"Powerful Segmentation and Automation for Precise, Compliance-Friendly Client Emails"
4.5/5
What do you like best about Klaviyo?

As Senior Accounting Operations & Compliance Manager at Apei Ledger Advisors, what I appreciate most about Klaviyo is its segmented list engine and condition-based automation builder, which lets us tailor communications to our SMB accounting clients without generic mass emails that risk confusing compliance-sensitive tax and bookkeeping messaging. Our client base spans retail operators, local service businesses, and freelance consultants, each with different filing deadlines, tax requirements, and service packages. I build separate segments based on their service tier, month-end close schedule, tax filing type, and whether they work with our external tax specialists. For example, I created an automated flow that triggers reminder emails two weeks before quarterly estimated tax deadlines only for our cash-basis retail clients, with custom attachments for their estimated payment worksheets, while excluding clients on annual tax schedules.

I rely heavily on Klaviyo’s custom metric tracking and email performance dashboards, which saves me hours each week refining our outreach timing and measuring client engagement around critical accounting milestones. Before Klaviyo, we sent all deadline alerts from our regular email client, with no way to tell which clients opened tax notices, ignored close reminders, or clicked the secure document upload link. Now, every time a client views our month-end checklist or submits requested bank statements, that activity feeds back into their profile tag. During last quarter’s 1099 filing season, I filtered the segment to show clients who had not opened their document request email, and sent a targeted follow-up only to that group instead of resending to our entire roster. This cuts down unnecessary email noise and keeps our inbox from flooding with confused replies from clients who already submitted materials.

One unexpected benefit I’ve discovered is how Klaviyo’s granular audit trail supports our internal compliance documentation. Accounting communications often contain sensitive guidance around tax due dates and record retention rules, and our firm needs to demonstrate we notified clients on time. Every automated send, open event, and link click is timestamped and stored in the contact profile. When a restaurant client claimed they never received their year-end tax document request, I pulled the activity log showing the email delivery, open timestamp, and link click, resolving the dispute quickly without digging through months of sent email folders. This paper trail adds a layer of defensibility for our firm that we had not anticipated when we first rolled out the platform.

Klaviyo also lets us build branded email templates with locked text blocks for regulated tax language, so junior team members drafting reminders cannot accidentally alter critical IRS-related wording. We keep our standard close checklist and privacy disclosures saved as locked snippets, ensuring every client communication stays aligned with our compliance policy. While Klaviyo does not sync natively with our accounting practice management software, requiring manual CSV imports of new client roster data each month, its segmentation and automation logic fits our lean team perfectly. Without dedicated IT staff to maintain custom marketing automations, Klaviyo gives us precise control over deadline communications, reduces missed filing dates for our SMB clients, and keeps our sensitive tax messaging organized and traceable during our busiest month-end and tax season windows. Review collected by and hosted on G2.com.

What do you dislike about Klaviyo?

As Senior Accounting Operations & Compliance Manager at Apei Ledger Advisors, Klaviyo’s segmentation and automation flows help us deliver tax and month-end reminders to our SMB clients, but its weak native integration with accounting practice management software, limited bulk compliance audit exports, and rigid automation logic create meaningful operational friction for our compliance-focused firm. Our biggest ongoing pain point is the lack of two-way sync with our bookkeeping platform. Every month after we onboard a new client or mark an existing client’s service tier as expired, I must manually export a CSV roster from our practice tool, clean custom fields like filing type and close deadline, then re-import the file into Klaviyo. Last month during busy 1099 season, I missed updating three terminated clients from the CSV, and the platform sent automated tax document reminders to businesses that were no longer under our engagement. This created confusion and exposed our firm to unnecessary compliance risk, even though the tagging and automation features save me hours each week sending targeted deadline alerts.

I also struggle with the platform’s narrow audit export capabilities, which are not built for accounting compliance records. Klaviyo shows individual timestamps for opens, clicks and deliveries on each contact profile, but it cannot generate a bulk, sorted export that bundles all notification activity alongside client service details, consent records and engagement period for our internal review files. When our firm went through a peer review this year, I had to pull and compile hundreds of individual contact activity screenshots manually to prove we sent required tax notices on schedule. The exported CSV lacked the full sequence of automated flow events, so I could not hand the file directly to our review lead. This is a major shortfall for our workflow, because defensible communication logs are not just a convenience, they are a core compliance requirement for our accounting practice.

