**What do you like best about WorkflowMAX?**

What I like most about WorkflowMax is how central it is to my everyday work. I use it every working day to track my time and manage my time budgets across the various projects I am involved in. The system makes it easy to see where my time is going and to stay accountable to project budgets.

I also value the range of features available for time and job tracking, particularly the ability to clearly distinguish between billable and non-billable hours. Being able to see how many hours I have spent on billable work is especially useful for managing workloads and supporting accurate invoicing and reporting.

**What do you dislike about WorkflowMAX?**

Not anything I can think of, so I guess there is none.

**What problems is WorkflowMAX solving and how is that benefiting you?**

WorkflowMAX solves the problem of accurately tracking time and managing project budgets across multiple jobs and activities. By providing a single system to record time against projects, it reduces the risk of under- or over-reporting hours and improves visibility over how time is allocated.

For me, this means I can easily monitor my time budgets, understand how much effort is being spent on each project, and clearly distinguish between billable and non-billable work. This supports better workload management, improves accountability, and ensures that billable time is captured accurately for reporting and invoicing purposes. It serves me well in keeping my annual KPI on track.

**What do you like best about WorkflowMAX?**

We've been working with WorkflowMax since we started up about 10 years ago.  We're a creative studio and the app works well for us.  Time recording and job reporting are all easy to use and the Xero interface works well. We tend to do fixed price jobs so some of the time billing features are superfluous for us.  The report design feature has been particularly helpful.  The only thing missing for us is multi-currency billing. That would be a big ask, but would make this a five star app.

The only thing missing for us is multi-currency billing.

Love WFM, for its simplicity and functionality for our team of consultants, to record time, easily manage clients, multiple jobs and quotes, integrate with payroll, and report on how we are doing!

Lots of flexibility with rates/ tasks/ job tracking, to make life easily for us, and helps to streamline our processes!

WFM saves us time, in recording billable time against jobs, down to a granular level, which we can line up for reporting against budgets, status reports, and also by staff member. The integration makes it simple when it comes to timesheets, payroll and invoicing.

when WFM changed to blue rock it lost its integration with Dext. the Dext to WFM was the best feature and saved hours per week.

WFM is a great place to store all of your job information job hours / costs / contacts, it is user-friendly.

**What do you like best about WorkflowMAX?**

We've been using WorkflowMax primarily to create estimates and quotes for our projects, and it's made a noticeable difference in how efficiently we're able to manage that part of our workflow. The system is intuitive and flexible, which is important for the type of work we do.

We're currently in the process of setting up the scheduling functionality, and we're optimistic about how it will further streamline our operations. The built-in training resources, especially the user videos, have been incredibly helpful—clear, concise, and easy to follow, making the onboarding process much smoother for our team.

Overall, WorkflowMax has been a solid addition to our business toolset, and we're looking forward to exploring more of its features as we grow.

WorkflowMax is great because I can use it myself without hiring an expert or consultant.  It is so intuitive that even I--someone with no accounting background--can use it successfully and easily.  My bills are out on time and accurate.

Hard to think of anything.  I'm just very pleased

Before WFM I had to maintain timesheets and put them all together at month's end for timely billing.  This meant I had to hire someone to do this for me.  Now, I simply enter my time as I work (as I always had done) and at month's end, I push a few buttons, review my draft bill and we're away!!  What used to take a few hours is now over with in less than an hour.  When you're billing by the hour, that's a win

I love the way we can track the hours we spend on each project and the ease of use. There might be space for improvements to make it more convenient though.

**What do you dislike about WorkflowMAX?**

The only thing I do not like is that we have to manually enter the next time we started another project on the same day. This causes some times spent on a project to double up.

It would be really convenient and efficient if you guys could program it so that the next project we enter can automatically start from the end (time) of the last project.

For example, if we ended a project at 13:00, the next project can automatically start at 13:00, without the need for us to enter this time again.

We are able to efficiently track the time we spend per project.

**What do you like best about WorkflowMAX?**

This job management platform is easy to use and  manage . Seamless integration with Xero for easy accounting. Nice that they tried to incorporate things that worked from the old WFM. We were originally WFM users and migrated to WFM by BlueRock. Some initial teething issues  were always promptly resolved.  It is now definitely an improvement on the original and offers better features and updates but still with the great support. This is user friendly product. I recommend.

