Some features in Mindbody seem outdated and often require too many steps to accomplish basic tasks. Certain settings are not very intuitive, which can make onboarding new staff slower than it should be. I also find it limiting that Mindbody only allows a single liability waiver per client at their first visit; it would be much more helpful if multiple waivers could be assigned for different services, especially for studios offering a variety of options. Additionally, the forms and waivers could be improved to be more dynamic and user-friendly, rather than depending mainly on uploaded documents. Mindbody helps us manage a high volume of clients and sessions without losing track of schedules, payments, or client history. It streamlines appointment booking, autopays, attendance tracking, and staff management so we spend less time on administrative work and more time serving clients. I wish there was an easy way to show reporting on attendance class numbers and being able to display this in a graph would be REALLY helpful; the same also for revenue so I can see attendance/revenue trends over a 12 month period.

I'm having technical difficulties with sending my member's email or payment link through PushPress, and it took a while for Jason and his team to get back to me, though they did resolve it eventually. The add-on features in Gymflow are currently lacking. I would like them to be more developed because they are crucial for our operations, particularly for creating specific membership add-ons such as 24 hour access. Although this improvement is in the pipeline, it's currently a limitation that I'm willing to wait to be addressed. It's a heavy software that is hard to understand, and sometimes the features don't do what you would expect it to do based on what it says. It also doesn't seem to be built in a way that has minor athletes in mind. For example, there is no way to have a parent sign a waiver for the student in a way that ensures the parent is signing the waiver on behalf of the child. Review collected by and hosted on G2.com.

We understand that they are working on solving a challenge where parents cannot see subscription info for a dependent, as well as billing info for the dependent. Having the option of hiding people from the schedule is appreciated - my more tech savvy members view the timetable themselves to check when they are booked if they ever have any issues, whereas with most I just instruct / organise their timings and enter the details myself. What I dislike about Omnify is that some customization options feel limited, especially when trying to tailor the booking pages or reports to specific needs. Occasionally, the system can be a bit slow or requires a few extra steps to complete certain tasks. However, these are minor issues compared to the overall convenience it provides. One small downside is the learning curve at the beginning, especially when you’re figuring out how everything looks and functions from the client’s side. That said, this feels more like part of the setup and learning process rather than an issue with the software itself. Once you get familiar with it, everything runs smoothly. One concern I’ve had is receiving messages that appear to come from Vagaro representatives directly through the software’s business messaging system. When I asked about this, even someone training me on the platform wasn’t fully aware of how those messages are generated. It made me pause and double-check legitimacy, simply from a security and scam-prevention standpoint.

That said, this seems more related to communication clarity than the software’s actual functionality. With better transparency around official messaging and reps, this would be easily resolved. The most impactful negative has been the experience of a 70% increase in pricing with no added value or ample notice to find a replacement solution and cancel. The software has many glitches such as not converting leads to members and support offers no resolution and regular app updates, while ideal for security, often produce member issues reducing the positivity of the customer experience.
