Pros:

**What do you dislike about Captello?**

The only issue is one that you would have with any ULC software and that is gaining access to the dev/api kit for shows as some platforms simply do not share the info. We work around that by importing our leads post event into Captello so we can continue to have all the benefits of our lead capture in one place.

**What problems is Captello solving and how is that benefiting you?**

We've deployed Captello as our universal lead capture solution across all the tradeshows we attend, and it's been a game-changer. Prior to Captello, our team struggled with inconsistent capture methods, manual processes, and limited visibility into lead performance and event ROI. Captello solved all of that.

The setup was intuitive, the support team was responsive, and the software itself is incredibly flexible. We now have a centralized, streamlined system that works for both small regional shows and large national conferences. It allows our sales and marketing teams to work from the same playbook with customized forms, instant data syncing, and smart integrations into our CRM.

One of the biggest wins has been the ability to generate real-time dashboards that help us clearly articulate event performance and lead quality—no more guessing or chasing down spreadsheets post-show.

**What do you like best about Captello?**

Being able to customize our lead capture form to best fit our industry since it is so niche. We also had a booth challenge where people could scan QR codes around our booth to create an engaging environment and it went amazing! Overall the leads capture were 100% more qualified, easy to export our of Captello, we could customize the export to only include data that we wanted. Overall very happy!

**What do you dislike about Captello?**

The only fluke that we noticed was in our booth challenge, after you'd scan a QR code, complete the question and earn the points you'd have to fully wait for the screen pop-up to run it's course to get the points. If you didn't exit out of that screen before you'd scan the next one that window would pop-up inside that first QR code window.

**What problems is Captello solving and how is that benefiting you?**

Having one platform that we use for lead capture at all trade shows we attend at an affordable price and super easy to use!

**What do you like best about Captello?**

Captello has been an incredibly valuable tool for our event and lead management needs. From on-site lead capture to post-event follow-up, the platform makes it easy to collect, organize, and activate leads without the usual headaches that come with events.

The interface is user-friendly, reliable, and clearly built with real event teams in mind. It streamlines workflows, integrates well with other systems, and helps ensure no lead slips through the cracks. What is most helpful about this platform is the customization.  You can tailor your experience and your team's experience based on your current process or enhance the lead ingestion process with their breadth of tools and features--they've truly thought of everything.

So far, I've been really impressed with their onboarding process, ease of implementation, knowledgeable customer support and sales teams and overall responsiveness.  I was about to set our company up in no time and the sales reps have loved having lead capture and scanning abilities right on their cell phones.

**What do you dislike about Captello?**

I don't have a dislike yet. I would say that the only barrier has been change management within our organization and meeting people at their different technical abilities-- but even with that Captello has gotten rave reviews from our onsite sales team!

Before Captello, capturing leads at events was often manual, inconsistent, and costly to purchase and set up for every event. With Captello we can:

I like that we can customize questions within Captello based on the needs of each trade show. Our needs differ based on which show we attend so this is a useful feature.

The options for the data export are a little limited. It would be helpful to set up a template that only includes the variables that I want to export.

This saves us from the booth staff holding onto physically business cards and manually entering them into a Google Sheet.

**What do you like best about Captello?**

Captello is a very intuitive platform and is very user friendly.  I am not as tech savvy as I would like (sadly) but even I am able to navigate the platform and setup forms.  In addition- the entire team at Captello from Account Services to Project Management to Support are phenomenal and extremely fantastic to work with.  The many questions that I had prior to onboarding as well as during the onboarding process and now as a frequent user were answered thoughtfully and thoroughly.  My marketing and analytics team has been blown away by the increased level of data and detail we are able to glean by using Captello v. previous solutions provided by show organizers.  I would recommend it hands down to anyone in my role!

**What do you dislike about Captello?**

While we are still fairly new to Captello- I have yet to encounter any issues or reasons to dislike the platform.  My experience has been smooth, easy and has exceeded my expectations.

**What problems is Captello solving and how is that benefiting you?**

Prior to bringing Captello into our marketing team we felt limited by the costs associated with lead capture device rentals and license fees offered by show organizers.  Additionally- with a limited number of devices on the booth- we didn't have the bandwidth to accurately capture the essential data we were looking to gather from prospective customers.  It has truly opened up a whole new world for us and has already moved the needle for both our marketing team as well as our sales organization.

I have been using Captello Lead Capture Software for 3 years, mainly to gather lists of leads from events for post-event email follow-ups. I appreciate how it saves me time by streamlining the process of building lists based on lead activity from events. The software is easy to use, which is one of its great advantages, and I find that information is presented in a straightforward manner. I have encountered no issues in accomplishing my tasks, as it is efficient, effective, and reliable. The initial setup was easy for me, allowing a smooth start, and I feel confident recommending Captello Lead Capture Software to others, giving it a perfect score of 10 for recommendation.

