Its super quick and easy to build, and has enough flexibility to keep clients happy. The event staff provided great training leading up to the event and was very supportive during the event. Breakout rooms and allowing attendees to join were well-designed and worked easily. **What do you dislike about RingCentral Events?** Booths don't feel polished and are somewhat limited in 'either/or' areas that should be 'both'. With rehearsals, the platform works well for speakers, but it can be difficult for them to grasp all the functionality if they don't practice. For most with some level of technology literacy it's very user friendly and uncluttered. **What do you dislike about RingCentral Events?** The software is pricey and not customizable enough. For how much we are paying we should be able to make more changes. For instance pre-register guests for sessions and only allow them to view those sessions rather than the entire library of sessions being offered. Also we continue to have issues with the emails coming from hopin going to guests' spam boxes or being entirely blocked by their firewalls. **Recommendations to others considering RingCentral Events:** Make sure you get all of your needs listed ahead of signing a contract and clear answers on whether the needs can be met or not. **What problems is RingCentral Events solving and how is that benefiting you?** It is more personal than a zoom meeting and seems more professional. They may not have updated their review text, but have updated their review. **What do you like best about RingCentral Events?** We used Hopin mainly for its streaming capabilities using a studio to push the feed via RTMP. The capabilities and options that exist around streaming worked great for us. The staff is really what made this a great experience for us. Anish, Alessandra, and Klaudia all have been very responsive and so receptive to feedback. They are growing and taking in all of the feedback to make a much better experience on the backend as well as the front end. Our clients wanted something that was very easy to use, intuitive, and interactive. I think Hopin accomplished all of those very well. When guests enter the venue and get to the reception, they have a few buttons on the left where they can enter the different areas of the event. We customized this to the main stage, sessions, and networking. Hopin then allowed us to use a beta feature to push people into each area. For example, when it was time for the 1:1 networking sessions (that works amazingly) we could just put that on the schedule, and it would force everyone there to make it simple. Those are the types of little features they are working on adding to make this a great and very well thought out platform. I can't say much about the registration or communications since we didn't those features, but we did use another beta feature called "magic links" that worked great. It allowed us to use another registration platform (our client had already paid for) and send out the unique links to each participant. They didn't have to register or anything once they landed on the page, but it could still track their email. Such a great feature to add to the simplicity. They also let us know that they were working on adding the integration for our other registration to further simplify the process! **What do you dislike about RingCentral Events?** There were really only a few pieces that were maybe rough around the edges, but again they did really listen to the feedback and I would not be surprised if there was a change coming in the future. The main one for us was the breakout sessions. We did have to do some unique things within this, but pushing people into specific breakout sessions was quite the task. Because we had to push specific people into groups, each person had to be registered on Hopin ahead of time. Using Magic Links, the issue is that people are not registered until they click on that link and consent (which is just hard to get people to do). This being the case, we had a hard time putting people into their correct breakout groups ahead of time because there were almost 300 people to do this with. There are ways around it, but it was not simple. Customization was another piece that wasn't the easiest. They do have a guide on how to do it, but it still took a little digging to get everything correct. You have to enter color values on a backend page, then go look at the page to make sure you got the correct container changed. There is a lot of HTML color editing as well. So VERY customizable with coloring, just not the easiest process. Another point on customization for us was being able to rearrange chats, quizzes, and polls on the panel. You can turn them on or off, but can not change order or anything so if you want to push people into seeing a poll, you have to make sure to communicate to the audience in some way. Lastly, something that may be subjective, is the pricing on additional registrations. I think this is a good amount higher than other platforms and the cost of the licensing is the same or higher. **Recommendations to others considering RingCentral Events:** I would have an idea of what features you're going to use and how you're going to use them before you invest. Like using any platform, it has its limitations but I really do think it's a great platform and team surrounding it. **What problems is RingCentral Events solving and how is that benefiting you?