the second user.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

It is our data library and we use it to collaborate. They make it easy for our entire sales team to leverage our content to provide responses both formally in an RFP and on the fly. We are finding more and more of our team using it to answer questions from prospects. The addition of AI is making it even more easy to use for our team. We really like how they continue to work to improve on the functionality and features to make it even more valuable to us as a tool to use on a regular basis.

Team Collaboration: The ability to assign individual questions and sections to different team members is great for distributing workload and leveraging specific expertise. Review Process: Assigning responses to reviewers for sign-off ensures quality control and maintains standards. Knowledge Management: Searching through a previous RFP response database can significantly speed up the response process and ensure consistency. Project Management: Tracking the progress of the RFP (especially when handling multiple RFPs) helps in meeting deadlines and managing the team’s workload effectively.

Responsive's content library is extremely robust and has built-in tools to develop a highly functional information hierarchy. It is easily searchable, filterable, and sortable, and the AI generates great answers with source citations.

The project workflow offers AI features to complete questionnaires with lightning speed while citing sources to be able to check for accuracy.

**What do you dislike about Responsive, formerly RFPIO?**

The text editing console is super basic, making content formatting tedious. Tables are flat our impossible - no formatting functionality at all so that we have to format in Word, and then go back through and manually format the text to the HTML codes.

The UI is pretty complicated, but this is due to all the features and functions.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

AI features are a HUGE time-saver and have a good degree of accuracy. I have found things to be inaccurate when the question has to do with something that is not in the library, and the AI will derive an answer from Q&As with similar verbiage, but it will be way off base. Example: one of the questions was asking to provide 3 references, and AI derived an answer from a Q&A about *former clients, so the context was not caught.

In a busy RFP center like ours, where each proposal manager is juggling multiple RFPs and many SMEs, Responsive is invaluable at helping us with organization and accurate content. We use the tool all the time and it is hard to imagine how we did our jobs without it. Two things the Responsive team does extremely well are 1) Continually investing in new features and capabilities and letting customers try them in Beta, and 2) Communicating with clients with webinars and trainings to introduce new features or show us how to make better use of the ones we already have.

**What do you dislike about Responsive, formerly RFPIO?**

I have to knock Responsive down from a 10 to 9 because of their support. While the support personnel are kind and polite, they don't understand RFPs and they really don't know much about the software. I would guess that most clients know the software a lot better than the support team. And because the support team can never resolve questions or issues on the first contact, it takes far too much time to deal with them. Often, we just come up with our own workarounds rather than deal with the Support Team.

1. Maintaining accurate content that is quickly out-of-date.
2. Tracking, organizing, and managing multiple RFPs at a time.
