**What do you like best about Responsive, formerly RFPIO?**

Before setup, our proposal team was excited for the time savings and efficiency from Responsive/RFPIO. In practice, we learned that Responsive seems to expect users to fit its strategy and workflows, rather than adapting to the team's established workflows. 

**What do you dislike about Responsive, formerly RFPIO?**

Previously we were not happy with the confusion around dynamic properties. To expand, this software can be greatly improved by focusing on "how can we ADD to a team's established workflow without needing massive retraining?"

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

It helps automate manual processes like searching, analyzing, and compiling previous content.

**What do you like best about Responsive, formerly RFPIO?**

I like the ability within Responsive for my colleagues and management to put tags like 'NDA required,' 'internal,' 'external,' and 'general topics' on different portions of documentation. This makes it a bit easier to know if it's a document I'm allowed to share or not without having to open it specifically.

**What do you dislike about Responsive, formerly RFPIO?**

I find the search mechanism is not great. The archiving feature, at least the way we're using it, is not so good. It's an older system, and it acts that way.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

Responsive creates a centralized location for storing important documents and questionnaires, making information accessible for teammates without searching multiple places. It helps with central management and storage of documentation for client responses, bringing more order and ease of access.

**What do you like best about Responsive, formerly RFPIO?**

The sections most used by our team include the Content Library, the Projects management workflow, and the Ask feature. The Ask feature is particularly useful for sorting through thousands of Q/A pairs to stitch together comprehensive responses that can be credibly cited and sourced from our knowledge base and documents. It's a huge timesaver and intuitive to use, and helps increase AI literacy amongst our team.

**What do you dislike about Responsive, formerly RFPIO?**

My one big complaint is that I'm unable to apply dark mode to the Content Library view.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

Responsive is a centralized repository for product and security related articles across our entire product line. This helps us save time and reduces the amount of hours we would otherwise spend sifting through documents, previously completed proposals, and outdated pages in our internal knowledge base. Really it's just a shortcut for our daily work, enabling us to work smarter not harder.

The AI feature helps us frame and draft the answers in an orderly fashion with the correct references for the extracted statements. This is one of the best feature of the platform which I like till now.

**What do you dislike about Responsive, formerly RFPIO?**

Sometimes the AI draft gives me wrong statements even though the underlying statements are accurate. I guess there is more work required to make the AI feature more accurate and revent hallucination.

Responsive is helping me draft answers for the questions of the proposals and is having a first stab at all the questions before further refinement of the answers for final submission.

It requires a lot of backend setup and feeding of data that was not prioritized by company owners

The goal is to make security audits easy to complete, but since we never had a good source of truth the audits weren't ever very helpful.

Getting it into a usable state after uploading past responses hasn't been easy. The search sucks - needs to better support synonyms. Reviewing and signoff of sections is managed poorly or we use it poorly not sure which, UX could be more intuitive.

Helpful communication between the parties.
Good KB managing options and versioning control

UI can be much better but the wekest point is the content reccomendation system. I would expect it to have at least some kind of AI and smart capabilities but unfortunately it's a key word matching syetm and it's doing a pretty poor job for a non standard qeustionnairs what makes the auto fill feature completely useless

Ownership, clear communication and contant managements around the InfoSec and RFP subjects

We are able to send out consistent RFP's for our clients through templates but can also update our templates to keep them current or specific to a client's needs.

**What do you dislike about Responsive, formerly RFPIO?**

It is difficult to navigate through issuing, responding, inviting clients and/or vendors to register and/or participate in an RFP. It is a little clunky to release the RFP overall.

Client discovery details to share with vendors and then next, the RFP to send to vendors for the vendor selection to prepare a comparison to our clients between the vendors competing for the business.

Unlimited user licensing is great for smaller organizations with a wide variety of subject matter experts that are leveraged to help answer questionnaires, as opposed to more well-established businesses that may have a dedicated team to service these requests.

RFPIO is somewhat limited in its functionality in comparison to other providers.

I like that all of the responses can be on one platform and that it sends notifications

The downside is multiple errors you get, The labelling is super difficult to get right especially with a yes/no answer

The notifications of time to deadline; that is helpful.

The fact that I have to upload and format everything. We have to format details to present proposals to our attorneys. This is double the work and there is additional room for error.

It is not helping me solve any problems. I  need to use this service to submit an RFP. Otherwise, we would just convert a Word document to PDF to submit an RFP.

system is sooooo clunky, impossible to locate exactly what you're trying to find. had to click around in multiple locations anytime i needed to find something

as someone running an RFP - this would be helpful to aggregate all RFP's together to track accurately
as an end-user filling out an RFP - extremely difficult to use, would've preferred an RFP PDF to fill out

The integration process seems to be running smoothly thus far. I would like to download and test it out to see if this will be a great solution for my company to use

nothing so far that I don't like just using the system as a trial period because we are looking at other solutions in creating RFP.  We are looking for a free application since only 3 people will be using it

RFP is a very complex process and RFP360 has made it easy.

This is still required to be matured for very complex or lengthy RFPs. Weightings, Scoring and Presentation need to be more readable and userfriendly.

Good dashboards for overviews of RFP completion rate
Easy to assign team members to tasks

UX for addressing your assigned questions is terrible - no right click open in new tab.
Very annoying to have to continually reset filters between your responder and approver tasks, why can't they all be in one list. 
Needs highlighting tool for rejections, so can specify the exact part of the response needs to be amended. 
Knowledge base needs sub folders and organisation by topic. These folders should be available for search and selection in the response window.

employ dedicated resource to manage your knowledge base - as there are no in-built tools to make this simple.

