**What do you like best about Responsive, formerly RFPIO?**

Responsive more than suits our needs. I like how it is constantly innovating and adding new functionality, such as its many new AI features. I like being able to contact live humans on their Support team 24x5 - they're all very knowledgeable and helpful and will jump on a call if needed to help you sort through your issues. And special kudos to our account team!

**What do you dislike about Responsive, formerly RFPIO?**

The only issues are on our side, not theirs. Typical challenges of using any proposal software - getting team members to work within the tool, keeping content fresh and well organized. No issues to complain about on their side.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

Their continuous evolving in AI is most helpful - being able to quickly generate a first draft and generating requirements analysis using AI.

I think it's a great user experience, easy to navigate, and provides a ton of value with our RFP responses. Easy to implement new responses. The chrome widget is a great enablement tool and is used often.

I wish it did a better job of aggregating and deduplicating responses, and surfacing out of date responses better. Adding new responses doesn't alert if a response already exists.

**What do you like best about Responsive, formerly RFPIO?**

UX is better as well as search algorithm. Don't necessarily like how search pulls from multiple sources at first, i generally am looking for just Q&A so then have to filter.

**What do you dislike about Responsive, formerly RFPIO?**

Ability to suggest & search for answers while answering RFP questions. I find that I often need to have multiple pages open where I'm searching through repository with different filters, rather than getting the best answers suggested for me. Also I really really want all answered RFP questions to automatically get banked. By having to manually select an answer for adding to repository, it keeps the repository much smaller than it could be. Many users also get anxious about selecting this box as they may not feel confident, even when their answer may be better than anything else existing.

RFPIO helps in quickly & easily answering RFPs using previously approved responses

Responsive was already more than 2 years ago the market leader in our research, having combined classic bid project management and AI functionality in one tool and not just on marketing slides.

Low clarity with large and very large bids
Missing section consideration in the Content Library module

We always start an offer with an empty template. We do not use the reusability of text modules and already created offers. We have been creating offers manually in Word, Excel, and PowerPoint for more than 10 years and do not use a digital solution. Classic bid project management tasks take up a large portion of a bid manager's time. Responsive provides us with a digital solution for all our challenges in one tool.

Now they have an Ask capability - conversational that looks information in the whole library and responds to the question that the user makes so it much easier to respond an RFP. For users that works with different languages is also very useful because the Ask capability can translate the answer right away.

The search in the library is not so intelligent but with the new Ask Capability this is no longer use.

Consolidates all RFP/RFI responses in the platform so we can easy respond to new RFP/RFI, also with this information Sales people can respond to specific questions that customers do to them and they dont know how to respond.

The collection of Questions and Answer, the Q&A Library is beneficial to me and my colleagues to help them answer  our prospects questions and also to help them learn our solutions.  Searching for answers is simple and we like how Responsive files related Q&A.

Importing a new RFP document and getting the correct format can be a bit challenging, but this has improved over the years.

In the past we managed our Q&A library in an unformatted excel document.  Responsive helps us save time and formalize our answers.

As a tool for managing your RFx process, Responsive gives you all the necessary support you can imagine.  The dashboards, intuitive application, project management options, content library availability and all the training you could possible need.  Our customer success partner is available at any time to assist us.  We use Responsive daily.

From the experience so far, there are no downsides to Responsive.

Responsive ensures our team is meeting all deliverables related to the RFx process.  The content library assists with consistency and accuracy of responses.  The AI features are particularly helpful to craft better narrative responses using our content library.

Straightforward platform - able to submit RFPs, add question/answer pairs, and search them up pretty easily by keyword match. Intuitive UI.

Perhaps it's just that I haven't figured out how to do this, but unable to export more than 2000 questions and answers don't get exported within the CSV.

There’s a bit of a learning curve when it comes to getting your prompts right for searches and the AI features, but that’s true of pretty much any software :)

I love the ease of use of Responsive, and how they are always innovating and adding features. The implementation and integration processes have been very easy when implemented in my previous companies. Customer support is timely and informative. I use Responsive pretty much every day, whether it be for completing a project or moderating the library content.