**What do you like best about Captello?**

We partnered with Captello to create a dynamic scavenger hunt experience centered around people and movement. We shared our vision, and they brought it to life seamlessly. The platform was incredibly user-friendly, visually appealing, and its features far exceeded our expectations.

A special thanks to Sabrina, who was an absolute pleasure to work with! She was responsive, patient, and attentive—taking every concern seriously and helping us troubleshoot even the smallest details before our event. Thanks to her support, everything ran perfectly, and engagement was higher than we ever imagined.

We’re already planning to use Captello again—it was that impactful!

**What do you dislike about Captello?**

We noticed a few quirks with punctuation occasionally not flowing through and sometimes adding extra numbers, but we were able to address most of these ahead of the event. Overall, the platform is very easy to use, though a bit on the manual side.

**What problems is Captello solving and how is that benefiting you?**

We needed a way to capture data through a gamified “scavenger hunt,” where advisors would scan printed QR codes for each of our hoteliers. The advisors who scanned the most codes would win prizes. Captello provided the perfect solution—delivering lead capture, a real-time leaderboard, and a clear way to track which hotels each advisor had already visited and which they hadn’t yet.

On top of that, we were able to add trivia questions and fun facts, which further fueled competition, engagement, and fun. Everything was presented on a clean, easy-to-use landing page that was both informative and visually appealing.

The results spoke for themselves: we tracked over 5,200 engagement opportunities across 545 participants. It was an incredible success!

**What do you like best about Captello?**

There are several elements I like about Captello, the main being its ability to connect with our CRM systems and have data automatically flow. This eliminates the old way in which we did things after a trade show - download the registration report, enrich the data, send it off to a BDR team, often experiencing delays and incorrect data. Instead Captello automatically flows and eliminates any of those previous delays or inconsistencies. I appreciate the vast qualifying options and different functions beyond lead scanning, like prizes, games, etc.

**What do you dislike about Captello?**

I don't dislike anything, other than there are so many options, it's a bit overwhelming. I know I don't use Captello to it's full capacity because of this. However, the support team is amazing and willing to step in and help whenever I have questions, issues, or need assistance setting up an event.

**What problems is Captello solving and how is that benefiting you?**

Eliminating the need for long, often error-filled manual work. The ability to seamlessly flow into our CRM means no manual lifting in terms of downloading registration reports, inputting data into templates, enriching the date, and sending off to our automation team for loading into Salesforce. Instead, we set it up and let it flow, making it a faster and more efficient process.

**What do you like best about Captello?**

I appreciate the ease of use and the many customization options so we can fine tune the rep experience to be exactly how we like it. I also appreciate the timeliness and clarity of the Captello team when asked questions or scheduling meetings to discuss issues or solutions.

**What do you dislike about Captello?**

The only issues I have with Captello's software is that it's just that, software. You're going to run into issues here and then if something isn't quite working properly or if it wasn't set up correctly due to user error (most of the time on our end) as one might, but the team is very helpful and so far we have always been able to work out kinks smoothly and efficiently.

**What problems is Captello solving and how is that benefiting you?**

Captello streamlines our process for capturing leads and allows us to keep all of our information in one place as much as possible. Without them, our process would take twice as long and be much more confusing. Plus, sales reps have so much access to lookup features and other supplementary options to fill data while on the floor, making their jobs easier, that we are finding that meeting our lead quotas is not only doable, but easy.

**What do you like best about Captello?**

Easy connection to SFDC which not only allows you to capture real time data in Salesforce, but also allows you to tie it back to the campaign and also add campaign member statuses which many other vendors we initially talked to, were unable to do. The Captello event forms are very detailed and customizable templates, allowing admins to capture everything you may want, or remove parts you don't need. Once you've gotten everything set-up and the integration is complete, it's nice having the ability to essentially do everything you need on your own within the form, creating a new form, adding new team members, etc. For the team members attending events, the tool is quite user friendly, with an intuitive interface.

**What do you dislike about Captello?**

The initial set up was quite complicated and person responsible for our onboarding didn't seem to know much about what she was doing, so we had to bring a tech person onto a separate call, and then follow-up calls to finally get everything ready in time (and we were told it would be very easy and could be done on one call. Though its mostly hands off after the initial set-up is complete, any issues end up making us bring on our RevOp team for help. The process to do an API set-up for an event is more difficult than other systems I've used because their team is required to do it (and they request it multiple weeks in advance vs being able to set up yourself). Lastly, while it's great to have the ability to update / change / build everything in the templates on your own, its generally time consuming and many times, we've had to ask for process documentation or help from our account manager (when some tools have teams that will simply do it for you).

