The only positive is that my contract will be ending at the close of the year. **What do you dislike about Paychex?** Absolutely horrendous. Moving our company to Paychex’s PEO platform was the worst business decision I have ever made. I originally used Paychex because it previously had an exclusive arrangement with the Florida Workers’ Compensation Joint Underwriting Association for agency billing. Although its payroll system and customer service were already disappointing, our company needed that agency-billing capability. As we grew, a Paychex salesperson persuaded me to “upgrade” to its PEO platform—a decision I deeply regret. After moving to the PEO, I encountered serious and recurring problems, including: Failure to properly initiate and process E-Verify cases. Employees shown in the Paychex system as authorized for employment even though, when I investigated, no corresponding E-Verify case appeared to exist. Failure to remit workers’ compensation payments properly. Erroneous fees and apparent overcharges. Frequent system inconsistencies, errors, and unexplained “bugs.” An inability or unwillingness to provide a clear, itemized accounting of the services, fees, and rates applied to our account. Changes to rates and contractual terms during the agreement. The platform that was sold as a “premier professional” solution immediately created an enormous administrative burden. I began spending approximately 10–15 hours every week identifying errors, reconciling conflicting information, documenting problems, and tracking down people who might be able to correct them. Paychex appears to operate through numerous siloed departments that do not communicate or integrate effectively. The user interface is inconsistent from user to user, department to department and even company to company. The software is just garbage. Over the course of this experience, I dealt with dozens of employees across multiple departments. Many could explain only a narrow portion of their own process and could not explain how it connected to the other departments their work depended upon. I was repeatedly transferred, redirected, or given conflicting answers, while critical issues remained unresolved. The most alarming issue involved E-Verify. After discovering that Paychex’s system reflected employees as employment-authorized even though I could not locate evidence that the required E-Verify cases had actually been created, I requested termination of the PEO agreement. Instead of taking responsibility for the severity of the problem and allowing us to leave, Paychex responded by seeking a termination penalty of approximately $25,000. In my experience, Paychex accepts little meaningful responsibility for the accuracy or functionality of the platform it sells. When its systems, billing, or internal processes fail, the customer is left to identify the problem, prove that it occurred, navigate multiple disconnected departments, and spend hours pursuing a correction. Meanwhile, Paychex continues charging substantial fees for services that are supposed to reduce—not multiply—an employer’s administrative workload and compliance risk. I would strongly caution any business owner considering Paychex PEO to disqualify the company as a candidate. If you are already unfortunately contracted with this company, demand, in writing, a complete itemized fee schedule; all termination provisions; all workers’ compensation responsibilities; the precise E-Verify workflow; service-level commitments; and restrictions on mid-contract rate or term changes. Carefully audit everything Paychex processes on your behalf. Do not assume that a status displayed in its system means the underlying filing, payment, or compliance action was actually completed. Based on my experience, I cannot recommend Paychex or its PEO platform. **What problems is Paychex solving and how is that benefiting you?** They are not solving any problems. I like that the reporting features allow me to modify existing reports and even create my own reports to access the information I need. I also appreciate that Paychex handles our payroll taxes for us, including state UI taxes, federal and state withholding taxes, FICA, and employer taxes. The tax amounts withheld are based on federal and state laws, as well as the employees' federal and state withholding forms on file. Paychex withholds the taxes from the employee paychecks, file the payroll tax returns on our behalf, and also sends the funds on our behalf. This helps me out a lot, especially since we have employees working in multiple states. **What do you dislike about Paychex?** I would appreciate having a specific representative with his/her contact information. Right now, I only have the general Paychex email and phone number and can only get in touch with someone when the next person becomes available. The time and attendance module offers different ways to complete the same tasks, such as reviewing and editing time cards, which makes the process more efficient. The system also flags exceptions so you know what needs to be addressed. The canned reports available are flexible enough to meet our specific needs. PayChex Flex provides alerts for our compliance requirements as well. It’s also very easy to save and share documents with employees, which eliminates the need for multiple paper copies. **What do you dislike about Paychex?