**What do you dislike about Responsive, formerly RFPIO?**

I wish the reporting was more intuitive and comprehensive. We use yearly statistics for budgeting for adding headcount, and a report that would allow us to see how much time a particular SME or team spent within Responsive providing input would be very helpful. the only way I can gather that information now is through a manual process within the Archived projects.

Responsive is providing tools that help to streamline our RFP process, and enables collaboration with our SMEs and Sales leads in a way that is much better than the unwieldy process of sharing documents.

Support is always quick to respond. Great UI. Smooth implementation process. Hubspot integration is useful and easy. Has taken a lot of effort off of our SMEs. We use it daily for nearly all RFP needs, as well as the e-signature feature.

The auto-respond feature doesn't seem to learn based on frequently-used content. Support is often quick to blame the user rather than actually look into the issue.

RFPIO/Responsive is our main depository for frequently used information. We are able to update as information changes and the ease of use is outstanding.

I do not have anything to dislike about RFPIO/Responsive.

There is information that is imperative for many RFP's and being able to copy and paste into received documents saves time and money! It is personalized due to being used just by our company. No worries about searching and getting info that is not applicable to your company.

We purchased only the library and it's fantastic to have all of our content searchable, in a google-like way. It's also easy to use, intuitive searching features. We formerly had documents scattered throughout our drives and no one could find anything and we continually reinvented the wheel. 

Our customer support rep Maddie was fantastic.

**What do you dislike about Responsive, formerly RFPIO?**

The cost - it's not an inexpensive product (library only) but it's worth it. we use Responsive nearly every day for our proposals.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

we formerly had our proposals and grant applications scattered in various folders and had to rely on those with institutional knowledge to recall what proposal contained relevant language. Now, we can search Responsive and have numerous seats available so staff can search it on their own rather than relying on the proposal team.

**What do you like best about Responsive, formerly RFPIO?**

Its best feature is its powerful functionality for importing and working with Excel spreadsheets and Word documents to generate RFP question sets. It makes what could be a very slow and cumbersome process streamlined and relatively easy, with practice.

**What do you dislike about Responsive, formerly RFPIO?**

Over time, duplicate questions and answers make their way into the repository and when I am cleaning them up there is no way to flag a question or answer duplicate as 'ignore' for the duration of my deduplication session. This is frustrating as there are always questions or answers that do not need to be deduplicated e.g., a similar answer for two differently tagged products, and they still show as needing deduplication in the results list and I have to manually skip past them. A way to hide a question or answer from the list whilst working on them would be brilliant.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

I work in a large organisation and RFPs can be very large with specific sections needing answers from subject matter experts located around the globe. Being able to import an RFP into Responsive allows me to assign specific questions to the people that need to answer them. This is a huge help in completing the RFPs on time.

Having a centralised repository of information used to answer RFPs is also a massive help in completing RFPs.

Responsive's ability to return relevant answers to the keywords I search with makes completing RFP questions much easier than it would be if I had to manually locate the answers from a large repository of information.

The content library and collaborative option (multiple people working on the same project doc at the same time). There have been recent improvements made to the tool where the quality of the answer recommendations have been improved. The tool also offers an additional AI-related features.

**What do you dislike about Responsive, formerly RFPIO?**

While the tool works quite well when one uploads excel files, one may face issues if they upload excels with macros. Additionaly, there have been some issues when it comes to uploading files in WORD or PDF formats (we have been working with the Responsive team to get this issue solved).

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

When we used to receive questionnaires as part of supplier assessment from our customers, we would have to involve mutiple stakeholders in a very painstaking manner, as different teams would work differently and this caused delays plus more effort & coordination on our part. Also, excel files with Q&As would have to be maintained which was very inefficient.
Because of Responsive, we are able to avoid the above mentioned issues because of its collaborative features and content library features.
Now we have multiple teams (working on different topics) leveraging the tool and they are able to create segmentation within the tool itself (in terms of content library, access rights) so that the work of one team doesn't interfere with the others. This has been very helpful.

