My organisation creates interesting, engaging online events which vary from webinars to roundtables to exhibitions to full-fledged hybrid conferences and Hopin lets us deliver all these different types of events with ease by making the front end highly customisable **What do you dislike about RingCentral Events?** The only downfall would be the data reporting side as for hybrid events it is difficult for us to pinpoint which delegates logged in from the physical venue and which delegates remotely. This might not be essential for all customers, but as a hybrid event provider, it is quite important for us to be able to distinguish between the two. You can not do simple and basic things from host users side, like change or modifie a registration, you can not use the moderated Q&A if you are using the Streamyard Backstage so you need to use the HOPIN Backstage that is super limited, then the Outlook appointment is created based on the time of the event, but if you create different tickets for different sessions you can not create different Outlook appointmnets, in that case you need to pay for a third party app and edit the customize email.. We love having multiple break-out sessions at once. The LinkedIn live feature is awesome. It is the best on the market for what it does. A truly complete platform, if a little complicated. **What do you dislike about RingCentral Events?** It can be difficult to learn and it is particularly hard to teach to busy C-levels who have VPNs or other blocks in their computer systems. There are not virtual backgrounds so people have to be careful of where they are when they present. Bluetooth headphones cause the audio to get blocked so you have to instruct everyone to use wired ones. It only works in Chrome and Firefox. Stages, or no stages - and using streamyard, RTMP, hopin's own studio - you pick. Dynamic open video sessions or one:many or some:many. Live video booths or static content. Restricted areas based on ticket type or not. 1:1 direct calling & messaging, attendee-created roundtables, 1:1 auto mixer. Within a 72 hour window, unlimited agenda potential, no limits to what can be built. Constantly improving, feature releases nearly constantly. Super supportive team to support event creators. **What do you dislike about RingCentral Events?** The platform isn't without quirks - but given enough time and tenacity they can all be mastered. This is NOT for folks who want to open a zoom room and call it a day - the platform configuration requires a learning curve to make the most of all functionality, and some features are a bit quirky (agenda tags, I'm looking at you.) We had to convert from an in-person conference at short notice when covid started It allows access to more people from around the world. We have gone from being a regional to a national conference and this year we have our first international delegates **What do you dislike about RingCentral Events?** Login and registration are too confusing for a lot of delegates they think they have registered when they have only logged in. The User Experience in this area could be simplified. We have produced pages of instructions to guide people through this and we should have to do this. The compatibility with browsers also needs to be improved currently Chrome is the go-to browser but many people run on Safari with Macs and this often causes issues with the functions on the site. For most with some level of technology literacy it's very user friendly and uncluttered. **What do you dislike about RingCentral Events?** The software is pricey and not customizable enough. For how much we are paying we should be able to make more changes. For instance pre-register guests for sessions and only allow them to view those sessions rather than the entire library of sessions being offered. It is nice that we can link to external pages and still have the presentation play in the background. ### 21. The capabilities and options that exist around streaming worked great for us. The staff is really what made this a great experience for us. Anish, Alessandra, and Klaudia all have been very responsive and so receptive to feedback. They are growing and taking in all of the feedback to make a much better experience on the backend as well as the front end. Our clients wanted something that was very easy to use, intuitive, and interactive. I think Hopin accomplished all of those very well. When guests enter the venue and get to the reception, they have a few buttons on the left where they can enter the different areas of the event. We customized this to the main stage, sessions, and networking. Hopin then allowed us to use a beta feature to push people into each area. For example, when it was time for the 1:1 networking sessions (that works amazingly) we could just put that on the schedule, and it would force everyone there to make it simple. Those are the types of little features they are working on adding to make this a great and very well thought out platform. I can't say much about the registration or communications since we didn't those features, but we did use another beta feature called "magic links" that worked great. It allowed us to use another registration platform (our client had already paid for) and send out the unique links to each participant. They didn't have to register or anything once they landed on the page, but it could still track their email. Such a great feature to add to the simplicity. They also let us know that they were working on adding the integration for our other registration to further simplify the process! **What do you dislike about RingCentral Events?** There were really only a few pieces that were maybe rough around the edges, but again they did really listen to the feedback and I would not be surprised if there was a change coming in the future. The main one for us was the breakout sessions. We did have to do some unique things within this, but pushing people into specific breakout sessions was quite the task. Because we had to push specific people into groups, each person had to be registered on Hopin ahead of time. Using Magic Links, the issue is that people are not registered until they click on that link and consent (which is just hard to get people to do). This being the case, we had a hard time putting people into their correct breakout groups ahead of time because there were almost 300 people to do this with. There are ways around it, but it was not simple. Customization was another piece that wasn't the easiest. They do have a guide on how to do it, but it still took a little digging to get everything correct. You have to enter color values on a backend page, then go look at the page to make sure you got the correct container changed. There is a lot of HTML color editing as well. So VERY customizable with coloring, just not the easiest process. Another point on customization for us was being able to rearrange chats, quizzes, and polls on the panel. You can turn them on or off, but can not change order or anything so if you want to push people into seeing a poll, you have to make sure to communicate to the audience in some way. Lastly, something that may be subjective, is the pricing on additional registrations. I think this is a good amount higher than other platforms and the cost of the licensing is the same or higher. **Recommendations to others considering RingCentral Events:** I would have an idea of what features you're going to use and how you're going to use them before you invest. Like using any platform, it has its limitations but I really do think it's a great platform and team surrounding it. **What problems is RingCentral Events solving and how is that benefiting you?