**What do you like best about Caplena?**

Caplena is strong on automated topic detection and sentiment analysis, including topic-level sentiment, which helps when a single comment contains mixed feedback. The interface supports iterative refinement of classifications and makes it practical to improve quality over time.

Segmentation and filtering are well supported via metadata, which is useful for drilling down by customer characteristics, channels, or time periods. Export options also make it easier to validate results and continue analysis in other tools.

From a compliance perspective, the anonymization capabilities and multilingual support are meaningful strengths for teams working with sensitive verbatim data. As a European, Swiss-based solution with EU data hosting, Caplena is also a strong fit for organizations with strict GDPR and data residency requirements.

**What do you dislike about Caplena?**

Caplena is primarily an analytics and reporting platform. If your workflow requires case management or operational follow-up directly from insights, you may currently need complementary tooling. Closing-the-loop style workflow capabilities are an area Caplena is working toward, but it should not be assumed as available unless confirmed for your plan and timeline.

**What problems is Caplena solving and how is that benefiting you?**

Caplena helps us turn large volumes of unstructured customer feedback into structured, decision-ready insights. Instead of manually coding open-text responses, we can automatically identify key themes, measure topic-level sentiment, and detect emerging trends across feedback sources.

This significantly reduces analysis time and increases consistency in how feedback is categorized. It enables us to move from raw verbatims to prioritized insights that can be shared with stakeholders in a clear and data-driven way.

In addition, strong anonymization capabilities and EU-based data hosting support our data protection requirements, which is particularly important when working with sensitive customer comments.

**What do you like best about Caplena?**

The tool is incredibly easy to use and does exactly what its meant to. And the service is exceptional. The live chat function is a massive bonus when looking for support and the responses from Andre and Aliona  are always super quick and super helpful. It's rare to find a company that gets the product AND the service right but Caplena does. They're also very receptive to feedback and adding items on to road maps.

**What do you dislike about Caplena?**

Not a dislike but looking forward to when full functionality has been moved across from V2 to V3. Looking further afield it would be great to see more tools within the Caplena eco system i.e survey design and delivery software, tools for customer data analysis.

**What problems is Caplena solving and how is that benefiting you?**

Giving us consistent, scalable and real time text analytics. The velocity and volume of stakeholder briefs is high, a tool like this allows us more flexibility to serve our stakeholders.

**What do you like best about Caplena?**

Caplena provides an abundancy of functions for the analysis of open-ended customer feedbacks. It combines Sentiment Analysis, i.e. the detection of emotions of customers, the classification of categories and topics, visualization via dashboards and - last but not least - anonymization functions which are important for data privacy regulations.

**What do you dislike about Caplena?**

Caplena needs to be implemented in close cooperation w/ the company - so it took long to have it ready-to-use. But as a consequence from that, you will get well-customized analysis options for your business needs.

**What problems is Caplena solving and how is that benefiting you?**

Unstructured feedback from customers needs to be analyzed in an automated way to avoid manual work. Caplena is helping to process large amounts of unstructured customer feedbacks by anonymizing and categorizing these comments. By this, users like me are provided with valuable insights with no personal effort to dig deeper. Data can also be visualized and is ready-to-consume via Caplena dashboards or built-in-solutions such as PowerBI.

  ### 4. Fast Theme Generation and Great Charts, But Code Frame Needs Improvement

**What do you like best about Caplena?**

The interface, it is mostly easy to use. The speed at which the themes are generated and automatically tagged. The outputs that you can get, lots of charts available. Customer support is 10/10, always get a quick response to any query.

**What do you dislike about Caplena?**

The code frame generation is not the best. It always needs a lot of refining and editing, I have to delete irrelevant topics, and add topics that have been missed. It would be great if the code frame generated was closer to the end product. We rely on using already existing code frames to save time.  
There is not much flexibility in editing the charts. Also would be nice to down load the chart for ppt.

**What problems is Caplena solving and how is that benefiting you?**

Caplena quantifies qual data, which lots of clients are accustomed seeing. Helps add another layer of depth to analysis, and explains gaps in data analysis. Saves time by not having to manually code.