The automation builder also lacks conditional branching tailored to the nuanced rules of our client calendar. Many of our clients follow custom fiscal years or have extensions approved by the IRS, which shift their filing deadlines outside standard quarterly cycles. Klaviyo’s flow triggers rely heavily on static date properties, and it cannot pause a reminder sequence dynamically if our team updates a client’s extension status inside our accounting system. Earlier this tax season, a restaurant client secured a 6-month extension, but since the status change did not feed automatically into Klaviyo, the workflow kept sending urgent final filing alerts until I caught the conflict and manually paused the flow. It took extra calls to calm the client down after they thought they faced late filing penalties.

A smaller but persistent frustration is the pricing model tied to total active profiles. We keep inactive client records for multi-year tax retention requirements, so our profile count inflates steadily even when those contacts do not receive emails. We cannot archive profiles without deleting their audit history, forcing us to pay for contacts we only keep for compliance record-keeping, rather than active outreach.

Klaviyo is built primarily for ecommerce marketing teams, not regulated professional service firms like ours. Without dedicated IT staff to build custom webhook middleware between our accounting database and Klaviyo, we absorb repetitive manual data cleanup, fragmented audit documentation, and constant monitoring to prevent misfired automated communications. It adds administrative overhead that pulls time away from reconciling ledgers and reviewing client tax work during our tight month-end and tax filing windows. "AI Composer and Segmentation Streamline Our CCPA-Compliant Voice-of-Customer Program"
5/5
What do you like best about Klaviyo?

I’m Karina Walsh, Customer Experience & Voice-of-Customer Program Lead at Gulf Coast Industrial Component Partners, a 114-person B2B industrial component distributor in Tampa, Florida. I manage our VoC program with CreateSurvey to collect NPS, CSAT and renewal-risk feedback, and I use Klaviyo to distribute post-purchase surveys, automate customer nurture communications, and segment audiences for our customer feedback cycles. I oversee respondent consent, PII retention and opt-out controls to maintain CCPA compliance for all US customer feedback data.

My favorite feature is Klaviyo’s built-in AI Composer paired with its centralized sidebar navigation, which cuts roughly 6 hours each week spent drafting survey invitation emails, building customer audience segments, and auditing our automated feedback flows. The left-hand menu neatly organizes Composer, Campaigns, Flows, Audience, Analytics and Integrations, so I can jump between building survey outreach, reviewing customer profile data and checking send performance without switching to separate admin dashboards. The AI Composer panel on the right lets me draft survey invite copy, build targeted customer segments, and audit existing flow logic using natural language prompts, so I no longer need to jump to external AI tools to write B2B customer messaging. This unified workspace speeds up my quarterly VoC campaign setup significantly.

The Audience and Flows modules are my daily workhorses for our customer feedback program. I build dynamic segments to target customers based on order date, product type and account renewal status, so I only send post-purchase surveys to relevant contacts. I connect Klaviyo to CreateSurvey via Zapier webhooks; once a customer completes a purchase, Klaviyo automatically triggers a timed survey invitation email. When respondents submit feedback through CreateSurvey, webhooks push those NPS and CSAT scores back into Klaviyo customer profiles. I can then segment at-risk accounts with low satisfaction scores and trigger follow-up outreach for our customer success team. Klaviyo’s profile-level consent tracking also keeps opt-in and opt-out status attached to each contact, which is critical for CCPA compliance when sending survey communications to our US customer base.

An unexpected benefit I’ve discovered is how Klaviyo’s campaign activity logs simplify my VoC compliance reviews. Every survey send, open and unsubscribe event is tied to individual customer profiles, so I can quickly pull evidence to validate how we are using customer PII for feedback collection. Last quarter, we ran our largest annual NPS survey cycle. I used Composer to generate multiple email variants for different customer segments and tested messaging for new buyers vs long-term accounts. The platform’s built-in unsubscribe and preference center also removes manual opt-out management work, ensuring customers can easily opt out of survey communications as required under CCPA. I also use the analytics dashboard to track survey open rates and response volume, so I can adjust send timing to boost feedback response rates.

