A good amount of customization is possible while still keeping things simple. Great customer support. **What do you dislike about RingCentral Events?** The registration process could be a deal breaker for some. It's not just complete a form and receive a calendar invite. There's an email confirmation/account step and we've noticed 50% drop-offs from actual registrations to who shows as registered in hopin. **Recommendations to others considering RingCentral Events:** Ensure you understand the registration and magic link processes well and that they are acceptable for your organization. They have a changelog that you can subscribe to, but it is adapting almost too quickly to stay up to date. The advanced plans allow a lot of branding customization. As an organizer, the customer service support has been really great so far. **What do you dislike about RingCentral Events?** There's a lot of room for improvement in how the event is set up, specifically if you have a lot of different ticket types and need to ask different registration questions for each of them. It gets very tedious to create and difficult to pull easy-to-read reports on. I've attended some of Hopin's events about how to improve your virtual events using Hopin, and they're always very specific to large for-profit businesses with big budgets. Even the nonprofit-focused Hopin event I attended was focused on big national nonprofits with keynotes like Hillary Clinton. I work for a nonprofit with 20 employees, whose annual operating budget is less than the budget for a lot of these large corporate events. So most of the suggestions and examples given in those Hopin events don't help me. We don't have an event planner or communications person on staff, let alone a whole team; we're planning this conference on top of doing our regular full time jobs, so it would be really helpful to hear some tips for using Hopin that are focused on making things streamlined and simple, with little to no extra funds to spend. **Recommendations to others considering RingCentral Events:** Spend a lot of time exploring the Knowledge Base - Hopin can do a lot of things that you may not know about unless you spend time getting to know the platform and reading about it. **What problems is RingCentral Events solving and how is that benefiting you?** How to hold a conference in a pandemic! Also be clear what will require "workarounds." That adds much more to your plate than it may seem. The support team responds to requests quickly and exemplarily, whether via chat or email. **What do you dislike about RingCentral Events?** The schedule must be created manually and there is no possibility to do it through CSV files; The 'replay' feature needs a manual intervention to make the recorded video public to the audience; There is no post-event area where the audience can watch recorded videos. There is no feature to easily create a 'demo event' to show the platform to staff and chairs prior to the actual event. In my opinion, the 'demo event' must be the exact real event that must be executed a few days or weeks before the actual one and for a limited time (eg 2h maximum). Thus, the staff will be able to see the real event and they will be able to point out small problems in the schedule, etc that must be corrected before the real event. Currently I have to create to separate events (duplicate event is not a good solution either). **Recommendations to others considering RingCentral Events:** You can manage and set up the conference by yourself. Hopin offers excellent documentation for that. I love the way the sessions are laid out. I tell everyone about this platform! **What do you dislike about RingCentral Events?** I wish breakout session speakers could get settled before going live. i wish they had a backstage or some sort of control over when people see them live. and the screen sharing is a little bit weird in sessions, I dont like how you cant see yourself on the screen while you share unless you open another device. **Recommendations to others considering RingCentral Events:** Do it! Hands down, the BEST platform. This has changed the game for our conferences and helped us reach so many people. If you're looking to run a test event, know that it'll stay in your event list - you won't be able to delete it after it goes live; a note in case you're annoyed by things like that. A couple of small things: The new registration widget is a little slow to load - I would love to see that improved. With the new addition of StreamYard, this will make running events in Hopin even more streamlined. **What do you dislike about RingCentral Events?** The editing of each events can be a bit cumbersome. A lot of platforms out there have a "drag and drop" style website editor, where Hopin has it's basic template and you enter images and colors only where they define them to be. **Recommendations to others considering RingCentral Events:** You really get the full benefits out of the Business or Enterprise plan. Hopin's stage and session features work well (once you've established how to set them up correctly). **What do you dislike about RingCentral Events?** Unfortunately, we did not have a great experience using Hopin for our event last week. The problems were predominantly due to platform feature limitations and promised vs actual functionality. We signed up to the (not inexpensive) Growth plan for our event but found that many of the features we needed were only accessible to business customers and there was no sum we could pay on a monthly basis in order to access them. The first 'missing' features we identified were magic links for speakers and two-way sync for registrations with HubSpot. Many more issues then arose. The ticket registration system essentially amounts to a 3-step authentication system that led many attendees (100 in total) to drop off mid-way through sign-up. Attempting to integrate Hopin and HubSpot was almost futile. We could not set up webhooks to automate the registration process, nor could we set up a two-way sync for registrations. This meant asking attendees to sign up twice. Hopin advertised UTM links that would enable us to track the source of sign-ups. In reality, this feature was not ready and we have no idea where our attendees found the event sign-up page. The customer support team were slow in responding, and the first agent could rarely help at all and seemed to simply be a triage stage. Finally, the reporting available with the Growth plan is very basic – the main thing we expected but did not get being data on which attendees joined which sessions throughout the event. **What problems is RingCentral Events solving and how is that benefiting you?