**What do you like best about OnPay?**

The human support from the start. Within minutes of signing up I heard from an onboarding consultant - a real person, not an automated sequence. When I called support to run my first payroll, I got through immediately with no hold time and the rep walked me through everything patiently.
The pricing is also very reasonable for a small nonprofit - straightforward and affordable for an organization just getting started.

**What do you dislike about OnPay?**

The first payroll reminder email came with less lead time than I would have liked, though in fairness, I signed up very close to my first pay date, which happened to fall on the Friday of a holiday weekend. A bit more proactive outreach for new users in that situation would be helpful.

**What problems is OnPay solving and how is that benefiting you?**

I had no prior payroll experience and needed a solution that could handle compliance, tax withholding, and payroll processing without requiring an HR background. OnPay made the process manageable for a non-expert. A key differentiator over competitors like Gusto was the ability to add unlimited reimbursement payments per payroll, which is important for tracking ministry expenses. I can now pay myself accurately and on time with taxes handled correctly.

**What do you like best about OnPay?**

I love how OnPay made processing payroll super simple and doesn't take long to process. The fees are super straightforward and it's more affordable than other options. I like the all-in-one pricing model as it means no hidden fees or surprises. I also appreciate being able to print checks in-house for those not utilizing direct deposit. The initial setup was fairly easy since they took care of nearly everything for me.

**What do you dislike about OnPay?**

Sometimes it feels a bit too basic. For example, it currently doesn't support tracking gender/sex for employees, which I need for certain reporting requirements for insurance carriers and government agencies. I use a separate system for time clock entry, as OnPay doesn't offer that. I have to import the hours from that system into OnPay.

I appreciate the ease of use. Started using the platform right away and I also enjoy the flexibility to change payroll runs. The pricing is standard. The onboarding is good. it performs well and integrates well with other platforms. I have not used the AI (artificial intelligence)  features yet but feel they will be helpful with I do.

Nothing that I can think of. Everything is simple to use.

The customer service was incredible. I had a very tight deadline to buy, onboard, and run payroll. Their onboarding leader got on the phone and walked me through everything and ensured I met my payroll deadline.

There is nothing that I "dislike." Opportunities for improvement: refined tutorials using more video and in-product guidance.

Since I am a solo business, I am only onboarding myself. I need to be able to easily onboard myself, but do not need onboarding documents, training from my company to myself like I would if I had employees.

I find OnPay's user interface easy to use, which makes navigating the platform simple. I also like that there are plenty of buttons and that it's easy to navigate with previews. It's helpful for keeping track of taxes and reports, which has improved my payroll processing.

I'm not happy with the customer service. I wait forever on the phone, and support tickets take forever, so by the time they respond, I have more questions. Plus, the chat times out before anyone even connects.

It took a little over a week to finally get approved to run payroll.

I am a busy individual tax preparation business. I've hired my first employee right as tax season was starting, and never had to deal with payroll taxes. I didnt have to take time to research and figure out all the rules and due dates and tax rates for payroll taxes. It handles it all for me, so I simply enter the hours and everything else is figured out and handled for me!

The only minor frustration is the recurring reminder about Social Security verification every time I run payroll. I understand the importance of compliance, but it would be great to have an option to acknowledge or dismiss it permanently once it's been addressed. That said, it's a small issue in an otherwise outstanding experience.

**What do you like best about OnPay?**

The OnPay user experience is logical and descriptive which lead to less of my time onboarding & submitting.  The reports seem comprehensive so far and I didn't have to ask for anything special like I have in other systems! The connection to QuickBooks worked well AND worked immediately after my first submission.  Additionally, my onboarding specialist actually reached out by phone (yes, in 2025!) to introduce herself and answer any questions.  All in all - a solid and appreciated start!!

**What do you dislike about OnPay?**

There was a weird hiccup during implementation around the expected date of the first payroll.  It wasn't the end of the world in our situation and everything else was positive, so we rolled with it and kept going.  In the end, while we missed our requested date we were ready and submitted only a couple days later.

OnPay's prices are low and fair in comparison to other payroll services. The company does seem to care about their clients and prices the fees accordingly.   The customer service is beyond amazing.  They are quick to respond to questions and issues and provide knowledgeable and helpful information that make it easy to complete/correct any issues.

**What do you dislike about OnPay?**

OnPay's onboarding system seems drawn-out and clunky compared to other payroll providers.  It it confusing for both our firm and our clients when they self-onboard. 

Setting up the 2-run payroll cycle for a bi-monthly payroll run on a month that is almost over is almost impossible without customer service's assistance.  

OnPay's opening the account for running payroll is not a quick process. They take quite a long time from the time the micro-deposits are received to do the behind-the-scenes work in order for the client to be able to run payroll.

OnPay accurately provides payroll taxes in accordance with all local, State and Federal laws.