**What do you dislike about WorkflowMAX?**

I don't like that when you go back to the previous screen you were on you loose your place, for instance clicking into a job to check something and then going back and having to scroll again to that job number...

None at present.

I really like that WorkflowMax is simple and straightforward to use. Another thing I appreciate is the good integration with Xero, which saves time by avoiding unnecessary repetition. The integration with Zapier also allows a direct connection to our ISO9001 quality management system. Additionally, the reports are good and they help me keep the important aspects of my business under review. Setting it up was all very straightforward too.

I think the ability to attach files to costs would be great.

I use WorkflowMax for logging time and costs, raising invoices, and saving time with Xero integration and Zapier for our ISO9001 system.

**What do you like best about WorkflowMAX?**

We've been using Workflow Max for many years now and the new version revamped by BlueRock has been terrific. They've kept all the functionality we love and gone several levels higher to improve the whole program. It's the backbone of our projects and we really appreciate how much thought has gone into this new and improved version. The transition itself was seamless and when we had questions Customer Support was very responsive.

**What do you dislike about WorkflowMAX?**

The main area for improvement would be simpler ways to invoice jobs that already have approved estimates but costs and time have gone over. Capturing that info without having to re-estimate to bill ongoing jobs would be amazing.

**What problems is WorkflowMAX solving and how is that benefiting you?**

We are a service business and charge mainly based on time and value of our services. Being able to capture and manage all the different tasks involved in our projects is key to us being profitable and efficient.

I like that WorkflowMax is a customizable workflow that integrates neatly with Xero, which means there's no double handling of invoices. It's pretty great for keeping everything streamlined.

The lead management system isn't as good as it could be, but it is improving. And some tasks take more clicks than I would like.

WorkflowMax has been used at the heart of our Marketing & Design agency, Cavalry, for many years now.  We would be lost without it.  

It's so easy to use, intuitive, and it keeps getting better with the ongoing mods and support.

Was some little things when it migrated away from Xero - but they were resolved quickly and it's now very good.  No issues with it.

As an employee in a fast-paced professional Urban Design firm, WorkflowMax has become an indispensable part of my daily workflow. From managing tasks to tracking time and collaborating with colleagues, it offers a comprehensive suite of tools that streamline operations and improve accountability. Since using WorkflowMax, I’ve noticed a significant improvement in how I manage my time. The visibility into my productivity has helped me prioritize better, reduce time wastage, and contribute more effectively to projects. The interface is clean and intuitive. Navigation between jobs, tasks, and timesheets is seamless, and the dashboard provides a clear snapshot of my jobs, my tasks and a summary of my productivity. It’s easy to log time, update job statuses, and calculate total time spent on a job.

My experience with workflow Max has been overall very positive. However the dashboard could use some extra features

I am able to monitor job status, deadlines, and progress, improving accountability and planning. It makes it extremely simple to see all jobs, combine hours for billing purposes and allows you to collaborate with team members, seeing if the job has run over its allocated hours.

Simple to set up, all the information is seamless from quotation, through Job/Project to invoice, tracks costs instantly, helping to keep projects on time and in budget, highlighting problems sooner rather than later.

Works perfectly with Xero, for goods receipts and invoicing.

More flexibility with the dashboard for specific users and options on the delivery address would be very beneficial in purchasing. Sometimes quoted value doesn't tally with invoice value.

I like the fact that WFM is very simple to use as I use this for the accounts, WFM links to xero which makes this seamless as everything is automatically exported across which makes life so much easier. If anything ever needs updating or you have an issue they get this sroted very quickly which is a massive bonus.

As this is a fairly new system somethings are missing from the system however they are planning on implementing these asap

WorkflowMax makes it easy to log hours, add notes, and stay across multiple projects with zero friction. I love that I can instantly view timeframes, progress, and what’s left to do—all from a clean, intuitive interface. It’s helped me stay accurate, accountable, and focused without wasting time on clutter or confusion.

Honestly, there’s not much to fault—it’s smooth and reliable. If anything, maybe a few minor tweaks to streamline the interface even more, but that’s just nitpicking.

The software is easy to use and customise to our business. Overall though I think it's the Help Centre that really makes the experience. There is a wide range of resources of different types that makes it easy to get using the software.

**What do you dislike about WorkflowMAX?**

Only a small niggle but every time you navigate between pages it defaults to the current date / week, so if I'm checking timesheets for the previous week if I switch between staff it shows me the current week.

