I would also like to see more advanced AI-driven insights to help identify registration trends, attendee engagement opportunities, and potential event risks more proactively.

From a pricing perspective, the platform delivers strong value for large or complex events, but some advanced features and add-on modules can increase costs.

So many problems! We've been able to bring our registration management in house instead of using a custom website as we did before. We've had seamless integrations with our badge printing company and app company so the API will work instead of custom integrations. Samaaro has helped us streamline our event management processes and improve how we engage with attendees and sponsors. One of the biggest improvements has been the development of a customized sponsor meeting module, which will allow us to better track sponsor engagement, identify trends, and understand what drives successful connections.

A challenge we've consistently faced is helping sponsors effectively connect with the leads we provide following our events. Like any new project, there were the usual hiccups, mostly around the very niche questions we had and the analytics, since our invite-only, add-on events made things more complex. We needed a lot from one platform: event registration and set-up, analytics, a virtual livestream for specific sessions, tracking and cancellations, payment features, and a full app covering everything from quizzes and networking to notifications and agenda updates. vFairs handled all of it in one place. There honestly isn't much we dislike. The biggest thing for us is that we still need separate software for some employee and time-management functions. Check Cherry has been adding functionality in this area, and we're hopeful it will eventually allow us to eliminate that separate system and have even more of our operation in one place. We had never used a CRM, so information about leads, proposals, invoices, payments, and customers was much more fragmented and scattered. Now it's all in one workflow. A lead can come in through our website, move to a proposal and invoice, and ultimately become a paid event without us having to piece together information from different places. The biggest benefit is having one reliable record of the entire customer transaction. Its reporting has also become an important part of our accounting. We have been using Eventee to help organise a Summer School. This app has improve our ability to communicate easily to our attendees, gives us a platform to share photographs of the event and allows live interaction with participants through the Q&A function. One area that could be improved is offering more flexibility when customizing certain parts of the platform to better match different event requirements. A few workflows could also be streamlined, particularly when I’m managing multiple tasks at the same time. There are steep increases in cost for more advanced features. I would consider paying for these features for a more complex event, where you would like everything to be done in the same site. I like how you can choose which add-ons you need so that you have more flexible pricing options, rather than having to choose an expensive package from the start. I have two areas where Brushfire could improve. One is with email communication when multiple family members register for an event. It would be useful if the system could send a joint email to the main email holder with all ticket information in one go, instead of multiple individual emails. Gther offers a one-stop solution in-territory for all of our event needs. The system is flexible, so it can suit many different types of events. KonfHub is solving several critical problems related to event management, particularly in the domains of ticketing, quizzes, and certification. For our GenAI Surat workshop, organized by AWS User Group Surat, KonfHub addressed the following issues:

1. Efficient Ticketing Management:

Problem: Managing registrations, tracking attendees, and handling various ticket types can be cumbersome and error-prone with traditional methods.

Problem: Issuing certificates manually can be a logistical challenge, especially when dealing with large numbers of participants. It often involves significant administrative work and delays.

Solution: KonfHub's automated certificate generation and distribution system made this process hassle-free. The platform provided customizable templates and ensured prompt delivery of certificates upon completion of the feedback form.

Benefit: This automation saved us considerable time and effort, improved participant satisfaction by providing instant recognition, and ensured a professional appearance for our certifications.

We needed a few additional follow-ups during implementation to work through configuration details and clarify how certain parts of the process should operate. It wasn't a major blocker, but I would have preferred to settle those details with fewer rounds of clarification. We needed a more organized way to handle registrations and attendee follow-up across dealer partner events, insurance webinars, and industry conferences. A small issue I found problematic with Bizzabo is the scheduling of email campaigns. The "Send Later" button can sound counterintuitive for those who want to schedule sending, as the term suggests that the action will be postponed, not preparing the campaign for immediate sending even when scheduled. In some events, new users did not understand that it was necessary to click "Send Later" after saving the campaign, thinking that the sending was already configured. Bizzabo helps me send emails to the right audience and create tags for different participants, making invitations and reminders easier. It is also intuitive, with a precise and fast AI assistant, offering versatility in sending invitations and generating reports. Review collected by and hosted on G2.com.

There were times when our teams operated at different speeds, which could take some adjustment. We tended to move very quickly, while Showcare was often more deliberate in their approach. In many cases, though, that actually benefited us because it forced us to slow down, think through potential issues and make better decisions. As with any team, attention to detail could occasionally vary depending on who you were working with, but I never felt that reflected the quality or commitment of Showcare as a whole. Showcare has been really good at evolving alongside associations and understanding where our needs are changing. They listen closely to pain points and areas of friction, then think creatively about where they can add value, whether that’s top-notch registration, virtual engagement, marketing or proactively addressing growing risks like cybersecurity.

Marketing is a great example. Associations often go to outside firms for that expertise, but there’s real value in working with a team that already knows your organization, your industry and your audiences. Showcare takes the time to build that understanding, which allows them to help improve reach and engagement in a much more informed way. While this was several years ago, their pivot during COVID helped us to create a meaningful virtual environment when none of us had a roadmap for it. There are a few things I'd like to see Purplepass add or solve:

1) Sort ticket purchasers in events alphabetically by last name instead of first name

2) Make it clearer that patrons do not need to set up an account to purchase tickets

3) Admit patron through search order in Box Office as opposed to needing to go through Search Orders in Point of Sale

Getting the scoring weights right took some trial and error, our first setup scored job title way too heavily and a few genuinely hot leads with vague titles got buried under people who just had impressive sounding roles but no actual buying power. Review collected by and hosted on G2.com.

Sales actually knowing who to call first instead of guessing has changed how fast follow up happens after our webinars. Scoring weights needing real tuning is a fair criticism, our first pass was honestly kind of naive about what mattered versus what just looked good on paper. You can simply search the name of your city and the type of event you’re interested in, and everything shows up on one page.