**What do you like best about Responsive, formerly RFPIO?**

Whenever we have a question, it is answered quickly and personally. Our representative has come through for us on multiple occasions when we've hit a snag uploading an RFP or navigating the system. The representative is knowledgeable and a good teacher, constantly updating us on new features and asking if we need support with anything.

The system itself provides a great place to store our RFP answers and be able to reference them quickly. There are multiple ways for our team to find the information they are looking for. The data library has greatly reduced our RFP response time. At this time, we primarily use RFP for this purpose.

We like that RFP360 is constantly making improvements to the User Experience.

**What do you dislike about Responsive, formerly RFPIO?**

Uploading RFP's from Word can be a major challenge and very tedious. Many of the steps are not intuitive. We are grateful for our customer service representative, who has had to walk us through the process in the middle of putting together our RFP. While the representative is super helpful and quick at executing the steps, you can tell the representative probably has to do this a lot with many of their customers. 

If there are tables in the RFP, unless they are very basic tables without merged cells, RFP360 does not have the ability to upload them properly and you have to use a manual workaround. We are not yet comfortable with using RFP360 from start to finish in responding to RFP's. We know improvements are continually being made to the system, so we look forward to a more intuitive experience on this front.

Our response time has been greatly reduced, due to the data library features of RFP360.

We are also upgrading our Excel import to provide a lot more flexibility in the mapping process, which will make it more intuitive and forgiving in the event of a mistake while mapping. **What do you like best about Responsive, formerly RFPIO?**

I like the scoring aspect, and the ease of compiling RFPs from component sections/questions/tables/etc. Support team was very helpful.

**What do you dislike about Responsive, formerly RFPIO?**

Lack of customization and formatting issues in communications to respondents. Exporting RFP response results and scoring could be improved. While powerful, the organization of "Issue an RFP" and "Respond to an RFP" windows could be a little more intuitive.

**Recommendations to others considering Responsive, formerly RFPIO:**

Send yourself the RFPs as a test before sending to vendors.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

We are able to quickly compile an RFP, and send a consistent version to vendors.

It helps store all content and centralising everything.

There are a lot of irrelevant matches in the proposal. It takes a very long time to set it up to use it and it is very expensive.

**Recommendations to others considering Responsive, formerly RFPIO:**

I'm not sure if it's worth it for the price.

No benefits for now, it takes a while to upload all RFP content to the platform.

the upside of the RFP tool is the "search" function to identify other RFPs that have similar questions.

**What do you dislike about Responsive, formerly RFPIO?**

RFP does not search for answers within uploaded  documents/files (at least not from my experience).

**Recommendations to others considering Responsive, formerly RFPIO:**

I would not recommend this tool (as it is now) to answer compliance questions.

The RFP tool reduces the amount of time it would normally take us to answer a FI question.

As you mentioned, unfortunately, we aren't able to search text inside of attachments. To solve this, I would recommend uploading the content you need as a part of your knowledge library records. **What do you like best about Responsive, formerly RFPIO?**

The knowledge base and knowledge search functions have been key for us.  It allows us to upload content and organize it by LOB and function.  We're also able to assign out specific areas to groups within the organization.



**What do you dislike about Responsive, formerly RFPIO?**

The search function within knowledge search could be better.  I would like it to be more specific, I find that even when I include ""s it still picks up answers that are irrelevant.

I've also struggled with managing a large number of question/responses.  It would be great to be able to consolidate similar question/response pairs.  Our system now has a lot of duplicates, and the effort to go In and manually clean-up is fairly significant.

**Recommendations to others considering Responsive, formerly RFPIO:**

You need to setup a dedicated resource to own the implementation of this.  It really needs to be a focused effort, otherwise you end up with 'garbage in - garbage out'.  The implementation plan really needs to be laid out prior to just loading information within the system.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

We are able to have a single repository for all of our information.  The tool has been very helpful in streamlining our Security Questionnaire response process and has helped us to cut down our response time exponentially.  We like the review processs as well as we can insure that the content We've implemented this across multiple geographies and it has greatly helped us standardize not on the response content but the process and expectations as well.

I really like the knowledge repository.  It's great when filling out an RFP to be able to populate answers based on the question asked - makes it SUPER simple.

The template process is a bit frustrating that you aren't able to edit a template once it's uploaded.  You have to upload a new one.

It is making the RFP response process much easier.

With regards to templates - we are always looking for ways to improve this functionality and knowing that you'd prefer not to edit the template outside of our system is helpful. Because templates are native to MS Word, they currently can't be edited or updated directly in-app, however we will investigate other creative ways to make this experience more seamless for you and your team.

It gets the job done and the pricing model was better than other options.

It takes a lot of time to get a lot of time to get it set up and get the information in it. We struggle with some people not following the workflow.

Completing RFPs.

We recently added the ability to import Word documents into the Knowledge Base to help organizations get set up and add their information more quickly. We’re working on similar functionality for Excel, as well. 

Also, I know how challenging it can be to get users to adopt new workflows when implementing technology. We recommend explaining how the new process will benefit each user in their role to gain buy-in.

**What do you like best about Responsive, formerly RFPIO?**

The system is fairly intuitive and easy to use. Navigation is straightforward and the content is easy to read. Editing within the system is similar to Microsoft. 

**What do you dislike about Responsive, formerly RFPIO?**

There seems to be limited flexibility for making notes on content within the system...i.e. as an editor, I would like to be able to review content and make notes within the system for future edits. While I am able to highlight and attach a note, those notes are not easily accessible and there does not appear to be a function where we can pull that content with the notes extant. 

Without a content ID number, it can be challenging to find and edit content.

**Recommendations to others considering Responsive, formerly RFPIO:**

The system appears to work best when all stakeholders have access and editing can occur on the system. Make sure you are willing to grant this access when you consider the usability of the system

We are using the system for content management and proposal response. We are still in the early stages, so unable to assess the benefits.