Suggestions for the product team: Build native integration with CreateSurvey to sync survey responses and respondent consent data without Zapier webhooks. Add granular role permissions so contract stakeholders cannot export full customer contact lists containing PII. Expand audit logging to capture segment edits and survey campaign sends for CCPA evidence reviews. Add B2B industrial customer survey templates for post-order NPS and renewal-risk outreach. Improve duplicate profile matching to reduce redundant customer records when syncing VoC data. Overall, Klaviyo’s AI Composer, powerful audience segmentation and consent tracking streamline our end-to-end Voice-of-Customer program and help me manage customer feedback data within CCPA guidelines for our B2B industrial component business. Review collected by and hosted on G2.com.

What do you dislike about Klaviyo?

I’m Karina Walsh, Customer Experience & Voice-of-Customer Program Lead at Gulf Coast Industrial Component Partners, a 114-person B2B industrial component distributor in Tampa, Florida. I run our VoC program using CreateSurvey for NPS, CSAT and renewal-risk surveys, and I use Klaviyo to send survey invitations, automate customer nurture emails and segment audiences. My core responsibility is managing respondent consent, PII retention and opt-out workflows to uphold CCPA requirements for all US customer feedback data.

The biggest pain point is there is no native CreateSurvey integration. All survey trigger events and response data must pass through Zapier webhooks, and these webhook failures happen silently without in-platform alerts. Last quarter, during our annual NPS collection cycle, our Zap connection broke and stopped pushing completed survey responses from CreateSurvey into Klaviyo customer profiles for nearly two weeks. I only discovered the issue when our customer success team noticed low survey response volume. This gap meant I could not flag low-NPS at-risk accounts in Klaviyo, and I had to manually cross-reference thousands of survey responses against Klaviyo contact records. These mismatched records create serious compliance headaches for CCPA audits; I cannot reliably trace how customer PII moved between systems, which adds hours of manual reconciliation for every VoC campaign.

Second, Klaviyo’s role-based permissions are not granular enough for our B2B customer experience team. We only have broad admin and standard user roles. Our contract customer success stakeholders need to view campaign performance and survey invite activity, but I cannot lock them out of exporting full contact lists containing client names, emails and phone numbers. There is no dedicated read-only auditor role. When I need to pull activity logs for CCPA evidence reviews, I have to use full admin credentials, which violates our internal least-privilege data governance policy. Team members can also view all customer profiles across the entire workspace, with no way to restrict access only to their assigned accounts, which increases exposure of sensitive customer PII.

The audit log and export functionality also falls short for VoC compliance work. CSV exports are flat and lack filters for survey campaign, segment or respondent consent status. When handling CCPA data deletion requests or quarterly privacy reviews, I need to manually sort thousands of log entries and match each email send back to survey respondents. This manual reconciliation takes roughly seven hours for each audit cycle. Klaviyo also lacks built-in PII redaction inside Composer and campaign drafts. If my team pastes customer phone numbers or emails into email templates, that raw PII remains stored in the draft history with no automatic masking.

I also find B2B-focused survey and renewal email templates limited. Most pre-built templates are built for e-commerce retail, so I spend extra time rewriting copy for our industrial component buyers, post-order CSAT invites and account renewal risk outreach.

Suggestions for the product team: Build native two-way integration with CreateSurvey and add webhook failure alerts inside Klaviyo. Add fine-grained role permissions, export restrictions and a dedicated read-only auditor role. Add filtering and tagging within audit log exports to simplify CCPA compliance reviews. Add automatic PII redaction for emails and phone numbers stored in campaign drafts. Add pre-built B2B industrial templates for post-purchase NPS, CSAT and renewal-risk survey invitations. Overall, these improvements would cut manual cross-system reconciliation, tighten customer PII protection, and make Klaviyo much better suited for Voice-of-Customer teams running regulated B2B feedback programs. "Klaviyo’s Segmentation and Triggered Flows Streamlined Our Manufacturing Updates"
4.5/5
What do you like best about Klaviyo?

What I like best about Klaviyo is its segmented customer list builder and trigger-based automated email flows, which have transformed how we nurture our industrial equipment clients and component vendor relationships at Alenx Industrial Fabricators. As Senior Manufacturing Operations & Vendor Partnership Manager, I oversee custom equipment build timelines, supplier coordination, and client communications for our small-batch manufacturing work. Our lean 11–50 person team has no dedicated IT or marketing staff, so we needed a tool that lets us build targeted outreach sequences without heavy coding or technical setup. Before Klaviyo, we relied on generic mass emails and manual follow-up check-ins with every client and supplier. We often missed notifications for upcoming equipment delivery reviews, component lead-time updates, and annual client equipment maintenance reminders, which created bottlenecks in our production schedule.

