With Workflows and approvals and OCR and Forms it's really got everything you need to be able to help you out. **What problems is PairSoft solving and how is that benefiting you?** Not having to file everything in drawers. Running a simple report in Smartlist to find documents, it is a timesaver. The approval process allows our treasurer, manager, and managers approve invoices electronically keeping the timestamp and record of the transaction for auditing purposes. Once setup, the process is simple and effective. The integration with Financial Edge NXT was a huge piece that our staff were looking for. They can retrieve, save, or print invoices, contracts, or other records immediately without needing to interrupt or bother our Finance Manager. **What do you dislike about PairSoft?** The setup of the Invoice Automation can be a bit complicated and time consuming at first. The good part is that once the setup is complete, you should no longer need to touch the configuration again. **Recommendations to others considering PairSoft:** Make sure you have both an IT and finance person involved in the entire process. Both viewpoints and knowledge levels WILL be required in order to successfully complete the implementation. **What problems is PairSoft solving and how is that benefiting you?** PaperSave has saved hundreds of hours in manual data entry. Invoice entry that used to take 3 days has now been reduced to a couple hours. PaperSave has also allowed us to make sure all invoices are approved by our board treasurer before they are released for payment. Previously, we could issue payments before the approval process had taken place or was completed. This has tightened up our internal controls drastically. A full record of the approval process is kept for auditing purposes. PaperSave has also allowed our staff to access records that were previously not easy to get a hold of. Past invoices, contracts, or other vendor documentation was not easily accessible as it was in a locked filing cabinet. Staff are now able to retrieve these documents at their desire without having to go to our Finance Manager directly. ### 5. In addition, it works very well to automate some of the financial management tasks such as PO and invoicing through automated metadata search within the content management system build into Dynamics 365. **What do you dislike about PairSoft?** Although it is customized for some of the vertical industries (healthcare, education, et al.), it is doesn't come rebuild to work across multiple geographies outside US/North America, for example APAC and Europe. **Recommendations to others considering PairSoft:** Have a clear view on what is the want - a quick, off the shelf document management solution (eg. PaperSave) as an add-on vs. a full ERP solution (for example Oracle ERP, Microsoft Dynamics). I am appreciative of the support team that will work in-depth you on tickets to try and achieve a solution at the earliest convenience. **What do you dislike about PairSoft?** A cloud managed version would be great but I understand that comes with storage challenges and an online SQL database. I believe that a cloud managed version would be not only easier to update, but gives a more secure and seamless interaction with users going through a web browser. **Recommendations to others considering PairSoft:** If you have any questions or want to make any changes to PaperSave's configuration, contact the support team and take notes, they are great with assisting users and guiding them. Also PaperSave, in my opinion, requires somewhat technical users so a with some guidance, practice and focus, PaperSave can be a powerful and flexible tool in your company's toolbox. When working at full steam, this ECM package is awesome. **What problems is PairSoft solving and how is that benefiting you?** Currently trying to update to the latest service pack. This is becoming a hurdle as there are compatibility issues and many changes since the original deployment of PaperSave. We realized that with the Support Package comes chances for a roll-up to the next service pack. I highly encourage anyone who is administrating this ECM to be in contact with the customer reps and take every chance to upgrade as with any Operating System roll out, there will come application roll outs as well. **Official Response from Josh Campanaro:** > Thank you for your feedback! It is available to anyone in the company that has GP so they can look up whatever they need. **What do you dislike about PairSoft?** I really haven't found anything that I dislike. **Recommendations to others considering PairSoft:** I would take a good hard look at it if your looking at going paperless. I find it a very effective tool to manage your accounts payables and we also use it to scan in paperwork in other parts of it so Journal Entries have backup, Bank Reconciliations, Purchase Orders and many more things. I would recommend this product to anyone. **What problems is PairSoft solving and how is that benefiting you?** We don't have to file accounts payable invoices anymore everything is scanned in our accounting system and can be pulled up very easily. ### 15. For most users, Papersave works for them. **What do you dislike about PairSoft?** The version of Papersave that we are on does not play well with newer operating systems. It still requires an old version of SQL server and an EOL (end of life) version of Microsoft Server, specifically MS Server 2008 R2. This is a huge security concern. Also, there is no way to administer Papersave from an IT standpoint. We must always contact Papersave support to fix anything. Lastly, we had to update Blackbaud’s RE to a new security patch, for PCI compliance, and Papersave broke in RE. I have been told that I have to pay for an upgrade to Papersave to make Papersave integrate again with RE. That is not cool. **What problems is PairSoft solving and how is that benefiting you?** Because Blackbaud’s FE and RE do not natively support adding documents to records, Papersave is the system that integrates with both systems to add documents to each individual record in both databases. We are also using Papersave for invoice processing and approvals. ### 16. We have every single details in the expense sheet. It can accessible on mobiles as well. **What do you dislike about PairSoft?