  ### 5. Great and efficient at coding large number of text responses.

**What do you like best about Caplena?**

Once the code frames are finalised, it is quite good at recognising the open ended responses to bucket them in correct categories. It is quite helpful when there are large number of responses to be coded and saves significant time compared to manual coding. Editing the codes are also easy as they can be shifted from one category to another using drag and drop and can also be merged quite fast. The AI engine is quite capable in recognising the sentiments of the responses and that alone saves us precious time.

**What do you dislike about Caplena?**

It struggles in generating initial codes and requires quite a bit of input to refine those codes. The initial codes it generate are quite generic and not very helpful. It can instead focus on the themes and generate relevant codes for responses. As I mentioned previously, once the codes are finalised by the user, it does a pretty good job in categorising the responses correctly.

**What problems is Caplena solving and how is that benefiting you?**

It helps us code large number of open ended responses and in doing that saves us a lot of time. Sometimes the time savings are about 70% compared to manual coding.

**What do you like best about Caplena?**

The platform is easy to use. Creating and updating projects has been improved since the first time we used it.
We can share our work to our client with dashboards without creating accounts, just by sharing a link.
When we need some help, we can contact them with the chat and they answer quickly.

**What do you dislike about Caplena?**

When we don't use the API, we need to create some ETL with power query in order to have the required structures for our tools. The columns filled with 1 or 0 for each topic are not what we need, but I've been told there are some improvements on the way for this.

**What problems is Caplena solving and how is that benefiting you?**

In the past, we asked our teams to read each comment for the client and do manual analysis.
Now we just need to import data and asked one person to check/correct some verbatim, it takes us less time to do the job and we consider we have less "errors"

The new features Insight Chat and the revised reporting significantly simplify analysis. Insight Chat provides quickly understandable answers to complex questions, including context, while the new reporting impresses with clear, modern visualizations.

**What do you dislike about Caplena?**

Bugs occasionally occur, but they are addressed very quickly. Reporting bugs is difficult because it usually only happens through chat. Sharing screenshots is not possible.

Limited visualization of dashboards, e.g., filters cannot be hidden in reporting.

Subsequent anonymizations are not possible. A new upload must be performed.

The AI-supported analysis of open-ended responses with numerous individual customization options is particularly valuable. Equally impressive are the clear visualization and the in-depth analysis of correlations, especially in driver analysis. Additionally, large data volumes can be processed effortlessly and the results distributed in professional dashboards.

**What do you dislike about Caplena?**

Some useful features are only available in premium versions. Editing uploaded data has been somewhat cumbersome so far, but it has significantly improved with V3. Overall, the software sometimes seems a bit too complex.

**What problems is Caplena solving and how is that benefiting you?**

The large amount of open reviews – both from online channels and from our own surveys – is hardly efficient to evaluate without technical support. With the software, these data volumes can be processed effortlessly and finally analyzed objectively. Additionally, it becomes clear which topics in customer feedback are actually the central drivers of satisfaction.

The user experience. The interface is really intuitive and user friendly and it surely helped increase adoption within our team. It allows us to easily code and categorise verbatim, review them etc
Then of course I like the time savings derived from the automated coding. Last but not least, I like that we can create dashboard to share with the client.

**What do you dislike about Caplena?**

I think the overall structure of how we save projects could be improved. They should learn from structure such as SharePoint. For now we can use tags but it’s not enough and sometimes there are bugs there. It would be nice to have a structure with folders, sub folders etc. It would be then easier to retrieve projects

**What problems is Caplena solving and how is that benefiting you?**

First and foremost it helped us solve a quality issue. With Caplena and the ability to learn from previous questions we can standardise coding, especially for those recurring projects like NPS. It also allowed us for easier review internally.

While Caplena is an excellent tool, there’s still room for improvement in certain areas. For example, niche industry-specific terms sometimes require manual adjustments for more accurate categorization, and adding more advanced visualization options directly in the platform would make insights easier to present. Expanding the capabilities to include basic quantitative analysis alongside qualitative coding would also make it an even more powerful all-in-one solution.

