In our industry being able to go back to "prove" actions taken is imperative. I was finding just filing emails in Outlook doesn't provide enough reliability for this purpose. I was also really happy that there are multiple functions which we use - signatures is another important function. Creating the client "portal" of shared documents is great too. Provides a secure place for both us and our clients. And the support is great - reliable, quick. We were able to implement Suitefiles in our practice quicly so that we could benefit from all the features because we use it all the time. **What do you dislike about SuiteFiles?** Having to learn a new system. Not being able to send multiple attachments in shared emails. Not being able to include my email signature. But these things will change. **What problems is SuiteFiles solving and how is that benefiting you?** Being able to find and store all information in one place, for as long as it is needed. We had Dropbox before and there was still a physical copy in the hard drive, which you can work on even offline, and which will synchronise when online. I just installed Suite Files One Drive add which acts the same as far as I can tell, but I haven't used it long enough yet. What I can see is that the One Drive add on does not differentiate between archived and current folders. I would welcome the option to add links to my email text when sending a pdf for esigning. The upload function when copying a physical file to Suite Files is not always very efficient. I noticed for example that if there is a special character in the file name, the upload will just freeze. I work with French citizens mostly, and their name often contain special characters and that issue hasn't made my life very easy! **What problems is SuiteFiles solving and how is that benefiting you?** I work foran Immigration practice and we need to keep track of our files to fulfill our obligation to delete the client files after some time. Suite Files allow us to search by year and delete all the files pertaining to the specific year. This was the primary reason for switching to Suite Files, however I discovered added bonuses, such as the template function, which works great for me and saves me lots of time. ### 6. Initial implementation was fast and didn't cause any disruption to our business. We use SuiteFiles on a daily basis. Clients are finding the signing of documents to be so easy and fast, love the way the signed documents automatically appear back in the right folders. The connected folders are much easier for clients than our previous Client portal. The few times that we have required Customer Support the process has been fast and efficient. SuiteFiles makes filing documents a breeze. SuiteFiles integration with Xero and Outlook is great as is the ability to open Word and Excel documents from within the system. Template creation of documents and folders from within SuiteFiles saves so much time. **What do you dislike about SuiteFiles?** SuiteFiles can't be accessed from a IOS device so if I'm travelling I still need to take my laptop with me to be able to access files, currently it is the only software we use that I can't use on my ipad. **What problems is SuiteFiles solving and how is that benefiting you?** SuiteFiles provides us with the cloud based filing solution we needed and Fast easy document signing capabilities. ### 7. It also integrates nicely with Microsoft365, in particular OneDrive and Outlook. I can enable a client portal for easy exchange of documents with my clients and create documents for secure digital signing. From Outlook we can save emails into client files so that the whole team can be across whatever we are discussing with our client and pick up where the last person left off - very useful if someone is away sick and they need someone else to continue dealing with an urgent request from a client. SuiteFiles will also integrate with a number of industry standard systems that Chartered Accountants use every day in addition to Microsoft365 such as Xero, CCH iFirm, MYOB and APS. We really like the way we can attach files to the CCH Business Fitness client workpapers. **What do you dislike about SuiteFiles?** OneDrive integration is excellent but changes are made and saved locally on your machine and can take a few minutes to update to your SharePoint site, while files uploaded via the web browser interface update immediately. We can also see Archived files in the OneDrive integration which can lead to confusion at times. These are really Microsoft/OneDrive issues and not a SuiteFiles issues. Hopefully they will be addressed in time. **What problems is SuiteFiles solving and how is that benefiting you?** Suitefiles enables my firm to manage and maintain all our client documents easily in the cloud and access then from wherever my team members choose to work, seamlessly and without any fuss. ### 8. SuiteFiles are always looking to add value to their product and we have seen a lot of positive additions since first onboarding 7 years ago. We have full functionality of SuiteFiles however we are not using it to it's full potential only because I haven't taken the time to learn and teach our team members. This will be a goal of mine to complete in 2024. Along with an online digital signing system that automatically files the signed docs to the clients folder. **What do you dislike about SuiteFiles?** Currently not able to make templates for forms for clients to complete and sign. While you can add text boxes to forms for clients to fill in and sign, the text boxes have to be added each time and can't be saved as a template. **What problems is SuiteFiles solving and how is that benefiting you?