** It does not provide free trial to users. **Recommendations to others considering PairSoft:** It is very easy to use and user friendly. Also, working with my account manager Jennifer Muniz has been wonderful. Jennifer has showed us lots of care and made the process smooth in getting the contract setup and pricing worked out. We are not the biggest client, but Jennifer still showed us lots of care! **What do you dislike about PairSoft?** The local environment was more intensive to manage than the new cloud environment. The management of the cloud environment that we migrated to is great. **Recommendations to others considering PairSoft:** Go with the cloud product, it works well. Jennifer Muniz is a great account manager. Also, automating the approval workflow for invoices & accounts payable. The PaperSave Workflow application allows us to electronically route invoices throughout our organization, and it has fully automated our entire a/p function. This workflow solution has radically improved our a/p processing: invoices do not get lost in inter-office mail; departments do not have to make copies of invoices before sending them to corporate; OCR technology extracts data from our invoices; accounting can track the status of any invoice/receipt in the approval process; and a permanent audit trail is created. PaperSave allows non Dynamics GP users to view copies of electronic invoices/payables transactions via a product called PaperSave Web. With this solution, department managers have real-time access to the invoice transactions (and related invoice images) that are hitting their department’s budgets. We have never had an issue that was not resolved promptly. **What do you dislike about PairSoft?** The Workflow software can be “glitchy” at times (I tell my workflow users to treat it with kid gloves), and many PaperSave products can suffer from long load times. If you use any web-based PaperSave product, you are pretty much married to Internet Explorer. PaperSave will tell you that you can build your own workflows, and you can. However, some common features you may want built into your workflows (e.g. a look-up to see if an invoice is a duplicate, or a warning that a g/l distribution does not agree to an invoice amount), takes knowledge of scripting. Thus, unless you have an individual at your organization that can write the scripts for you, you will be dependent upon PaperSave to build such features into your workflows. Also, some advanced configurations of PaperSave products may require the assistance of PaperSave personnel, and this assistance may come with an additional charge. We utilize PaperSave Cloud, and the software has to be re-booted and/or re-synced on occasion. Example: We configured our workflow to only show temporary and active vendors. At times, inactive vendors will start to appear again. PaperSave will then have to run a back-end sync to get everything working as it should. **Recommendations to others considering PairSoft:** Before starting your implementation, be sure to have a good idea of what you want in an electronic document management system and workflow approval software. Also, map out your current a/p process. I would highly recommend speaking with other companies who have used PaperSave or other document management systems to get their ideas and/or insights into the software before you start your implementation. Be sure to consider and/or ask about all of PaperSave’s features before you implement. If you are looking for AP automation, ask about the functionality of Auto Entry, Auto Entry Wizard, and Workflow Entry Viewer. If you will be purchasing the workflow software, know that the implementation process can be time consuming for any individual(s) who are the primary points of contact with the PaperSave implementation team. Our implementation took twice the amount of time we were initially told. **What problems is PairSoft solving and how is that benefiting you?** As mentioned above, the workflow software has dramatically changed our a/p process. Invoices use to take days or weeks to obtain approval, or they would get lost in interoffice mail. Now, approvals can take minutes, everything can be tracked electronically, and a permanent audit trail is created. The functionality to view invoice images (and related check images) direct from GP has been a significant time saver. If a vendor calls asking where their payment is, we can access invoice and check images within minutes – no more searching through filing cabinets and stacks of check copies. We are currently looking into expanding the use of PaperSave to other GP transactions, including sales/invoicing. We utilize an application called PaperSave Web, and this tool allows our departmental managers to not only view the payables transactions booked to their departments but also view the invoice images associated with the payables transactions. I have had numerous managers state how much they appreciate PaperSave Web – it allows them to track their expenses/invoices in real time, and they do not have any surprises when they get their monthly budget-to-actual reports. Also with this solution, departments no longer have to make a copy of their invoices before they send them to corporate/accounting. This has saved our employees considerable time (and some paper too). ### 31. Every couple of years we would spend valuable time purging inactive files and the process to recall them from storage was no picnic, either. We are a small shop so likely don't use the workflow process as well as other users, but scanning backup during gift entry is a huge plus. **What do you dislike about PairSoft?** There is no easy way to review scans - something as simple as running a list of records that a particular user has touched. Much simpler than scanning invoices, emailing them out for approvals and repeatedly having to follow up on them for approvals. **What do you dislike about PairSoft?** The Enter/Match side for po invoices isn't as clean cut as the regular invoice workflow and entry. We have improved our AP processing time from 3-4 days to 1-2 days, as we are able to approve things remotely when executives or signers are not in the building. **Official Response from Holly Condon:** > Good news!