Caplena helps overcome the challenge of processing and analyzing large volumes of open-ended survey responses. Its AI-assisted categorization and sentiment analysis speed up the process, improve consistency, and make it easier to uncover key themes and customer sentiments across multiple languages. While it works very well for most cases, adding better handling for niche industry terms and incorporating basic quantitative analysis could make it an even more complete solution.

**What do you like best about Caplena?**

Caplena's reporting function serves as a "dashboard" for our clients to access their qualitative data. Being able to filter and manipulate the data in whatever way they please is extremely beneficial for us as consultants. The UX of these reports is constantly impressing our clients which we also highly appreciate. 

The TEAM at Caplena is what really makes the difference. Our customer support person goes above and beyond for us and is always willing to work together on Caplena improvements. This experience alone is a best practice in the industry.

**What do you dislike about Caplena?**

There are some functionalities for our team specifically that do not work super well in terms of working directly within the data. The lack of ability to include images linked to certain responses for us is a point that we really require in our daily work.

It is giving us an efficient way to look at our data. The AI generated summaries are great for our internal reporting and offer us a more streamlined way to make our deliverables.

Caplena is a huge step up from us using Excel. It’s visually appealing, easy to navigate, and makes coding open-ended survey responses much faster. As a market research agency, we deal with a lot of unstructured text. This tool has made that process far more efficient and even enjoyable.

I really wish there was an undo button. It would make it easier to fix mistakes without having to backtrack manually.

I must say Caplena is an amazing tool that makes your work easier and more comfortable. Its function enables you to get precise results in a short time. The help from Support Team is invaluable, the consultants are both helpful and efficient. Caplena is very intuitive!

As Caplena is not available in my native language, using the platform is slightly less convenient - haviong it in my own language (Polish) would significantly improve my user expierience.

It's easy to use, very ergonomic and intuitive. It's a highly efficient and well-documented solution. The helpdesk is quick, effective, and really friendly.

It's a shame there isn't a French speaker because there are sometimes topics that touch on the subtleties of the language that I would like to be able to discuss in French ;)

The easy interface and the ability to be able to code everything very easily. Also the overview of both the metrics and the way everything looks in the interface makes coding open answers go from something tedious to something that you almost start looking forward to.

**What do you dislike about Caplena?**

Sometimes it is annoying that you have to return to a previous version because the half open coding is not availible yet. This screen is also not as easy to use as the normal full open answer coding so this could still use some work. I feel like streamlining this would also increase use.

The long times that coding open answers takes and also the issues this creates finding people cheaply that could do this. this tool also reduces the error margin

By far the best tool (the hardest to obtain in an internal solution) is the Category/Topic AI Quality Score, a score that easily identify how well certain categories are identified. Very necessary for us to understand how well certain categories are mapped.

**What do you dislike about Caplena?**

Not super intuitive UX at the beginning, but it is mostly due to the fact that you have a lot of options and features.

**What problems is Caplena solving and how is that benefiting you?**

Analyzing text from Customer Surveys. It cuts down the time that the Ops managers are spending on it by translating, categorizing and evaluating the sentiment of the open text feedback we receive.

**What do you like best about Caplena?**

Besides the software itself the support is very swift and helpful. That is a big plus for me, as it gives me the feeling that I can try out things on my own, but in the worst case, I can ask for a quick assistance (Ai based, chat or email, all worked great) .

For Caplena itself, I like most that I can quickly upload my data, spend less than an hour on optimizing a codebook / teaching Ai and then already have a good impression about the text content. It saves time and typically that is the resource that is sparce during the data analysis period of a project.

**What do you dislike about Caplena?**

I feel it is necessary to explain the internal audience (for example colleagues who look at the caplena output) what the tool does, what it's limits are and so on.  Otherwise it can happen that interested colleagues use the (by the way fantastic) dashboards and click down to the open responses to find a response somewhere which does not fit the topic as intended due to missing context that might only be clear from an internal perspective. For me, the user, the why is clear, but for outsiders who just like to read through the data of one topic/category it can produce uncertainty. I feel a quick internal introduction to what the tool is about is therefore time well invested.

