**What do you like best about Gymflow?**

Gymflow made our migration to a modern membership + access-control workflow genuinely smooth. We run a leisure facility (gym + pool) within a hotel/resort environment and needed reliable membership management, billing/renewals, bookings, and physical entry access.

The standout is the flexibility around access logic and integrations: the PDK (ProdataKey) integration works well for mapping memberships to PDK Access Groups, and the facility-based “booking access” approach is a smart way to grant time-bound access when someone has a class/booking. The platform is easy to operate once configured, and the member activation flow is clear.

Most importantly, customer support has been exceptional — fast responses, practical guidance, and even a short walkthrough video + a ready-to-send activation email template. That level of hands-on support made rollout and member comms significantly easier.

**What do you dislike about Gymflow?**

wo small areas for improvement:

System emails currently send from a “no-reply@gymflow.io
” address unless you configure a branded sender domain via DNS. This is workable (we include our own contact details in the email body), but branded sending would feel more polished out of the box.

The Access setup concepts (Membership Access Group vs Facility/Booking Access) are powerful but can be slightly confusing on first setup. A bit more in-app guidance/tooltips or a clearer “recommended configuration” wizard for common setups (members 24/7 + booking-based access for non-members) would make onboarding even faster.

Overall, these are minor — the core product and support have been excellent.

**What problems is Gymflow solving and how is that benefiting you?**

We needed a single system to manage leisure memberships for a gym + pool (within a hospitality/resort operation), including: member records, renewals/billing, booking-based access (e.g., pay-per-session pool bookings), and automated door/turnstile entry control.

Gymflow is solving the “admin + access control” gap: instead of manually checking membership status and granting access at reception, we can link memberships and bookings to access groups so the right people get access at the right time. This reduces front desk workload, improves control/compliance, and provides a better member experience (self-service activation, account management, and booking workflow). It also made communicating the switch to members much easier through the activation email process.

**What do you like best about Gymflow?**

The interface for customers and administrators is effortless to use. I am a solo entrepreneur with at least 45 hours on the gym floor every week plus time spent writing programs. My schedule has no room to deal with an awkward, convoluted front office system. I learned how to use Gymflow in a few hours. Customer service is also the best I've encountered amongst gym-focused softwares. I used Xplor Triib for several years but also tried other popular options like PushPress and TeamUp. Gymflow is the best one.

**What do you dislike about Gymflow?**

Gymflow is a very capable platform but it's still in its "embryonic" stages in some ways. There are a few key features that I would like to have BUT the development team is currently working most of them to my knowledge. The developers are also accessible and open-minded, which means suggestions are always welcome.

**What problems is Gymflow solving and how is that benefiting you?**

Gymflow streamlines my day-to-day operations: client scheduling, billing, and communication via email and text. Every feature is quick, easy, and functions properly. Gymflow is also VERY cost effective for a small operator like me and that is critical. Other platforms that cost more do NOT offer any additional utility. Gymflow is a premium product at an appropriate price in my opinion.

**What do you like best about Gymflow?**

I am extremely impressed with Gymflow’s customer service. I love that I can message a representative at any time and generally receive a response within an hour, which is incredibly convenient. Their responsiveness and ability to quickly solve specific problems have significantly contributed to a fantastic user experience. I also find it great how Gymflow integrates with our accounting software, making tracking cash inflows and revenue much more straightforward. The initial setup of Gymflow was highly convenient, especially since we transitioned from an outdated system. Considering the complexity of exporting data and entering new members manually, the process went remarkably well. I appreciate how Gymflow effectively replaced our older software, which lacked modern integrations and internet connectivity, providing a more seamless and connected platform.

**What do you dislike about Gymflow?**

The add-on features in Gymflow are currently lacking. I would like them to be more developed because they are crucial for our operations, particularly for creating specific membership add-ons such as 24 hour access. Although this improvement is in the pipeline, it's currently a limitation that I'm willing to wait to be addressed. I would also like to see a Shopify integration at some point as we do have a supplement shop inside our gym.

I appreciated that Gymflow figured out how to make the platform work for my business from the very beginning. Unlike other apps that require workarounds, Gymflow actually adapts to how I run my business. What I value most is that they operate the same way I do—strongly focused on customer service. I get near-immediate responses when I have questions, and Isaac and his team move quickly to solve issues or make needed adjustments. I never feel like just another account. i love the simplicity and admin interface that allows me to be effficient in my gym easy to navigate and easy to understand how it works. also works well with my gym door system and im able to add modify anything i want at all times. customer support is very efficient and trys to find solutions right away if i cant do it.

Gymflow was a life saver for our gym! We are able to generate revenue without having to physical staff our gyms. Isaac and his team are knowledgable and fixed all our issues quickly. We had started with another company and had major issues with door access and memberships. Gymflow came on board and handled everything with professinalism and made our customers very happy.

I have found no downsides to Gymflow. Gymflow is extermely easy to use

We had a different software company that would not intergrate with our door system causing our members a lot of frustation and confusion. Gymflow manually intergrated all of our members and got them immediate access.

I've been using Gymflow for over a year now, and I have not found any particular item that I would have cause to deem a downside. Any suggestion that the users bring forward is addressed and I value that greatly.

Gymflow has recently added full access integration to its mobile app which significantly reduces work load. It has also introduced staff accounts with different access levels to sensitive info or admin capacities. Gymflow has also added a development "roadmap" so that users can see what items are being worked on, suggested, considered, etc.

**What do you like best about Gymflow?**

While they are still working out minor details, their dedication to helping you solve your problems and understand their system is better than nearly anyone else. They try to solve problems as they come and are willing to answer a barrage of questions patiently if necessary. Response times are always near immediate, and they want your onboarding process to be as smooth as possible.