Mainly how powerful is to create projects and to use the answer library and the array of options and filters. I also like the AI function

Maybe the interface response time when typing quickly...you need to wait a few seconds between searches so when you start typing it will include all what you are suppose to write. If not some letters may be cut from the search sentence

Not able to tag persons and then to send a direct email when you need support answering a question

I like that they've evolved from just an RFP platform to a more comprehensive response management system. The ability to handle different types of content, beyond just RFPs, is a big plus. It makes it easier to keep everything organized and consistent.

While the platform is great, the user interface can sometimes feel a bit complex for new team members. It would be helpful to have a more streamlined or guided experience for tasks that are less frequent, to make it easier for everyone to use without a lot of training.

Good support from Customer Success Manager and Technical Support. The user interface is simply designed, clear, and easy to understand in operation.

Clear visual separation in the section overview from the individual documents is not present, which makes it difficult to maintain an overview, especially with larger tenders (collapsed view missing). Missing consideration of the section input in the content library in the recommendations for a project.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

No multiple use of texts in already submitted offers, we can now change that with the Content Library. People no longer have to constantly reformulate or come up with texts and responses, but can easily incorporate them through collaboration. Simplified collaboration of individual bid members, as they can now answer everything through a single interface and do not have to jump back and forth between documents.

Responsive helps us reuse prior content better than anything I've had before, and organize a proposal before moving it to MS Word for final production.

The Q&A format doesn't work as well for responding to Government RFPs - it tends to break things up too much and makes it hard to get a broader view of the proposal being written.

Reuse of content is difficult if spread across numerous Word documents; Responsive lets us centralize it into one place and search for fast retrieval.

No real issues with the platform. I joined a new company that uses Responsive and have been drowning in RFP work and Responsive cuts my time by at least 50%.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

My org responds to many robust, complex RFPs as a part of our sales process. Hundreds or thousands of line items, technical specs for softare packaging and pricing, etc. Responsive as a workflow tool is a great application for assigning work, tracking progress, and keeping everyone accountable. The real value driver is the AI suggested responses. We have created a data source for all of our product, support, and technical details and responsive can use AI to generate answers for questions based on the data input. You can even add to the prompt, so the tool will take your guidance and blend it with the source information. This really saves so much time - it's a great app.

The platform is a great tool to centralize all of our RFP content with flexible options to organize and tag the information all in one place. The Q&A pairs are invaluable for our RFP answering process.

Some features for the sections are confusing and not helpful for us. For example, grouping sections is a static response, meaning that if any of the section descriptions grouped are updated, these updates are not reflected in the grouped response, which can create some discrepancies.

Responsive centralizes all of our RFP responses and the content created throughout these activities. We are easily able to search and retrieve information from past responses to quickly generate and respond to RFPs.

- Has trouble with complexly formatted RFI documents. Mapping the RFI into the system to prepare your response can be very tricky and time-consuming. I'm not sure that any competitor has solved this though. It's largely a function of the illogical formatting that is used by clients in the build-out of these assessment tools.

Centralizing the RFI response process. Creation of a library for all content, as well as the tools necessary to delineate content updates to the applicable subject matter experts. Review and content update alerts are convenient and create accountability.

RFPIO is easy to use to upload RFPs and it provided an easier life for Sales Engineer who needs to search for model answers and completing RFPs. We did not do much/any customization to get RFPIO working. We use it quite frequently when there are RFPs which we will need to fill in.

Not much, most of the features and functions worked ok without customization.

RFPIO helps to provide a centralized repository for RFPs as well as the responses to RFP. Without RFPIO, we might have different responses across different RFPs asking the same questions, and also, we might frustrate internal teams asking same questions across different RFPs.