Klaviyo’s drag-and-drop flow builder lets me build automated communication sequences tied directly to customer and vendor data triggers. For example, I created a dedicated flow for active custom equipment clients that fires staged emails at key production milestones. When we mark a client’s order as “component sourcing in progress,” Klaviyo automatically sends an update with supplier lead times and a link to the shared cloud folder for technical drawings. Once fabrication enters the assembly phase, a second automated message goes out to schedule their pre-shipment inspection. This automation eliminates roughly 5 hours of manual email drafting and status updates each week, freeing me to focus on shop floor coordination and vendor quality checks. The platform’s list segmentation tools also let me split contacts into separate groups: active build clients, prospective industrial buyers, metal component suppliers, and equipment service partners. I can filter our supplier list to target only vendors with lead times longer than six weeks to send proactive material forecasting requests, instead of sending identical messages to our entire contact database.

I also leverage Klaviyo’s built-in performance dashboards to track open rates and click activity for our technical update emails. When we sent a bulk notice about revised raw material pricing last quarter, the dashboard flagged that three key component suppliers had not opened the message. I followed up with those vendors manually before the pricing change took effect, preventing unexpected material cost spikes for two ongoing equipment builds.

An unexpected benefit I’ve uncovered is Klaviyo’s custom field functionality to store manufacturing-specific metadata. I added custom properties to log each client’s equipment model number, scheduled delivery date, and assigned project engineer. This data feeds directly into email templates, so every automated message auto-populates with the correct technical details without manual copy-pasting. This reduces human error that previously caused mix-ups between different client project specs.

For our small manufacturing team without IT support, Klaviyo removes the burden of repetitive, manual client and vendor communications. Its trigger-based automations and granular contact segmentation keep our stakeholders aligned across every stage of equipment fabrication, reduce missed status updates, and protect our rigid manufacturing delivery deadlines. Review collected by and hosted on G2.com.

What do you dislike about Klaviyo?

What I dislike most about Klaviyo is that it is built primarily for B2C e-commerce workflows, so it lacks native support for the technical document attachments and complex B2B vendor tracking our small manufacturing team relies on, paired with contact-based pricing that creates unexpected cost creep as we add supplier and client records. As Senior Manufacturing Operations & Vendor Partnership Manager at Alenx Industrial Fabricators, I manage custom equipment builds, component supplier coordination, and client technical updates, with our lean 11–50 person team having no dedicated IT staff. Klaviyo does not support native file attachments in automated emails, which creates constant extra work for our manufacturing communications. When sending milestone updates to our equipment clients or lead-time alerts to metal component vendors, I cannot attach PDF technical drawings, material test certificates, or inspection reports directly within Klaviyo’s automated flows. Instead, I must manually upload each document to our cloud storage, generate a shareable link, and embed that link into every email template. During our last heavy fabrication cycle, I spent nearly 7 hours manually updating document links across 12 active automation sequences, because revised component drawings required new cloud URLs for every active client and vendor email thread. This manual workaround introduces risk: on one occasion, I pasted an outdated drawing link into an automated flow, and a vendor almost fabricated parts against obsolete specifications before our engineering team caught the error.

Another major frustration is Klaviyo’s contact-count billing model, which counts every individual vendor contact, shop floor technician, and client stakeholder toward our profile limit. Most of our industrial projects require multiple points of contact at each supplier and client company. For example, one component vendor might have a purchasing lead, quality inspector, and production manager, and all three contacts must receive our material lead-time notifications. Each of those three team members counts as separate Klaviyo profiles, which pushes us into higher pricing tiers faster than we anticipated. We cannot group multiple contacts under a single vendor or client account for billing purposes, so we are forced to clean our contact list every month to archive inactive supplier contacts, eating up hours of operational time that should go to shop floor scheduling.