** It allows me to easily access, edit, create and work in the cloud with my client folders from sharepoint. It provides my document managment system, my electronic signing, allows for easy creation of templates and integrates in Xero XPM perfectly to pick up client details as requested. Support have always been fantastic to deal with and helped greatly in the implemetation and integration of the software into my systems, while dealing with a not overly tech savvy individual at my end. Suitefiles forms an important part of my business and is used daily to ensure my digital records are kept in order. Would highly recommend this product to others seeking a cost effective package. **What do you dislike about SuiteFiles?** Probably my only downside, which can also be an upside, is that being in Western Australia, we are often hours behind the rest fo the country, in busy times this can be great because I can start my day super early and have support help dealt with before standard work hours, but it can also be a bit of a pain if something happens late in the day our time as its after hours for the rest of the country, this is something we are somewhat used to in WA anyway so not a huge problem. **What problems is SuiteFiles solving and how is that benefiting you?** SuiteFiles was chosen primarily as my document management system, the ability to file emails and integrate to my existing M365 subscription were a big bonus. I loved the ability to create a template in SuiteFiles and then 'apply' it to a client, and with the integration into Xero it can retrieve details like Names and Addresses meaning less manual keying for me. From there I learned of the client portal and E-Signature which is such an important thing in todays environment. I have heard no complaints from clients so I can only assume this is a seamless process their end. The ability to merge PDF documents in SuiteFiles eliminated my need to a second subscription I was holding for this purpose. ### 11. The document can be very clunky when setting up a document for signing, it can take a long time from when you select a field to placing it on the document and sometimes you have to select it a number of times before it works. The program interface is simple and user friendly, which has helped with the rollout to all users within our practice. The unique integration and document management system with Xero Practice Manager was one of the primary selling points when comparing other programs in our search for a cloud based product. Support where required is prompt and personal, not just a generic response pointing us to a generic FAQ page. **What do you dislike about SuiteFiles?** The Outlook add-in program, in particular the search functionality seems a little bit clunky and slightly behind the advancement of the web browser global search ability. The formatting when previewing emails in the web browser and not being able to see attachments is a small efficiency issue, with emails needing to be downloaded to view in standard outlook formatting. **What problems is SuiteFiles solving and how is that benefiting you?** Primarily the ability to save all products to a cloud based system, which we can access at anytime, anywhere and with a document signing system also included saves us needing to hold multiple product subscriptions. ### 22. Our staff are able to access documents from any terminal. It integrates with our accounting software, allowing us to create documents from templates with our client details. We are also able to save emails allowing us to retain records of conversations with clients. **What do you dislike about SuiteFiles?** The least helpful function is the fact that you are unable to edit pdf's properly in the online version. All other documents from excel to word can be opened from the online software and edited in the desktop software, however PDF's cannot. Also when using the suitefiles drive, if you update a document on the drive, it sometimes won't upload to the online system, meaning two staff members can open the same document and be seeing different things. **What problems is SuiteFiles solving and how is that benefiting you?** It allows us to access documents remotely.This was especially useful when our staff were required to work from home. With all changeovers there are inefficiencies experienced, however there turned out to be a lot less downtime than what we expected. **What do you dislike about SuiteFiles?** There is a lag between saving documents and files which is more of a niggle, than an issue as the lag is less than the previous software we were using. The support can be frustrating as well if you are urgently trying to complete work, but have to wait up to 24 hours for a response. The implementation and data transfer process was relatively painless (even if it took a little longer than expected), and the guys from SuiteFiles were by our side every step to ensure we could get the most out of the product. We love its flexibility, from setting our filing system and rules that make sense to our firm and team to using the global search function to search for documents quickly and easily. The integration with XPM was a selling point for our firm compared to other providers. This is one feature we love, and it greatly contributed to our decision to use Suite Files. **What do you dislike about SuiteFiles?** The formatting when previewing emails in the web browser (especially not being able to see any attachments without downloading the original email) is a bit of an issue. However, the worst issue arises when you have two clients with the same name.