** I think everything that we had issues with, they took as feedback and understood the use case for those pieces. They really did a great job to offer suggestions for working around any specific client requests we had that their system didn't directly handle. In our post mortem discussion they took feedback and even started to implement some of the pieces! ### 6. Attendees can easily see which sessions are going on, who is on the main stage and jump around as easily as possible. The new Canvas registration pages are sleek and really create a more professional feel for any conference. The registration page is also very easy to manipulate and make fit your needs. Hopin support is also incredibly thorough and quick. **What do you dislike about RingCentral Events?** The registration form is incredibly slow, and if not using the Canvas registration form, it asks to "Join Event" rather than "Register" - which is confusing. I also think that some of the backends is more confusing than it should be - for example, to create a session you can't do it right when you're building out the schedule but need to go to a separate tab and then add it into the schedule itself. And finally, I think it would be great to have a backstage functionality for sessions and not only the main stage. We had a huge challenge with getting speakers onto the platform to our "green room" session before going live, seamlessly. There was no easy way to have speakers access the green room and it caused a massive amount of headaches and confusion on the day of **Recommendations to others considering RingCentral Events:** Understanding how to run the day of event takes a lot of practice, as it's not necessarily completely intuitive. Do lots of test events and dry runs, create a run of show document, and ensure everyone is on the same page before the day of the event. **What problems is RingCentral Events solving and how is that benefiting you?** Because of Hopin we were able to have a highly engaging annual conference that was traditionally in person, and no longer could be due to COVID. Because it was virtual we were able to reach more participants across more locations and generate more ticket sales. ### 7. I dislike that attendees need to sign up for a Hopin account to join our event. **Recommendations to others considering RingCentral Events:** It's a great solution, but there have been some hiccups along the way. I feel that with any event platform, that is going to be the case. They are fast in their replies and always there to help to build the platform. The price and the quality are well-balanced. **What do you dislike about RingCentral Events?** One minor thing I disliked about the platform was the 10-second difference while live streaming from the backstage. Sometimes it would create confusion and if the speakers had both stage and backstage windows open, there would be an echo on the main stage. **Recommendations to others considering RingCentral Events:** Highly recommend. This is quite a good platform in comparison with other similar platforms. Booths: We used the "Additional Information" options for the first time and this adds so much to booth experiences. Registration Page: Far more customizable now (vs last year). The agenda shows speaker details & images. Wonderful header menu options. Networking: Attendees love 1:1 Networking options! Streaming Bugs: None! We didn't have a single issue with speakers streaming (caused by Hopin)!!! Audio & video was extremely clear for all speakers who had good internet. MailChimp Integration: Super smooth! Registrants were automatically added to MC at least weekly making it very easy for us to communicate. Registrations: We didn't have any problems with missing registrations. **What do you dislike about RingCentral Events?** Attendee List: Generally buggy, doesn't have good sorting options, lacking refunding ticket to re-register process (refunded registration results in not being able to re-register with the same account. This should only apply to "blocked" registrants). Registrations: Confirmation email is (sometimes) required even if the Hopin account is already existing which caused some problems as speakers could not be set in the platform until the confirmation was complete, "Pending acceptance" attendees also sometimes couldn't find the email as it was months old, it would be ideal if event organizers could resend the confirmation email and it was not required for each event registration. Scheduling: Would be ideal if the time of a session could be set when making the session and that info was auto-populated in the schedule (same with stage segments), see networking issue under "Networking". Backstage: Would be ideal if there was an audio notification when going live (sometimes speakers don't look). Speakers' Presentations: Had some problems with presentations from Mac users including the screen not being shared as full (the top menu was visible even in presentation mode) though this is likely due to the recent updates from Mac it still needs to be addressed. Recordings: Long process to download recordings, the platform tries to cut chatter before/after a talk providing multiple recordings per talk but it just makes recordings list confusing, stage talks are not labeled, renaming recordings is ver character limited and buggy. Stage: I wish speakers could show questions on the screen instead of the backstage manager having to do this. Registration Page: Limited section options (I need an option for an edge-to-edge image for example), speaker section is not user friendly (difficult to reorder speakers, easy to have duplicate speakers), all sections need rich text editor. Stilted Package Options: There are only a few features