** Hosting a virtual multi-event conference with varying numbers of speakers, sessions and audience sizes. The goal was to legitimize my event offerings as I start this new business with no list on a bootstrapped budget. Hopin was it, I thought. The platform is EXTREMELY professional. Didn't encounter any technical issues, no slowness, no typos, or any of the other stuff I saw on similar platforms. I loved that everything was integrated into one: tickets/registrations, video streaming, etc. This was one of the few free offerings that still let you ask registrant questions during signup. Ultimately, I couldn't *use* all its features because the streaming delay was just too great. Streaming options are their native option, Hopin Backstage, or an integration using that plus StreamYard. You can't integrate it with Zoom, Skype, or other well-known video/meeting services. Being forced to use Hopin Backstage/StreamYard, there was a delay of at least 15 seconds after host or participant spoke! This makes taking live questions / having live conversation impossible. Even if I had people type their questions, if I tried interacting with them, there would be an inordinate lag as I wanted for their responses AND the delay. This makes using it for streaming impractical, so I only use it for ticket registrations. Next, adding speakers to the event is confusing. You have to enter through a certain link to start running your event, and that's not obvious right away. There's a LOT to learn when using this platform... but I still hold to the opinion that it's professional and laid out pretty well. There's just a huge learning curve and I feel like it could/should be easier. It can take a lot of clicks to get to what you need. Editing the details that show on the Event and Registration pages isn't straightforward. You can only access event recordings on the free plan, too. Having to deal with so many different apps (slides, timer, recorder, chat in event window, etc.) just to run an event is overwhelming. I really hoped recording would be included. Finally, Hopin KICKS PARTICIPANTS OUT OF THE EVENT once the ending time is reached! You cannot go over ending time by even a few seconds or the event will literally end for the attendee. And they CANNOT rejoin! This was just the last straw for me. Unfortunately, the lengthy delay, confusion of how to get around, and kicking the attendees out after event end are deal-breaking enough that I can only give Hopin a 6 out of 10. (Streaming and event ending factors most into this number.) If only using it for registrations, then directing people to zoom... I'd give it a 7. But that implementation is admittedly a bit clunky. ### 35. Some registrants could not find their confirmation emails and the only way to resend them was to have support send them. A couple people ended up registering again and I had to refund their previous registration. On the first day of our event, the button on our landing page to take people inside the event would load and then hide. We had to put a hack in place that support recommended because engineering had not fixed it. We ended up with a cumbersome process to have people go to the hopin.com site and log in there. There's also no way to correct email address or name spellings after people have registered, a basic flaw that needs to be fixed. There were other technical issues that really hurt the experience. I should have been able to just run my event but spent most of the time trying to fix issues or work with support. I was given a credit toward future use of the platform, so I will give them a chance. But I ended up embarrassed by the way things went. **Recommendations to others considering RingCentral Events:** This is a relatively new product with lots of promise, but be prepared to hold the hands of attendees, especially those who are non-technical. Even if they are accustomed to using Zoom, the interface is simple to use. The ability to have an Expo works beautifully to allow for breakout sessions and to showcase sponsors. **What do you dislike about RingCentral Events?** The payment and marketing structure is painful to say the least. We had to use Eventbrite for marketing and to collect money. Then had to manually load in the attendees. Last minutes ones we took on Hopin but missed out on the goodie bag aspect. **What problems is RingCentral Events solving and how is that benefiting you?** We had to move our in person events to online, Hopin assisted us last year (2020) and so we continued to use it in 2021. We hope to have hybrid events in 2022 forward and hope that Hopin will allow us to that without a huge capital expense. ### 41. Chat and polling features make for an engaging attendee experience. **What do you dislike about RingCentral Events?** I'm not sure if it's possible but we don't integrate with Salesforce at the moment, which makes sharing registration updates with other teams manual and cumbersome. **Recommendations to others considering RingCentral Events:** Think about things like integration with existing marketing permissions as if you're losing the platform for demand generation you may well be exporting lists across platforms. **What problems is RingCentral Events solving and how is that benefiting you?** Managing and hosting large multi-region events that include a mix of internal and external speakers, and live and pre-recorded sessions. It has allowed us to scale events by replicating a parent event in multiple timezones. ### 42. Organize small events with acquaintances and experience the adrenaline of live events. The platform is very intuitive and easy to get around. It is optimized for Chrome and works really well on desktop, mobile, and tablet. I love the ability to brand all the different menus and there are lots of opportunities to customize the settings of the platform. I love the networking, Expo, Sessions, and the new Replay features. **What do you dislike about RingCentral Events?** The Backend of Hopin at first seems easy to navigate, but as you dive in to really dial in your customization you realize the menus are not really straightforward forward especially the menus that you use to change set the platforms menus to match your brand colors. Additionally, When when building out expo booths, it's not obvious at all how to get the google slides to operate or the videos you embed. Turns out there are settings on both google slides and Vimeo that need to be toggled on but Hopin does not have any info-bubble that tells you this so we were stuck for a few days trying to figure why our assets didn't work. I also don't like that unless an attendee accepts registration via the magic link you can not use the mass email feature to communicate with them when the event is over. For example, We uploaded 400 contacts to get magic links, and only 370 accepted, so post-event we could not send post-event emails to all 400 contacts we could only send to 370 so we had to send a separate mass email to the rest of the people use Mailchimp. **What problems is RingCentral Events solving and how is that benefiting you?** Using Hopin allowed us to not have to cancel our annual conferences. We realized of the benefit of having people who can not normally attend our events participate. ### 45. All sections are coherent with the different needs of a virtual event. The knowledge base is also easy to explore. In case of doubt, the technical support is very competent and answers fast. **What do you dislike about RingCentral Events?** You can sometimes experience some rigidity when setting up the platform. Some instability to be noticed in the video conferencing system, mainly when the number of active participants as well as the audience increases. Nonetheless, the updates have brought a solution to a lot of this issues **What problems is RingCentral Events solving and how is that benefiting you?** Hopin allows centralizing large-scale digital events on one platform, which is extremely helpful for our clients.