I like OnPay's customer service support because they resolved a last-minute payroll date issue for me on the same day. I also find it fairly easy to use and appreciate that there is a free trial. The initial setup was straightforward and easy, which made the transition smoother.

The menu options on the mobile browser are limited compared to the desktop browser.

Great customer service during onboarding and helping get everything set up. It was my business' first time running payroll, and it felt so nice to have experts available to help answer my questions and make sure everything was tee'd up appropriately. Communication throughout the enrollment process was consistent, professional, and helpful. I also appreciated that OnPay had state-specific tax guides that helped guide us through the state registration process.

**What do you dislike about OnPay?**

The Quickbooks integration was a little clunky. I don't like how OnPay syncs two separate transactions with Quickbooks: one for net wages paid to employees, and one for taxes. The taxes transaction includes both employer-paid and employee-paid taxes, so I have to go manually into Quickbooks and segregate that out.

Run payroll and pay all our taxes correctly and on time.

I had to make the transition from another (unamed) payroll provider who had a complete meltdown mid-year and stopped processing payroll for their customers. I was expecting a challenging transition, but the onPay onboarding team walked me through the process - it was definitely differentiated that they offer this service. I have also been proactively contacted by their support team as an employee entered their bank account incorrectly and the direct deposit bounced.  The user interface is easy to use, and great for hourly based employees. Value for money is great for a multi-state payroll. I am very happy overall.

It would be nice to have more dedicated support for registration requirements for new states - ADP level service.

Regular, weekly payroll service for 30+ employees in multiple states.

Having a small company with few employees, this was a quick process. If you have a lot of employees, I believe you can upload the information which makes it even quicker. I entered my data and I still found it to be reasonable time and effort that I spent. Ease of use, ease of integration plus a fair value for what I get from OnPay, makes them a good choice for your payroll services.

At the moment, I don't have any dislikes.

We looked everywhere for payroll software, but everything seemed complicated and pricey—until we found OnPay. Their cloud-based payroll system is exactly what we need. We’re not accountants or HR experts, so having something reliable, easy to use, and backed by really good customer support was a game-changer. The onboarding team walked us through setup, explained the system, and within a few days, we had payment schedules set up and our first payroll processed. We also love the dashboard—it makes managing employees and contractors simple.

**What do you dislike about OnPay?**

So far, so good, no downsides! The only thing we wish had been clearer during sign-up was the paperwork needed to verify company ownership and other details. It would’ve been helpful to know upfront so we could have everything ready, avoiding the slight delay. We also had to reach out to confirm our nonprofit pricing, even though they gave us six months free. A follow-up on that would’ve been reassuring, so we wouldn’t have to worry about whether we’d actually get the discount they promised. But overall, the experience has been great!

OnPay is our virtual payroll department!  Our little one-person payroll department was struggling before finding OnPay.  This has given us tremendous peace of mind knowing that they know what they are doing and can guide us every step of the way.

**What do you like best about OnPay?**

Easy to use dashboard with great reports. Payroll processing is quick, easy and flawless every time. It’s easy to setup special payrolls. Our taxes are paid and quarterly reports filed seamlessly. After using OnPay fir a few years now and  a background in Accounting and HR, I find OnPay is extremely valuable, from running the payroll weekly with ease, setting up employees and taxes to letting them handle the quarterly and year end reporting. When we first signed up for OnPay, we wanted a little time to look around and get a feel for things before talking to anyone.  We received multiple emails, messages and phone calls from multiple people within a few hours.   While I do appreciate the enthusiasm and responsiveness, it was a little overwhelming when we would have preferred a little time to just  take a look.  Maybe provide a way for customers to opt in or out of the high touch contact initially.

**What do you like best about OnPay?**

Once I got the system set up, I have appreciated how simple the payroll process is from start to finish.  I like how it shows the total cost to my company for the each payroll.  The reporting features are robust as well.  I like that I don't have to worry much about my payroll taxes getting paid or the quarterly reports being filed on time.  Prior to OnPay, I was getting penalties and fines for late filings and underpayments.  I am grateful for the consistency of service I've gained through OnPay.
Their support team has been great.  Any time I've had questions or needed help, they've responded well.
One of the things that sold me on OnPay was my ability to control the payroll process.  In other words, OnPay allowed me to keep my same payroll frequency.  I have one employee that I pay on the 1st and 16th.  The trick was that my pay periods end on the 30th/31st and the 15th.  I am not obligated to OnPay to handle the disbursement of dollars.  I run payroll and then enter ACH payments to my employee the same day.  Other companies would have forced me to follow their payment timelines.  OnPay allows me to run my business the way that works best for me.

**What do you dislike about OnPay?**

They have a limited list of time tracking services with which they integrate.  Unfortunately, my service is not one on the list.  It would be nice to have my time tracking integrated into the payroll function.