we need from the next tier up and I wish we could have a more custom package. Tickets: Start & End date for ticket sales is not automated, ticket listing order doesn't stay (when the order of tickets is changed on the tickets page the order isn't saved when refreshed and doesn't alter the registration page's ticket ordering), if a link to a private ticket is used that private ticket should be at the top of the ticket list. Sponsors: It would be great if talks could be sponsored on a programming level. Networking: If networking is turned off (per schedule) the scheduled networking times disappear from the agenda on the reception page, would be great to schedule when 1:1 networking is turned on/off, would be great if there was an option to pair based on attendee personas such as "I am a .... and I want to meet with a ..." . Connecting: Attendees wanted the option to search for a particular persona (investor for example) but we're unsure on how to make this happen; maybe a registration form? Overview Page: Need to see where attendees are now. Analytics: Need to see full list of countries of registrants, number of people at stage at certain times/during a segment. This time around our company used Kahoot to host a fun game to drive better engagement from our attendees. Hopin's platform is an absolute 10/10, i have nothing to complain about quite honestly **What do you dislike about RingCentral Events?** Like I said I really don't have any complaints. I guess one thing I'd love to see is to have Hopin added to Streamyard as a broadcast destination so I can display comments and Q&A directly inside Streamyard. While Hopin does have a Streamyard backstage, our company will host 60 or so speakers, and they aren't all geniuses so we would have to constantly kick people out of the backstage if we used ONE, so we use as many as 6 scheduled backstages and distribute the links to the folks based on when they are speaking. That would be a great change to see, but its mostly a Streamyard issue lol **What problems is RingCentral Events solving and how is that benefiting you?** We have hosted 3 amazing, fun, profitable events through Hopin. The features it has created really support building community and interaction between attendees, partners and organisers - with great helpdesk support, client management, brand customisation and a focus on pipeline product development to enhance the features it already provides. The user guides for attendees and organisers are great. **What do you dislike about RingCentral Events?** A 'how to use Hopin' video for attendees would be super-helpful (this was not in place as of November 2021). The product can be pretty CPU/internet heavy if you have attendees from more remote places - it can make some features of the platform somewhat inaccessible. The mobile app has been a great development, but still needs some work - Hopin is primarily a desktop experience. **What problems is RingCentral Events solving and how is that benefiting you?** Building a community through an online event is incredibly difficult, and Hopin has certainly helped to create something that I haven't found elsewhere. The backstage "streamyard" is fabulous. Once we learned how to do it, it flowed very nicely. **What do you dislike about RingCentral Events?** We were almost at the end of our meeting when Hopin popped up a survey link and then when you closed it, ended the presentation for the attendees. Problem was that our CEO wasn't finished with her presentation and it cut her off. It was very upsetting. We all went back through our tutorials and videos and found NOTHING that said anything about the event shutting down automatically. Perhaps it would be helpful to have non-programmers do simple videos and step by step written instructions for those newbies like us. Also, we had issues with videos when using a Mac. We loved how it allowed for simultaneous breakout rooms and speed-dating, something many other online platforms don't have. It's nice, sleek, and looks very professional. It's relatively easy to navigate, using the left-hand side menu on the admin view. You can tailor the registration process, the email comms sent to the audience, add visuals, videos, and more. From an attendee perspective, it's quite a smooth experience - they know where to go for presentations, networking, resources, etc. You can easily deliver some professional-looking event. **What do you dislike about RingCentral Events?** The main problem with Hopin is that it's developing fast and they change the features without notifying their customers. So one day, you log in and surprise, things have changed and you don't know where to find them or how to adapt. In some cases, they have just removed some options or totally changed them. A better communication (via email or directly on the platform) is a must so the customers can prepare accordingly! It is a very convenient way of organizing events with an international audience. The platform is pretty intuitive to use from the attendee perspective, it comprises an event reception, stage, sessions, and an expo hall, so all the areas you would typically have at an in-person event. Hopin also offers some great analytics in terms of the attendee breakdown, attendance of specific sessions, and analytics of the expo area. A pretty slick way to change presenters. The price is reasonable. Fairly easy to use. Registration was smooth. We were using Remo previously and found that Hopin was cheaper and better on our budget. **What do you dislike about RingCentral Events?