There is really not much outside my expectations, they also are very responsive when it comes to potential further improvements. Such as integration into MS Power BI or Tableau which they are currently building.

-The layout of the legacy version was better and more organized
-Focus mode does not allow filters

We have been using Caplena for a year now and it has been a game changer in how we utilise our open ended verbatim data. As a business, we have always placed a lot of value in the open ended responses our survey participants provide us, and Caplena enables us to work with the data in a faster, more flexible way to provide compelling data for our clients. 

The features we particularly enjoy are the ability to see connections the between themes within what people are saying, easily being able to source quotes from broader themes, and to quantify the sentiment behind responses in the dataset. 

Previously we were using fixed coding frames and waiting days for our data findings to be generated. Now, with the click of a button we have access to our data in a user friendly tool, which allows us to flexibly analyse our data. Not to mention coding 1000s of brand list open ends in literally seconds – saving us time and money on traditional coding.

Use is relatively intuitive for a lower-literacy user like me (by literacy I mean statistics, formal qual analysis, etc.). Customer support has been *outstanding*. It's also beautiful.

**What do you dislike about Caplena?**

The product is still a bit immature and some little bugs and issues pop up. I'm cautious to ascribe problems to the product; given I'm an inexperienced user, some of the issues might be on my side. For that reason, it would also be SO HELPFUL to have better tutorials to explain how to use the charting functions in particular, in lay terms. I personally struggled to represent my data in charts the way I wanted to. I couldn't understand what the function of Filters were (for example) and how they might have helped me be more precise in charting. Or how to easily manipulate and compare and display segments vs. categories vs. codes. 

Advice on how to build an effective codebook would also have been very welcome. It would be very interesting to see further integration of chatbots and AI to support users in choosing the best way to code, interpret and represent their data.

In short: this tool seems to assume a more advanced user concerning technical and methodological knowledge. That's completely fine; maybe I am outside their target market. No problem but it has created a bit of a learning curve that I wasn't expecting and I know I am only scratching the surface of what it is capable of. 

That said, I was still able to use it for its intended purpose with only the demo for training - that's pretty great all things considered.

Superfast analysis of open-ends. Major efficiency gains wrt to coding, analyzing and charting survey data. Way more beautiful charts vs. excel or google sheets. I think our clients are going to love having access to the interactive dashboard vs. static charts.

We have been using Caplena for 1.5 years and are very satisfied with it. Caplena helps us a lot in structuring our volumes of open comments, especially from customer surveys but also from Google or Amazon. 
The tool has a pretty cool UX/UI, is very clear and intuitive. Most users in our company really enjoy working with it. 
In addition to typical Excel uploads, new APIs to other sources are being added step by step, also with automatic translations. Besides the open comments themselves, further columns or data fields can be uploaded and used within the charts/dashboards to analyze or filter the coded comments more in detail. The dashboards really help to share the coded open comments with colleagues, so that they can interact with the data in their own way. 
Of course, you have to train the AI concerning your industry, products, type of questions and demand of coding. You can't expect to just upload your mentions and then everything is magically coded without any effort. But the more you train the AI, the better it will work with similar questions in the future. 
The Caplena team is very dedicated and open to solve individual requests. They also look into these specific requirements and use cases and check whether these are relevant for more customers in order to improve the tool.

Smaller aspects, which are partly already in the pipeline, such as certain graphic types or showing the overall base per chart.

Intuitive interface that drastically speeds up project coding time while allowing for flexible project configuration. 
The online platform makes self-service incredibly easy and fast, and the developers have repeatedly gone above & beyond to further facilitate projects!

**What do you dislike about Caplena?**

Initial adoption required some (but minimal) alteration to internal processes.

Analysis of open text data from survey interviews is, in most cases, drastically more effective than hands-on coding.