The platform’s reporting tools also lack manufacturing-specific filtering options. We need to track email engagement grouped by vendor or project to see which suppliers are ignoring our lead-time alerts. Klaviyo’s reports only filter by individual contact, so I must export raw CSV data and manually sort entries by project ID in Excel to build our vendor communication audit trail. This manual data manipulation adds roughly four hours of work every month.

An unexpected pain point we found is rigid email consent rules designed for consumer marketing. Many of our long-term industrial suppliers expect operational lead-time updates as part of our ongoing business relationship, but Klaviyo treats these operational B2B messages the same as promotional marketing emails. If a vendor unsubscribes by accident, the platform blocks all automated operational notifications, including critical material shortage warnings. Last quarter, a metal supplier’s purchasing lead unsubscribed inadvertently, and we missed a window to notify them of a raw material delay, creating a two-week hold on one of our custom equipment builds.

For a small manufacturing team without IT resources, Klaviyo’s e-commerce-first design forces us to maintain clunky manual workarounds for the technical documentation and B2B operational communications central to our business. Its contact-based pricing and inflexible unsubscribe rules create financial and operational risks that can directly impact our rigid equipment delivery deadlines. "Klaviyo helped us simplify reactivation without losing personalization"
4.5/5
What do you like best about Klaviyo?

Segments and Flows are where Klaviyo becomes genuinely useful for content work, because we can stop treating every customer as if they’re all at the same stage. We break audiences out into inactive customers, repeat buyers, people who viewed specific categories, and users with different purchase histories, and then tailor the copy, product selection, and CTA to match those differences. Multi-branch flows make this much easier to manage when language, region, or behavior changes what the message should be, since we don’t have to build a long chain of binary splits just to land on the right version. Product Feeds, sign-up forms, and the campaign editor also help keep creative connected to real customer data, rather than producing content in isolation. Social Marketing has been especially helpful because it lets us bring UGC and social content into email, SMS, and flows without having to recreate the same idea from scratch for every channel. Design can build the core asset once, and then content can adapt the message around it, instead of requesting three slightly different versions at the last minute. Review collected by and hosted on G2.com.

What do you dislike about Klaviyo?

The biggest trap is over-personalization. Just because the data exists doesn’t mean every email needs five conditions, three dynamic product blocks, and completely different copy for every micro-segment. We tried going that far, and the editorial review process became painful very quickly. It was harder to catch inconsistencies, harder to approve the message with confidence, and easier for one branch to drift away from the core campaign idea. Now we only personalize deeply when it truly changes the intent, the value, or what the person needs to hear next. Review collected by and hosted on G2.com.

"Makes Email Marketing Much Easier"
5/5
What do you like best about Klaviyo?

What I like most about Klaviyo is how simple it makes email marketing. I use it mainly to build automated flows like welcome emails and abandoned cart reminders, and the visual Flow Builder makes it easy to update everything without much effort. I also rely on customer segments to send different campaigns based on purchase history or engagement instead of emailing everyone the same message. After each campaign, I usually check the reporting dashboard to see what worked and what needs improvement. It has saved me a lot of time and made managing campaigns much easier. Review collected by and hosted on G2.com.

What do you dislike about Klaviyo?

The biggest issue I've run into is the pricing. As our contact list grew, the monthly cost increased pretty quickly, so it's something we have to keep an eye on. I also needed some time to get comfortable with the more advanced automation flows because there are a lot of options. The reporting is useful, but I sometimes have to dig through multiple reports to find the metrics I'm looking for. None of these are deal breakers, but I'd like to see simpler reporting and a pricing model that's a little friendlier for growing teams. Review collected by and hosted on G2.com.

"Easy-to-Use Email and SMS Marketing, Though Forms Need Freshening"
4.5/5
What do you like best about Klaviyo?

I find Klaviyo much easier to use and navigate, and the options are self-explanatory. It makes it easier for me to manage email and SMS automations and broadcast campaigns for my clients’ subscribers. I like being able to segment audiences for campaigns, connect many different apps, and see the performance of email campaigns, flows, and sign-up forms. Setup used to be a bit technical, but now it’s pretty much one click. Review collected by and hosted on G2.com.

What do you dislike about Klaviyo?

I think Klaviyo could bring more innovations to sign-up forms because the pre-built templates are very basic and generic. Some of the articles are still according to the old Klaviyo. The initial setup used to be a bit technical, but now it’s pretty much one click. Review collected by and hosted on G2.com.