** There are fields the client can customize in Flex as well as in Time&Attendance; however, I do wish there were a bit more options available. At times, the support staff can take too long to get back to the client with a resolution to an issue or an answer to a question. This seems to happen mostly on the Flex side. **What problems is Paychex solving and how is that benefiting you?** Before using PayChex, we had a system that was very cumbersome, which made it inefficient for the admin team; most tasks took at least twice as long to complete. We also didn’t have the ability to share or store documents within an employee account. To manage retirement and benefits, we had to log out of the system and into separate systems, which added extra steps and slowed everything down. The reporting features are powerful and fit our organization's needs for our annual and quarterly reporting obligations. **What do you dislike about Paychex?** The process of reaching a live customer support agent can be a challenge when your organization's assigned representative is unavailable. It’s straightforward to use and saves us time each week. The time card function for each employee is easy to use and also to log in to their jobs for job costing. This is done by an app on their phone for ease of using. The onboarding process was thorough and handled by many Paychex employees that were very detailed in their department expertise to make the transition a positive and painless experience. **What do you dislike about Paychex?** There really aren’t any downsides to using Paychex. If I had to point to something, it would be getting used to which department to contact when I have questions, and sometimes dealing with different time zones. But that is pretty minor when you are able to reach the correct "expert" in the department that you need help with. **What problems is Paychex solving and how is that benefiting you?** Our new employee handbook has been a huge asset, helping ensure we stay in compliance. The resources available through their insurance department have been another big help. Their resources for credit card processing and ACH processing have also saved us time and money. The GL entry process is much easier, billing is straightforward, and the reporting tools give us the information we need without extra effort. **What do you dislike about Paychex?** The website is designed fairly well overall. That said, some items aren’t as intuitive or as easy to access as I had hoped, so there’s definitely room for improvement. For example, the places to retrieve various reports are spread across three or four different areas, which makes them harder to find and navigate to. The Time and Attendance section could also use some refinement, as it feels clunky at best. **What problems is Paychex solving and how is that benefiting you?** We’re a fully remote business, with employees working across about 15 different states. The layout of the website is user friendly. I can find what i need very quickly. They take care of quarterly taxes, which is nice. One less thing to worry about, especially since it's something that is only done four times a year, so it's easy to overlook. **What do you dislike about Paychex?** The customer service rep that is assigned to you, is never available. You end speaking to whomever is available, so what is the point of having an assigned rep? The site is down for maintenance at the most inconvenient times. It should go down in the middle of the night, instead it's evening hours. **What problems is Paychex solving and how is that benefiting you?** It is helping assist the bookkeeper with payroll. It's handy having everything through one vendor with payroll data access. **What do you dislike about Paychex?** Paychex is not a global friendly system. If you have global employees and or contractors and want to store them in one system. This is not the right platform for that. Sometimes the integrations of various vendor software into Paychex causes usability issues where data doesn't flow as seamlessly or easily as expected. There end up being a lot of one off situations that have to figure out how to handle. **What problems is Paychex solving and how is that benefiting you?** We used to employ a full-time payroll person and had challenges with that person being reliable. Paychex walks through each step of information, taxes, pay, direct deposit, etc. Taxpay is the best, as long as it is setup with each state tax and Paychex will follow-up on your company's behalf. **What do you dislike about Paychex?** Quarterly charges for non-active Taxpay state tax accounts, $30 per account #, but if you cancel Taxpay note it DOES NOT suspend your tax accounts with the state. Weekly payroll charges are a little steep, however our payroll is processed and our service reps help with ANY/ALL questions issues it seems we have come across. **What problems is Paychex solving and how is that benefiting you?