Email verification software helps businesses confirm the validity and deliverability of email addresses before starting email communication.

Users start by uploading an email list to a verification platform. The software then uses factors such as email address syntax, domain structures, simple mail transfer protocol (SMTP) information, internet service providers (ISP) databases, or other data to confirm that each address can receive and send messages.

These platforms can also flag typos, verify online forms, and reject temporary burner emails as they pass through employees’ mailboxes. Marketing and sales professionals use email verification tools to ensure their email lists are up-to-date before launching campaigns. These products are also used by customer support, IT and security, HR, and data management teams to safeguard the company’s communication channels and verify legitimate addresses.

Email verification platforms help businesses reduce bounce rates, improve sender reputations, prevent fraudulent emails, increase customer engagement, and ensure deliverability.

An essential way to validate email is by ensuring domain credibility. Domain credibility is determined by various factors such as domain age, registration details, DNS records, blacklists, SMTP checks, and domain reputation. SMTP information, in particular, is important as it provides real-time feedback when testing the connection of the email address to the mail server. Through email verification software, domains and mailboxes can be tested to ensure the deliverability of an email from its particular address.

Using email verification tools also helps control the deliverability of temporary or fraudulent email addresses, which scammers use to solicit information. The domain verifying process works as a blocker when it detects temporary or disposable email addresses. The email validation platform will flag emails that seem to come from unsecured domains or mailboxes and then block the address so it does not reach the user. As a result, users of email verification software would not have to worry about fraudulent email addresses when sending or receiving emails.

Email verification may be confused with lead verification tools since they both ensure the quality and accuracy of data in marketing and sales work. However, they are distinct in the different purposes they serve. Email verification products aim to confirm the legitimacy of email addresses, whereas lead verification tools focus on enriching and assessing the overall quality of lead data.

Email verification software often integrates with secure email gateway software, email deliverability tools, email testing software, email anti-spam software, DMARC software, and intelligent email protection software. These security solutions add additional layers of security to emails for businesses that may not be satisfied with their email verification products alone.
