This has been an issue since I started using it, and even though they keep saying it will be added, it's still not there. Right now, I have to do it page by page, which is just not suitable for today’s workflow. Its Outlook integration is particularly useful and has significantly improved the efficiency of our day-to-day workflows. One of the strongest features for us is the ability to create email and document templates that automatically populate with information from Xero Practice Manager (XPM). This saves a considerable amount of time and reduces repetitive administrative work. The integration with XPM is also excellent. Our jobs are created and maintained in XPM and synchronised with SuiteFiles, allowing the document management side of the workflow to sit naturally alongside our practice management system. We also use SuiteFiles' document signing functionality extensively. It has become an integral part of how we operate, and we would find it difficult to go back to managing document signing separately. **What do you dislike about SuiteFiles?** The main weakness is performance. SuiteFiles can sometimes be frustratingly slow, particularly when working in it throughout the day. This is probably our biggest criticism of an otherwise very good platform. The new beta version appears to be an improvement in this respect. In our industry being able to go back to "prove" actions taken is imperative. I was finding just filing emails in Outlook doesn't provide enough reliability for this purpose. I was also really happy that there are multiple functions which we use - signatures is another important function. Creating the client "portal" of shared documents is great too. Provides a secure place for both us and our clients. And the support is great - reliable, quick. We were able to implement Suitefiles in our practice quickly so that we could benefit from all the features because we use it all the time. **What do you dislike about SuiteFiles?** Having to learn a new system. Not being able to send multiple attachments in shared emails. Not being able to include my email signature. We had Dropbox before and there was still a physical copy in the hard drive, which you can work on even offline, and which will synchronise when online. I just installed Suite Files One Drive add which acts the same as far as I can tell, but I haven't used it long enough yet. What I can see is that the One Drive add on does not differentiate between archived and current folders. I would welcome the option to add links to my email text when sending a pdf for esigning. The upload function when copying a physical file to Suite Files is not always very efficient. I noticed for example that if there is a special character in the file name, the upload will just freeze. I work with French citizens mostly, and their name often contain special characters and that issue hasn't made my life very easy! **What problems is SuiteFiles solving and how is that benefiting you?** I work for an Immigration practice and we need to keep track of our files to fulfill our obligation to delete the client files after some time. Suite Files allow us to search by year and delete all the files pertaining to the specific year. This was the primary reason for switching to Suite Files, however I discovered added bonuses, such as the template function, which works great for me and saves me lots of time. ### 12. Initial implementation was fast and didn't cause any disruption to our business. We use SuiteFiles on a daily basis. Clients are finding the signing of documents to be so easy and fast, love the way the signed documents automatically appear back in the right folders. The connected folders are much easier for clients than our previous Client portal. The few times that we have required Customer Support the process has been fast and efficient. SuiteFiles makes filing documents a breeze. SuiteFiles integration with Xero and Outlook is great as is the ability to open Word and Excel documents from within the system. Template creation of documents and folders from within SuiteFiles saves so much time. **What do you dislike about SuiteFiles?** SuiteFiles can't be accessed from a IOS device so if I'm travelling I still need to take my laptop with me to be able to access files, currently it is the only software we use that I can't use on my ipad. **What problems is SuiteFiles solving and how is that benefiting you?** SuiteFiles provides us with the cloud based filing solution we needed and Fast easy document signing capabilities. ### 13. It also integrates nicely with Microsoft365, in particular OneDrive and Outlook. I can enable a client portal for easy exchange of documents with my clients and create documents for secure digital signing. From Outlook we can save emails into client files so that the whole team can be across whatever we are discussing with our client and pick up where the last person left off - very useful if someone is away sick and they need someone else to continue dealing with an urgent request from a client. SuiteFiles will also integrate with a number of industry standard systems that Chartered Accountants use every day in addition to Microsoft365 such as Xero, CCH iFirm, MYOB and APS. We really like the way we can attach files to the CCH Business Fitness client workpapers. **What do you dislike about SuiteFiles?** OneDrive integration is excellent but changes are made and saved locally on your machine and can take a few minutes to update to your SharePoint site, while files uploaded via the web browser interface update immediately. We can also see Archived files in the OneDrive integration which can lead to confusion at times. These are really Microsoft/OneDrive issues and not a SuiteFiles issues. Hopefully they will be addressed in time. **What problems is SuiteFiles solving and how is that benefiting you?** Suitefiles enables my firm to manage and maintain all our client documents easily in the cloud and access them from wherever my team members choose to work, seamlessly and without any fuss. ### 14. SuiteFiles are always looking to add value to their product and we have seen a lot of positive additions since first onboarding 7 years ago. We have full functionality of SuiteFiles however we are not using it to it's full potential only because I haven't taken the time to learn and teach our team members. This will be a goal of mine to complete in 2024. I loved the ability to create a template in SuiteFiles and then 'apply' it to a client, and with the integration into Xero it can retrieve details like Names and Addresses meaning less manual keying for me. From there I learned of the client portal and E-Signature which is such an important thing in today's environment. We are still quite new at using Suitefiles so are still learning all the great features like the Templates. I like that we can automatically send emails to the client folders as well. The implementation and data transfer process was relatively painless (even if it took a little longer than expected), and the guys from SuiteFiles were by our side every step to ensure we could get the most out of the product.

We love its flexibility, from setting our filing system and rules that make sense to our firm and team to using the global search function to search for documents quickly and easily.

The integration with XPM was a selling point for our firm compared to other providers. This is one feature we love, and it greatly contributed to our decision to use Suite Files. **What do you dislike about SuiteFiles?** The formatting when previewing emails in the web browser (especially not being able to see any attachments without downloading the original email) is a bit of an issue.

However, the worst issue arises when you have two clients with the same name. You need to use a workaround that solution that is not ideal, and you can only link one client through XPM - you essentially have to choose who is your favourite! **What problems is SuiteFiles solving and how is that benefiting you?** We have been able to consolidate our systems and enhance our efficiency and productivity by using SuiteFiles, particularly the e-signing feature. And the creation of email templates is speeding up the admin process in getting all our ATO and other correspondence out on time! ### 41. The template system makes letters, emails and spreadsheets simple and consistent to create across the whole team, with standard client information pre-populated straight from the Xero Practice Manager CRM. **What do you dislike about SuiteFiles?** The integration with the desktop version of Outlook is quite large and so it can slow down the performance of Outlook. This is not a huge issue, and we found as long as our laptop and desktop processors were up to date, the performance of the Outlook app works without any issues. **What problems is SuiteFiles solving and how is that benefiting you?** Securely sharing sensitive records with clients directly through our Document Management system has been a huge benefit.