** Tax filings. It simplifies things for the staff, allowing them to access and update their information independently, which reduces my workload. I also appreciate the time and attendance feature and how easily time off requests can be processed, making communication with employees quick and easy. Additionally, I like being able to put forms, documents, and safety videos in Paychex for onboarding, which keeps everything organized and reduces the work of sending out individual items. Having everything in one place, including the 401k system with its updated automations and healthcare, is a big plus. **What do you dislike about Paychex?** I wish that the teams within Paychex would communicate better because they seem very disconnected. At times, I have to talk to one person and then another, which is frustrating. Their portal is very user friendly and they make doing payroll a breeze. I simply enter the hours each staff worked that pay period and any additional PTO/vacation hours, and Paychex does the rest. **What do you dislike about Paychex?** It would be nice to have a direct phone number to dial our account manager rather than calling the main line and having to be transferred. **What problems is Paychex solving and how is that benefiting you?** Paychex has really lightened our workload by calculating, collecting, and paying our quarterly taxes. Other systems you have to spend a lot of time learning how to configure everything and then testing to see if you did it right, but Paychex takes that off your plate and helps ensure it is done correctly the first time. We are provided with a dedicated support team that makes resolving any issues easier and faster. We love knowing who our main contact is and getting to build that relationship and trust with them. The pre-created quick reports that Paychex provides saves a lot of time and effort instead of having to try to create something new. **What do you dislike about Paychex?** While not having to manage your own configurations in Paychex is nice, it can come with a lack of visibility into how your system, especially pay codes, are set up and functioning. There's not a lot of diversity or ability to refine each report; there is a lot of HR statistical information missing from the employee profiles so when we need to run annual reports for these, we have to manually enter the missing information each time for each employee. Reaching the dedicated Payroll rep has also been really difficult. While it is nice to have a dedicated Payroll rep, it often happens that when we call or email, there is no response because they are out of the office, resulting in poor response time. Calling the phone line for the next available rep seems to work most of the time. However, there are quite a lot of reps who do not seem to know or understand Payroll in detail, making it difficult to get our questions answered. Flex updates: All of the recent system updates have been handled poorly in my opinion. Because there are no email notices sent regarding what has been changed or updated, I never know what has changed until I need something and time is of the essence. For example: there were recent updates to how we send our notices received from state and federal tax. No email correspondence was sent regarding this change. Flex Perks: There were also Paychex Flex Perks that were added without our knowledge or consent. These were made available to our employees and none of our executives or myself, received any email notices that these were a) being added or b) being automatically made available to our employees and c) that we would have to manually go into our Flex account to turn the Perks off. That is unacceptable and I don't understand why something would be made available to our employees that we did not have a chance to review and approve of before allowing to be made available to our employees. The AI Help option is not helpful either. The employee self-service options are decent, if not robust. It's pretty easy for employees to use. **What do you dislike about Paychex?** I've used 5 different payroll systems/HRIS and Paychex has the most limitations. It isn't the worst system I've ever used, but the worst system I've used set a pretty low bar. Capabilities that I would have considered to be standard are impossible for them. The leave tracking capabilities are awful. The customer service is good but unfortunately they have no real solutions for the problems we experience. There are limitations on approval workflow for employee leave. The system can only accommodate one workflow. PTO gets approved the same way as jury duty, bereavement, or statutory leaves, which doesn't work for different types of approvals needed. It doesn't allow you to attach a document to a time off request. The schedule feature doesn't export to Outlook, making it basically useless. The user experience/layout of employee data doesn't make sense the way it's segmented. Timecard changes are a nightmare. We use Employee Navigator, but we can't connect it to Paychex because it shows incorrect pay data. We are a school, so our employees don't work 12 months, they work 10. Though, sometimes it can take a bit of time for the form to be accepted. **What do you dislike about Paychex?** A couple of things: a 401K program was started even though I made it clear I wanted to speak with my accountant before signing up. Also, I’m continually being asked whether I want additional add-ons, like workers comp. **What problems is Paychex solving and how is that benefiting you?** Taxes are easier.
