If you used Microsoft Project in the 90's, this will feel relatively comfortble to you. **What do you dislike about Workzone?** Workzone doesn't really align with many other online systems that allow a lot of integrations with other tools and customized reports. The tool really only works if you follow their work pattern. There is a lot of discussion of customized training, but we found it to be very generic and not well suited to how we worked. **What problems is Workzone solving and how is that benefiting you?** Workzone helped us when we had no project management system in place. As we started doing more and needed to get reports that provided more detail, we found that each report did one thing and many reports often lacked the filters needed to get better information. ### 2. The calendar view is also very helpful, especially when planning ahead for time off. **What do you dislike about Workzone?** After creating a project and tasking out all of the pieces, it can be difficult to go in and edit tasks or group tasks together, especially when there are dependencies and it can be difficult to find what dependency is preventing the edits. **What problems is Workzone solving and how is that benefiting you?** It allows us to work collaboratively with our partners and keep each person up-to-date with their tasks and responsibilities for each project. The campaigns have all the necessary information of each project and client. Workzone is also enabled for use on a Mac. **What do you dislike about Workzone?** The program has functions that are not intuitive enough and this leads to more manual adjustments for example functions such as calendars, causing a considerable delay in the progress of tasks. At the moment it does not contain a mobile application. **Recommendations to others considering Workzone:** To be a perfect project management software it has to offer the Kanban board. A customer portal could further enhance the Workzone platform. Most of all, I really like that it works on mobile and desktop - I've tracked time when I've been at my desk, and I've reviewed Workzone comments and time tracking when I'm on the move - that's invaluable. **What do you dislike about Workzone?** I have had the occasional loading bug, and I'd like to be able to "pin" tasks to time tracking pages. Most of all I do experience some issues when it comes to navigation - sometimes clicking on a task takes me to the time tracking page for it rather than the task's location in the project tree - sometimes the reverse, and it is not always clear which one I am going to get. For example, if a designer simply has a weekly task that they need to access for a client, it can feel frustrating to have to dig into the entire client's page and filter down to the project they need to locate. The function to markup items and approve/not approve work can be a bit clunky at times, depending how the team uses it, but it's better than not having the option. **What do you dislike about Workzone?** It can be difficult to reassign tasks to new users who are not currently assigned to the project. This involves a bit of backtracking to add them to the workspace and then continue with the project set up. If you're not currently in a project but receive a link to a task, you may receive an error message. I wish this function would instead give the reason and the option to request access. The FULL projects, not just the tasks with my name on them. For example, if I filter by my name, but want to add A new task for myself, I can click add new task, but then it immediately goes invisible because it is not yet assigned to me. Then I have to go up and re-filter by the name of the project, find the new task, assign it to myself, then go back to filtering by me to see it within the grand scheme of all my projects. The service was always running. **What do you dislike about Workzone?** Extremely fiddly to use. The setup is counter-intuitive, and eve after using it in a team for more than a year the befenefit never showed itself. The team manager who purchased Workzone tried to set up workflows as well as he could, and was in constant touch with the US support team to make it happen. The UI looks like it belongs in 2006, and nothing works the way you think it does. To do even the simples of operations is a hassle, requiring a ton of clicks, and checkboxes. The only reason we started using Workzone over any other tool, was a promise that we could set up a finish date, and automatically have a plan drawn up until the due date. This never worked correct. **Recommendations to others considering Workzone:** They lock-in with very long contracts (one year) to give what seems to be large discounts. They're not that large when you try to get out of the contract... **What problems is Workzone solving and how is that benefiting you?** Team management of several different services delivered, and general cat herding. We tried to make this a system to better see team resources and capacity, but the benefit never materialized. I have cross-functional teams allocated to different projects and not able to see where their time has been allocated simulateously. **Recommendations to others considering Workzone:** If you need a checklist like platform for many users of varied skill level, this works well enough. We would be better served if there was a method for sharing the project status and phases with customers at a high level. **What problems is Workzone solving and how is that benefiting you?** Great for providing visibility to upper management, but no ability to drill down into dashboards to see related specifics. Everyone in the company has the ability to communicate to the executive team the status and complexity of the work that is being mapped out. Departments are able to import a spreadsheet template of tasks and elements, but at our company we spend more time setting everything up in the spreadsheet, and just check stuff off in the platform. ### 26. I think this is largely dependent on how well your Workzone instance is set up and maintained by your department or company, but when it is done right, productivity and/or accountability can skyrocket. **What do you dislike about Workzone?** I dislike templates in general. They're only editable (and viewable) by the administrator. And when you set a template, it's pretty rigid and difficult to change on the fly -- sometimes you have to make major changes because of a specific project, and Workzone doesn't make that too easy. Plus the way some tasks are dependent and cascade, one missed deadline could make EVERYONE else's tasks late. Again, this may be something that can be remediated by a good administrator, but it's a risk nonetheless. **Recommendations to others considering Workzone:** Make sure you have an A-type running the show. Someone who is extremely organized can boost your value out of this platform, and especially someone who is able to hold others accountable for the work they're assigned. **What problems is Workzone solving and how is that benefiting you?** Our team works with 10+ teams in our department, and most are in sync with this software. My MAIN thing is that it is a project-based product instead of a task-based product. I also needed to have a system that could automatically number the projects as they were created. That way we could set up our archive folder structure similarly to that. Also being able to easily see how many projects are on a certain users plate. That way I can adjust the workload as more jobs come in by easily seeing who has the time for it. Also, the reporting was extremely beneficial to me. Communicated what information should be communicated in the various areas within a workflow is also important to consistent and effective communication within the team. There are a lot of ways to use the tool, so figuring out how your team finds/uses information is important. **What problems is Workzone solving and how is that benefiting you?** We no longer need to manually and physically move projects through our ad agency. The workflows indicate whose turn it is in the process and even assigning tasks to multiple people is possible for multiple reviewers. It has saved a ton of steps, allowed people to work remotely where before it was next to impossible and provided insight into where issues and delays occur.