**What do you dislike about Gymflow?**

The payouts for the card reading system are a little slower than we had expected at first. The system is still new as well, so some minor glitches pop up every once in a while. So far, we have found no issues that hold up sales. They are updating everything soon, and I expect much of what we found will be fixed in the update.

**What problems is Gymflow solving and how is that benefiting you?**

Gymflow is helping us with our client onboarding, scheduling, and charging. Adding Gymflow has already saved our team about 2-3 hours of work per day in managing our schedule, about 2-3 hours a month in managing membership dues, and it has made onboarding new clients seamless.

Our organization recently migrated over to using the Gymflow app. The migrations process was effortless from a consumer standpoint. It was quick, smooth and went through without a hitch for the members. The Gymflow team was responsive, friendly and helpful with any questions we had. The new app is simple and easy to manage for both our organization and for the members.

Client management is great
Booking/Scheduling made easy.
Isaac (Founder) Is unbelievably helpful and great to work with. If gymflow does not have a solution to your need Isaac does whatever he can to come up with a solution. Having switched from square - the customer service is completely unmatched (square customer service was awful). He is passionate about his product and will do whatever is needed to help.

The only things I disliked about gymflow were minor UI things and the initial account creation steps. However, after taking good feedback notes and presenting them to Isaac - He came up with solutions to be implemented in the new GymFlow Version.

**What problems is Gymflow solving and how is that benefiting you?**

Session tracking is the MAJOR problem that gymflow has solved. I tracked every session in Excel for every client, and I, without a doubt, gave sessions away for free. The ability to have a system that does all of that session tracking for me is well worth the cost.

**What do you like best about Gymflow?**

Isaac helped me set up a gym by integrating systems to automate my business.  He is knowledgeable about all of the moving pieces making the experience of setting up a business with no previous knowledge bearable.  He was friendly, prompt, and patient.  I could not have asked for a smoother set up.

**What do you dislike about Gymflow?**

I don't like that we have to do zaps instead of all those options being built in.

People become members of my gym through the gymflow application.  They pay for their membership through gymflow.  Gym flow is also linked to my door access system so when a member does not pay, access to the gym is paused.

**What do you like best about Gymflow?**

I find Gymflow to be very user friendly, it has a good layout (easy to find different things--from schedule to metrics overviews, etc), and I find the layout to be aesthetically appealing!

**What do you dislike about Gymflow?**

I'm not 100% sure if this is an issue with Gymflow, or the studio I work for, but we had issues synching class sign-ups from ClassPass. The front desk has to manually enter ClassPass participants into Gymflow. Again, I'm not 100% sure if that's an issue with Gymflow itself, or more so a reflection of the studio I'm at (they were trying to link a lot of services into one area--independent training, private training, classes, etc, so perhaps it just wasn't working because they're trying to tackle too many things at once).

**What problems is Gymflow solving and how is that benefiting you?**

At the studio I work at we have utilized it for class and personal training schedules. We needed a platform that would show all of these schedules in one place, and Gymflow has done just that.

**What do you like best about Gymflow?**

1. set up/orientation: GymFlow is easy to navigate with clear headings and tabs, everything that's related to one thing you can find under one section. 
The formatting is extremely helpful when conducting work.

2. Member profiles: I like how the member profiles are split up into different tabs, this makes it extremely useful and easy to look back on previous payments and previous memberships. 

3. Tasks: you're able to create all kinds of tasks and can set due dates, this comes up under the task section and is a lot easier to use when comparing it to a calendar.

4. Email templates are easy and accessible to use. Using email templates saves us a lot of time.

**What do you dislike about Gymflow?**

1. Pause/freeze: When we freeze a members membership, we effectively have to cancel the existing - creating a new membership that then has to be switched over again. The old membership rate does not automatically come across when switching memberships. 

2. Product/purchase customisation: I have to add a new product all together when needing to do custom charges. This could be improved through making changes at checkout - being able to manually adjust the amount.

3. Leads: would be useful to know what they are enquiring about? E.G. memberships, follow up on payment, personal training enquiry etc. So we know what to say when we follow up with them. 

4. It would be amazing if KISI and GymFlow could integrate together a little more.

5. Members timeline: it would be amazing if we could see a preview of notes left behind on members profile or even better, it would be amazing if we could PIN a note to the top of someone's timeline! If we were able to pin a note to the top, we can all leave notes like "left voicemail 17/12" under the same note. Saving us from clogging up the timeline with "left voicemail" notes!

**What problems is Gymflow solving and how is that benefiting you?**

Following up on overdue members has become easier using this new system than it was previously. 

I feel as though with this new system, together as a team we have become more productive. We come into work, we know what we have to do, the tasks tell us, following up on members and bringing up/searching members profiles has never been easier!

There isn't anything I dislike, there are a few things I would like to have such as tagging to answer certain variables but this is an active conversation I am having with their team.

It is great to sign up a new member with ease and professionalism, so they feel confident sharing their credit card information. It is awesome to make changes to our packages, and this is seamlessly displayed on our site because the sales page is embedded on our site.

- Easy access to change templates, add promotions and change up packages. 
- Easy to manage and teach others to use.

Overall, it is great! Just have used another system for so long that it misses things that we use to love. Would love to see in future; the ability to preview notes without clicking view, a greater integration to Kisi, ability to add on memberships, and charge pause fees.

Keen for multi-site use and what is come to help suit us at 24fit. Not 100% what is yet to come but excited to see what evolves!