Keeping track of progress delivering the project against the estimate and then being able to send an invoice using the Xero integration.

We are a small business that used the original WFM and transitioned to the BlueRock version.   Notwithstanding some challenges in the initial rollout we are happy with the current functionality that meets our basic business needs and provides a platform for us to scale.

No major dislikes, but it would be useful to show your lead activities as a widget on the dashboard (as with the original WFM)

**What do you like best about WorkflowMAX?**

I've been using WorkflowMax in my businesses since 2016 since 2016 and it provides a reliable backbone to a creative, agile and sometimes chaotic business to apply a bit of structure and process to quoting, time tracking, purchasing and invoicing. Being able to instantly get a read on the profitability of a job from quote to actual to invoiced is invaluable.

**What do you dislike about WorkflowMAX?**

The major upgrade to version 2 of WorkflowMax in 2024 meant a few features were unavailable for a while. But now that the dust has settled everything is back in action and new features and integrations are starting to be added on a regular basis.

**What problems is WorkflowMAX solving and how is that benefiting you?**

Keeping track of hours spent and profitability on a job by job basis.

**What do you like best about WorkflowMAX?**

I manage a busy bespoke joinery production which using Workflow max I can now create leads ,quotes and purchase orders which enables me to track every apspect of a project so I know finacially in real time what the actual projects cost are highlighting areas that need to be amended for future projects.
I am not the best on computers but once I had the training to complet the tasks for my job role its straight forward.

WFM has made it easier for our business to streamline invoicing and keep better track of time on jobs. With all the new updates and features, it can sometimes get a bit tricky to navigate, but the support team are always quick to respond when we raise a ticket.

**What do you dislike about WorkflowMAX?**

Upgrades and features can sometimes take a while to adapt to or work correctly with our reporting - this has been raised and resolved with the team. 
Export feature to Xero doesn't allow you to export as timesheets - this feature hasn't yet been able to work correctly for our business.

Billable vs non billable time and job costings.

My favorite feature of WMF is how easy it is to use, connecting to Xero. I like the new look, making it more user friendly.

This product is very easy to use. WFM by BlueRock links well with Xero making accounting for a person who does not like accounting easy. I use the product each day and sometimes of a weekend. I have not had to rely on customer support as yet. It was an easy set up assisted by my software solutions advisor

I have not identified any issues and any initial teething issues after the launch of BlueRock were remedied and with updates as to this. I am aware that customer support is available as needed.

WorkflowMax is well designed from a user perspective. I don't have to root around to find what I need. The fonts are easy to read, the text size and colour is great. WorkflowMax has a lot features. Although I don't use them all, I know how to find them if I do need to use them. I've been able to better understand project budgets and timelines, and get the information I need quickly. I've found the developers of WorkflowMax to be responsive to feedback and make changes to improve the user experience.

I haven't found any downsides to using Workflow Max.

WorkflowMax helps me to quickly tell whether a project is on budget or not, who has been working on the project, and what people have been doing. The timesheet function is helpful to sort who has done what and the time it has taken. I use it for other reasons but that is the most helpful. Tracking budgets, staff, and timelines.

Xero sold WorkFlow Max was not perfect, but it was functional and address 90% of our needs.

BlueRock WorkFlowMax2.com has been a disaster. We have 6 to 12 tickets open at any time.  They have destroyed the functionality and they have no experience regarding Beta testing or roll out.  They have give us 40% of the functionality we had before and created all kinds of bugs. I would never recomment this product.

It used to deliver good reporting, tracked time, project budgets, crm, estimates, subs, vendors, invoicing and pushed to our accounting system. The new product (workflowmax2.com) is a train wreck and they have no projections on delivering what the old platform delivered.

The upside of using WorkflowMax are that it provides a tight record of time spent on tasks for budgeting on some projects. There are few truly end to end softwares that allow for quoting thorugh to invoicing and WorkflowMax achieves this. The tool is also simple and easy to use with minimal onboarding.

The WorkflowMax UI is outdated and sometimes difficult to use when you are running multiple jobs. Time entry is less intuative too.

WorkflowMax is providing a clear understanding of project progress and budgeting with respect to time entry and billing. It allows us to recognise the directo correlation between cost and  benifit to projects.