** I was surprised and disappointed to find out that the total number of registrations counts toward your limit (in my case 1200) even if the person who registered failed to attend the conference. Now for future events, I will have to tell people NOT to register unless they are certain they are going to attend. Also, you cannot add a virtual background or even blur the background on your video for privacy. It was also difficult to understand how to let attendees into separate meeting rooms. There are many different options for events which makes creating a unique event very easy. I also think the platform looks very smart for attendees. **What do you dislike about RingCentral Events?** I disliked that you had to pay extra to have support on the day of your first event. When I was sold this software the sales person didn't make it clear to me that this was the case even though I'd said we wanted the cheapest package - he still spoke about the support as if I would be able to have it. It meant that our first event went well but only because we were running around like headless chickens! **Recommendations to others considering RingCentral Events:** I would pay the extra for the support if you need to use Hopin within 3 months of getting it. The advanced plans allow a lot of branding customization. As an organizer, the customer service support has been really great so far. **What do you dislike about RingCentral Events?** There's a lot of room for improvement in how the event is set up, specifically if you have a lot of different ticket types and need to ask different registration questions for each of them. It gets very tedious to create and difficult to pull easy-to-read reports on. I've attended some of Hopin's events about how to improve your virtual events using Hopin, and they're always very specific to large for-profit businesses with big budgets. Even the nonprofit-focused Hopin event I attended was focused on big national nonprofits with keynotes like Hillary Clinton. I work for a nonprofit with 20 employees, whose annual operating budget is less than the budget for a lot of these large corporate events. So most of the suggestions and examples given in those Hopin events don't help me. We don't have an event planner or communications person on staff, let alone a whole team; we're planning this conference on top of doing our regular full time jobs, so it would be really helpful to hear some tips for using Hopin that are focused on making things streamlined and simple, with little to no extra funds to spend. **Recommendations to others considering RingCentral Events:** Spend a lot of time exploring the Knowledge Base - Hopin can do a lot of things that you may not know about unless you spend time getting to know the platform and reading about it. **What problems is RingCentral Events solving and how is that benefiting you?** How to hold a conference in a pandemic! They may not have updated their review text, but have updated their review. **What do you like best about RingCentral Events?** The possibility to create the event through CSV files; allows audiences to interact through chat easily; the dynamic schedule that highlights events happening right now; the frictionless integration with StreamYard. The support team responds to requests quickly and exemplarily, whether via chat or email. **What do you dislike about RingCentral Events?** The schedule must be created manually and there is no possibility to do it through CSV files; The 'replay' feature needs a manual intervention to make the recorded video public to the audience; There is no post-event area where the audience can watch recorded videos. There is no feature to easily create a 'demo event' to show the platform to staff and chairs prior to the actual event. In my opinion, the 'demo event' must be the exact real event that must be executed a few days or weeks before the actual one and for a limited time (eg 2h maximum). Thus, the staff will be able to see the real event and they will be able to point out small problems in the schedule, etc that must be corrected before the real event. Currently I have to create to separate events (duplicate event is not a good solution either). **Recommendations to others considering RingCentral Events:** You can manage and set up the conference by yourself. Hopin offers excellent documentation for that. Chat areas are perfect for attendants' engagement. **What problems is RingCentral Events solving and how is that benefiting you?** Hopin helped us hold two traditional academic conferences in the COVID-19 scenario, where health regulations prohibited face-to-face meetings. It's very easy to configure the platform, so there's no need to hire people to do this activity. Hopin's official documentation helps a lot. ### 50. I also really enjoy the ability to now RTMP to Sessions as well and elevate the production value of this area. **What do you dislike about RingCentral Events?** The thing that I dislike about Hopin is the Networking feature. I feel that this area could be improved to offer more Networking abilities like group networking options, rather than just spontaneous interaction between attendees. **What problems is RingCentral Events solving and how is that benefiting you?** The problem that we are solving with Hopin is finding an affordable and digestible way for our clients and their attendees to participate in a virtual event. Hopin hits on all the significant areas of a conference -- General Sessions, Roundtable discussions, Networking, as well as a place for exhibitors to be able to interact with attendees in real-time!