Captello helps us quickly and accurately capture leads, without manual or delayed entry of excel files into our CRM. Because of this, it also allows us to follow up much quicker, tagging all leads from an event to their campaign, and update their campaign member statuses accordingly.

didn't find something like that yet.. i would have used this app for my entire marketing automation if it would expand it's solution.

it allows the entire team to scan leads at an event, which enables them to collect wider information compared to a hostess scanning the badge and moving on. it allows immediate communication with the lead, so we don't lose the momentum, and as an admin,  i have an immediate clear view on all leads and their grading. it provides me with control on the tone of voice and the related materials for a unified communications, regardless on which sales person is communicating.

Ease of use.  this is a tool that allows everyone that is using it to see and share data.  As we develop our own surveys we need a tool that can adapt for Domestic and International use.

I do not have any dislikes.  All new tools require a real world test and our test was successful.

Captello will solve for instant communication and direct document delivery.  This will allow for a faster onboarding experience, and open communication with prospects.

Captello makes it easy to capture and route event leads quickly, and the integration with our MAP significantly improved the speed of data availability for analysis. It’s reliable from a data quality and integration standpoint.

Nothing major stands out from my perspective, but feedback from our end users are minor setup or process alignment items rather than software limitations.

**What do you like best about Captello?**

The ability to customize it the way we need it. We have a bunch of brands under Buyers Edge Platform, and each brand asks for specific options for lead collection at shows. With a previous partner, we could not customize, and it was difficult to get a hold of our account manager. Our account manager, Jessica, makes a BIG difference in how we feel as customers. We feel heard, and we think our company's goals align perfectly with Captello's.

**What do you dislike about Captello?**

I wish there was more flexibility with rolling over licenses. It is very difficult to try and gauge how many licenses we get a year as things change, and we acquire at least 1 company a year on average. It would be nice to know we can keep pricing at a specific tier after we purchase in bulk in the beginning of the contract.

**What problems is Captello solving and how is that benefiting you?**

Being able to customize forms, having the ability to have kiosk mode is also very beneficial - especially as some of our brands are exploring sending less people to shows and conferences, and are looking for ways to collect leads easily without overwhelming 1 person working the booth. Intelliscan has us excited as well as some of these show do not offer ANY lead capture options, and sometimes not even badges. WE have gotten a lot of feedback from our sales team, which ultimately this is for them, and it has been 99% positive. I believe the other 1% is not as quick to adapt and/or has not used lead capture software before.

The ability to customise the fields to our business needs and keep on brand.

Easy set-up and integration with Marketo - no more manual list cleaning.

Flexibility of use for in-person events, networking, and scanning business cards - the app is on everyone's phone for capturing data, wherever they are - always on.

The in-app chat and instructions are helpful reference guides and keep the sales team on-site at an event connected in one place.

Customer support from onboarding, training and walking us through our first event has been great. We have videos to refer back to in our dashboard and the documentation library

**What do you dislike about Captello?**

Not all event organisers will allow the API tool kit to integrate with their systems.

**What problems is Captello solving and how is that benefiting you?**

Previous post-event, I would receive data in a variety of formats from Excel files, business cards and emails with missing or incorrect data.

Captello ensures that clean and complete data is captured from badge scans, manual input or business card scanners.

The customer service from Captello is great - they are helpful and knowledgeable. We are implementing a scavenger hunt at our largest conference this year and are excited to have an easier way to track leads and generate traffic to our exhibitors booths. Plus, it's very customizable.

The platform is easy to use and navigate for admin users, allowing us to set up events and track leads with ease. The front-end event app is also very user-friendly, so our sales colleagues only need minimal enablement to use the app. From a CRM integration point of view, it is easy to connect to SFDC and Marketo, where we created an integration behind to make sure leads flow through to our CRM system with minimum configuration once the integration is done. The Captello team is also great in terms of support; they are reactive, provide numerous resources, and are very hands-on during the onboarding period.

The only downside to the app is its limitation of supporting different domains within one account.

The web interface is a little dated, but that's not the end of the world. Some of our reps also want an easy way to accept leads using a computer, but this isn't always apparent to them or easy to find. The app is convenient, but sometimes our reps rely on their computers more for complex updates.

2) We're still experiencing issues with our HubSpot integration, been trying to work with the integrations team but we haven't found the solution for some reason

The software is extremely intuitive in its features and uses (in which we are still learning about as a new user).  It is good to see that the programmers who have developed the platform have done so with the event manager and user in mind.  I love how Captello is always in a constant state of development and improvement as if it's a living entity, as the event world typically is as well.