Workflowmax is a fantastic job mangement program that has saved APT a lot of time in book keeping. The software covers our complete workflow from Quoting and Scoping a Job, Managing the Job and Invoicing. The Stopwatch feature for time keeping adds a level of detail which makes it hard for cutomers to argue - everything is recorded in real time. WFM allows document storage and collaboration straight to the job, all emails, files and notes can be accessed by anyone working on the job - no searching for lost information.

There are a few integrations that are available for WFM (eg Xero) which work really well but It would be great if WFM had Zapier integration.

**Recommendations to others considering WorkflowMAX:**

I liked the overall workflow of the software, including the quoting/pricing modules. They were pretty flawless and helped me make sense of a pricing system on the fly. Also, there is the intergration with Xero, which is the platform I use for accounting.

WorkflowMax is awesome for Creative Agencies, Accountants/Bookkeepers, Engineering/Architects and other similar business that have mostly time input into projects. 

It also works well for Construction industry, although tracking the projects costs require more carefully planned and executed workflow to make sure the reporting is as relevant as can be. 

The following features are those that come top of mind as the things WorkflowMax does great:

- Tight financial integration with Xero.
- Multiple ways to track and enter time.
- Cost is great for how much features it packs.
- Knowledge base and support is A1.
- Reporting capability are encompassing.

**What do you dislike about WorkflowMAX?**

- Report could be more dynamic. For example, it would be great to be able to drill down, to be able to change filters/parameters without resetting the whole report, to be able to create a custom report based on an already existing report (whether an default or custom created one).
- For construction industry, where there are lots of project costs, it would be great to be able to link back a cost added to the cost tab of a job to a purchase order.  It would also be great to be able to attach a copy of an invoice directly to a cost, instead of having

WorkflowMax is a great software and an excellent bang-for-your-buck compared to the competition. 

While their Knowledge Base has everything you need to understand how it works and set it up yourself, I do recommend you connect with an implementation partner if you want to ensure you get the most meaningful information how of it. This is particularly relevant when determining wat should be your jobs, tasks and checklists.

WorkflowMax has been preset  and designed with different management tools which puts in more accuracy in our work and allow us to manage our projects in more convenient ways. In our organization, we mostly have to deal with projects which are based on small teams dealing with different tasks at a time. So we always use this tool in order to perceive the notifications and the instant updates. The tasks can also be continuously coordinated and projected by the management teams to assists the team in their work. We can share messages and forms groups which allows us to enhance our performances in a better way and deal with the tasks in efficient manner.

**What do you dislike about WorkflowMAX?**

On the negative aspect, we do have to face few issues which abrupt our performances and hurdles the way we perform our work. The continuous integration errors have raised a lot of issues for us and we have to follow long procedures in order to cope up the tasks eventually. The premium paid plans also additionally asks for paid features which in itself is a working barrier. The dashboard or the user interface although fits perfectly for an advance working, but their capability to assist any new beginners is almost null.

WorkflowMax in itself is an amazing working tool assisting the professionals from managing their work to collaborating in the most advanced ways. We can also easily overview the whole projects performances and make improve the performances by proper analyzing or reporting features. It comprehends the whole project performance in the most conceivable way and makes us more alert and concentrated towards our projects. We can customize the dashboards or can adjust the tools according to our needs.

Since the software is cloud based,it automatically track time online and create invoices from my time sheets.
The software is easy to use with flexible and extensive features that enables us to manage most of our business processes.
I can see a complete overview of any project from the dashboard of this great software.

Integration with Xero is really the biggest benefit... also their estimate-to-invoice system is pretty good.

**What do you dislike about WorkflowMAX?**

You can't trust their document management system to appropriately save emails to the correct folders. It duplicates, stalls and, after a month of waiting for customer support, ended up loosing several months of emails, attachments, images and documents that were supposed to be saved to job folders. Very frustrating. When we asked customer service, they didn't know why and didn't offer a solution.

**Recommendations to others considering WorkflowMAX:**

They aren't listening to consumers... and fixing issues. Most of their time has been put into things like "single sign on" with Xero... but even that has its issues. 

**What problems is WorkflowMAX solving and how is that benefiting you?**

Interface is ok, but takes several months to setup and get used to. Also managing tasks for employees for small business is based on larger, long-term projects rather than short design projects. I wouldn't recommend it for small design agencies.