** I think everything that we had issues with, they took as feedback and understood the use case for those pieces. They really did a great job to offer suggestions for working around any specific client requests we had that their system didn't directly handle. Attendees can easily see which sessions are going on, who is on the main stage and jump around as easily as possible. The new Canvas registration pages are sleek and really create a more professional feel for any conference. The registration page is also very easy to manipulate and make fit your needs. Hopin support is also incredibly thorough and quick. **What do you dislike about RingCentral Events?** The registration form is incredibly slow, and if not using the Canvas registration form, it asks to "Join Event" rather than "Register" - which is confusing. I also think that some of the backends is more confusing than it should be - for example, to create a session you can't do it right when you're building out the schedule but need to go to a separate tab and then add it into the schedule itself. And finally, I think it would be great to have a backstage functionality for sessions and not only the main stage. We had a huge challenge with getting speakers onto the platform to our "green room" session before going live, seamlessly. There was no easy way to have speakers access the green room and it caused a massive amount of headaches and confusion on the day of **Recommendations to others considering RingCentral Events:** Understanding how to run the day of event takes a lot of practice, as it's not necessarily completely intuitive. Do lots of test events and dry runs, create a run of show document, and ensure everyone is on the same page before the day of the event. **What problems is RingCentral Events solving and how is that benefiting you?** Because of Hopin we were able to have a highly engaging annual conference that was traditionally in person, and no longer could be due to COVID. Because it was virtual we were able to reach more participants across more locations and generate more ticket sales. ### 23. Booths: We used the "Additional Information" options for the first time and this adds so much to booth experiences. Registration Page: Far more customizable now (vs last year). The agenda shows speaker details & images. Wonderful header menu options. Networking: Attendees love 1:1 Networking options! Streaming Bugs: None! We didn't have a single issue with speakers streaming (caused by Hopin)!!! Audio & video was extremely clear for all speakers who had good internet. MailChimp Integration: Super smooth! Registrants were automatically added to MC at least weekly making it very easy for us to communicate. Registrations: We didn't have any problems with missing registrations. **What do you dislike about RingCentral Events?** Attendee List: Generally buggy, doesn't have good sorting options, lacking refunding ticket to re-register process (refunded registration results in not being able to re-register with the same account. This should only apply to "blocked" registrants). Registrations: Confirmation email is (sometimes) required even if the Hopin account is already existing which caused some problems as speakers could not be set in the platform until the confirmation was complete, "Pending acceptance" attendees also sometimes couldn't find the email as it was months old, it would be ideal if event organizers could resend the confirmation email and it was not required for each event registration. Scheduling: Would be ideal if the time of a session could be set when making the session and that info was auto-populated in the schedule (same with stage segments), see networking issue under "Networking". Backstage: Would be ideal if there was an audio notification when going live (sometimes speakers don't look). Speakers' Presentations: Had some problems with presentations from Mac users including the screen not being shared as full (the top menu was visible even in presentation mode) though this is likely due to the recent updates from Mac it still needs to be addressed. Recordings: Long process to download recordings, the platform tries to cut chatter before/after a talk providing multiple recordings per talk but it just makes recordings list confusing, stage talks are not labeled, renaming recordings is ver character limited and buggy. Stage: I wish speakers could show questions on the screen instead of the backstage manager having to do this. Registration Page: Limited section options (I need an option for an edge-to-edge image for example), speaker section is not user friendly (difficult to reorder speakers, easy to have duplicate speakers), all sections need rich text editor. Stilted Package Options: There are only a few features we need from the next tier up and I wish we could have a more custom package. Tickets: Start & End date for ticket sales is not automated, ticket listing order doesn't stay (when the order of tickets is changed on the tickets page the order isn't saved when refreshed and doesn't alter the registration page's ticket ordering), if a link to a private ticket is used that private ticket should be at the top of the ticket list. Sponsors: It would be great if talks could be sponsored on a programming level. Networking: If networking is turned off (per schedule) the scheduled networking times disappear from the agenda on the reception page, would be great to schedule when 1:1 networking is turned on/off, would be great if there was an option to pair based on attendee personas such as "I am a .... and I want to meet with a ..." . Connecting: Attendees wanted the option to search for a particular persona (investor for example) but we're unsure on how to make this happen; maybe a registration form? It's the industry norm to use Hopin - so people have come across it before and don't have issues with firewalls. Duplication for future events very easy. It supports multiple interactive methods to host virtual, hybrid, and internal events. In our plan, we can host up to 100 participants in a single event and provide an intuitive and interactive online event. **What do you dislike about RingCentral Events?