The only dislike is that I really wish there was a better and more cost-effective API Developer work-around.  That is the one roadblock that we are trying to navigate with the platform. Not really a dislike of the software.  My answer to this question is very limited by my still new (and lack of thorough) knowledge of all of the capabilities.  But the ability to capture as much information as quickly as possible is of the most benefit to us.

There are several places in the application where I would like to go back just one step to the previous screen, but I am taken to the main menu instead. There is no access in the application to the function of deleting/erasing records created by mistake.

Collect all data about customers visiting the stand, although I believe that the application, in cooperation with IBC, could require a business e-mail address rather than a private one for registration, since this is a business event. Finding a person registered in Captello with their LinkedIn profile is a good solution.

I have excuted trade shows and events for my company for over 25 years, and for much of that time was in search of a comprehensive, all-in-one lead capture solution.  The various apps, devices and solutions offered by the officially-designated lead retreival contractors are all over the map in terms of capabilities, ease of use and consistency of data output.  Each one uses a different UI design, exports data in all sorts of formats and arrangements, and forces many installs of different, sometimes unknown apps onto company devices.  This not only caused plenty of confusion and errors by booth staff, but also significantly delayed our post-event follow up, as we had to "massage" data and spend too much time cleaning it up before it could be ingested into downstream systems.  Finally, the cost can get very high, especially with big spaces and large staff.

Finally, I've found the perfect solution, and that is Captello!

We have found few disadvantages to Captello.  When getting started, there is certainly a learning curve for the administrators, to master how to best create capture forms and handle lead data.  However, onboarding and training by Captello is excellent, minimizing trouble and enabling us to quickly get up to speed and be confident that we know how to achieve our goals.

Problem - Old systems were wildly inconsistent in UI and data output.  
Solution - Captello keeps things consistent, predictable and under complete control.

Problem - Old systems forced us to pay for many app licences per event, often totalling many thousands for a large booth.
Solution - Captello per-event cost is surprisingly small.  Only the API package must be purchased from show supplier.  This keeps our overall cost significantly lower!

Problem - Old systems forced install of many different apps, causing confusion among staff and consternation among IT security.
Solution - Captello requires one app for all events.  Benefits to this include easy, familiar interface for staff, lower device overhead and happy IT security team.

Problem - Old systems each had differing data collected and each used field mapping, causing much time to be spent post-event cleaning up data and validating for CRM ingestion.
Solution - We configured captured and output data one time, and it stays consistent. Furthermore, Captello integrates directly with our downstream systems, greatly improving post-event follow up times.

Our company is thrilled with how intuitive the tool is from a end user experience; it is sleek, easy to use if you haven't had a training and we are enjoying learning the new technology and capabilities that this tool has to offer. Being able to customize the forms to each event's requirements to having different stations within the same event or having multiple ways to scan in people has been a great asset to efficiently solving a lot of our original pain points! Additionally the support team has been very responsive to any questions that we have, they are respectful, knowledageble and very timely.

Because of the amount of customizations that you can do, it does take a quite a bit of time to get familiar with the backend admin capabilities. There is so much you can do, which is a good thing, but learning how to do all the things can get overwhelming. We have been able to collect leads when attending a tradeshow and following up with these leads. The notes feature is specially important to us so we can quickly reach out to the customers who want to learn more about our products.

**What do you like best about Captello?**

When I took on my new role as Events Manager, I was advised I would need to use Captello to set up Conferenes and Tradeshows for the sales team so they can capture leads when attending the conference. I had never used Captello before and I had personal training by Laura Alin who was wonderful and made the training process so easy and was patient with me answering every question and even running through the process of setting up New Events in Captello. The software is user friendly!

**What do you like best about Captello?**

The Captello Lead Capture Software is an easy-to-use intuitive app that allows our team to quickly capture relevant information from leads at events.  What I like best is the ability to quickly edit or make changes to an event easily without needing an admin or support from Captello.  However, when I have had questions about creating or editing events, Captello support has been excellent.  They are super quick, usually responding within an hour, and have always been able to help me.  Every time I submit a question I think, this time I've got them...I will finally stump Captello support. But no, they always have a solution for me! It's Captello's ease of use and excellent support that make them an easy 10/10 for me.

**What do you dislike about Captello?**

So far, I haven't really found anything that doesn't work or is an issue for us.

**What problems is Captello solving and how is that benefiting you?**

Captello lets us easily create events that meet our needs when it comes to lead capture and lead qualification.  It's flexibility and functionality means we can create custom forms that sync with our CRM to properly assign leads.