**What problems is OnPay solving and how is that benefiting you?**

OnPay is handling my payroll on a consistent and timely basis.  As a small business employer, it has brought me peace of mind knowing the payroll and reporting functions are being handled by professionals.  My load is lightened as I simply run payroll and pay my employee.  OnPay handles the rest.  
As a side note, their cost is worth every penny to me.

OnPay was easy to setup. Email responses were fantastic. Didn't really have any issues. Tax filings are all taken care of. Direct deposits are on time. I have no issues so far. They offer collaborations with other vendors, but I haven't looked into that, so I cannot comment. However, its great to know that it's available for me.

The one feature I wish they had was automatic payroll. Meaning unless there is a change in the weekly payroll, then the payroll would run the same as last week. Maybe if a simple verification of Change or No Change button can work without causing any issues for either party. Other than that, OnPay has fulfilled my expectations.

Customer support has been top-notch. We've had a number of relatively complicated items come up and their support has been helpful and quick to resolve things. Their interface is simple and intuitive. I've been accustomed to more complex systems such as PayChex and Paylocity, and this interface is refreshingly simple which is great for our current application. As the primary user of the system (using it multiple times each week, this is important for me. I've also appreciated the integrated services some of which we've taken advantage of. Initial implementation was also very easy. Their team was helpful and responsive and the how-to articles were also specific to our state and needs.

**What do you dislike about OnPay?**

Not a problem with OnPay, per se, but the interface is different enough from other vendors that there is a learning curve to find certain settings or features if you're used to another system. Once I understood the system, though, I appreciate it.

Payroll is a complicated need for business and they make it fairly simple. I spend fairly minimal time processing payroll these days because of how they're setup.

I found the implementation/setup process to be extremely easy.  There's paperwork, of course, but the support team at OnPay was quick to assist.

OnPay understands Payroll processing and Payroll taxes.  I love that I can relax and know that my payroll is being handled professionally and accurately.  I have employees in four different states and keeping track of all that would be a nightmare, but I don't have to worry about it because OnPay handles them all.  My employees really like the interface and the direct deposit.  They can look up their paystub and balances any time they want.  I also pay contractors through OnPay, so my year end reporting for W-2s and 1099's is all taken care of!  The price is very reasonable for the amount of work that this takes off of my plate - much less expensive than hiring a bookkeeper and more secure and private as well.

It can be a bit of a search to find the email to send in any notices from States and the AI chatbot is not very helpful yet, but I expect that will improve over time.  The humans involved are extremely helpful and quick!

I have a small business with only one employee other than myself, and they work remotely, in a different state than me. OnPay had by far the best pricing structure for our situation. They made onboarding a breeze, and they were there to answer every question I had. Running payroll is easy, and it has the features we need.

**What do you dislike about OnPay?**

Added after 6 months:
During initial setup, I made a configuration mistake, and set my Florida SUI rate to start a month later than it was supposed to. I got a letter requesting the difference be paid from the Florida Department of Revenue, and shared it with OnPay. I told OnPay that I was happy to pay it myself, and that I just wanted guidance on how to handle it. OnPay told me on the phone and over email to not do anything with the letter, and they would take care of it. Awesome! 

Except they didn't. Over the next 15 weeks, I emailed OnPay repeatedly, and continued to get letters from the Florida DOR demanding payment. OnPay continued to tell me not to worry about it, and that they'd take care of it. Eventually Florida DOR sent it to collections. OnPay continued to tell me not to worry about it, and that they'd take care of it.

Then, today, after more than 3 months of back and forth, OnPay told me that the issue was caused by me entering an incorrect SUI rate, and that I need to take care of it with the Florida DOR myself, and that they are not responsible for that. All of that was information that I told them when I filed the ticket 3 months ago. But for whatever reason, they repeatedly told me not to do anything about it for the last 3 months. It'd be tough to overstate how frustrated I am with OnPay. I cannot recommend them for small businesses. Their support, including their advanced teams, is slow, unreliable, incorrect, and does not stand by what they say.

It would also be nice if the reminders to run payroll were a little smarter. You can only set the number of days to be reminded before the paycheck date. However, they have a calendar on the dashboard that shows which date you actually need to run payroll for checks to post on time, which can vary based on holidays and weekends. From what I can tell, there's no way to set it to send you reminders on that day.

There was no such thing as a dumb question and all information was easily accessible on the online portal.  It was amazingly simple and quite painless.  It covers more features than I needed in the software but it is good to know that the features are available when I need them

The downside is it is all on me to plan and execute the payroll.  My worry is always, I do not know what I dont know.  It will take a bit of time of always asking questions of the CS team at OnPay but I'm hopeful the onbarding process is sign of the CS team as well.