** We have received both positive and negative feedback from our participants addressing their issue of how they were disconnected in the middle of the event and sometimes couldn't listen properly. However, the ratio in the feedback is around 77% positive and 23% negative. **What problems is RingCentral Events solving and how is that benefiting you?** Hopin has made planning online events so easy that we can easily host events, and participants from the remote place can easily interact with our team, and it is a real game-changer for us. ### 41. We used Hopin for event registration, communication, and hosting the content. Our support team at Hopin was really great throughout the entire process - supportive, responsive, and available to ensure our 2,000+ person event was successful. I would recommend Hopin to anyone who is hosting a virtual event. **What do you dislike about RingCentral Events?** Hopin is a new platform, so features are rolled out consistently. This is great for upgrades, but sometimes difficult to navigate as small changes were made. Hopin clearly communicates changes and is always open to hearing product improvement ideas. **What problems is RingCentral Events solving and how is that benefiting you?** We hosted a virtual event last year with a vendor that was hard to work with and a confusing platform. It is a very convenient way of organizing events with an international audience. The platform is pretty intuitive to use from the attendee perspective, it comprises an event reception, stage, sessions, and an expo hall, so all the areas you would typically have at an in-person event. Hopin also offers some great analytics in terms of the attendee breakdown, attendance of specific sessions, and analytics of the expo area. Finally, the platform has integration with Streamyard, which is a great function for anyone aiming to improve the event production value. **What do you dislike about RingCentral Events?** Sometimes attendees experience tech issues such as not hearing or seeing the stage. This is mainly because Hopin is best compatible with google chrome and firefox so if the attendees are using a different browser it might cause issues. **What problems is RingCentral Events solving and how is that benefiting you?** As an in-person events company, Hopin was an essential platform for our business during the pandemic. It allowed us to keep our company running and deliver value to our customers virtually. ### 43. A pretty slick way to change presenters. The price is reasonable. Fairly easy to use. Registration was smooth. We were using Remo previously and found that Hopin was cheaper and better on our budget. **What do you dislike about RingCentral Events?** I was surprised and disappointed to find out that the total number of registrations counts toward your limit (in my case 1200) even if the person who registered failed to attend the conference. Now for future events, I will have to tell people NOT to register unless they are certain they are going to attend. Also, you cannot add a virtual background or even blur the background on your video for privacy. It was also difficult to understand how to let attendees into separate meeting rooms. It was not clear and we never did figure it out. **Recommendations to others considering RingCentral Events:** Make sure you advise your registrants to only register IF they are committed to attending, otherwise you will 'use up' a lot of your registration seats on no-shows. **What problems is RingCentral Events solving and how is that benefiting you?** With COVID we were unable to host in-person conferences or training sessions. We tried ZOOM and that worked well for all kinds of meetings, but not really for a conference-type setting. ### 44. The integration with streamyard was key and was a very easy tool to use. Hopin's ability to manage hybrid events is an interesting area to explore in the future. **What do you dislike about RingCentral Events?** The event and session chats were separated and thereby confusing, the 15-second delay from the stream did not allow for an easy Q&A with those participating in chat. The platform also didn't allow for custom CSS by the end user which would be a nice-to-have. **Recommendations to others considering RingCentral Events:** It's a turnkey solution for a virtual event and brings a lot of production quality to something that would fall flat in a regular video conference. **What problems is RingCentral Events solving and how is that benefiting you?** We were solving for zoom fatigue and needing to add energy into our events by showcasing them in a new way. We've had to create a lot of resources to educate our sponsors and attendees on what this platform is and how to best use it. It was the only tool I've used that you can tell was built with the virtual attendee experience in mind. The agenda, stages and tradeshow sections were easy to navigate, and I loved that it was very clear which sessions were live when, and the opportunities for attendees to engage with each other. **What do you dislike about RingCentral Events?** We had some attendees run into security issues when they tried to access the event. I wish we had been warned that this was a potential issue ahead of time, we could have worked with customers to troubleshoot ahead of the event rather than during our opening keynote. I also didn't love the randomly assigned networking -- we had almost no one participate and we heard that a lot of it was because it felt weird not knowing who might pop up on your screen! **What problems is RingCentral Events solving and how is that benefiting you?** We were looking to offer an event that is normally in-person in a virtual format but wanted it to feel like an event where people were connected to each other. There are many different options for events which makes creating a unique event very easy. I also think the platform looks very smart for attendees. **What do you dislike about RingCentral Events?** I disliked that you had to pay extra to have support on the day of your first event. When I was sold this software the sales person didn't make it clear to me that this was the case even though I'd said we wanted the cheapest package - he still spoke about the support as if I would be able to have it. It meant that our first event went well but only because we were running around like headless chickens! **Recommendations to others considering RingCentral Events:** I would pay the extra for the support if you need to use Hopin within 3 months of getting it. If you have time then I would test and test till you are comfortable using so you don't need the support. **What problems is RingCentral Events solving and how is that benefiting you?** We are solving the problem of not wanting to host events in person and saving our colleagues having to travel half way around the world on a plane so they can just sit at home and join there. The benefits are we can analyse each event closely to see who was interested at what points and then we can reach out after.
